INTRODUCTION Welcome to the Friends and Family User Guide. Please note that this guidance is for the online-only version of the Friends and Family Tool. This survey template allows you to create a survey that runs on Snap FMS. People can access and complete it over the Internet and on Smart Phones You can generate printable reports as soon as enough data has arrived. You can update the reports at any time. Users of Snap Desktop can use this tool in conjunction with their Snap Software to collect and scan paper responses and to deploy the survey on kiosks and tablets and then merge the responses into a single file. However, you do not have to have Snap Desktop to use this tool. 3
Running the Template Survey RUNNING THE TEMPLATE SURVEY Creating your survey from a template To create a survey from a template you must: Choose which questions you would like in the survey Personalise the survey by adding details about your organisation Start the survey Collect the replies Create your reports and analyses Opening the template 1 Log in to your Snap FMS account via the Snap website (www.snapsurveys.com/fms). If you already have surveys in your account, they will be listed when you have logged in. 2 Click [Create New Survey] and select [From a template]. 3 You can give the survey a name and change the default title. 4
4 Click the link to open the terms and conditions. When you have read them, check the box. 5 Click [OK]. 6 The Create survey from a template constructor appears. 7 Work through the questions. 8 Click [Next] to move onto the next page. Click [Build survey] when you have finished. The survey will be built, and you will be shown the first page of the questionnaire in preview mode. Preview mode allows you to view the quest5ionnaire as it will be seen by the respondents. Correcting errors in your survey If you made a typing error when creating your survey, you can correct it using [Edit]. If you wish to change the questions in your survey you must Rebuild it. You can only Rebuild a survey if you have not received any responses. 5
Running the Template Survey To make corrections to the text: 1 Select the Build tab. 2 Move through the pages using the [Next] button. 3 If you can make a change on a page, you will see an [Edit] button at the top of the questionnaire. 4 Click [Edit] to change from Preview to Edit mode. The editable parts of the questionnaire appear highlighted between curly brackets. 5 Double click on the item you wish to change. The Change custom value dialog appears. 6 Make the necessary changes to the text and click [OK].The text will be changed wherever it is used in the questionnaire and report(s). 7 Save your changes by clicking the [Save] button at the top right. Starting the survey in the Deploy tab The Deploy screen is where you can start the survey preview printable questionnaires download the participants' responses 6
It shows the link to the survey, which you can then make available to people. (For example, by putting it in a newsletter or an email.) 1 Click the Start Questionnaire Now link in the Deploy tab. The Status changes from Not Started to Interviewing in progress. New options appear allowing you to Stop and Pause the questionnaire 2 Select the URL text and copy it. You can: use this URL to enter responses from paper surveys set up a PC displaying the survey by pasting the link in a web browser make the link available, for example in a printed or email newsletter send out email invitations to people to take part in the survey To enter responses from paper questionnaires, click the survey link in the Deploy tab and enter the response online. Make sure that you mark the paper questionnaire to show that it has been entered. 7
Running the Template Survey Putting your questionnaire in the field When you have published your questionnaire, you can prepare for your fieldwork. You can: upload the questionnaire to Snap FMS and share the link so that people can complete it from any computer display the questionnaire in a web browser on a local computer for them to complete straight away distribute printed questionnaires for people to fill in and return Collecting replies to your survey Once you ve started your survey, responses will be collected in Snap FMS for analysis. If you have distributed paper surveys, you must enter the data into Snap FMS yourself. Analysing the results When you have received responses to your questionnaire, you can look at the results. Creating reports in Snap FMS The specific reports available in your survey are listed on the left when you select the Analysis tab. If individual charts and tables are available, you can see them by clicking on the Tables & Charts bar. You can change back to report view by selecting the Reports bar. The reports are created as pdf files. You can save them to your desktop or send them to a printer. 8
1 Select the Analysis tab 2 Click on the report you would like to look at on the left. 3 If there is a visible [Filter] button, this means you can filter the data in your survey. Use the [Filter] button to select the data that appears in your report. Click on it to display a list of available filters questions. 4 Show the list of possible filters by clicking the symbol next to the filter name. If you only want to show the cases where the respondents gave a specific answer, check the box(es) by the desired answer. 9
Running the Template Survey 5 If you check more than one box within a filter, all those answers will be used. (For example, checking January and March will show the responses for January and March.) 6 Click [Update] to create the report using the filter. Managing your reports Reports will appear in a pdf viewer within your browser. The exact way to manage them will depend on the pdf viewer that you have installed. You can normally rotate pdfs (from portrait to landscape etc) by right-clicking the screen and selecting Rotate from the menu. You can normally save pdf files to your desktop by clicking the pdf viewer save icon (e.g. ) You can normally print pdf files by clicking the pdf viewer print icon (e.g. ) If you are creating a report for many respondents or other people are creating reports at the same time, it may take a little time to create the report. Click the name of the report again to display the report once it has been created. If you have had more responses since last creating your report, click [Refresh] to create the report again with the new data. 10
ADVANCED TECHNIQUES Viewing individual analyses in Snap FMS Some surveys have analyses for specific questions. If these are available, you can view them in the same way as reports. You can view the analyses online. 1 Select the Analysis tab 2 Click on the Tables & Charts bar at the bottom left. 3 Select the required analysis by clicking on it. Use the [Filter] button to limit the data that appears in your table or chart. Click on it to display a list of available filters. 11
