Sharing Favorites Many objects in DATIM, such as reports and charts can be shared. By sharing a report or chart in DATIM, you are making an object available to a defined group of users. It is important to note that DATIM configuration limits what a user can see within a shared item dependent upon permissions associated with the user s account. Users are limited to viewing data they have access to through their associated user role. User Groups and Permissions User Groups allow for multiple users to access DATIM with a defined set of permissions. Permissions are modified to enable certain users to only access specific functions in DATIM (such as read-only, data entry, data submission at the various DATIM workflow levels). Sharing a Report via Favorites (Setting Permissions) Reports can also be shared through the Favorites feature which is available in both the Pivot Table and Data Visualizer applications. When sharing a report through the Favorites feature, please be aware that users are invited based on the DATIM user groups. Example 1: An Angola CDC Agency user creates a Report and has the ability to share the report with all Angola Implementing Partner user groups belonging to CDC mechanisms or other CDC Agency user groups in Angola: Only CDC user groups and Implement Partners user groups that are members of CDC mechanisms in Angola are displayed as options Example 2: An Angola Implementing Partner (African Field Epidemiology Network 9953) user creates a Report and has the ability to share the report only with other implementing partner user groups belonging to the same mechanism: Page 2
Only Implement Partner user groups belonging to the same CDC mechanism in Angola are displayed as options Example 3: A Global User creates a Report and has the ability to share the report with any user group in DATIM through the Sharing Settings feature. The Search function will display all available user groups in DATIM Sharing a Report with a Specific DATIM user DATIM does not allow the sharing of reports with a specific user in the system. Sharing via an Exported Report When it is important that recipients of your shared report, chart, or other object to see the same data values, you may wish to share an exported version of the object instead of the favorite. Reports can be exported and saved in.csv format for additional analytical functionality. Page 3

Sharing a Report or Table in DATIM via Permissions Settings (Favorites) 1. To access the permissions menu for Sharing a Favorite, navigate to the Pivot Table app or the Data Visualizer app from the DATIM apps toolbar. 2. Once making a selection, click the Favorites dropdown from the top navigation bar. Page 5
3. From the list of saved Favorites, locate the report which needs to be shared, and click the blue icon located to the right of the favorite. 4. Once the Share Settings menu displays, the applicable user group(s) (groups of users in DATIM) can be selected by searching for the group by keyword. 5. Once the desired group(s) are selected, click the + button to add each user group to the list of approved Page 6
6. Click Save once all user groups have been selected Accessing a Shared Pivot Table or Graph in DATIM and Saving to Favorites 1. To access a graph or pivot table that has been shared, navigate to the DATIM homepage 2. Enter the name of the shared graph or pivot table into the Search bar which will auto-populate with any titles matching the keywords entered. Click the title of the graph or pivot table. Page 7
3. Once the desired graph or pivot table is selected, the graph or pivot table will populate. From the report window, click the Favorites dropdown from the top navigation bar. 4. From the Favorites dropdown, click the Add New dropdown. 5. Create a name for the report being added to Favorites and click Create. Page 8
Creating a Public Graph or Pivot Table 1. To access the permissions menu for Sharing a Favorite, navigate to the Pivot Table app or the Data Visualizer app from the DATIM apps toolbar. 2. Once making a selection, click the Favorites dropdown from the top navigation bar. Page 9
3. Select a Favorite from the list which will be made available publicly and click the blue icon located to the right of the favorite. 4. Once the Share Settings menu displays, select an option from the Public Access dropdown menu. Note: this feature enables any user in DATIM to review the report and its contents. 5. Once the desired selection has been made, click Save. Page 10
Downloading and Exporting a Report 1. To access the download menu for Downloading a Report, navigate to the Pivot Table app or the Data Visualizer app from the DATIM apps toolbar. 2. Once generating a Report, click the Download dropdown from the top navigation bar. Page 11
3. Once selected, choose from the list of export/download file type options to generate the report. Adding a Shared Report to the Dashboard 1. From the DATIM homepage screen, enter the name of the report that has been shared. A list of reports matching the keywords will display. 2. From the list of displayed reports, locate the desired report and click Add. Page 12
3. The report will now display on your dashboard. Page 13
