Upgrading the Procura Database Upgrade Wizard The following steps will guide you through the Upgrade Wizard. Your Procura database should be upgraded whenever you upgrade to a major version of Procura. Note that you will only need to upgrade your database one time for all of your end users. However, if you have multiple databases, you will need to upgrade each database separately. It is recommended that you review the entire process of performing your upgrade. These steps are outlined in the Upgrading to Procura 7.2 document, which is accessible on the Discussion Forum. All related files, executables, installers, webinars and other documentation can also be found there. Typically, an upgrade of the Procura database will take only a few minutes, depending on the size of your database and the resources that are available on your database server. However, it is highly recommended that you plan for 1-2 hours of downtime, in case any issues are encountered during the upgrade. This will allow ample time for a database backup to be restored. If the down time is too long, you can try using a backup as a lookup-only access. The Procura 7.2 Database Upgrader will perform a backup for you. The Upgrader will back up the data to the default backup path of your MS SQL Server. Your IT personnel should confirm that there is enough disk space in the locally defined backup location to house a complete backup of the database. If the upgrade fails, or a database problem is detected, the Database Upgrader will perform the restore as well. Prior to initiating the upgrade, please ensure that the PC being used to perform the upgrade has the appropriate database management tools and email capabilities, as well as access to the required files. Keep in mind that Procura has made v7.2 upgrade scripts available for download on the Procura discussion forum if you prefer to perform the upgrade using a script. When upgrading to a new version of Procura, you should check your database structure for missing metadata. You can then update the Procura tables and assign to all relevant user groups (including the System Administrator group) new access rights for actions, forms, menus, menu options and reports. You can also download the Custom Report Writer data dictionary and load the table, fields and join files. If you want to use standalone Procura applications (e.g., such as Generation, Status Update or Visit History Calculation), you should replace the applicable executable files with the new files. Ensure that you prompt your end users to log in to Procura and check for Procura updates through their Help menu. Performing the Upgrade 1. From the computer that will be used to perform the database upgrade, run the file called ProcuraInstaller_DatabaseUpgrader_72.exe file. The following screen is displayed.
2. Click Next. 3. In the User Name and Company Name textboxes, type your user and company names. 4. In the Procura Registration Number textbox, type the number by which your Procura application was registered.
5. Click Next. 6. From the Database Server drop-down box, select your database server name and instance. 7. In the Connect using section, select the method of authentication you want to use. 8. If you are using SQL Server authentication, type the appropriate login ID number and password in the Login ID and Password textboxes. 9. In the Name of database catalog textbox, type the name of your database. 10. If you want the Upgrade utility to attempt to perform a backup for you prior to upgrading, click the Backup Database Before Upgrade checkbox. Note: If you are not selecting this option, it is highly recommended that you manually back up your database prior to proceeding. 11. Click Next.
12. Click Yes. 13. Click Upgrade. 14. If the following window does not display, proceed to step #15. Otherwise, your database contains errors. To send this information to Procura, select the Send Message To Procura: Errors Occurred During Database Upgrade option. If you want to enter comments, you can do so in the Enter Comments textbox. When you click OK, you will be prompted to restore your database from your backup copy.
15. Upon successful completion, you will be presented with the following window. 16. Click Finish.
Post-Upgrade Tasks The following outlines the tasks and checks after the upgrade has been performed: 1. After completing the upgrade, if the new user licenses or modules have been purchased, email release@goprocura.com so that these licenses or modules may be enabled. 2. Update your CRW Data Dictionary files: a. Download the CRW Data Dictionary Files from the Discussion Forum: Procura Additional Files Procura 7.2 CRW Data Dictionary Files b. Unzip the files. c. Load Procura using a User Name that has System Administrator privileges. d. Select Maintenance General Set up Load Data Dictionary. e. Click Load Data Dictionary Tables. Browse for and select the file: 1-RPTTABLE.PDD. f. Click Load Data Dictionary Fields. Browse for and select the file: 2-RPTFIELD.PDD. g. Click Load Data Dictionary Joins. Browse for and select the file: 3-RPTJOINS.PDD. 3. Log into Procura using a User Name that has System Administrator privileges. 4. Go to Maintenance Utilities Check Database Structure to check the database structure. There should be no missing Metadata in the left-hand column. Additional Metadata can exist if you are using any kind of Procura customization, (e.g., dashboards) within normal operating parameters. However, if there is missing Metadata, contact the Procura Help Desk immediately. 5. When logged in to Procura as the System Administrator, go to Maintenance Utilities Update Procura Tables. You will be prompted to continue. When the update is completed click OK. 6. Once the update of Procura tables is complete, update the System Administrator access rights. This is done by going to Maintenance Users User Administration and by giving the System Administrator s access group all new access rights for Actions, Forms, Menus, Menu Options and Reports. 7. Update other User Groups as needed. 8. If you use any standalone applications, (e.g., ProWam, Schedule Generation, Status update, Visit History Calculation), you must ensure that you replace these executable files with the new files. These can be found under Procura Additional Files Additional Applications. 9. If your agency uses Synchronization, see the document Installing POC 7.2. 10. Allow the end users to log back into Procura when their PC s have been upgraded with the new executable file. 11. Check for updates by selecting the Help icon and then choosing Check for Updates. This will inform on any updates that have been released after 7.2 release. Review the items and determine whether to proceed to download and install them.

If the down time is too long, you can try using a backup as a lookup-only access. To create a Procura lookup version: 1. Backup your Procura database. 2. Create a new database and restore the backup you just created to this database. 3. On a user's computer, create a new database connection to the Lookup database using ODBC or the Procura Connections utility. 4. Copy the Procura application files to a new temporary location, (i.e., the files that are typically found C:\Program Files\Develus\Procura). 5. On the user s desktop, create a new shortcut to the WinPro.exe you have just moved. 6. Right-click the shortcut and select Properties. 7. On the Shortcut tab in the Target window, type -d after the path to the Winpro.exe, followed by the name of the database connection that was created in step #3 above. 8. Test the connection by logging into Procura. 9. Go to Maintenance System Options Prompt Users. 10. Type a message to remind users that this database is for Lookup only. 11. Ensure that the Prompt Users with message when logging into Procura checkbox is checked.
