MediaCAST Videos Encoding, Cataloging, Uploading 1). Turn on cart. 2). Follow computer prompts and then log in. Username: media Password: media 3). Double click on the appropriate Capture icon Capture Multi VHS, Flash drive, CD Capture DVD DVD Capture Long for videos longer than 2 hours (not always reliable) 4). Click on TV icon in upper left corner. The gray box will enlarge and become black. This is where the video picture will be displayed. 5). Click on Trigger in middle right of the screen. 1. Under Stop Encoding click Duration 2. Set timer for the length of the video plus 5 minutes -- make sure to convert the running time to hours:minutes 3. Click OK 1

When video is playing, 2 green bars will appear. They should be three fourths of the way to the top. If not, adjust sound under Audio Levels. 3

Encoding Videos cont. 6). Insert video into VCR/DVD unit. When the video begins playing, Click on Start under Trigger in the middle right of the screen. A red and white pinwheel will appear in the bottom right corner of the encoder screen. If you do not see a red and white pinwheel, you are NOT encoding. -- When you first put a VHS video in, watch the beginning to make sure there aren t any previews or long intros that can be bypassed. Sometimes VHS videos will say Feature Presentation. Click Start at this point of the video. -- For a DVD, wait for the DVD to load to the main menu screen before clicking on Start. Once you click Start, then use the remote control to select Play on the video menu. ** Once the video is playing, check the Audio Levels in the upper left of the screen by the TV icon. There should be 2 bars jumping in green. If they are not moving or are less than halfway up, click on Audio Levels in the middle of the screen to adjust the volume. 4

Encoding Videos cont. 7). When the video is finished playing, including the credits, you may click Stop under Trigger or if you don t see the end, the set Trigger will stop when the timer runs out. Also, stop the VCR tape and rewind it. Remove it from the machine once it is rewound. 8). The encoded video saves to a folder on the C drive named Video Storage. Open this folder and find the file named newvideo. (If it is an encoded DVD, the file name will be NewVideo.) You must do this, otherwise the next video will overwrite the first. Right click and select Rename Type in video name and hit Enter -- When you rename, only use letters and numbers; do NOT use symbols 9). To encode another video, go back to Step 5 and begin the process again. It is easier to encode several videos one after another and then upload them at one time. Once you have encoded 3 to 5 videos, follow the steps on the next page to upload them into MediaCAST. 5

Uploading the Encoded Video to MediaCAST Step 1 1). Double click the MediaCAST login internet icon. 2). Log in using your network username and password. 3). Click on the Admin tab on the far right side of the screen. 4). On the left hand side you will see Media Resources. Click on this. 5). Click on Add New. 6). Select Microsoft Windows Media Video and click Next Step. 6

Enter the full, official video title in Title field. -- Leave off A, An and The from the title or put the article at the end of the title as the system sorts alphabetically. EX. Polar Express or Polar Express, The 8). Enter a brief description from the back cover of the video case. If the video is used only with 5 th grade curriculum, add a note at the beginning of the description Used with grade 5 curriculum. 9). Under Main Categories, click on Elementary Curriculum if you are at an elementary. Then Select the appropriate subject. If at an MS, click on Curriculum and then Select the appropriate subject. -- Make sure to click on the blue Select word to save your selection. 10). Go to Select the Publisher. Scroll through to see if the publisher is already listed. If it is not, you will need to type it in in the blank box next to the drop down box. 8

If video is used at a certain grade level, this needs to be the first thing listed in the Description field. When entering a video title, leave off the A, An, or The as the system sorts alphabetically or put the article at the end of the title. EX. Polar Express or Polar Express, The Select Curriculum Select either the Subject or Primary/Intermediate Videos Select any other appropriate sub-category 9

AR: Arcola CC: Cedar Canyon ER: Eel River HC: Hickory Center HT: Huntertown OV: Oak View PH: Perry Hill CM: Carroll Middle MC: Maple Creek CF: Freshman Center CH: Carroll HS 12). Fill in Copyright Year if applicable. (Some videos do not have a date.) 13). Choose the grade level appropriateness. 14). Fill in the length of the video go to the Video Storage folder to look it up. 15). If it is a library video, fill in the Dewey # and Barcode #. If it is a teacher s personal video, put the teacher s first initial and last name in the Barcode field. Ex. K. Ramsey VHS 16). Click Next Step. 10

If video belongs to a particular grade level and is used with their curriculum put the grade level Ex: 5 to 5 If it is for general use, indicate the building grade levels Information entered does NOT prevent another grade level from viewing this video only serves as a reference If video is a teacher s personal video, put the teachers first initial and last name in the Barcode field. If a school video, fill in Dewey call number and the Barcode field if valid. 11

Under Access Controls, click Limit on Simultaneous Users and put the number of copies of that video in the box. -- As each school adds their videos, if we have duplicate videos we would encode one copy and then enter the # of total copies we have in that box. You will need to search the catalog before uploading videos to be sure we don t have duplicates in the system. 19). Click Next Step. 12

Uploading the Encoded Video to MediaCAST Step 4 20). Click on Master Monster. A new window will open. 21). In the middle of the new window, click Select a File. 22). The C drive should open. If it doesn t, open the C drive. 23). Double click Video Storage. 24). Find the video you want to upload and double click on it. It should appear in the window above Select a File. 25). Click Next Step. -- A gray box will pop up with blue bars the machine is uploading the file.. Do not do anything. When the file is finished uploading a new window will open with a Finished button in the lower right hand corner. 14

Uploading the Encoded Video to MediaCAST Step 4 cont. 26). Click on Finished. The new window will close. 27). Click on Finished on main page. The next screen will say Preview in the middle. 28). Always preview the video once it has been uploaded to be sure it works and the sound quality is satisfactory. -- DO this before deleting the file from the Video Storage folder. 29). You may now go back to the Video Storage folder and delete the video you just uploaded. You no longer need the copy that is in the Video Storage folder. --If you do not delete it on the same day you upload it, make a note that it has already been uploaded so you don t try to add it to MediaCAST again. 16
