ONLINE SPACE APPLICATION GUIDE Part I: Individual application Part II: Group application Dated 4 May 2017
Save as Draft function The Save as Draft function allows exhibitors to save their application at any stage of the application process by clicking Save as draft. Please click Create ID after you have provided your email address and password. Please note your application is not complete at this stage. To retrieve your saved draft, please log in with your email ID and password. To begin application for space 1. Please tick the check box to accept the terms and conditions of your participation at ITMA 2019. 2. Click Next to begin your application. 2
PART I: INDIVIDUAL APPLICATION 1. Select Individual Application for single company applications. Note: Group applications are for related companies seeking admission into ITMA 2019 sharing a common booth. 2. If you were an exhibitor at ITMA 2015, click Yes to allow the system to populate your company details in Section 1a of the application form. 3
Section 1a Company Details Type in your details as indicated in the form. All mandatory fields have been marked with a red asterisk (*). Section 1b and 1c If details for Section 1b and/or Section 1c differ from Section 1a Company Details, expand the fields to input the relevant information. 4
Section 2 Sector Allocation Select the product chapter and category from the drop-down menu. Click Next to continue. Section 3a Exhibits of the Company 1. Select product chapter, category and codes and provide description of exhibits (if any). 2. If you are exhibiting a new product, please click Choose file to add a brochure of the exhibit. 3. Click Add to List to confirm the selection of product codes. 4. Repeat the same steps as above to add another product code. 5. If you will like to remove a code which was added previously, click Delete. Section 3b Exhibits of Other Exhibitors Input the product codes of other exhibitor s exhibit if you are displaying them at your stand. The steps to add product codes are the same as stated in Section 3a. 5
Section 4 Exhibitor Catalogue 1. The product codes entered at Section 3a will auto populate into Section 4. 2. You can delete your catalogue codes by clicking the DELETE button corresponding to the code. Deleting the code in Section 4 will automatically delete the code in Section 3a. 3. Add all product codes to be entered into the exhibition catalogue. Refer to Section 3a to add product codes. 4. Click Add to List to confirm the selection of product codes. 5. Click Next to proceed once all the product codes have been added. Section 5 Space Required Dimensions of space required will be stated in metres. 6
Section 6 - Comments 1. You can indicate your comments (if any) in this field for Organiser s reference. 2. Click Next to proceed. 7
Review of Application 1. You are required to review your application details before submitting. 2. Click Prev to edit your information (if required). 3. Click Submit at the end of the page to submit the application. 8
Acknowledgement of submission You will arrive at the acknowledgement page after clicking Submit. You will receive an authentication email (sent to the email address indicated in Section 1b) containing an authentication code and a web-link. Note: Your application will only be complete after you have completed the authentication process. Authentication Process 1. Click on the web-link in the authentication email to start the authentication process. 2. You will be directed to the authentication page. Input the authentication code into the box Applicant's legally valid authentication code. 3. Please ensure you do not have additional spaces or symbols, as the code is case-sensitive. 4. Click Submit to complete the application. Authentication email Authentication page 9
Acknowledgement of Authentication You will be directed to an acknowledgement page to indicate that you have successfully submitted your application. Email: PDF Copy of Application Form and First Invoice of 20% Deposit 1. The PDF copy of the application form and the invoice for the first 20% deposit will be attached to the email for your reference and action. 2. The application will be processed only upon receipt of payment for the first 20% deposit. -End of Individual Application- 10
PART II: GROUP APPLICATION IMPORTANT NOTE: Group applications are for related companies seeking admission into ITMA 2019, sharing a common booth. Select Group Applications. If you were an exhibitor at ITMA 2015, click Yes to allow the system to populate your company details in Section 1a of the application form. Provide Group Name The Group Leader will be required to provide a Group Name for the group application. Note: The group name will only be used for processing of group applications. The group name will not be listed in any promotion materials or exhibition catalogue of ITMA 2019. The application process for the group leader is similar to the individual application. Please refer to PART I: INDIVIDUAL APPLICATION in this guide to begin the application process. 11
Section 5: Total Space Required (group leader) 1. The Group Leader will be required to indicate the group s total space requirements. 2. The space allocated to the Group Leader (within the group s total space) will have to be indicated. 3. Click Next to proceed. You will be required to review the details in the application form. Review of Group Leader Application 1. You are required to review your application details before submitting. 2. Click Prev to edit your information (if required). 3. Click Proceed to register group members to begin application for your group members. 12
Application for the next Group Member 1. After submission by the Group Leader, application for Group Member companies can be done by clicking Add New Group Member Application. All Group Members will be located with the Group Leader in the same stand. 2. The application process for Group Member will be similar to that of the Group Leader. All mandatory fields in the application form will be required to be completed. Section 1c: Invoicing details of Group Member 1. All invoices for space rental fees by Group Members will be billed to the Group Leader. 2. Group members can choose to be invoiced for their respective space rental fees by removing the tick in the Invoice to Group Leader box. Section 4: Space allocated to Group Member 1. The Group Leader will be required to allocate space to the Group Member (within the group s total space). 2. Click Next to review the application details of the group member. 3. Click Proceed to register group member to include the group member into the group application. 13
Group application listing Summary of companies in group application 1. Click Add New Member Application for further applications by group members. 2. The summation of space allocated to the Group Leader and Group Member(s) should equate to the group s total space requirement. 3. Once you have added all group members, click Group Application completed. Submit now. 4. The group leader will receive an authentication email (sent to the email address indicated in Section 1b) containing an authentication code and a web-link. 5. Upon completion of the authentication process, the PDF copy of the application form and the invoice for the first 20% deposit will be attached to the email for the group leader s reference and action. 6. The application will be processed only upon receipt of payment for the first 20% deposit. -End of Group Application- 14
