Custm Field Retentin During Rllver Prir t this update, sme students user field data was nt being cpied at Rllver r in sme cases the data was incrrect after Rllver r was nt being maintained crrectly thrughut the academic sessin fr user fields marked as Cpy During Rllver. Students at Rllver were either nt included in the results r they were included but fr the wrng surce academic sessin. The Rllver prcedure has been updated t exclude academic sessins where the schl ptin t allw dual enrllment is set t true. Fr example, Schl A is Jhn Smith s hme schl and is nt marked fr dual/extended enrllment. Jhn Smith is als enrlled in a career tech center Schl B which is marked fr dual/extended enrllment. When Jhn Smith is registered t the future academic sessin, it will retain the custm field data frm Schl A (the ne NOT marked fr dual/extended enrllment. A change has als been made t the prcess where a user makes changes t a student s custm field data fr a dual enrlled student. Fr example, Schl A is Jhn Smith s hme schl and is nt marked fr dual/extended enrllment. Jhn Smith is als enrlled in a career tech center Schl B which is marked fr dual/extended enrllment. When Jhn Smith custm field data is updated at Schl A, it will be cpied/synced t ther current and future academic sessins. When Jhn Smith custm field data is updated at Schl B, it will nt be cpied/synced t any ther academic sessin. Discipline Required Fields The fllwing changes have been made t discipline recrds. Setting Required Fields Users may nw specify required fields. T view this change, g t Students Student Maintenance. Search fr and View a student. Select Discipline under the Manage menu n the left. Select Required Fields frm the Tasks menu n the left. Check any fields that must be cmpleted befre a user can save a new discipline recrd r edit/save an existing recrd. Admin Date Nte: Users must have System Maintain Required Fields permissin under System Preferences Permissin Maintenance t set required fields. Entered By: Aut ppulates with the display name f the lgged in user. Custm Tab After a service recrd is created and saved, a new Custm tab is available n the student service recrd. Custm fields must first be set up. G t System Preferences Setup. Select Custm Fields Student District Service and chse Refresh. The same ptins are available fr creating custm fields such as Date, Decimal, List, Yes/N and mre. Once custm fields have been created, data may be entered n a student s district service recrd. G t Students Student Maintenance. Search fr and View the student. Chse Services frm the Manage menu n the left. Edit an existing recrd. Select the Custm tab. Grade Bk Reprt Changes The Unpsted Grades reprt has been added t the Grades Reprt menu. The Unpsted Grades reprt has been mdified t include a new Grade Bk Use ptin. T see this change, g t either Grades Reprts, Classrm Reprts r Schl Reprts. Select the newly renamed Unpsted Grades & Grade Bk Use reprt. Nte: Users must be granted the new Reprts Grade Bk Grade Bk Use permissin t have access t the grade bk use reprt ptins. The screen nw includes a Reprt Type ptin t select either Unpsted Grades r Grade Bk Use. When Grade Bk use is selected, the fllwing will display. Start/End Date: The date range t use when determining grade bk use. If left blank, it will use the starting and ending dates f the current academic sessin. Staff Filter: T filter the reprt t a subset f staff, select the filter frm the list. Srt By: Chse t srt by Teacher Display Name, Sectin Number, Sectin Name r Perid. Any sectin that des nt have activities in the gradebk fr the selected date range with scres will be included in the reprt. The dates in the Last Activity and Last Activity w/scre reflect the latest activity date and latest activity with scres fr the entire sectin. Histrical Hmeless & ELL Tracking Fr bth Hmeless and ELL fields, data is nw stred as academic sessin specific. T view this change, g t Students Student Maintenance. Search fr and View a student. Chse the Misc tab. The five fields will nw be academic-sessin specific. Fr example, if the student was hmeless in the 2015-2016 academic sessin but was nt marked hmeless in the 2016-2017 academic sessin, when the user lgs int the 2015-2016 academic sessin and views the student, the hmeless bx will be checked. Existing data will be cnverted t the new academic sessin specific fields during the update installatin Current business rules fr clearing these fields during student prmtin r mass enrllment will remain in place. The prcess will be mdified t ensure that the applicatin is clearing nly the academic sessin f prmtin r enrllment. Histric academic sessins will be unaffected. Lunch Imprt New Lunch Imprt Service Prir t this release, a lunch imprt service required a rutine t be specifically created by Chalkable t imprt lunch statuses frm a 3 rd party prduct t InfrmatinNOW. The service required unique cnfiguratin fr each district by Chalkable staff and, whenever changes were needed such as the district adding a new lunch status, users were required t cntact Chalkable fr changes. With the summer update, the imprt can nw be cnfigured and even scheduled by the district. T view this change, g t Utilities File Imprts and select the Lunch Imprt tab. Nte: Once the district cnfigures the imprt within InfrmatinNOW, the ld Lunch Imprt Service needs t be disabled. Hsted custmers shuld cntact their Chalkable custmer care representative t have the current service disabled. Multiple lunch imprt rutines may be cnfigured. Added Certificatin Field: Check the bx t imprt the certificatin frm the imprt file. Enter the clumn, starting psitin/length r XML element name based n the type file t imprt. Added a Schedule Sectin: If the file is t be imprted each day, check Run daily. If the Run daily ptin is nt selected, the file will be imprted when the user returns t this screen and selects Run. If the Run daily ptin is selected, a jb will be created that will be executed at 5:00 a.m. daily by default. T view r edit the jb, g t Mgmt Cnsle Jbs. Management Cnsle There were tw new ptins added t the Management Cnsle. Mass Edit Transcript Curse Type A new ptin has been added which allws users t mass update the curse type n histrical transcript recrds t match curse types fund under System Preferences Setup Curse Type. Using this utility t set the curse type n the student s histrical transcript recrd t match what is in the current curse type lkup bank allws districts t mre successfully use gals/diplma checking/graduatin requirements that include curse type criteria. Nte: A new permissin has been added t System Preferences Permissin Maintenance Student Mass Edit Transcripts. Curse Types Frm Transcripts: A list will display n the left that cntains all the unique curse types frm all histrical transcript recrds including recrds frm the initial cnversin t InfrmatinNOW which, depending n the type f cnversin, may be blank. Active Curse Types: A list will display n the right that cntains all the active curse types entered under System Preferences Setup Curse Type. T use this utility, select a curse type frm the transcript list n the left. Select the curse type that it is t be changed t frm the list n the right. Fr example, students have curse types in their transcript recrds f Scial Studies SST. It needs t be changed t just Scial Studies. When OK is selected, all student s histrical transcript recrds with a curse type f Scial StudiesSST will be be changed t the curse type f Scial Studies. Cautin While users can select multiple curse types frm the Curse Types Frm Transcripts list n the left, users may cnsider changing curse types ne at a time t reduce the risk f errr. Sme histrical transcript recrds may have a blank curse type. Cautin shuld be used if selecting the blank line n the left as, mst likely, histrical transcript recrds with a blank curse type are prbably curses f varying curse types. Pst All Grade Bks A user with apprpriate permissin may nw pst grades fr all grade bks. G t Mgmt Cnsle Cnsle and select Pst All Gradebks. Nte: A new permissin has been added t System Preferences Permissin Maintenance Grade Bk Pst all gradebks. If the academic sessin end date has passed, defaults t the mst recent grading perid. If the academic sessin start date is in the future, an errr will display indicating that the academic sessin has nt yet begun s psting is nt allwed. When the user selects the grading perid frm the available list, the system will check t see if any grade bks need t be recalculated (i.e. the grade bk was nt recalculated after a change was made in the grade bk setup ptins). Any classes that need t be recalculated will be skipped during the grade psting prcess. The list f sectin numbers will display belw the grading perid. Select Pst t pst bth traditinal grades and standard marks fr all sectins in the selected grading perid. Any sectins that culd nt be psted will be skipped and a message will display. Query Updates There have been significant changes t many f the query views. Other Items The fllwing query issues have been addressed: Lcker Cmbinatins: Query shuld nw include cmbinatins manually entered n the student r thse frm the cmbinatin bank. Crrected issue where, when selecting multiple academic sessins and wrking filters, users received an errr if mre than 2100 recrds were returned. Crrected Failed T Cnvert Parameter errr when retrieving a saved staff query that included the birth date. Student query by grade level was incrrect if the grade level name was greater than 3 characters lng. When generating a query using the HTML utput ptin, users with apprpriate rights culd duble-click n a student t access their demgraphic details. This caused sme issues when changing infrmatin that was academic-sessin specific. Nw, when the user generates a query t HTML, they will nly be able t access the student recrds by duble-clicking if, when they were setting up the query, they select the academic sessin that they are currently lgged int. When they run the query, they will nt be able t duble-click n a student name t access their student recrd. Hwever, if when setting up the query, the user selects the academic sessin that they are currently lgged int When they run the query, and if they have permissin, they will be able t duble-click n a student name t access their student recrd. Security Updates Cpying Security Grups A new ptin has been added which allws users t cpy a grup, including its permissin settings, t anther grup. T view this change, g t System Preferences Grup Maintenance. Nte: Users with permissin t create user grups will be able t cpy user grups. A new Cpy ptin has been added. Select the grup that has permissins already established that are t be cpied t a new user grup. Chse Cpy. Enter the Name f the new grup t be added with the same permissins as the grup that was selected. The Level will default t the level f the grup that was selected t be cpied and can be left unchanged. Enter an ptinal Descriptin and chse Create. The new grup will be created with all the rights and permissins as the initial grup selected including tasks, fields and reprts. Nte: N users will be cpied t the newly created user grup. Users must be placed in the new grup thrugh the standard gruping prceess. Maintain Calendar A new Maintain Calendar permissin has been added. Users will n lnger be required t have permissin t update/edit an academic sessin in rder t update the calendar r attendance mnths. When the update is applied, the new permissins will autmatically be granted t users wh currently have Maintain Academic Sessin permissin as well as members f the Administratr permissin grup. Users with Maintain Calendar permissin will be able t update the calendar and the attendance mnths. Users with View Academic Sessin permissin will still be able t view the calendar and attendance mnths. Users with Maintain Academic Sessin permissin will n lnger be able t update the calendar r attendance mnths unless the new Maintain Calendar permissin is als granted. Grade Verificatin Reprt Teachers may nw print the grade verificatin reprt acrss all their classes under Classrm Reprts Grade Verificatin. If the user is lgged in as a teacher with rights t nly view their classes (i.e. nt View Classrm Grades (Admin) rights), their teacher name will be selected by default. Standardized Test Update A new Display On Transcript ptin has been added t the standardized test scre type which allws the user t push the setting t the individual student standardized test scre recrds. T see this change, g t System Preferences Setup. Select Standardized Test and Refresh. View the test and chse the Scre Type tab. View an existing scre. If Display n Transcript fr the scre type is selected, all individual student standardized test recrds with this test and this scre type will be checked t display n transcript as well. Nte: During the installatin f the summer update, fr any scre type where the standardized test is marked fr Display On Transcript will als be marked t Display n Transcript. If the user unchecks Display n Transcript n the scre type, all individual student standardized test recrds with this test and this scre type will be unchecked as well. Student Updates Chrt Year Nte: Alabama public schl districts shuld refer t the InfrmatinNOW AL Summer 2017 Release Preview dcument available frm the Chalkable supprt site at http://supprt.sti-k12.cm. The current functinality f the Chrt Year field n the student s Main tab has been mdified. Chrt Year has been updated t display as a 9 character values (such as 2018-2019) in a drp-dwn list with histrical tracking. Fr Nn-Alabama custmers, the Chrt year field will be initially ppulated based n the student s 9 th grade entry date. Fr Nn-Alabama custmers, the bank f Chrt Reasn cdes will need t be defined. Fr Alabama custmers, the bank is predefined. T set up Chrt Reasn cdes, g t System Preferences Setup Chrt Reasn. Chse Refresh and then select Add. Once Chrt Reasns have been entered, users can edit the Chrt Year n the student s Main tab. Nte: If the student had a 4-character chrt year defined by entering the 9 th grade entry year, when the update is installed it is cnverted in the UI t display the 9-character chrt year. Hwever, an entry in the histrical table will nt be created with the installatin. Select the Hist link. Chse Add t insert a new recrd. Once a recrd is added, it will display n the student s Chrt Year histry screen alng with the date, year, reasn, nte and wh entered the recrd. Student Schedule Grid Update An Enrll Date clumn has been added t the student schedule screen which displays the date that the student enrlled in the class. If the user chses t Include Withdrawn Classes, a new WD Date clumn will display with the date the student withdrew frm the class. When the user selects ne f the classes frm the student s schedule an Enrll Date will nw display even if the student was enrlled in the class as f the first day f the term. The term start date will display even thugh, technically, there is n enrllment recrd fr this class fr this student since they are starting as f the first day f the term. Nte: Becauses the student is starting as f the first day f the term, there technically is n individual class enrllment recrd fr this student fr this class. Enrllment recrds are nly created in the system if a student jins the class any time after the first day f the term.
