I. User Guide Description OT-C2D has 2 different modes of management. The first one is Customer Mode which shows only the sheets that the end customer will fill out by himself. The second one is Admin Mode usually used by BP or Field Engineer which shows the Configuration sheets in addition to the Customer sheets. This document focuses on Customer Mode that doesn t require any technical skill contrary to Admin Mode. All Rights Reserved Alcatel-Lucent 2013 Page 2
II. Pre requisite The template of OT-C2D must be prepared by the Business Partner. The Field Engineer must import the Actis order file in order to set the ordered locks. III. Steps Sheet Main Select language in the drop down list Fill in Customer Company Name The information is filled automatically according to the order file, otherwise the customer can modify it. a. For each Step : Click on Configure, the dedicated sheet will appear e.g. Sheet Global Parameters b. Check that all steps status are Data entered c. If Not configured appears : Click on Configure and fill out the data sheet e.g. Step 4 : Cost Centers Sheet Global Parameters Customer Contacts Details Fill in at least one of the manager information. Choose the default language for users in the drop down list Provide the number of OXE user locations : site where OXE Call Server is located and all the remote OXE sites (with remote media gateway). Fill in the OT site name (by default site1 ) Numbering Plan Options Provide the numbering plan length. This parameter is common to Standard users (OXE users) and to Multimedia users (OT users) Sheet Features list When an OXE feature is selected ( Your answer is set to Yes ), the dedicated form sheet automatically appears. Unselecting the feature ( Your answer is set to No ) automatically hides the dedicated form sheet. Sheet Profiles All Rights Reserved Alcatel-Lucent 2013 Page 6
Only the content of specific profiles (SPECIFIC1 and SPECIFIC2) can be modified in Customer Mode. Sheet Cost Centers Set the different cost center names for accounting report purpose. Please fill in the name with 10 characters maximum. The names defined here provision the drop down list in Users sheet. Sheet Hunting Groups Note : only for Standard users (OXE users) A Hunting Group is a collection of extensions which can all be called using a unique group number ( Directory Number ). The extensions associated to these defined groups are declared in the Users sheet. Parallel The names defined here provision the drop down list in Users sheet. Sheet Pickup Groups Note : only for Standard users (OXE users) The allocation of a set to a pickup group makes it possible to answer any call which comes up on another set in the same group (e.g. in the same office room by dialing the corresponding prefix) The names defined here provision the drop down list in Users sheet. Mandatory Fields are : Directory Number Phone Type Last Name First Name Username : login Profile : this parameter defines the access to advanced features such as manager/ assistant. c) Put information : a. Directory Number: Internal extension number. The number of digits is defined in the sheet Global Parameters b. OXE user site name: remember, even if there is no remote site, there is still the location where OXE CS is. c. Phone Type : the phone set chosen makes the user an OT user or a standard user d. Last Name e. First Name f. User Name (login) : the login will be used to access applications. Login recommended : First name 1 st letter + Last name, i.e. : John Smith > jsmith g. Profile : User profile (Basic, Default, Extended, Specific1, Specific2) h. Email i. Cost Center Name: defined in Cost Centers sheet j. Hunting Group (standard user only): defined in Hunting Groups sheet k. Pickup Group (standard user only): defined in Pick-up Groups sheets d) Additional facilities granted per user according to the free licenses available a. Voice Mail b. Conferencing c. MyIC Desktop client (PC client) (rem : for standard users this flag means : right to use MyIC RCC only ) d. Lifesize (video) e. Mobility ( smartphone ) f. g. Fax box e) Click on button Add for completing the form Delete a) Select one user b) And click on button Delete Note: Delete a user only means remove a user from the data collection sheet. It doesn t mean that a user already existing in OT/OXE will be removed from OT/OXE during the importation of the configuration file. d) Change the user information e) And click on Modify Note: modify a user only means modify the parameters of this user within the data collection sheet. It doesn t mean that a user already existing in OT/OXE will be modified in OT/OXE during the importation of the configuration file. Check Data : Checks the coherence of data Programmable keys (standard users only) For the Standard user phone set (OXE type) listed in the OT-C2D tool, It is possible to set 2 types of programmable keys: Set supervision Programmed Click on the button on the right of the OXE phone set type In the pop-up windows, select the programmable key to configure starting from the key n 3 (keys number 1 & 2 are reserved for multiline feature) and click on configure button. For Set Supervision: Enter a short label in Text displayed on phone Enter the extension number to supervise in Directory Number And the behavior For Programmed: Enter a short label in Text displayed on phone Enter a number to call, including prefixes if required in Content If the key if locked (yes), the user is not allowed to modify or delete the key content. The Manager / Secretary feature requires the sets to be in multiline mode. The multiline keys are automatically set on keys 1 & 2 when the Manager Secretary Feature is set in Manager Secretary sheet. Sheet Speed Dialing Note : only for Standard users (OXE users) Each speed dial number must have the Called Number field filled out The speed dial numbers are designed to avoid users to dial full and long external numbers. For instance, a speed dial number can have 3 digits whereas the number to be reached is an 10 digits numbers The speed dial numbers are typically used by the users in the company in order to join external correspondents who are regularly called All Rights Reserved Alcatel-Lucent 2013 Page 16
