This How to Register manual was designed to assist Club and Team Contacts when registering their Club, Teams, Coaches and Players in NRS. Please follow the step by step instructions as outlined to ensure easy and successful registration with OVA for the 2016-2017 season. Step 1 Logging In Type in your Username and Password and select Login. If you do not know your Password, please select Forgot Your Password and see Step 1.b. Please note if you have already created your Club in NRS, please skip to Step 5. 1.b. Please complete the required information and press Submit to retrieve a new Password. A new Password will then by sent to the email address provided. Please note the system is case sensitive. If you do not remember the information required, please contact Kaitlin Arscott at karscott@ontariovolleyball.org for assistance. 3
Step 2 Registering a Club Select New Pending Club on the My Organizations page. Step 3 Registering a Club Complete the required information. Don t forget to check the box at the bottom of the page. The club contact is responsible for ensuring all of their members complete the OVA Individual Registration Form and Waivers. Then press Register Club. 4
Step 4 Adding Divisions to a Club Once the Registration Success page appears, please select Home. Home is located in the Quick Links box on the left side of the page. Step 5 Adding Divisions to a Club Click on the name of the Club in the My Organizations list that you wish to add a Divisions to. Please Note: Division refers to an age group i.e. 14U Girls, 14U Boys, 15U Girls, etc. Next, select Divisions from the Quick Links box located on the left side of the page. 5
Step 6 Adding a Division If no division has been added under your club the following screen will appear. Note: Be sure to add all Divisions to your club before adding teams. You will not be able to add a team to your club until Divisions are created (i.e. 14U Girls, 14U Boys, etc.). 6a. Select Add Division. 6.b. Select the Division of the team you are creating from the drop-down menu 6.c. Once a Division is selected, click Add Division. 6
6.d. To add additional Divisions, select Add Division and repeat Steps 6.b. and 6.c. Once you have added all of the Divisions, select Teams from the Quick Links box located on the top left side of the page. Step 7 Registering a Team Select Add Team. If additional Divisions need to be added, see Step 6. 7
Step 8 Assigning Team Contact Click on Select Member to add your Team Contact. Step 9 Assigning Team Contact There are two ways to assign a team contact to a team, either by searching for existing members (Step 9.a.) or by adding a new member (Step 9.b.) to the NRS system. ALWAYS SEARCH THE DATABASE FIRST TO PREVENT DUPLICATE MEMBERS & AVOID DOUBLE PAYMENTS! 9.a. Search for Existing Members Search using one of the various fields provided. Once the search criteria has been entered, select Search. The results will appear in the Search Results area of the page. Once you have browsed the Search Results and found the correct member, click on their name (will highlight information in light blue) and press Select Member, which is located at the top of the Search Results area. 8
The Team Contact will appear in the Assign Team Contact box. Add a Team Name and select the correct Division from the drop-down menu. Next, click on Add Team to proceed with team creation. 9
9.b. Add a New Member If the search in the existing member database does not turn up a match, select Create New Member. You will then be redirected to the New Registration pop-up box. Enter the information requested and select Send Email. A confirmation email will be sent to the New Member. They will need to follow the link in the email they receive to Activate their account. 10
The Team Contact will appear in the Assign Team Contact box. Add a Team Name and select the correct Division from the drop-down menu. Select a payment option. If you opt to pay the Team Contact s registration fee, enter your credit card information in the space provided. Please note: If you select Pay Later, the Team Contact you have added will be charged a full membership next time they login to NRS. Next, select Add Team. If paying for the Team Contact s membership fee, you will be re-directed to the Order Details Page. Please verify the charges are correct and print a copy of your receipt (a copy of the receipt will also be emailed to you; then select Continue. CONGRATULATIONS! You have now added a Team Contact to your team! 11
Step 10 Editing/Removing Team Information 10.a. Editing Team Information Click on the name of the team you wish to Edit (will highlight information in light blue) and select Team Details. Click on Edit Team to change a team s Name, Division or Website URL. Enter the new information in the space provided and click on Submit to save the changes. There is also the option to add players to the Team by selecting Add Member. Please see Step 12 for details on Adding Members and what to expect when selecting this option. 12
10.b. Removing a Team To remove a Team from the list, click the name of the Team you wish to Remove (will highlight information in light blue), then select Remove Team. Select OK in the pop-up window to remove team. PLEASE NOTE THIS ACTION CANNOT BE UNDONE. 13
Step 11 Adding Members to the Team To add a member to a team roster, select Team Details from the Team Listing page (see Step 10.a.) The team selected will become highlighted in light blue. Note: A team member can be a Team Contact, Secondary Team Contact, Player, Coach, Trainer, etc. Each team can only have one Head Coach. There are no restrictions on Assistant Coaches. Step 12 Adding Members to a Team Select Add Member. 14
Step 13 Adding Members to a Team There are two ways to add members to a team, either by searching for existing members (Step 13.a.) or by adding a new member (Step 13.b.) to the NRS system. ALWAYS SEARCH THE DATABASE FIRST TO PREVENT DUPLICATE MEMBERS & AVOID DOUBLE PAYMENT! Please Note: Multiple players can be added to a team prior to paying the registration fees. This allows a club contact/team contact to pay all team member registration fees at one time. See Step 15 and Step 16 for details. 13.a. Adding an Existing Member to a Team Enter search criteria in the appropriate fields to search the database for an existing member. It is recommended to search using a player s Last Name and/or Age Category. Once the information is entered, select Search. Browse the search results for the appropriate player, if a match is found click on the member s name. The selection will highlight in light blue. Next, press Add Member located at the top of the search area. 15
Select the appropriate role from the list provided. Next, click Submit. 13.b. Adding a New Member to a Team Please Note: This option is used when the person is a brand new OVA member. Select Create New Member located on the bottom of the pop-up page. 16
Enter the information requested and select Send Email. A confirmation email will be sent to the New Member. The New Member will have to click the link in the email confirmation they receive from NRS to complete their profile information and Activate their account. After sending the email, select the appropriate role from the list provided. Next, click Submit. 17
Step 14 Adding Additional Players To add additional members to the team and to pay all team members fees at once, select Add Member. Repeat the steps as outlined above in Step 13. To remove a member prior to paying their registration fee, click the red X located next to their name. Step 15 Paying for Team Members Once all desired players have been added to the team, select Submit to pay all of the registration fees at one time. 18
Verify the order information, including the Quantity and Item Descriptions. If the information is correct, select Checkout. If the information is incorrect, click Back to update your order. Complete the required credit card information and click Place Order. Please verify the charges are correct and print a copy of your receipt (a copy of the receipt will also be emailed to you; then select Continue. If your receipt is incorrect, please contact Kaitlin Arscott at 416.426.7132 or karscott@ontairovolleyball.org. 19
Once payment has been made, the added members will appear in the team list on the Team Information page. To remove a team member for a team, please see Step 17. Step 16 Repeat as Needed Repeat the above steps as needed to add additional Divisions, Teams, Team Contacts, Coaches, and Players to your club. Step 17 Removing a Team Member Select the team member you wish to remove from the list provided on the Team Information Page by clicking on their name. Your selection will be highlighted in light blue. Next, click Remove Team Member. 20
Select OK to remove player. The team s remaining members will appear on the team list. CONGRATULATIONS!! You have now successfully registered a club, created a team and added coaches and players to those teams for the 2016-2017 season! Don t forget to remind your club members to Activate their accounts! To do so they will need to click the link in the Confirmation Email sent to their accounts when added to the Team.
