1 Purpose and scope Purpose and scope Introduction This HP Easy Printer Care System Administrator's Guide provides information about, and troubleshooting tips for, the HP Easy Printer Care software. This guide is prepared in an electronic format to serve as a quick-reference tool for Customer Care Center (CCC) agents, support engineers, system administrators, management information systems (MIS) personnel, and HP LaserJet product users, as appropriate. The following table describes the structure and content of this guide. Software requirements HP Easy Printer Care software is designed for end users and for those who keep printers up and running in small and large business groups. Use HP Easy Printer Care to view the status of up to 15 supported HP LaserJet printers, set up printer and supply alerts, generate printer-usage reports, and reorder supplies from HP or a choice of resellers. Supported printers NOTE Most of the devices in the following table support HP Easy Printer Care through a network connection only. Most HP devices will support HP Easy Printer Care over both network and direct connections with the release of HP Easy Printer Care V1.5, which is to be available in late spring 2006. NOTE If you install HP Easy Printer Care software in an environment that uses other HP products (for instance, HP DeskJets, HP InkJets, and so on), the software does not detect them. Future versions of the software might expand to include them. HP Easy Printer Care supports most connection types, but some configurations are not supported. For instance, HP Easy Printer Care currently does not read the status of a device that is locally connected (USB or LPT) on another computer and shared on the network. Browser support HP Easy Printer Care software requires that a Web browser be installed, such as one of the following: Microsoft Internet Explorer 4.x or later Netscape Navigator 4.x or later 4 Chapter 1 Purpose and scope ENWW

Protocol support HP Easy Printer Care software uses printer machine language (PML) and simple network management protocol (SNMP) to manage printers. Certain HP Jetdirect cards do not support SNMP. HP Easy Printer Care is unavailable for HP LaserJet printers that use these cards. Connectivity HP Easy Printer Care software works mainly in network environments. Purpose and scope The software can detect supported printers over a direct USB or parallel connection only if the printer is installed by using the HP installer that is found on the product's printing-system software CD or the downloadable printing-system software, available on the following Web site: www.hp.com/go/bsc The following HP LaserJet devices support HP Easy Printer Care over network and direct connections: HP Color LaserJet 3000 HP Color LaserJet 3600 HP Color LaserJet 3800 HP Color LaserJet 4700 HP Color LaserJet 4730MFP For proper communication between the printer and HP Easy Printer Care software in non-networked environments, HP Easy Printer Care requires a DOT4 port, which is shown in the Printers or Printers and Faxes folder as: DOT4_001 (001 or greater) Follow these steps to gain access to the Printers or Printers and Faxes folder: 1. Click Start, click Settings, and then click Printers and Faxes (in Windows XP and Windows Server 2003) or Printers (in Windows 2000). The Printers or Printers and Faxes window opens. 2. Select the printer, click File, and then click Properties. The Properties window for the product opens. 3. Click the Ports tab. You can view the status of up to 15 supported HP LaserJet printers, set up consolidated printer and supply alerts, generate printer-usage reports, and reorder supplies from HP or a choice of resellers. In addition, HP Easy Printer Care software provides diagnostic tools and reports to help resolve printing problems and prevent problems before they happen. With its capacity to monitor and control up to 15 networked printers, HP Easy Printer Care occupies an intermediate position between tools designed for a single printer, such as the HP Embedded Web Server (HP EWS), and tools designed to administer to a large group of networked computers, such as HP Web Jetadmin. HP Web Jetadmin HP Web Jetadmin is a browser-based management tool designed for advanced control over network settings and configuration. The tool is designed for organizations that employ dedicated IT staff who manage more than 15 network printers. HP Web Jetadmin users require detailed information and proactive control of their printer networks. Software overview On the other hand, small businesses with 15 or fewer printers typically depend on device maintainers to manage printers, rather than on a dedicated IT staff. Such businesses usually require less-advanced tools that allow them to track their installed printers with ease. For these businesses, HP Easy Printer Care provides basic printer status, ordering supplies, and troubleshooting, delivered in a easy-tounderstand user interface. HP Embedded Web Server The HP Embedded Web Server (HP EWS) is a standard feature on many HP LaserJet products when they are connected through a network. For some models, optional enhanced input/output (EIO) Jetdirect cards can be installed to make HP EWS available. The HP EWS provides a simple, easy-to-use solution for one-to-one product management. It does not require installation of management software, such as HP Web Jetadmin, and can be used for remote management in offices that have a limited number of products. The only requirement is that the management console must have a supported Web browser. Device Status screen Status information, such as whether the product is online or the toner is low, is available through a Web browser on a computer that is linked directly to the device. You can view this information without going to the device control panel to identify the status. The following figure shows how this information is presented on the product Web page. HP Printer Utility for Macintosh HP Easy Printer Care is not available for Macintosh systems. However, a similar utility, the HP Printer Utility, is a software program that gives you access to the product in Mac OS X. Like HP Easy Printer Care, the Macintosh HP Printer Utility provides a means of viewing printer status, managing printers, setting up printer alerts, and generating reports. 3 Software install Introduction This chapter provides procedures for installing and removing the HP Easy Printer Care software for Windows operating systems. 4 Introduction Use HP Easy Printer Care features to consolidate and view the status of supported HP LaserJet printers, set up printer and status alerts, generate printer-usage reports, and reorder supplies. The HP Easy Printer Care Software is available only on the Web at the following Web site: www.hp.com/go/easyprintercare NOTE Not all of the HP Easy Printer Care features are available for all HP products. The features available using HP Printer Easy Care depend on the device model. Software setup When HP Easy Printer Care software opens, it first establishes contact with the devices on the network, using the Find Printer feature. After connection with network devices is established, tabs become available for each device, showing its status and presenting tools for maintenance, troubleshooting, and support. Access Tip Double-click the HP Easy Printer Care icon in the Windows system tray to quickly start the HP Easy Printer Care program. Follow these steps to gain access to HP Easy Printer Care: Gain access to Easy Printer Care 1. Click Start. 2. Select All Programs. 3. Select Hewlett-Packard. 4. Select HP Easy Printer Care. 5. Find printers Follow these steps to add devices to HP Easy Printer Care: 1. Click Find Other Printers on the left pane of the My HP Printers screen to open the Step 1 of 3: Start Search screen. If you know the transmission control protocol/internet protocol (TCP/IP) address of the printer (for example, 192.168.0.10), type the address in the Search for field and then click Next. -or- To conduct a search for printers over a network, select the General search (searches for all HP printers on your network) option. Click Advanced Search Properties to open a screen that you can use to select the number of hops that the system makes. The Advanced Search Settings screen appears. NOTE A network hop occurs when information is forwarded from one router to another. A hop is an intermediate connection in a string of connections that link network devices. 4. If you selected the Quick find (search for a specific IP address) and no printer is found, the Printer Not found screen appears. Set alert notifications Follow these steps to set notifications: 1. Click Alert Settings to open the Alert Settings screen, as shown in the following figure. Figure 4-11 Alert Settings screen 2. Turn alert notification on and off by selecting an option in the Settings for: field. 3. Below Printer Alerts, select the kind of alert notifications that you want to receive: Printer cannot print. The device needs immediate attention before it can print. Printer has a problem, but can continue. The device might be low in supplies or need maintenance, but it can print. 4. If you want to be notified of problems only when printing to the product, select Only if I am printing to this printer (user mode). -or- If you are an administrator or are responsible for ordering printer supplies, select Anytime problems occur (maintainer mode). 26 Chapter 4 ENWW

5. Below Notification Method, select one of the following options: Popup dialog. Popup dialogs appear onscreen and disappear only when they are closed. A popup alert is shown in the following figure. Click one of the tabs (such as Overview or Support), and then click the menu items, links, or buttons that are available on the screen. Settings tab The Settings tab provides access to many features that are normally available through the device control panel, the print drivers, or the configuration applications. Click on the HP Printer Care feature you want to view to display. The Settings tab is available over USB, parallel, or network connections for the following HP devices: HP Color LaserJet 3000 HP Color LaserJet 3600 HP Color LaserJet 3800 HP Color LaserJet 4700 HP Color LaserJet 4730MFP ENWW Settings tab 33

NOTE Each screen of the Settings tab contains some fields that can be changed by users and others that are read-only fields. Select Change to display the fields that can be user-specified. After making changes, select Apply to save the changes, or select Cancel to exit the field change screen. Some read-only fields automatically update when the device configuration changes. For example, the Firmware Version field changes if the firmware is updated, or the Installed DIMM Memory field changes if the memory DIMM is changed. An error message appears if you select Apply and have not made any changes to a field or have made a change that is not within the field's acceptable range. The following illustration is an example of a Settings tab error message (actual error messages will depend on the type of error). If no HP EWS password has been set by an administrator, no password is required, and the Settings screen changes to show which fields can be modified. If an HP EWS password has been set, the Authorization screen appears, as shown in the following figure. Figure 4-20 Authorization screen If necessary, consult your IT administrator for the user name and password. Type the user name and password and click OK to proceed. The password is saved for the HP Easy Printer Care session as long as the user remains active. After about 30 minutes without user interaction, the password is discarded, and it is necessary to log in again in order to make further modifications to the configuration. NOTE The settings that are available vary from device to device, according to the product's features. For example, the RAM Disk feature might be supported for one device, while another device might not have this setting. Similarly, the media sizes are specific to the device, so the options for media sizes are not the same across devices. General The General pane shows general device information about the printer, including system clock settings. ENWW Settings tab 35

In the Troubleshooting Tools pane of the Support tab, click Browse online information to find additional information about the product on the HP Web site. In the Troubleshooting Tools pane of the Support tab, click Contact a support specialist to open a Web page where you can supply information about the product and receive customized support. You can send an instant message, an e-mail, or submit a problem and view the case status online. The page also provides telephone numbers for HP customer care centers. Printer Usage Report The Printer Usage Report tool helps you keep track of how your networked printers are being used. Usage information for your printers is collected and stored on your computer hard drive when you are logged on to your computer. Click Printer Usage Report to open a screen that provides information about print jobs that have been sent to the product. Run online diagnostics You can use HP's online diagnostics tool to communicate with an HP Web site that analyzes the product and looks for problems. When you click the Run online diagnostics option, the HP Instant Support advice disclaimer screen appears, as shown in the following figure. Browse online information On the Support tab, click the Browse online information link to find documentation about the product.
