Objective 1: Create and Modify PivotTable Reports Organizing Data to Display in a PivotTable A Pivot table is an interactive table that automatically extracts, organizes, and summarizes your data. Selecting a Range Using the Name Box Name box If necessary, adjust screen resolution to 1025 x 768 for best results. Start Excel and open the provided file named Philadelphia_Main_Store. Save the file as Philadelphia_Main_Store _Firstname_Lastname. Explore the contents of the file and note that there are two worksheet tabs, both containing data. In Sheet1, right-click the column C heading and select Insert. o In cell C4, type 2nd Week June and in cell C5 type 2008 Copy the contents of cell C5, using the fill handle, through cell C65. o Center the heading and data in column C and adjust the column width to 10.00 (75 pixels). o Click the Sheet2 tab and repeat the above steps to add a column to the left of column C. o In cell C4, type 2nd Week June and in cell C5 type 2009 o Copy the data and format using the same options as above. o In Sheet2, click the Name Box and type a5:j65 Press Enter to select the range of data, but not the field labels. Creating a PivotTable Creating a PivotTable Select cell A4. On the Insert tab, in the Tables group, click PivotTable. Ensure that the range shown in the Create PivotTable dialog box is A4:J126 and that the New Worksheet option is selected, then click OK. Note that a new worksheet, Sheet3, appears with the PivotTable Field List task pane on the right. Explore the task pane and its contents, including the Field Section and Area Section of the pane. Drag the Sales Class field name from Choose fields to add to report area to the Row Labels box. Drag the 2nd Week June field to the Column Labels box. Observe the changes to the worksheet. Drag the Sales Dollars field to the Values box. Note the changes to the workbook, then save it. PivotTables and PivotCharts Activities 4
Objective 2: Create a PivotChart Report Creating a PivotChart Report Creating a PivotChart Rename Sheet1 as Combined Sales. Click within the data and on the Insert tab, in the Tables group, click PivotTable. Click OK to accept the default choices in the dialog box. Drag the 2nd Week June field from its position on the task pane to the Row Labels box. Drag Sales Class to the Column Labels box and drag Sales Dollars to the Values box. On the Options tab, in the Tools group, click PivotChart. Select Column from the left column of the Insert Chart dialog box, then pick Clustered Cone the fifth choice in the second row of the Column style area. Click OK. Observe the results to the worksheet, including the new tabs that appear on the Ribbon and the changes to the names of the boxes in the PivotTable Field List task pane. Click an empty cell to close the task panes and then save the workbook. PivotTables and PivotCharts Activities 5
Modifying and Moving a PivotChart PivotChart In cell B3, click the Column Labels list arrow. Remove the check mark from these classes: o Baguettes o Cheesecake o Croissants o Ganache Cakes o Rolls o Specialty Breads Click OK then click an empty cell to observe the changes. Click the chart. On the task pane, in the Legend Fields box, click the Sales Class arrow. Select Move to Axis Fields (Categories). Using the same method, move the 2nd Week June to the Legend Fields (Series) box. On the Design tab, in the Type group, click Change Chart Type. Select the Bar style of chart and pick Clustered Horizontal Cylinder. Click OK. Note that this style makes the year-to-year comparison easier. On the Design tab, in the Charts Layouts group, click the Layout 1 button. In the Location group, click Move Chart and select New Sheet from the dialog box. In the text box, type Baked Goods Chart and click OK. Click the Chart Title and type Major Baked Goods Sales Classes Observe that the text appears in the Formula Bar, then press Enter. On the Design tab, in the Chart Styles group, click More and pick Style 34 the second choice in the fifth row. Select the Horizontal Value axis and click the Layout tab. From the Current Selection group, select Format Selection. From the left side of the Format Axis dialog box, select Number, then under Category, select Number. Set the Decimal places choice to 0 and click Close. Close the PivotChart Filter Pane and the PivotTable Field List task pane. Click the Sheet5 tab and observe the categories in this PivotTable match those in the chart. Save and close the workbook. PivotTables and PivotCharts Activities 6
