Quick Start Guide Overview This Quick Start guide is intended to provide you with the information you need to complete primary tasks for Inventory module and wireless inventory device usage in epace. Note: This document is a Quick Start Guide and does not contain every task you can perform for inventory usage in epace. This guide contains the following types of notes: Important: When you see this type of note, the information may affect the way you enter fields or may warn you that errors could occur. Pay particular attention to information in these notes. Note: When you see this type of note, the information may serve as a reminder or may provide additional details that do not appear in the procedure. Add inventory transactions through the Inventory module Tip: Enter inventory transactions to increase or decrease the systemmaintained quantities of inventory items. 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Enter Transactions. The Add Transaction Info page appears. 2. On the Add Transaction Info page, in the Transaction Info group box, complete the following fields, as applicable: In the Transaction Type field (required), select one of the following types of job transactions: - 1-Receive: Receive (add) this item amount into inventory and increase the inventory quantity Note: The Purchasing module in epace automatically generates an inventory transaction of type 1-Receive whenever you receive a purchase order. Refer to the Enter inventory transactions through Purchasing module for more information. - 2-Remove (use): Pull this amount from inventory for usage and decrease the inventory quantity - 3-Remove (scrap): Pull this amount from inventory for scrap and decrease the inventory quantity - 4-Count: Update the quantity of this item in inventory - 5-Charge Job: Pull this amount from inventory and charge the item costs to a specified job - 6-Use Goods: Pull inventory from finished goods - 7-Transfer Locations: Pull this amount from one inventory location and add it to another location In the Inventory Item field (required), enter, or click [Pick] to select, the inventory ID that represents this inventory item. In the Serial ID field (required), if this item is a paper roll, enter the unique ID number assigned to the roll. Note: epace removes this field if you select an inventory item with any item type other than paper roll. In the Inventory Description field, epace automatically enters a description of this inventory item. 3/14/2007 6

In the Num Serial IDs field, if this item is a paper roll, enter the total number of serial IDs recorded. Note: epace removes this field if you select an inventory item with any item type other than paper roll. In the Location field (required), select the warehouse location of this inventory item. In the Bin field (required), select the bin where this inventory item resides. Tip: epace automatically enters the location and bin tied to this inventory item in the Location and Bin fields. In the Employee field, enter, or click [Pick] to select, the ID of the data collection employee associated with this inventory transaction. In the Employee Time field, select the employee time sheet you want to associate with this inventory transaction. In the Quantity field (required), enter the item quantity you want to process with this inventory transaction. In the Unit Price field, enter the price per unit for this item. Note: The UOM field appears only if you select 1-Receive in the Transaction Type field. In the UOM field (required), select the unit of measure for this inventory item. Tip: epace automatically enters the unit price and unit of measure tied to this inventory item in the Unit Price and UOM fields. In the Date field (required), enter, or click the calendar icon to select the date you want to process this transaction. Tip: epace automatically enters today s date in this field. In the Total field, epace automatically enters the total price for this item, based on the values you enter in the Quantity and Unit Price fields. In the Reference field, enter the user-defined reference code. In the Notes field, enter any additional information about this inventory item or transaction. In the Purchase Order field, enter the purchase order number for this item. 3/14/2007 7

In the Approved field, check the box if you want to approve this transaction. You must approve an inventory transaction before you can post it. Note: The Update Inventory Item Cost field appears only if you select 1-Receive in the Transaction Type field. In the Update Inventory Item Cost field, check the box to update the price of this inventory item. Note: The following fields appear only if you select 5-Charge Job in the Transaction Type field. In the Job field, enter, or click [Pick] to select, the ID of the job you want to charge. In the Job Part Key field, select the ID of the part tied to the job. Tip: epace automatically enters the part key tied to this job in the Job Part Key field when you select a job in the Job field. In the Activity Code field, select the specific activity code you want to associate with the job. Tip: epace automatically enters the activity code tied to this job in the Activity Code field when you select a job in the Job field. In the NPW Code field, select the reason code for non-planned work. Note: The following fields appear only if you select 7-Transfer Locations in the Transaction Type field. In the Transfer to Location field, select the location that you want to receive this inventory. In the Transfer to Bin field, select the bin where you want this inventory to go. 3. Do one of the following: To save your entries and add the inventory transaction, click [Add]. The Inventory Transaction List page appears, with the Object Added message at the top of the page. To add this inventory transaction and create a new one, click [Add/Add New]. epace saves your transaction, and a new Add Transaction Info page appears. 3/14/2007 8

Add inventory transactions through the Data Collection module 1. From the epace main menu, click Production, then move the mouse over Data Collection, then click D/C Enter. The View/Edit Activity page appears, with a list of employees. 2. Click the magnifying glass icon next to the applicable employee ID. The Employee Activity page appears. 3. Click [Pull Materials]. The Add New Inventory Transaction pop-up page appears 4. Complete the fields, as applicable. (Refer to the Data Collection User Quick Start Guide for detailed information.) 5. Do one of the following: To save your entries and add the inventory transaction, click [Add]. The Employee Activity page appears, with the inventory transaction you added in the Inventory Entries group box. To add this inventory transaction and create a new one, click [Add/Add New]. epace saves your transaction, and a new Add New Inventory Transaction pop-up page appears. 6. Click [Update]. epace saves your changes and submits the inventory transaction. 3/14/2007 9

Add inventory transactions through the Purchasing module 1. From the epace main menu, click Production, then move the mouse over Purchasing, then click Enter New Purchase Order. The Purchase Order Add page appears. 2. Complete the fields in the Enter Information group box, as applicable. (Refer to the Purchasing Administrator/User Quick Start Guide for detailed information.) 3. Click [Add] to save the purchase order summary information. The Add Purchase Order Line pop-up page appears. 4. Complete the fields in the Purchase Order Information group box, as applicable. (Refer to the Purchasing Administrator/User Quick Start Guide for detailed information.) 5. Do one of the following: To save your entries and add this purchase order line item, click [Add]. The Purchase Order Detail page appears, with the information you added in the Line Items group box. To add this purchase order line item and create a new one, click [Add/Add New]. epace saves your transaction, and a new Add New Inventory Transaction pop-up page appears. 6. Click [Update]. epace saves your changes and submits the inventory transaction. 3/14/2007 10

Add serial ID charge job transactions Tip: Use the following procedure to charge multiple rolls of paper to a job quickly. 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Enter Serial ID Job Transactions. The Serial ID Inventory Transaction Information page appears. 2. Complete the following fields, as applicable: In the Job field (required), enter, or click the search button to select, the job to which you want to charge the paper rolls. In the Job Part field (required), select the desired job part from the drop-down list. In the Roll Numbers (1-6) through Roll Numbers (25-30) fields, enter up to 30 different roll Serial IDs. 3. Click [Charge Job]. Note: Repeat steps 1-3 if you want to enter The Generation Successful page appears, and indicates the number of transactions generated. 3/14/2007 11

Modify or delete inventory transactions 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Edit Transactions. The Edit Inventory Transactions List page appears. 2. Enter the desired information in the Search and for fields, then click [Find]. If necessary, click the magnifying glass icon next to the inventory transaction you want to modify or delete. The Inventory Transaction Detail page appears, with the information for the selected transaction. 3. Do one of the following To modify the transaction, edit the applicable fields and click [Update]. Tip: Refer to the Add inventory transactions through the Inventory module topic in this Quick Start Guide for detailed field information. The Inventory Transaction Detail page reappears, with the Updated message at the top of the page. To delete the transaction, click [Delete]. The Inventory Transaction Detail page reappears, with the Object Deleted message at the top of the page. 3/14/2007 12

Approve inventory transactions 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Approve Transactions. The Approve Inventory Transactions List page appears, with a list of submitted inventory transactions. 2. Do one of the following To modify a transaction, click the magnifying glass icon next to the desired transaction. The Inventory Transaction Detail page appears. Modify the transaction field values as desired, and click [Update]. Tip: Refer to the Add inventory transactions through the Inventory module topic in this Quick Start Guide for detailed field information. To approve specific transactions in the list, check the box in the Approve field next to the desired transactions. To approve all the transactions in the list, click the all link in the Approve column heading. epace checks the boxes in the Approve field next to all the inventory transactions in the list. 3. Click [Update]. The Approve Inventory Transaction List page refreshes, with the Updated message at the top of the page. 4. If you want to unapprove a transaction, uncheck the box in the Approve field next to the desired transaction and click [Update]. The Approve Inventory Transaction List page refreshes, with the Updated message at the top of the page. 3/14/2007 13

Review and print the inventory transaction register Note: Pace recommends that you review and print the inventory transaction register for your records before you post inventory transactions. 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Print Transaction. The Report Properties pop-up page appears, with the Inventory Transactions Register default report parameters. 2. On the Report Properties pop-up page, in the Parameters group box, use the epace report defaults or do the following to change the parameters, as preferred: If you want only approved transactions to appear on the report, enter Y in the Display Approved Only field (required). Otherwise, enter N. If you want only active transactions to appear on the report, enter Active Only in the Display Active, Inactive or Both field. Otherwise, enter Inactive Only to display only inactive transactions, or Both to display both active and inactive transactions. 3. In the Direct Printing group box, complete the following fields, as applicable: In the Printer field, select the printer to which you want to print the report. In the Num. copies field, enter the number of copies of the report that you want to print. 4. To generate the report, do one of the following: To print the report to the printer you selected without reviewing it, in the Printer field, click [Print Report]. epace prints the report. To preview the report prior to printing it, click [Preview Report]. The Report Viewer page appears and displays the appropriate report information. 5. If you are on the Report Viewer page, to print the report, click the printer icon at the top of the page. The Print dialog box appears. 3/14/2007 14

6. On the Print dialog box, select the appropriate options then click [OK]. epace prints the report. 7. To return to epace, click the X in the top right corner of the Report Viewer page. The epace page you are on reappears. 3/14/2007 15

Post inventory transactions Note: Pace recommends that you review and print the inventory transaction register for your records before you post inventory transactions. 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Post Transactions. The Posting Inventory Transactions page appears. 2. On the Posting Inventory Transactions page, in the Post all transactions (including unapproved)? field, check the box if you want to post both approved and unapproved inventory transactions. Leave this box unchecked if you want to post approved transactions only. 3. Click [Post Transactions]. The Inventory Transaction Posted page appears, and indicates the number of posted transactions. 3/14/2007 16

Process Inventory Transactions Via A Wireless Device Note: The Wireless Inventory Device is add-on hardware that enables you to scan codes or use the keypad to create inventory entries. Contact your Pace sales representative for purchasing information. Note: Pace supports the Symbol MC9060 scanner only. If you decide to purchase a different device, Pace recommends that you initially purchase only one device to test and ensure compatibility with the epace system. Log into epace Mobile Note: You must have the appropriate security permissions to log into epace Mobile. Contact your system administrator for details. 1. Turn on the wireless device and connect to your wireless LAN network. (See your system administrator for details.) 2. Open an Internet Explorer browser window, and, in the Address bar of the browser window, enter http://[your appliance IP]/mobile, where [your appliance IP] is the IP or hostname you use to access epace. The epace Mobile Login page appears. 3. On the epace Mobile Login page, do all of the following: In the Username field, enter your epace user ID. In the Password field, enter your epace password. If you want the system to remember your login information and automatically log in using your user ID and password, check the box in the Login automatically field. Click [Login]. The epace Mobile Home page appears. 3/14/2007 18

Submit an inventory transaction via a wireless device 1. From the epace Mobile Home page, do one of the following: To receive an inventory item, click [Receive]. To remove an inventory item from use, click [Remove Use]. To remove scrap inventory items, click [Remove Scrap]. To count inventory items, click [Count]. To charge an inventory item to a job, click [Charge Job]. To use finished goods, click [Use Goods]. To transfer an inventory item to another location, click [Transfer Locations]. The Add New Inventory Transaction page appears. 2. On the Add New Inventory Transaction page, complete the following fields, as applicable: In the Transaction Type field (required), epace automatically enters the transaction type you selected from the epace Mobile Home page. In the Inventory Item field (required), enter or scan in the inventory ID that represents this inventory item. In the Serial ID field, if this item is a paper roll, enter or scan in the unique ID number assigned to the roll. Note: epace removes this field if you select an inventory item with any item type other than paper roll. In the Num Serial ID field, if this item is a paper roll, enter or scan in the total number of serial IDs recorded. Note: epace removes this field if you select an inventory item with any item type other than paper roll. In the Location field (required), enter or scan in the warehouse location of this inventory item. In the Bin field (required), enter or scan in the bin where this inventory item resides. Tip: epace automatically enters the location and bin tied to this inventory item in the Location and Bin fields. In the Quantity field (required), enter or scan in the item quantity you want to process with this inventory transaction. 3/14/2007 19

In the Unit Price field (editable only for a Receive transaction type), epace automatically enters the price per unit tied to this item. In the Unit Cost field, epace automatically enters the cost per unit tied to this inventory item. However, you can enter or scan in another value, if desired. In the Job field (available only for a Charge Job transaction type), enter or scan in the ID of the job you want to charge for this item. In the Part field (available only for a Charge Job transaction type), enter or scan in the ID of the part tied to the job. Tip: epace automatically enters the part key tied to this job in the Part field when you enter a job in the Job field. In the Transfer Location field (available only for a Transfer Locations transaction type), enter or scan in the warehouse location where you want to transfer this inventory item. In the Transfer Bin field (available only for a Transfer Locations transaction type), enter or scan in the bin where you want to transfer this inventory item. In the Date field (required), enter, or click the calendar icon to select the date you want to process this transaction. Tip: epace automatically enters today s date in this field. In the Non Planned Reason field (available only for a Charge Job transaction type), enter or scan in the reason for the nonplanned work. In the Reference field, epace automatically enters wireless as the user-defined reference code. In the Notes field, enter any additional information about this inventory item or transaction for audit purposes. In the Purchase Order field, enter or scan in the purchase order number for this item. In the Update Inventory Item Cost field (unavailable for Use Goods or Transfer Locations transaction types), check the box to update the replacement cost of this inventory item. 3. Click [Submit Transaction]. The Add New Inventory Transaction page refreshes, with the Auto posted transaction and Object Added messages at the top of the page. 3/14/2007 20

Create an inventory item inquiry 1. From the epace Mobile Home page, click [Inventory Item Inquiry]. The Inventory Items List page appears. Select whether you want to search by inventory item ID or description, then enter the desired value in the Search field. 2. Click [Find]. The Inventory Items List page refreshes, with a list of inventory items that match your criteria. 3. On the Inventory Items List page, click on the magnifying glass icon next to the desired inventory item, and review the following fields, as applicable: The ID field contains the ID number assigned to the inventory item you selected. The Description field contains a brief description of this inventory item. The Qty On Hand field contains the quantity available on hand for this inventory item. The Qty On Order field contains the quantity on order for this inventory item. The Qty Allocated field contains the quantity of this inventory item reserved for use. The Active Serial IDs field contains the number of active serial IDs for this inventory item, if it is a roll inventory item. 4. Do one of the following: To view the next or previous inventory item information, click Next or Previous at the top of the page. To return to the epace Mobile Home page, click the Home link in the top left corner of the page. To view all recent changes to the item, click the View Recent History link in the lower right corner of the page. 3/14/2007 21

View item quantities by location and bin 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Inventory Items. The Inventory Items List page appears. 2. Enter the desired information in the Search and for fields, then click [Find]. If necessary, click the magnifying glass icon next to the inventory item you want to view. The Inventory Item Detail page appears. 3. Click [Quantities By Location] on the gray navigational button bar at the top of the page. The Quantities by Inventory Item List page appears. 4. To display all locations, click [Find] or use the search fields to find a specific location. Then click the magnifying glass icon to access details. The Inventory Location Quantity Detail page appears 5. View the item quantity information for the location on the Inventory Location Quantity Info tab. 6. Select the Bin Quantities tab and click the magnifying glass icon next to the bin you want to view. The Posted Transactions List page appears. 2. If you are on the Inventory Movement List page, click the magnifying glass icon next to the desire transaction. Otherwise, if you are on the Posted Transactions List page, enter the desired information in the Search and for fields, then click [Find]. If necessary, click the magnifying glass icon next to the inventory transaction you want to view. The Posted Inventory Transactions Information page or pop-up page appears. 3. Add a kit Note: When you enter a job to build or pull a kit added as an inventory item, you must be sure to select a Finished Goods job type. Refer to the Job Control Center Module User Quick Start Guide for more information about entering jobs. 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Inventory Items. The Inventory Items List page appears. 2. Click [Add New Record]. The Add New Inventory Item page appears. 3. Complete the fields, as applicable, using an Item Type of Kit. Tip: Refer to the Inventory Administrator Quick Start Guide for detailed field descriptions and more information about adding an inventory item. 4. Click [Add]. The Inventory Item Detail page appears, and displays the Kit Components tab. 5. On the Inventory Item Detail page, on the Kit Components tab, click [Add Component To Kit]. A new row appears in the Kit Components table. 6. In the new row in the Kit Components table, complete the following fields, as applicable. Note: You cannot enter an amount in the Kits on Hand field on the Kit Components tab. epace automatically calculates and populates this field with the total number of kits on hand. In the Sequence field, enter the order in which you want epace to sort this component. In the Inventory Item field (required), enter, or click [Pick] to select, the item you want to add as part of the kit. Important: Do not use an item with an Inventory Type of Kit as a kit component. In the Quantity field (required), enter the quantity of this item required to build one kit. In the Uom field, select the unit of measure for this item. 3/14/2007 31

Note: Select only a singular unit of measure, such as Each or Pound, not a multiple unit of measure, such as Per Thousand or CWT. In the Location field (required), epace automatically enters the default location where this component resides. If desired, select a new location from the drop-down list. In the Bin field (required), epace automatically enters the default bin where this component resides. If desired, select a new bin from the drop-down list. 7. Repeat steps 5-6 to add more components to the kit, as applicable. 8. Click [Update]. The Inventory Item Detail page refreshes with the Updated message at the top of the page. 3/14/2007 32

Locate, modify or delete a kit 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Inventory Items. The Inventory Items List page appears. 2. Enter or select the desired information in the Find, Search and for fields, then click [Find]. If necessary, click the magnifying glass icon next to the kit you want to modify or delete. The Inventory Item Detail page appears. 3. Do one of the following: If you want to delete the kit, click [Delete], then [OK] when prompted to confirm the deletion. epace deletes the kit, and the Inventory Items List page appears with the Item Deleted message at the top of the page. If you want to modify the kit, on the Inventory Item Detail page, update the fields, as applicable. 4. To remove a component from a kit, on the Inventory Item Detail page, on the Kit Components tab, check the box in the Delete field next to the applicable component and click [Update]. Important: Pace does not recommend removing a component from a kit already used in an inventory transaction. Instead, you should duplicate or create a new kit without the component, as desired. Build a kit 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then click Inventory Items. The Inventory Items List page appears. 2. Enter or select the desired information in the Find, Search and for fields, then click [Find]. If necessary, click the magnifying glass icon next to the kit you want to build. The Inventory Item Detail page appears. 3. On the Inventory Item Detail page, on the Kit Component tab, click [Build Kit]. The Build Kit for Inventory Item pop-up page appears. 4. On the Build Kit for Inventory Item pop-up page, in the Kit Components group box, complete the following fields for each component, as applicable: In the Location field (required), epace automatically enters the default location where this component resides. If desired, select a new location from which you want to pull the component. In the Bin field (required), epace automatically enters the default bin where this component resides. If desired, select a new bin from which you want to pull the component. 5. On the Build Kit for Inventory Item pop-up page, in the Receive Kit Info group box, complete the following fields, as applicable: In the Number of Kits to Build field (required), enter a value, in whole numbers, to represent the number of kits you want to build (receive). Note: You cannot enter negative numbers in this field. In the Location field (required), select the location where you want to receive the kit(s). In the Bin field (required), select the bin where you want to receive the kit(s). 6. Click [Build Kit]. The Build Kit for Inventory Item pop-up page closes, and the Inventory Item Detail page reappears, with the applicable transaction information at the top of the page. 7. Generate general inventory reports 1. From the epace main menu, click Production, then move the mouse over Inventory Control, then over Reports, then over General Reports. 2. Do one of the following: Click Master Listing to view or print a master report of all inventory items. Click Inventory Order Worksheet to view or print a report of all inventory orders for a specified location or range of locations. Click Inventory Makeup Worksheet to view or print a report of all inventory orders used to bring inventory item quantities up to the minimum quantity allowed. Click Inventory Summary to view or print a summary report for specific inventory items. Click Stock Commitment Report to view or print a report of all allocated inventory items. Click Inventory Status to view or print a status report for specific inventory items. Click Bin Location Report to view or print a report of all bins and bin descriptions for specific locations. The Report Properties pop-up page for the report you selected appears. Note: The Bin Location Listing report, and not the Report Properties pop-up page appears if you select Bin Location Report. In the Include Page Break field, to include page breaks between multiple items selected on the report enter Yes. Otherwise, enter No. In the Display Active Only field or the Active Only field, to display only active inventory items enter Y. If you want to include inactive inventory items on the report, enter N. In the Display Active, Inactive, or Both field, if you want the report to display only active inventory items enter Active Only. If you want the report to display only inactive inventory items, enter Inactive Only. If you want to include both active and inactive items on the report, enter Both. In the Include Location Detail field, to display the details of the inventory location(s) on the report, enter Y. Otherwise, enter N. In the Include Zero and Negative Qty field, if you want the report to display items that have zero or negative quantities, enter Y. If you want to include only items with positive quantity values on the report, enter N. In the Detail or Summary field, if you want the report to display full details for the item, enter D. If you want the report to display only summary information, enter S. In the Display Low Stock Only field, to display only items that are low in stock, enter Y.
