INTRODUCTION General Information Font Assistant installation program embeds special commands into Microsoft Word 97 Tools menu allowing a user to execute font conversion in cases when the Russian text appears unreadable. Usually, it occurs when opening documents created in the earlier versions of MS Word using fonts not compatible with MS Office 97. Which fonts should be used? For trouble-free operation of Microsoft Office 97, it is mandatory to use fonts compliant with the UNICODE standard. The UNICODE standard is a character encoding scheme that uses 2 byte long (16 bit) code for uniform text and character encoding. It includes many characters used in the world's scripts and, therefore, enables computers to support writing in almost all alphabets (languages) used in the world. System Requirements To make sure that Font Assistant installation on your computer is possible, verify that the following requirements are met: IBM PC or compatible Microsoft Windows 95/98 or Windows NT operating system Floppy-disk drive for 3.5" 1.44 Mb diskettes At least 0.5 Mb of hard disk free space 5

Installing Font Assistant 1. Insert the Font Assistant distribution diskette into the floppy disk drive. 2. Choose Run from the Start menu, type a:\install and press Enter. Setup displays a wizard that takes you through the remaining steps. Follow the on-line instructions. During installation, Setup copies various files to your hard drive. Setup also asks you to select the components to be installed in your system. 3. After the program installation, you will find the shortcut to Font Assistant in the Program menu. 6

I Font Assistant Operating Principles Font Assistant performs the following three completely independent functions: 1. Conversion of Russian texts to MS Word 97 format; 2. Recovery of style names used in MS Word 97; 3. Recovery of style names used in MS Word 95. The specific functions to be embedded are selected during the installation of the program. Font Assistant Statistics After the installation is complete, the program will create the Font Assistant Program group. When running the Font Assistant from the Program menu, the software will perform scan and analysis of all fonts available in your system. As a result, the fonts will be sorted and displayed in the following table: The column "Not Russian Fonts" contains a list of fonts which do not support Russian characters. The column "Russian simple" lists all those fonts which do support Russian characters created in Windows 3.xx (Code Page 1251) The "Russian UNICODE" column contains fonts compliant with the UNICODE standard used in Windows 95/98 & Windows NT. Corresponding font replacements are listed in the "Substitutions" window. 7

Font Assistant Operating Principles Substitution This function is used to substitute the non-standard fonts (not UNICODE compatible) used in the Russian language documents created in the earlier versions of MS Word (Word 6/95) into the proper UNICODE compliant font format. After the installation, the Font Assistant embeds the following new commands into the MS Word 97 Tools menu: Russian fonts: Substitution Russian fonts: File Converter... Russian fonts: Settings... The new font toolbar with the list of correct Cyrillic fonts appears next to the regular MS Word Font toolbar. If after opening a Russian language document within MS Word 97 the text looks "unreadable", you can convert it into a readable form by clicking Russian fonts: Substitution command in MS Word 97 Tools menu. The following transformations will take place in the document: * modification of styles used * modification to the text This conversion process may take some time, but can be interrupted at any time. 8

Font Assistant Operating Principles The following two major changes are implemented during the conversion process: the non-standard fonts are substituted with the MS Office 97 compatible fonts; the language attribute for the text fields of the document is set to Russian. This conversion not only makes the document readable on the screen, but also transforms the internal font format of the text into the UNICODE standard, assuring the proper functionality of all linguistic operations with the text (such as spell and grammar checking, etc.). The key feature of the UNICODE standard is the representation of each character by two bytes, instead of one, as it was done in the previous standards. One of the bytes represents the language attribute and the other the character code. Sometimes it is possible to get a readable text without all these transformations. You may leave the old font unchanged. In this case your text could be displayed correctly on the screen and even be printed normally. But if you try to edit this text, it will be corrupted, since the text language attributes as well as the internal font formats are not correct. File Converter This command starts an automatic font conversion process for multiple files. In order to assure the automatic execution of the conversion, make sure that the manual font substitution mode is disabled. The font substitution mode can be set using the Russian fonts: Settings... command. 9

Font Assistant Operating Principles Batch mode conversion To activate this dialog, use the command Russian fonts:file converter from MS Word 97 Tools menu. This command will execute font substitution process for designated files. Source files This field is used to specify names of files to be converted. You can enter multiple file names (separated by the space character), file templates or even multiple file templates. If a filename contains no path, then the current directory path (Font Assistant directory) is assumed. Browse Use this button, if you don't want to enter the file names manually. Include Subdirectories This flag becomes available, if you specified the source file template, instead of the particular file name. In this case, you can check the Include Subdirectories flag to enable the conversion of files located not only in the current directory, but in all its subdirectories as well. Confirm for each file This flag becomes accessible if you specified more than one source file or file template. Enable this flag, if you want the program to request file processing confirmation for each file. This option is very useful if you have specified the file template, but you are not sure whether or not all files should be converted. With this flag set, you will have to either confirm each file name to be converted or skip the file conversion. Converted files In this line specify names for a file or a template designated to contain the converted fonts. You can enter either a single template name or as many names/templates as you have designated for the source files. Browse Use this button if you don't want to enter the file names manually. 10

Font Assistant Operating Principles All files in one directory This flag is accessible only if Include Subdirectories mode was selected. If the flag is cleared, then each new file will be placed in the same directory as the source file. If the flag is set, then all converted files will be placed in one directory. The path for this directory will be either included in the name of the first file/template or set for the current directory. Save documents in Word 6.0/95 format Check this flag if you want the converted documents to be saved in the MS Word 6.0/95 native file format. Style Recovery Sometimes, when you transfer documents from Word 97 to the earlier versions of Word, the Russian style names such as Normal, Header become corrupted, and as a result, a senseless set of characters displayed. The RecoverStyles macro added to the word processor (version 95 or 97), facilitates the proper standard style name restoration. This macro should be run manually from Tools/Macro/ RecoverStyles.Main. 11

Font Assistant Operating Principles Settings This dialog allows selecting settings for the font substitution mode. Select Tools/Russian fonts: Settings. Use Fonts substitution table If you select this mode, you have the possibility to specify a particular substitution for any font. This can be done by using two font lists located at the bottom of the dialog window. Fonts without table substitution This mode can be used for those fonts, which have no designated substitutions in the table. If the option Use Fonts substitution table is disabled, then the selected mode settings become applicable for all fonts. 12

Call substitution dialog box Font Assistant Operating Principles Fonts substitution dialog box will be invoked for each new "incompatible" font. In this case the manual processing of a document should be done. Font Indicate the name of the new font with no substitution defined. Substitute with This list provides the substitutions options for the old fonts. Offer "compatible" fonts only This flag is enabled by default. This list contains only the names of those fonts, which are compatible with the UNICODE format and contain the Russian characters. The conversion process is quite reliable. If you suspect, that the converter makes mistakes, you can disable this flag and select fonts manually. In this case you are taking the responsibility for the result of the conversion (if the selected font is not compatible, the substitution will be forced anyway). Remember substitution This flag allows remembering the added substitution until the end of the current work session. In this case, this substitution will be used during the subsequent document processing. Add to the Substitution table This mode allows you to save the selected substitution pair to the permanent font substitution table. If the table is disabled, the saving process will take place, but will not be reflected in the current operation session of the converter. If the table is enabled, the converter will use the indicated substitution. You can cancel or change the substitution using the settings dialog box. 13

Font Assistant Operating Principles Use similar Windows standard font This mode allows the document automatic processing. Three standard Microsoft fonts -- Arial, Courier New and Times New Roman - are used for the substitution. The converter chooses font that most closely resembles the source font. This option not always leads to a perfect result, because some fonts designated for the substitution do not contain correct type description information. Always use this font This is the simplest mode, when all non-matching fonts are substituted with the font specified by the user. Font Substitution table This table allows you to create individual pairs of correlated fonts for their corresponding substitutions. Font Specify the font to be substituted. Show only "incompatible" This flag is included by default. It enables the display of the list of fonts marked for the substitution. If you suspect, that the converter filters fonts incorrectly, you can disable this mode by clearing this flag. Substitute with In this column you can specify the font to be substituted with the font designated for such substitution. In case you do not want to specify the substitution, you should select [No substitution] item. Show only "compatible" This flag is included by default. It filters fonts from the right column, so that only Russian fonts compatible with Office 97 are displayed. If you suspect, that the converter filters fonts incorrectly, you should disable this mode. 14

Font Assistant Operating Principles Quick conversion This flag should be enabled only in certain instances. This mode allows you to perform quick conversion of the text. If you are not concerned with the formatting of each character of the text, you can use this mode which provides text formatting by paragraphs. Note: When using a simplified Quick conversion algorithm, some of the paragraphs can be processed incorrectly. In this case the converter won't be able to process such paragraphs later for better results. These paragraphs should be retrieved from the original text and processed again using the standard mode of operation. Rescan fonts Use this button to start checking all fonts for their compatibility with UNICODE as well as for the presence of Russian characters. This procedure should be executed each time you add fonts to the system subsequent to Font Assistant installation. 15
