Content Export Module: Overview The purpose of the Content Export Module is to allow clients to create and manage their own exports. Using the Folders option in KOD, clinicians that are account managers or content managers can export Account level folders. When folders have been created and populated with selected documents, clinicians with export rights can initiate the export and save the export to their workstation or storage device. Release: Phase I In this initial release, clinicians will have the ability to export content from KOD. The instructions provided in this document outline the steps and actions required to export folders. For phase I, clinicians will be able to do the following: Export Account level folders from the Folders tab. o All Account level folders will be exported Assign Account Manager or Content Manager user type to individuals that are allowed to export content. o Recommend that only content managers be designated to perform exports. Export content into two groups: 1) Health Sheets, Exit Writer discharge instructions, and lab tests and 2) drug sheets. o Clients that have both 1 and 2 will need to merge the content as outlined in section Content Management, subsection Merge Content. Release: Phase II Developing for phase II, additional capabilities will be integrated into the content export: 3 Folders will be able to export all content so clients will not have to merge files. A database will be an option and will be created during the export. Clinicians will have a drag and drop interface to create export folders. Release Notes In this release the following terminology has been used: Main export: This is the content that is exported from the folders created by the Account Manager or Content Manager. It can include: o Health Sheets o Exit Writer Discharge Instructions o Lab Tests o It does not include drug sheets. Drug sheets are a separate export that needs to be combined with the main export. The merge process is discussed in section Content Management, subsection Merge Content. Important Information Blocked documents: Any BLOCKED document in KOD that are part of the export folder will not be exported. The blocked documents filename will appear in the export but they will not be populated with content. Ensure that all blocked documents are removed from the folders to be exported.
Account and User Administration Administration: User Type When KOD is configured with the Content Export Module, the account administrator will have to setup users with permissions to export content. Users that are permitted to export content must have a user type equal to: Account Manager Content Manager These user types are the only assignments that are allowed to export content from KOD. The account manager can assign users as these user types through Add a new user or Select a user to edit or delete (Figure 1: Account Administration). Add a new user As an account administrator, in the User Administration section, a new user can be added by following these steps: 1) Select Add a new user (Figure 2: Add New User) 2) In the Add a new user section fill in the user information a. All blue fields need to be completed 3) Select Account Manager or Content Manager from the User Type drop-down menu 4) Under the Educator section, add a check to the checkbox for User is an Educator 5) Enter an ID in the ID field 4 Select a user to edit or delete If a user already exists, an account manager can edit the user s profile by following these steps: 1) Select a user from the drop-down in Select a user to edit or delete (Figure 3: Edit User) 2) Click on the Edit button 3) In the Edit user modify the user type to Account Manager or Content Manager User Type When the user type has been set to Account Manager or Content Manager, the user will be able to export content from KOD. Administration: Content Export Module The account manager will need to activate the Content Export Module in KOD and setup the distribution list. A distribution list consists of the members that will be notified when an export is completed. When export is finished, the client can access their KOD account and download the export to store locally. To configure the Content Export Module in KOD: 1) In the Account Administration module, go to Administration Toolkit (Figure 4: Account Administration) 2) Select Content Export from Configuration and Settings 3) In the Content Export Setup configure the account (Figure 5: Content Export Setup) a. Select Enable to under Content Export heading to activate the content exporter b. In Contact Information section, enter users to be notified when the export is complete i. Enter First Name ii. Export Content To export content from KOD, users with user types Account Manager or Content Manager will need to create folders and populate content under the Folder tab. Information on how to manage folders is available in the Account Managers Guide. For this release, the only options available to export content are: Only Account level folders can be exported Only Health Sheets, Exit Writer discharge instructions and lab tests can be exported Clients that can export drug sheets will need to be export this content separately and merged with the main export. All Account level folders and document except drug sheets will be exported Folder: Content Export After the folders have been created, the Account Manager or Content Manager can export content. The following steps outline how to export content Health Sheets, Exit Writer discharge instructions and lab test documents (Figure 6: Folders). Health Sheets, discharge instructions and lab test documents 1) In the left navigation under Folder Library, select Export Content 2) When presented with the export options, select either (Figure 7: Content Exporter): a. HTML b. XML 3) Under the Export Options header, select Include Navigation if users need to navigate content a. Navigation includes Home and Back buttons 4) Select Export button to initiate export or Cancel to prevent the export from starting a. After launching the export, the user will be presented with a message that the request was successful or not b. Notification email will be sent to each recipient listed on the notification list. 5) A status is available to users to provide export status a. Blue: In-progress i. Other exports cannot occur until an export is complete b. Green: Complete i. Select Completed to download the export ii. Save to workstation or storage device (Figure 8: Save Option) 6) Unzip the zip file with one of the following applications a. WinRAR b. 7-Zip 8 Drug Sheets 1) In the Content Exporter, under Drug Export, select the HTML option to export drug sheets 2) Save the content to workstation or storage device 3) Content will need to be merged with the other content as described in section Content Management, subsection Merge Content.

Content Management For this release, clients that use drug sheet content will have to merge it with the main export Health Sheets, Exit Writer discharge instruction and lab tests. Instructions on how to merge content will be discussed in this section. Directory Structure Since drug sheets are not integrated with the main export, drug files will have to be merged with the other health files. When the main export and drug sheets have been exported and stored, the user will have two zip files in their directory. The files will need to be unzipped to access all the files (Figure 9: Content Export Files). 11 Figure 9: Content Export Files Main Export File Structure The main export, which can include Health Sheet, Exit Writer discharge instructions and lab tests have HTML files and support folders. In the HTML export, the only folder of concern is the UTF-8 folder. The UTF-8 folder contains HTML files, images and support files. (Figure 10: Export Directory and Figure 11: UTF-8 Folder Content) Folders and Files Description UTF-8 Contains all the files in the UTF-8 format. - Collections Maintains a listing of the folders and mappings to the documents related to Health Sheets, Exit Writer discharge instructions, and lab tests. - Css Provides the document format information such as font style, sizes etc. - HTML Contains all the HTML files. - index.html Opens in the browser to allow users to drill down to folders and content.

Drug Sheet File Structure The drug sheets have an HTML files within the UTF-8 folder. The UTF-8 folder contains HTML files, images and support files as illustrated in Figure 12: UTF-8 Drug Sheet Folder and Figure 13: Drug Sheet Folder Structure. Folders and Files Description UTF-8 Contains all the files in the UTF-8 format. - Css Provides the document format information such as font style, sizes etc. - DynamicCollections Lists the A Z drug searches that are available. - HTML Contains all the HTML files. - Collections.html EMPTY file: Maintains a listing of the folders and mappings to the documents related to Health Sheets, Exit Writer discharge instructions, and lab tests. - Documents.html EMPTY file: Complete list of documents in the export. - DynamicCollections.html Provides links to the DynamicCollections files used in the index.html file. - index.html Provides access to the drug sheet content. 13 Figure 12: UTF-8 Drug Sheet Folder Figure 13: Drug Sheet Folder Structure
Merge Content This section will outline how to merge the main export with the drug sheets to create one directory with an index file and document repository. 1) Transfer drug sheets from HTML folder to the main export HTML repository. a. Open the folder into two separate windows as illustrated in Figure 14: Directory Windows. Figure 14: Directory Windows b. Open each individual file in their respective windows (Figure 15: Open Files): i. File in directory: export_17042012_0207 ii. File in directory: KODI_GSM_DATA_HTMLNav c. Rename the index.html file in the main export folder to index_old.html. b. Copy index.html from drug sheet collection to main export directory. c. 3) Modify index.html files a. Right click index.html file and follow the steps in Figure 19: Notepad for index.html. i. New Structure When the merge is completed, a user can select the index.html file and drill down to content. In addition, all the HTML files will be consolidated into 1 folder.
