Instructions for Exporting Cart Data and Uploading Inpatient Clinical Data to Qualitynet Updated November 6, 2013 The process for submitting your Inpatient Clinical Data from CART to the Inpatient Clinical Data Warehouse is a three step process. We will demonstrate the inpatient process, but can be followed the same on the outpatient side by using outpatient CART. These instructions assume that you have already completed the abstractions. Step 1: Create a copy of each abstraction (as an.xml file) for the current discharge quarter and export the.xml files to a folder on your computer s hard drive. Step 2: Log into the QualityNet.org website, locate the.xml files that you exported during step 1, and upload them to the Inpatient Clinical Data Warehouse. Step 3: After you receive an automated data submission confirmation email from QualityNet you will log into the QualityNet.org website and verify your data was submitted successfully. Step 1: Select and Export CART abstractions to your computer s hard drive After logging into the CART application select Search from the Abstraction menu from the top menu bar.
If you want to limit the abstractions being submitted to a specific quarter, use the search criteria to search for discharge dates greater than or equal to the first day of the quarter and less than or equal to the last day of the quarter. Then hit the search button.
Now select the abstractions you would like to export from CART. The easiest way to do this is to hold Shift and click on the first and last abstractions. Be aware that if you have a lot of abstractions, you will need to scroll down to see them all. You should see that the abstractions are highlighted. Then press the Export button at the bottom. You will now be prompted by this dialog box. The default selections for File Type, Export Type, and Action Type are displayed and you will not need to change the values indicated below. The location C:\QMS30\workspace\Inpatient\export is the default export location on your hard drive. Take note of this location because that is where your CART abstractions will go. You ll need to know this when we log into Qualitynet. Hit the Finish button located on the bottom of the dialog box to export the.xml files you selected in the previous step to the C:\QMS\workspace\Inpatient\export location on your hard drive.
After completion of the export you will be prompted with the following message indicating that your data has been successfully exported to your computer s hard drive. Click the Statistics button to confirm how many abstractions were exported. You are now ready to upload your cases to the Inpatient Clinical Data Warehouse through Qualitynet. When you hit Close, you will get this alert unless you ve disabled it. This is your reminder to go to Qualitynet to upload your data. Hitting OK will take you directly to www.qualitynet.org.
Step 2: Upload your.xml files from your Hard Drive to the Inpatient Clinical Data Warehouse Access the www.qualitynet.org website using Internet Explorer. Once you have accessed the website click on the Sign In button. From time to time, it s also a good idea to Test Your System on the left side of the home page to ensure your system has the correct settings and Java versions. Enter your QualityNet.org User ID and Password into the appropriate boxes and hit Sign In.
You ll have to Accept the terms each time you log in. To access the data upload section click on the Hospital Inpatient Clinical link in the Submit Data section. Please note that what you see on your screen will be different than the screenshot below due to differences in QualityNet roles.
You may or may not see following box depending on your security settings. If you do, note that you will need to hit No, which isn t the default answer. You will not need to change any of the default selections indicated below. To upload your cases, select the Upload Individual Files button indicated on the bottom of the webpage.
You will be prompted with the following dialog box. Qualitynet will delete your exported CART abstraction XML files, but the abstractions will still be in CART. Select OK to proceed. Use the Look in drop down menu located at the top of the dialog box to locate the folder ( C:\QMS30\workspace\Inpatient\export ) that we exported the XML files to during step 1. After locating the folder ( C:\QMS30\workspace\Inpatient\export ), select any files you would like to export. The easiest way to do this is to hold Shift and click on the first and last abstractions. Then click the Open button to upload the files to the Inpatient Clinical Data Warehouse.
You should briefly see a Registering window while it uploads the files, like this: and then a message like this: You can hit OK and wait for the files to be processed by Qualitynet. After your files are processed, you will receive a confirmation sent to the email address registered on your QualityNet.org account. Step 3: Confirm the success of your data upload After receiving your confirmation email, sign in again to the QualityNet.org website and select the Run link found in the reports section.
Select Hospital Reporting - Feedback Reports from the Report Category dropdown menu, select Inpatient from the Report Program dropdown menu, and click on the Go button.
Click on the Hospital Reporting - Case Status Summary Report to view a summary of the number of cases submitted, accepted and rejected.
On the Report Parameters screen, select your hospital from the Select Provider(s) section, enter the quarter s discharge date Start and End Dates and click the Request Report Button. Select the View Reports tab to view your report.
After the status of your request is Complete, click the magnifying glass icon to view the Case Status Summary Report. You can click on the garbage can to delete it once you ve finished reviewing. This is a sample of the Case Status Summary Report. If you have some rejected, it is a good idea to also run the Hospital Reporting - Submission Detail Report to see why those cases were rejected. You may need to make some corrections and resubmit. Now go out and celebrate because you re done for this quarter!
