Welcome to the new 2010 OutlookWebApp (OWA) How to access: Within the district, on a district computer, type MyMail into any browser, like Firefox or Internet Explorer. Or, Go to 535net, under Menu, Applications, choose MyMail. Or, Inside or Outside the district, go directly to it from this link: https://mail.rochester.k12.mn.us Or, From the district web page, under Staff, choose MyMail. On the OutlookWebApp login screen, log in with your login name and password and we ll take a tour. You will see the 2010 OWA has a much different look than the 2003 OWA that we are used to, and the functionality is much closer to what you have in Outlook. On the far left by your username, you can expand your Inbox to see other folders you may have created. Check out the Menu bar, just click on the various down-arrows to see your options. Below that you find the Search Entire Mailbox where you can type in a key word or two to find an email. At the end of that bar, click on the double-chevron for advanced search and categorizing. Also, below the Search bar you can change how your email is arranged. It will be in Conversation view by default, but you have the option to uncheck the box.

Calendar: In the lower right corner click on Calendar. Check out the menu options: Create a new item, delete an item, Print, and view by day, week, or month. You can also double-click in any space to create a new item. Under Share, you can add a calendar to your view: Click on Name and the Global Address List pops up. Simply type in the name of the one to whom you ve been delegated Calendar access, and click OK. It will be available in the list along the left panel.

Reminders: No longer do they pop up in a new window! Now they open from the top menu bar, and it gives you the number of reminders you have. If you click on the down-arrow next to the number it opens and closes. Contacts: Also in the lower right corner, click on Contacts. You can create new, delete, change the View, and do a Search. If you click on the double-chevron at the right of the Search bar, you can set a Category. Under the Category bar, click on the Arrange by File as drop-down arrow; gives you options for your contact arrangement. Tasks: Note the Mark Complete button. Again, the chevrons at the end of Search gives you the Categories, or click the Category button to the left of Mark Complete.

Public Folders: If your building has a calendar under Public Folders, check out the new functionality. Expand the ISD535, and expand your building calendar. In the upper left corner above, you can click on any date on the Calendar to view that day. Under the Menu area, you can change the view to Day, Week, or Month, change the Reading Pane (View), and Print. Again, here you can double-click anywhere to create a new item. Over on the right you ll see the status of your appointment, the Reminder, and the Show time as menu. Other Stuff: To the right of the Reminders you find the Find Someone button. This opens the Address Book. Under Options are a few shortcuts: Set Automatic Replies, Change your password, Create an Inbox Rule, and best of all, there s a Select a Theme to change the look of your OWA. Scroll through it by clicking on the little arrows on each side. Choose a theme by clicking on one of them. You ll find the bar at the top and your menu colors will change. We will cover Change your Password and See All Options in the next pages

Password Change: You can change your password with OWA. On the OutlookWebApp login screen, log in with your login name and password. If your password has already expired, you will be asked to change it. Remember your password must meet the complexity requirements, of which 3 out of the 4 complexities must be met: Upper case, Lower case, Number, and Symbol. Password must be 8 characters long. Click Submit. Your password has now been changed. You will be alerted in OWA when your password is due to expire. You may click Yes to change it, or No to ignore it for now. Another way to change your password, if it has not yet expired, is after you log in, simply click on Options in the upper right corner of the main OWA screen, and then choose Change Your Password.

On the Change Password screen, type in your current password, then type in your new password, and type it in again to confirm. Remember your password must meet the complexity requirements, of which 3 out of the 4 complexities must be met: Upper case, Lower case, Number, and Symbol. Password must be 8 characters long. Click on Save. See All Options: Now check out the other options available to you with this new 2010 version of OWA! Account Information: Under Account Click on the Edit Button and a new window opens with your account settings. For example, you could expand Contact Numbers and put in your own Work phone number. Set up an email rule: Under Organize E-Mail

Set your Out-Of-Office: Under Organize E-Mail Find an email you sent: Under Organize E-Mail View the Global Distribution Groups that you belong to: Under Groups

Change your settings for Mail, Calendar, etc.: Under Settings Phone: Your mobile phone that is synching to Exchange will be listed here, and shows your last sync time. Text Messaging: Under Phone. Have your mailbox notify you when you receive an email from a certain person, or that contains certain words.

Block or Allow settings: Set your Junk E-Mail settings. At any time, to return to your email, click on the Mail link in the upper left corner. To log out of OWA, from any screen, click on Sign Out in the upper right corner.
