Section 1: Getting Started SECTION OBJECTIVE In this section, you will learn how to: Access NATConnect Navigate NATConnect Filter and Search for Records in NATConnect Personalize Your Workplace INTRODUCTION NATConnect, powered by Microsoft Dynamics CRM, is the software tool that North American Title Company s Sales Professionals use to differentiate us from the competition. CRM is a Customer Relationship Management tool designed to leverage the talents of our Sales Teams by delivering a system that will help us achieve our sales goals and build strong customer relationships. NATConnect allows us, as a company, to manage our customer process in an efficient, cost effective manner. It includes the following automated functionality: Contact Management Company Management Prospect and Customer Communications Activities Tracking The automated capabilities will benefit our Sales teams by helping us: Improve our ability to confidently source, capture and convert leads and prospects into customers Assess the quality of our prospects Implement cost-effective e-mail communication programs Anticipate and respond to the needs of our current and future customers by analyzing their data Strengthen the relationship with customers by staying in touch and maximizing communication Deliver an exceptional and meaningful title and escrow experience Increase customer referrals Section 1 7
Section 1: Topic A: Accessing NATConnect NATConnect is a web application that can be accessed from any computer with internet access. Section 1: Topic B: Navigating NATConnect The Workplace is the first thing you see when you open NATConnect. Many elements are context sensitive, which means that what they contain differs depending on what part of the program you re viewing, what access rights you have, or both. You can also change your personal settings, which will further influence what you see on each screen. If you ve used Microsoft products before, you ll find many of the elements on the NATConnect screen familiar. There are two ways to access NATConnect the Web Client and the Outlook Client. Instructions for using the Outlook Client are provided in Section 6: Using the Outlook Client. The instructions directly below, in this section, pertain to the Web Client only. Window The largest part of the screen is called the Window. What you see here depends on what you have selected in the left navigation pane. For example, Contacts was selected in the above picture, so the window displays information related to Contacts. At the top of the window is the name of the area you re currently working in (Window Title). Directly below the title of the window, you see the Search for records field and its Search button as well as the View menu. Use these elements to filter records. Next is a row of toolbar buttons, such as the New and Print button. Records are displayed in the main area of the window. You can view any record that appears here by double-clicking on it. To preview additional details about a record displayed in the window, click the arrow to the left of the record name. A small window, called the preview, appears in the lower part of the screen with more fields than can be seen in the listing in the main window. Note: A record can not be edited in the preview window. 10 Section 1
At the top of the record listing are the column headings. Click a column heading to sort the records in ascending or descending order. To change the sort order, click the column heading again. To select one or more records for some type of action, such as sending an e-mail, click once to highlight the record. Or, to select all the records on a page click the top checkbox (in the column headings area). If you want to select only a few contacts, hold the Ctrl button down on your keyboard while clicking the appropriate records. Each record you click on will be highlighted. Many windows, particularly those with a list view such as the Contacts window, have a refresh button to the far right of the column headings. If a record has been edited but there is no evidence of that change in the window, click the refresh button. Several elements appear at the bottom of the window. The first is the scroll bar. Next, you see a row indicating how many records appear in the window. The current page is on the far right. When a listing has more than one page, the arrows surrounding the page number are no longer dimmed and you can use them to move from one page to another. The final element in the window is the alphabet bar. Click a letter in the alphabet bar to view records only beginning with that letter. This is a quick way to sort and find records. TIP Use the Shift key to sort by two columns (i.e., click the column heading for City, then hold down the Shift key and click the column heading for Last Name). The records will display in alphabetical order by last name within a city. ALERT Clicking the checkbox to select all records only selects all records displayed in that particular window. Section 1: Topic C: Filtering & Searching for Records NATConnect CRM offers user-intuitive filter and search capabilities. A filter is a type of search, in that you give the program search criteria and the filter function hunts down all the records that meet those criteria. You can apply filtering to a list of Contacts and more. You can use it to find one record or a thousand records. In almost every area of NATConnect CRM you ll see a Search for records field and a View menu. Use the Search for records field to enter information free form. If you re looking for the contact that just called you (and the call was lost) but all you remember is his first name, John, type that first name. To the right of the Search for records field is the View menu. This tells the application where to search and what to search while hunting for the text you entered in the Search for records field. To filter a list of records: (Select one of the options displayed on the View menu drop-down list.) TIP When searching, less is more. The fewer letters you enter as criteria, the more likely you will find the name you are looking for. To Search for a Specific Record or Group of Records ACTION COMMENT/ NOTES 1. In the Search for records field, type in a Use an asterisk ( * ) wildcard if the name or a few letters of that name to narrow text you re looking for is not at the your search beginning of a field. For example, to find all records that contain the word John, enter *john 2. Click the Lookup button All active records that meet the search criteria are dispvlayed 3. Click the Clear search button to clear the search and return to the previous view 12 Section 1 ALERT The search is not related to the view currently selected in the View menu. All active records will display.
Section 1: Topic D: Personalizing Your Workspace You can streamline your use of NATConnect by setting your regular workday hours, how you want your scheduled activities to appear, the starting point for the system each morning, and many other options. Options like these are called your personal settings. Basically, you are telling NATConnect how you like to operate. Note: It is important to verify that you are working in the correct time zone so that any activities you schedule display at the correct time. To Access Your Personal Settings ACTION 1.
