Keypad The numeric keypad with the keys 0 to 9, *, and # and can be used as follows: Entry of digits only (e.g., when dialing a phone number) Typing in letters and digits by pressing the keys repeatedly (similar to a mobile phone), etc. The Call Indication LED (2): Blinks red rapidly when call is coming in. Glows red steadily and brightly when dialling, when in a call, and when a call is on hold. Glows red steadily, but slightly dimmer, when there was a missed call. Press Cancel to turn it off. 2

LED s Line Keys (3): Blinks green rapidly when call is ringing on the local line mapped to it. Line Keys (3): Glows green steadily when ongoing call on the line. Line Keys (3): Blinks green slowly when call is on hold on the line. The Message LED (11) glows red when new message on mailbox. To cancel actions or input, use the CANCEL key (10). The ENTER key (8) confirms actions, selections, and entries. For navigation, use the large round navigation key in the middle (9). Symbols of functions that can be mapped onto the 4 soft keys underneath the display. 3

Dialing a phone number Telephone numbers are dialed on the numeric keypad. Dial the extension/telephone number and press the button. If the user has not pressed any keys for several seconds, the phone will remind the user to press in order to start the call. Redial Press the button. button. Select telephone number from a list and Press the Incoming call When your Snom 820 is called, it rings and displays the following screen: The call will be presented on one of the free Line Keys on the right. Accepting a call Picking up the handset, or pressing 820 is now in a call. will accept the call. The Snom Mute / Un-mute Press to mute all microphones (LED glowing green when mute); press again to turn microphones back on (LED off). 5

Denying/ blocking a call When the Snom 820 signals an incoming call, you have the option to deny the call by pressing, the caller will be directed to voicemail or press to transfer the caller to another extension. Hold and resume When a call is in progress, press the Hold key to put the ongoing call on hold, i.e. neither party can hear the other. Held calls are indicated threefold: by the text on the display, the line key is slowly blinking green, and the call indication LEDs is glowing red. You can now: Transfer the held call blindly or with prior announcement see page 31. Receive and make calls and put other calls on hold. Pick up the held call by pressing its line key or by pressing Hold again If the other party hangs up while on hold the call terminates on your phone as well and the indicators are turned off. Transfer Direct Transfer When you have a call on the line, transfer the call to a third party. Press the Transfer key. Dial the number of the third party you intend to transfer the call to. Press. Transfer to Voicemail Press the Transfer key. Dial 8 followed by the number of the third party you intend to transfer the call to. Press. 6

Consultation Transfer When you have a call on the line, transfer the call to a third party. Press the Hold key. Dial the number of the third party and press. When the phone is answered, announce the call you intend to transfer. Press the Transfer key then press or hang up. Call Parking During a call in progress, put the connected party on hold, press *85. You will hear a message informing you that the call has been parked. Pick up Parked Call Dial *86. (If more than one call parked system will select which call to pick up). Pick up Specific Parked Call Dial *86 and the park orbit number. (The extension number of the user that parked the call) Call Pick Up To answer a call ringing at another extension Press *87 or press the Pick Up soft-key if configured. Conference During a call in progress, with the two other parties on hold, press to start the conference. Press to turn on the casing speaker, if needed. 7

Press on hold. to end the conference. The other participants will be put back Mute / Un-mute To mute the microphone during a call, press (LED glowing green when mute); Press or the function key to enable the microphone again (LED off). DND Mode on/off Press key to turn Do not disturb mode on. The display will show: All incoming calls will be forwarded to the number set in call forwarding or go to voicemail if there is no setting for call forwarding. Press key again to turn DND off. Adjusting the volume Press the right or left side of the key to increase or lower the volume: 1. of the ringer while phone is ringing. 2. of the speaker/microphone while in a call. 8

Handset / Handsfree / Headset The Snom 820 supports calls made using the handset or the handsfree capability. During a call, it is possible to switch between the two modes by pressing the Speaker key. When a headset is connected and the audio output is set to headset by pressing, the handset will treat the headset as the output device for calls. When a connected headset is the default setting for speaking on the phone, which will, for example, normally be the case in a call center environment, the key is used to accept incoming calls. Call Diversion All kinds of call diversions can be set, changed, and deactivated in the menu item Call Forwarding. Press the Menu button, select Call Features, select Call forwarding. (Short cut: Menu, 2, 1) Setting and Turning on Call Forwarding Forward All: Forwarding all incoming calls to the number of the phone, extension or mailbox specified as this function s target. Press Menu key. Press 2 Call Features. Press 1 Call Forwarding. Press 1 Forward All. Press 2 Target when Forwarding. Type number Press. Press 1 Enable Forwarding. Press to show Yes on display. 9

Press. Press ESC to return to the idle screen which now shows the very large call forwarding symbol and the number calls are being forwarded to. To turn call forwarding off, follow steps as above. Press No on display. Press Forward when Busy. Press ESC to return to the idle screen. Calls ringing while phone is busy are forwarded to the number of the phone, extension, or mailbox specified as this function s target. Press Menu key. Press 2 Call Features. Press 1 Call Forwarding. Press 2 Forward when Busy. Press 2 Target when Forwarding. Type number. Press. Press 1 Enable Forwarding. Press to show Yes on display. to show Press. To turn call forwarding off, follow steps a through h, above. Press to show No on display. Press the idle screen.. Press ESC to return to Forward after Timeout When a call starts ringing, the phone will wait for the number of seconds specified. If the call is not accepted by the end of this time period, it is forwarded to the number of the phone, extension, or mailbox specified as this function s target. Press Menu key. Press 2 Call Features. Press 1 Call Forwarding. Press 3 Forward After Timeout. Press 2 Target when Forwarding. Type number. Press. Press 3 Call Forwarding Time. Type number of seconds. Press. Press 1 Enable Forwarding. Press to show Yes on display. Press. Press ESC to return to idle screen which now shows the call forwarding symbol and the number calls are being forwarded to in the information line. To turn call forwarding off, follow steps a through h, above. Press to show No on display. Press the idle screen.. Press ESC to return to 11

Turning off Call Forwarding 1. Press Menu key. 2. Press 2 Call Features. 3. Press 1 Call Forwarding. 4. Press 1, 2, or 3, depending which call forwarding event is currently set. 5. Press 1 Enable Forwarding. 6. Press to show No on display. 7. Press. 8. Press ESC to return to idle screen. Use this sub-menu to select the time the system should wait before forwarding call when Busy is selected as forwarding event. Phone book The Snom 820 contains an internal phone book that can be accessed from the phone s idle state by pressing function key. Adding an entry Press function key. Select <New Item> using the navigation button and press Enter the name and confirm by pressing Enter the phone number confirm by pressing The title of the window indicates which input is expected. Pressing aborts the addition of a new entry. Up to 250 entries can be placed in the phone book. Editing an entry Press function key. Select the entry using the navigation button and press Confirm each item by pressing. The title of the window indicates which input is expected. Press to confirm the data; press to abort the editing. 12

Deleting an entry Press function key. Select the entry using the navigation button and press Accessing Call Logs Press the feature key Select a list using the menu key Press Setting up your Voicemail Press *97 If it is the 1 st time you are accessing your mailbox, you will be prompted to record your name. Follow the prompts. You will be directed to the Main Menu of your mailbox. - Select Option 1 to listen to your messages. - Select Option 2 to change your access code and press # to save. - Select Option 3 to record your name and press # to save. - Select Option 4 to record your personal greeting and press # to save. When messages are left in your mail box, the message waiting indicator lamp. To access your messages press button. While listening to voicemail messages: Dial 1 to rewind the message Dial 2 to stop play back Dial 3 to fast forward. Dial 4 to repeat the message Dial 5 to hear the message details Dial 6 to send the message to another mailbox Dial 7 to delete the message Dial 8 to return the call (if caller withheld their number this will not work) Dial 9 to save the message. 13

Locking the keypad - The keypad on a Snom handset can be locked by pressing and holding the button until the symbol is displayed on the screen. - To unlock the keypad, press and hold the button until the symbol disappears. If a PIN has been added, the keypad is locked in the same manner as above. - To unlock the keypad, press the button until the display prompts for the pin. Enter the pin number and press the button. Note: Pin numbers must be configured by the system administrator. Call intrusion: Note: Permission must be assigned by the system administrator in order to use this feature. The call intrusion features enables an extension to listen in to another extensions conversation provided they have been assigned permission to do so. There are three modes. 1. Call Barge-In: Is this mode a tone will be played to both parties to indicate that someone has barged into the conversation. Both parties will be able to hear the user that has barged in. 2. Call Tech Mode: In this mode only the extension on the PBX is made aware that someone has barged into the conversation. The user joining the call can speak to the extension user with out the 3 rd party being aware. 3. Listen In Mode: Neither party in the conversation is aware that another user is listening and neither party can hear the user that has barged in. To Barge into another extensions call dial *81+extension number and press To Barge in using Tech Mode, dial *82+extension number and press To Barge in using Listen In Mode, dial *83+extension number and press 14
