Step 1: TIP: Make sure the file, to be uploaded, does not have any blank lines above the header line or blank after the last record in the file. Choose your service to upload accounts using the tab along the top portion of the screen, click the service followed by Upload Accounts Tell our system what type of file you will be uploading: Access, Excel, dbase, Comma Separated Value CSV (a.k.a. Comma Delimited) or Fixed Format After selecting the file type, locate the file on your computer by clicking on the Browse button; A dialog box will appear asking you to find the file you would like to upload to Transworld Systems. Using the standard navigation buttons, search your hard drive to find the file. Once this step is complete, it is time to upload the file. Now press the Upload button. It will succeed or fail. If it succeeds, continue to Step 2. If it doesn t succeed, start again at the beginning of these directions. If it fails a second time, contact technical support at support@transworldsystems.com. On to the next step! Once the file has been uploaded, click on Continue to Step 2.
Step 2: TIP: The Date format has to have the leading zero. So a date of January 1, 2012, will be displayed as 01/01/2012. The first time you upload data to Transworld, you will need to create a profile, unless you are using a Fixed Length Text file, in which case your profile already exists for you. This profile describes your data and tells us how to read it. You will only have to do this step once as it will be saved for re-use. Creating your profile (see Definitions of Field Names on pg. 4): Click Create Profile. If asked, choose the proper Table/Sheet by using the drop down box and click continue. You will now be asked for a Name to name the profile. Name it whatever you wish. Choose the Date and Dollar formats that are contained within your file. Choose the appropriate Service Code for all accounts. Input a Service Fee if you are charging for all accounts in the file. Now, Match your data fields (column names and headers) to the standard Transworld data fields. Simply use the drop down boxes to match our requested field to the appropriate and matching field in your file. Click Save at the bottom of the screen if everything appears correct. You will be asked by a pop up box, Are you sure you want to create this profile? Click OK.
Definitions of Field Names Profile Type Does your file contain new accounts or updates to previously submitted accounts? For new accounts, select Debtor Profile (starts). For updates, payments, cancels, etc, choose Payment Profile (stops). Client Number Your Transworld assigned client number(s). If it is left blank, we will use the Transworld client number for the account you are logged into. If you are submitting debtors for multiple client numbers, you ll need to include client number as a column in your input file. This is an optional field. Profile Name Enter a unique name for this profile. This will be used to save the profile for re-use during your next submission. Transmittal Number Your unique account number. This is a required field and it displays on all debtor demand letters. Email Address The email address displayed here is the email address that was on your Website Authorization form. If this is incorrect, please contact technical support. Debtor Name Input the column name from your input file that contains the debtor name. This is a required field. Files Type Select one of the supported file types (Access, Excel, CSV, dbase). Attn This is an optional field. Date Format Choose from the list of available formats. The dates in your file must all conform to this format. For example, MM/DD/YY or MM/DD/YYYY. Address The street address of the debtor. This is a required field. Dollar Format Choose from the list of available formats. The dollar amounts in your file must all conform to this format to one of the following formats: 123.00, 123, 12300. City, State, Zip Debtor s address. This is a required field. Service Code Choose from three options: Diplomatic, Intensive or Bad Check. Date of Last Pay The date the debt was incurred. This indicates the age of the debt. You must include this information to be eligible for our Performance Guarantee. However, this is an optional field. Service Fee If you normally charge a service fee for overdue accounts, put this amount here. It will be added to the amount due. Amount Due Total dollar amount owed to you, less any service fee noted above. Data Map Table The remainder of the form allows you to match the data fields within your file to our required and optional fields. Debtor Reference This is an optional field. It does display on the debtor demands.
TIP: We only accept the first five digits of the zip code. DO NOT enter the extra four digits. Step 3: During the import process, we will examine your file and using the information gathered from your Profile, we will convert your data into the Transworld format. This will happen automatically. Once you have pressed Continue to Step 3, a validation screen will be returned to you. This is your final chance to verify that all fields are showing properly, including but not limited to the date format, dollar format, name, etc. If there are any errors during the import process, you will be prompted to correct them. Depending on what the error was, you will need to update either your profile or input file, as appropriate. Once you have a successful import and have confirmed the results, click Continue to Step 4. NOTE: Depending on the size of your file and the number of records in it, this step may take a few minutes to complete. During this time, DO NOT close your browser window or press reload. TIP: Try to keep the tab name at the bottom of the Excel spreadsheet something generic such as SHEET1 or TSI Upload. DO NOT use a date.
Step 4: TIP: Excel files must have an.xls extension, not.xlsx. During the validation process, we will examine your data to insure it is valid. (Fixed Format files are not validated. They are submitted without error checking.) We will check for the presence of required data and insure that your data types are correct. Once this process is complete, you will be given an overview of the results. If we encounter any errors, we will display the first 30 errors. At this point, you can choose to continue and submit the good records or you can choose to cancel and correct any data issues that exist in your source file. We highly recommend that you correct your errors before submitting any accounts. If errors display, you can simply view the error and go correct the problem. Errors display the actual row that contained the error minus your header row. NOTE: Depending on the size of your file and the number of records in it, this step may take a few minutes to complete. During this time, DO NOT close your browser window or press reload. TIP: The file cannot be password protected.
Step 5: You will now be provided with a confirmation screen. You will be asked to confirm that you would like to submit data. You will be given a tally of how many records out of your sheet will be processed. Fix all errors before submitting. Click Submit to complete the process! A confirmation email should be sent to the address set up in your profile summarizing the transaction. If this email does not arrive, contact technical support via email to indicate you need your auto response set up at support@transworldsystems.com. Your accounts will then be submitted for processing during the next processing cycle. The cut-off time for debtors to be processed the same day is 5:00 p.m. Pacific time. Updates submitted before the cut-off will be added to your account and viewable on the site by 6:00 p.m. Pacific time. Debtors or updates submitted after 5:00 p.m. Pacific time will be processed the next business day. TIP: All 5 steps have to be completed before we receive the data on our end. If you stop half way through, you must cancel out and start over at step 1.
