Family Facilitator Database Quick Tips: Logging In 4. At the Family Facilitator login screen, you will enter your password and then click LOGIN a. Your username is your entire email address b. Your password is spdg2012 c. Once you login the first time, you will be automatically prompted to change your password. Enter your new password and then re-type it again to verify the new password d. If you forget your password, click FORGOT YOUR PASSWORD? You will need to type your entire email address, and then your password will be sent to you via email. a Your entire email address b spdg2012 d c Once you login the first time, you will be prompted to establish a new password of your choice. Once you click CHANGE PASSWORD, you will have to log back in with your new password. 3

If you would like to logout it is in the top right corner d. Your menu options are listed in brown under WHAT WOULD YOU LIKE TO DO TODAY? e. Family Facilitator Database Quick Tips: Input Activity INPUT ACTIVITY 1. On main menu, select INPUT ACTIVITY when you are ready to enter data on a family educational session that you have conducted. 6
Family Facilitator Database Quick Tips: Input Activity 2. Answer all questions on the INPUT ACTIVITY screen a. Enter the entire title of the workshop a b. Enter date manually (M/D/YYYY) or click the calendar icon to select date c. Select school year ~2012: July 1, 2012 June 30, 2013 ~2013: July 1, 2013 June 30, 2014 ~2014: July 1, 2014 June 30, 2015 ~2015: July 1, 2015 June 30, 2016 b c d. Enter the # of hours that applied to each focus area for this event. ~You may only enter 0.5 (30 minutes) or 1 (1 hour) ~You may choose more than one focus area ~If there was a topic that does not fall within the 4 focus areas, indicate the time in the OTHER category and then type the topic in the OTHER (DESCRIPTION) box. d e e. Enter the # of participants based on your sign in sheet. The total # will automatically calculate. 7

These two questions are required on all of your surveys/feedback forms from your event. ~Enter only whole numbers ~Do not include the % symbol ~See examples below f. Example 1: If 20 participants attended your workshop and 17 reported on a feedback form an increase in knowledge, you will calculate 17/20 X 100 which is 85%. You will type 85 in the top box. Example 2: If 38 participants attended your workshop and 21 reported on a feedback form an increase in skills, you would type 21/38 X 100, which is 55%. You will type 55 in the bottom box. g. This section is voluntary. Include any pertinent information about location, outcomes of the event, next steps, etc. g h. Always click SAVE when you are finished entering information on the screen. This will automatically bring you to a blank entry screen in case you are adding multiple events at one time. h 8
EDIT MY ACTIVITY Family Facilitator Database Quick Tips: Edit My Activity 1. On the main menu, select EDIT MY ACTIVITY to change information for a specific event, print an activity summary, or delete an event. 2. Once you select EDIT MY ACTIVITY, you will see a listing of all of your family educational sessions; the newest event will be listed first. If you would like to edit or print an event, click EDIT to the right next to the name of the event and user. 9
Family Facilitator Database Quick Tips: Edit My Activity 3. On the screen you can a. Edit the information and click SAVE. This will save your new information over the previous information you entered for the event. b. Delete the entire event by checking the CHECK THIS BOX TO DELETE THIS EVENT section at the bottom of the page and click SAVE c. Click VIEW PDF to save or print event summary a. Make changes to previously entered activity, then click SAVE below. This will save over old information entered for this event. b. Check this box and click SAVE to delete an entire event c. Click here if you want to view pdf to save event or print 10
VIEW REPORT 1. On the main menu, select VIEW REPORT to generate a report on your events. Family Facilitator Database Quick Tips: View Report 2. Once you select VIEW REPORT, you may generate a report (By School Year or By Date Range) a. You can generate a report for the entire school year by selecting a school year from the dropdown menu OR b. You can select a start and end date range. When entering a start and end date you must use the format M/D/YEAR (EX: 5/10/2012) or you can just click the calendar icon and select the date c. You must click GENERATE to generate the report. a. Select school year b. Enter start/end date manually using M/D/YEAR format or click the calendar to select date b c a c. Click to generate report 11

Click EXPANDED VIEW for more details of the event b. Click DOWNLOAD TO EXCEL for the event details to be downloaded into an excel file c. Click VIEW PDF at the bottom of the screen to save to your computer or to print out a b a. Click EXPANDED VIEW to see all details of the event b. Click DOWNLOAD TO EXCEL to have event data for a focus area downloaded into an excel file The total # of hours and participants will be calculated for each focus area c. Click VIEW PDF in order to save file or print document 12
