3 Preface SmartDocs+ Summary SmartDocs+ is a server-based application that allows you to populate Adobe PDF forms directly from your Core Database. You may search the database by Member Last Name, Account Number or Social Security Number and then select the data to be mapped to the document automatically. You may also access Non-Member accounts by searching loan application numbers. All that is required is a Windows compliant database and Adobe Reader (You can download this free software from the following website: http://get.adobe.com/reader/ ). SmartDocs+ is a server based application and may be accessed from any workstation in your network. SmartDocs+ Icon Preview
4 Using SmartPad Getting Started with SmartDocs+ Locate the desired form you wish to sign on the ipad in SmartDocs+. For training purposes, we have selected the Loanliner Express Application. Review the information on the selected form, and verify that all of the mapped data is correct. Now you may select the SmartPad button. This will send your mapped form to your ipad on a custom server that E Form has created for your Credit Union. Your form will automatically close, and you may now enter PDF Expert on your ipad.
5 Getting started with Your ipad Locate your PDF Expert icon on your SmartPad. PDF Expert When you open up the PDF Expert icon on your ipad, you will automatically be under the Documents tab. E Form will create a custom ftp server location and it will be named specifically for your Credit Union. For example, we have named the sample ftp site we will be using in this guide, eform.
6 Opening a Form on Your SmartPad Server Once you have selected your custom server, you will go into your folder where all of your forms will be housed. First, you will need to Sync your ipad, to refresh your ftp server. This will allow for you to see the form you have just selected to send to the SmartPad, via SmartDocs as in the previous section. To begin, select the Sync button, towards the bottom left of your PDF Expert console. You will see it update, then your form will appear with a similar naming convention as below: AcctNo Sfx_MemberName_FormName.pdf.
7 Signing Your Form You may now open your form, to prepare for signing. Scroll to where the first signature line appears, press on the desired signature field anywhere near the line, and hold down until the option to sign appears. Two options will appear; My Signature, you may want to store your own personal loan officer signature so you do not have to sign forms repeatedly, and Customer Signature. Your Member will sign by you selecting Customer Signature with either their finger or a stylus.
8 Your form is now signed and ready for completion. The signature will appear at the signature line, you may adjust the size and positioning by grabbing the red circles on the corners of your image. Once you have placed the signature where you desire, select Done.
9 Attaching Supporting Documents First, close out of PDF Expert, and take a picture of your supporting document, i.e. Drivers License. Go back into your PDF Expert, and begin the process of uploading your photo. Press and hold anywhere on the document that you would like to attach an image. Select Image. Browse for your supporting document, and select it.
10 Your image will appear as an actual size. You may rearrange this image to your liking. Just grab the red circles in the corners of your image and scale this to fit your needs, just as if you were adjusting the signature line, as seen in the previous section.
11 Saving Your Form Once your form is complete, select the Movement button, (box with arrow) and you will see a dropdown box full of options. Select Save a Copy. In order to save this file on your ftp server, you will need to change the file location. Select the Second Field area.
12 A Folder Management Selection will appear. Be sure you select your Credit Union s Server, and then you may navigate to more folders if you desire. Once you have selected your location, you will see a checkmark appear to show you the location you have selected. Then press Done to close this window.
13 Sync Your Form to SmartImage You will now have two forms; one will now have the word copy at the end of it. This is your signed copy. In order to archive this form you will need to sync your folder now. Please notice the alert, that you now have one form ready to be synced, in the lower left portion of your application. Select Sync. Then select Push Changes. Your forms will now show a green checkmark to the left of the form name, to show that you have synced your forms successfully.
