Hi this is Anna Jarrett, I am here to present today s Digital Cookie online training. You will notice on the top right on most slides I have a page number referencing the Cookie Manual that you will receive once you view the Mandatory online training and fill out the training confirmation form. 1

Digital Cookie was developed by GSUSA in conjunction with Little Brownie Bakers. This platform allows girls to take electronic orders for cookies. Customers have the ability to pay for cookies and have options for delivery of their cookies. To get started- watch for your registration email from Girl Scout Cookies.org. Reminder we do need a valid email address in order for the parent or leader to receive this email. To update your email call Customer Care at 1-844-476-4463. Please be sure to check your Spam, Junk or Promotions folder if you do not receive this email. 2

There are many features of Digital Cookie 4.0. All the cookie badges are available for girls to earn! There is more access for Troop Leader or Cookie Chair to view girls sales information. Two rewards being offered specifically for Digital Cookie. Girls can earn Cookie Techie Patch for sending 25+ emails through DOC! Brand New- Girls can earn the S mores Sticky Notes for selling 60 boxes through DOC! 3

Watch for your parent registration email from the Girl Scout Cookies.org. Click on the green button in the email. Once you click on the link you ll be on the Digital Order Card site. You ll be prompted to create a password. Use your new password to log in. Remember to use the same email address where you received your registration email. Watch and review the Safe Selling for Smart Cookies video with your Girl Scout. You cannot proceed any further until the video has been viewed. Read and accept the Terms and Conditions agreement. Lastly, read and review the Girl Scout Safety Pledge with your Girl Scout. 4

Click on the register button next to your daughter 12 years of age or under. Enter their preferred first name. A Girl Email is not required for a Girl Scout if she is 12 years and under as the parent is the owner of the site. If you have multiple daughters, do this for each girl. If the Girl Scout you are registering is 13 years or over, on the Register my Girl Scout page you will enter her email address. She will then receive her own registration email and follow similar steps to complete her own registration. Click on Access Site and you will be taken to the first girl s home page. Once you have registered, watch your inbox for a registration confirmation email and save this email where you can find it during cookie season. 5

If you have not received your registration email, confirm the following: 1. Check your junk/spam/promotions inbox. 2. Confirm your Girl Scout s membership registration is completed. 3. Confirm what email address is connected with your Girl Scout s membership. This next step will ONLY work if your Girl Scout is a registered member for the current Girl Scout year, and GSNI has your correct email address on file. Go to digitalcookie.girlscouts.org. Click on the Forgot Password/Need a registration email link. Enter the email address you used to register your Girl Scout s membership. You will be sent an email with the subject Your request to change your Digital Cookie password in about 15 minutes. When you receive the email, click on the Reset link in the email. You will be taken to a page to reset your password. If you do not receive an email to reset your password, and you know your Girl Scout is a registered member, and you are using the correct email address, go to digitalcookie.girlscouts.org again, enter the email address, and click on Contact us now. 6

Once a Girl Scout has registered her site, she will be sent to this screen. This is her dashboard or home page. Now a girl (with her parent if 12 years and under) can navigate through the tabs at the top of the screen to personalize her information and set-up her customer facing page. Emails can be sent to customers starting on January 5. Once the Girl Scout has set up her site, she will have a unique URL -website link to her customer facing page. She can use this URL to post with her parent on social media, write her own email and include the link, or include on door hangers when going doorto-door when potential customers are not home. This URL link is located on this tab. 7

Let s discuss how to set up your daughter s site.. If she is 12 and younger. Parents should login with the email and password used to get started for Girl Scouts 12 years and under. If the parent has multiple roles such as Leader or Cookie Chair, be sure to choose parent as the role from the drop down menu. Girl Scouts 13 years and over should login with their email and password used to get started and not use their parent s information. Click on Setting up your Digital Cookie Site on the Welcome page or click on COOKIE PAGE SETUP at the top of the page. There are four steps to setting up your Girl Scout s site. Step 1: My Sales Target. Girls will enter the box goal for both online and offline sales. Online sales will automatically be entered and the calculator will show approximately how much the troop will earn. Girls may also enter their offline sales throughout the program to see her complete progress. Step 2: My Cookie Story. Girls can tell their customers about their troop goal and why it s important. Girls can also share what they have learned or hope to learn from the Cookie Program. Girls can update and change this at any point throughout the program. Step 3: Photo/Video Upload. 8

Girls can choose to upload a photo of themselves or use a picture from the gallery, OR girls can upload a video of themselves or use the Cookie Boss video. Click on How to make a video for tips on making a great video! Step 4: Click on SEE YOUR SITE AND PUBLISH. This is what the customer will see, so be sure to review the following things with your Girl Scout. Check that the spelling and grammar is correct. Does it tell her story? Make sure the photo or video is displaying correctly. Is the goal accurate? If changes need to be made, click EDIT. Once everything is as you and your Girl Scout want it, click on APPROVE AND PUBLISH. Please note: If the button only says SEE YOUR SITE, some required fields may be missing or no changes were made. Go back and check that everything needed was completed. Girls 13 years and over will click on SEE YOUR SITE AND SUBMIT FOR APPROVAL. A preview of her site will display, and she can either make additional edits or SUBMIT FOR APPROVAL by her parent. Once the girl has submitted the site for approval, the parent must approve before it can be published. The parent will receive an email notification that her daughter s site needs approving. The parent should click on the green button LOGIN IN TO DIGITAL COOKIE to be sent to the Girl Scout s site preview. The parent should review the site (see items to review above) then either click on APPROVE AND PUBLISH or EDIT. If the parent edits the site, he/she then needs to click on APPROVE AND PUBLISH when completed. If changes are made, the parent should explain and discuss what changes and why they were made with her Girl Scout. Your Girl Scout s site is now ready for customers! 8

Digital Cookie 4.0 offers all program age level appropriate cookie badges for your Girl Scout to earn. Please remember, these badges are not part of the rewards and must be purchased separately at a GSNI council store. On this tab a list of the program age level appropriate Cookie Badges will be displayed. Girls complete the requirements for each badge at her own pace. If there are activities within Digital Cookie that will help her complete the step, links will be included. When the girl finishes all the activities for the step, click on the box indicating completed. A check mark next to the step completed will show on the badge page. When all the steps are completed, a congratulations message will appear and the colored in badge will appear on the girl s MY HOME page. 9

After clicking on the games and videos tab, girls and parents will see a screen similar to this. In addition to being fun, many of the activities on the site will help girls earn their cookie badges. The triangle icons on this screen, indicate those activities. 10

The first section of the Customer page is My Cookie Customers. On the My Cookie Customers page, Girl Scouts can add and delete customers individually, import customer lists in bulk, send marketing emails, and export customer lists to save on your computer in a separate file. If your Girl Scout participated in Digital Cookie 3.0 last year, her customers should still be listed. Click on a customer s name to view details about any online order history. Click on ADD CUSTOMER to manually enter individual customers and their contact information. Only the first name field is required. However, to maximize marketing, girls should enter as much contact information as possible including the email to have the ability to send marketing emails. All information is not required, but girls can use the features to save and track information on all their online and offline customers. When completed click ADD CUSTOMER. Once customers are added and ready to receive information about the girl s cookie sale, follow these steps. Click on the box in front of the customers the girl wants to contact and click on SEND MARKETING EMAILS. Select which of the three emails the girl would like to send to the selected customers Open for business, There s still time to order cookies! or Thanks for your support. 11

To find out more about each of these emails and see a preview, go to the Connect with Customers section of the customer page. If the girl would like to keep a list of her customers in a separate file, click on EXPORT and follow the instructions to save the file to your computer. 11

Girls can learn more about marketing to her cookie customers using the Connect with Customers sections. These are great skills that can increase her sales. Girls will see the three different emails available to send to customers and review tips and suggestions to maximize her cookie business. They can select which of the three emails they would like to send. Each of these emails can be previewed before sending. Once decided, click on the box next to the email you want to send to and then click- Send Email at the bottom. Girls can also see when customers will receive automatic emails from Digital Cookie, such as when the customer places an order or when an order has been shipped. 12

Across the top of the site once you login, there will be helpful tabs. The Help tab will take you to frequently asked questions. The Contact Us tab will redirect you to the Customer service portal where a lot of questions can be answered. There is also a live chat section. 13

At the top of the screen you will see a tab titled- Settings. This tab is where you can change your password. This will also list the girls you have registered. 14

A popular delivery option is to have cookies shipped directly to a customer s home! This is great for friends and family out of town that a Girl Scout cannot deliver to inperson. Shipping fees are paid by the customer ordering the cookies. The customer is informed up front of shipping fees before confirming their order. Shipping rates are listed here. The customer receives their cookies within a few days of ordering, even if it is during GSNI s initial order time. 15

Once a customer receives an invitation to Girl Scout s Cookie Website, they will see what the Girl Scout saw when previewing her site. The customer can see the girl s goal, read her Cookie Story, and view the girl s photo or video. The customer can also of course place an order!!! The customer chooses the types of cookies they want, the form of delivery, and makes payment with a credit or debit card for their order. Let s discuss the types of delivery a customer can select: Ship to a customer. -A minimum of 4 boxes of cookies must be ordered by the customer for this delivery option. -Shipping fees are paid by the customer. The customer receives their cookies within 2-10 days of placing order. There is also a Donate option. A customer can choose to order cookies to be delivered to the council s Gift of Caring program which sends cookies to military organizations locally and around the world. There is Girl Delivery or also called In-Person Delivery option. -A customer can request the girl deliver the cookies to them in-person. -This type of delivery must be approved by the parent. -Customers will be required to select a second option of Donate Cookies or Cancel the Order in the event the parent declines approval of the order or takes no action within 16

10 days of the order being placed. -This option will only be available to customers through Wednesday, March 8, 2017. One or more varieties of cookies may not be available to the customer depending on inventory at either the shipping distribution center or locally at GSNI cookie cupboards. In the event of depleted inventory, the cookie variety will be grayed out, and the customer will be unable to select that type of cookie to order. Payment is processed at the time of the order with the exception of Girl Delivery option. Payment for these orders are processed after the parent approves or declines the order after 10 days of no action. 16

Congratulations! Your Girl Scout is receiving DOC orders. Now what? Let s go over the procedure for Shipped and Donated Orders: -When a customer places an order for shipping or donation, the parent or Girl Scout 13 years and over will receive an email. -There is nothing that needs to be done at this point- except sending a thank you email, but there is information girls will want to know. Click on LOGIN TO DIGITAL COOKIE in the this email and login into DOC. Click on the COOKIE ORDERS tab to see all orders received. Girls can review who purchased the cookies, how many, when, their method of receiving, and if the customer is in the girl s CUSTOMERS tab. Clicking on any of the orders will bring up details about the customer and their order. If the customer is not listed in the CUSTOMERS tab, indicated with a NO in the last column, the girl can click on the box in front of the customer s name and click on ADD TO CUSTOMERS TAB. This will give the girl the ability to send a thank you email as well as send marketing emails to this customer next year. 17

When a customer places an order requesting In-Person or Girl Delivery, the parent, regardless of the girl s age will receive an email with the subject You have a Digital Cookie in-person delivery approval request! -First click on VIEW ORDERS AWAITING APPROVAL in the email and login to the DOC. -Then click on the COOKIE ORDERS tab. View the list of all orders that need approval. Each order will include the order number, number of boxes ordered, the customer s address, when the order was placed, and the number of days remaining for the parent to approve before it reverts to the customer s second choice. 18

When determining approval, consider the following things. -Do you know and trust this individual? Are you willing and/or able to deliver the cookies to the customer within a reasonable time period? -If the order is placed after the initial order, do you or your troop have the inventory or are able to get the inventory to fill this order? -If all looks good, click the boxes in front of the customer s name of the order you want to approve and click on APPROVE ORDER. Payment for the order will be processed after you approve. -If, for any reason, the order cannot be fulfilled, click the boxes in front of the customer s name of the order you need to decline and click on DECLINE ORDER. Please note- the customer s credit card will show a pending transaction, but the card will not be charged until the parent approves the order. You may click on a specific order to view all details of the order as shown here. Then you can select Reject or Approve Order. Some helpful tips and reminders: -Once a parent completes the approval or decline process, the action cannot be changed, and an email is automatically deployed to the customer with the result. -When an order is declined by parent or default, the order reverts to the customer s second choice. 19

After an order is approved, it moves to the section titles Digital Cooke Orders to Be Delivered In-Person and parents will receive an email letting them know the payment for those cookies was received and a copy of the order. How to get the cookies and deliver to the customer. -If the order is received and approved prior to Sunday, January 29 or when your Troop Leader submits the Troop s Initial Order, you will receive the cookies for the order with your initial delivery in February. -If the order is received after initial order time, you will need to get these cookies from your Troop Leader to deliver to the customer. Once cookies have been delivered to customers, log back into DOC and mark those orders that have been delivered by clicking on the box in front of the customer s name and click on ORDER DELIVERED. This action will move the order to the last section on the page Digital Cookie Orders Completed or Cancelled. 19

The Digital Cookie Mobile App is returning! Girl Scouts 13 years and over and parents will now be able to download the Digital Cookie Mobile App which is available for Apple and Android phones so customers can purchase cookies when face to face using DOC! After a girl s site set-up is complete, the app can be downloaded to a smart phone. Parents with girls 12 years and under will login with their email and password. Girls 13 years and over will login with their login and password. Let s go over the 3 delivery options offered: First- Ship to Customer. Customer will pay the shipping charges presented on the previous slide. Second- Girl Delivery/In-Person Delivery. Parent approval is still required before cookies are delivered. Third- Hand to Customer. This is a unique option for Digital Cookie Mobile App ONLY! This option assumes the girl has the cookie boxes in her hands as she is talking to the customer. For the In-Hand Delivery option there is no additional cost to the customer, no minimum box order and no parent approval required. The Girl Scouts simply hands the cookies to the customer at that exact point of the sale. Customers may also use the app to purchase cookies to be donated through the Gift of Caring program by selecting Donation as the delivery method. 20

To finalize the order: Enter Payment information. The final confirmation of their order and total cost is displayed. Then simply complete the order. 20

For you as the Cookie Chair or Leader, you have the ability to see more information and be able to track the online sales of girls in your troop. The top portion of troop dashboard will look similar to this screen shot and include information on total online sales, sales by cookie type, volume of sales by week and sales by delivery method -Shipped, Girl Delivery or Donation. Cookie Chairs and Leaders can change their role from a parent to a leader under the Select a Role menu. If you do not have an option to chose the leader role, you have not logged into ebudde and been synced with DOC with that role. Please contact the Product Program team for assistance. 21

For you as the Cookie Chair or Leader, you have the ability to see information and be able to track the online sales of girls in your troop on your Troop Dashboard. You can view information on total online sales, sales by cookie type, volume of sales by week and sales by delivery method -Shipped, Girl Delivery or Donation. This is a view of the bottom portion of the troop dashboard. Cookie Chairs or Leaders can see their girl s progress at a glance to encourage their customer service skills. You will see all the girls in your troop and details including the parent email connected to her account, date of birth, if they have set up a site, sent customer emails, and/or have orders, including any pending orders. To see more details about each girl s order, Cookie Chairs or Leaders can click on the green number in the # of orders column. Please note, at the end of Initial Sales, Sunday, January 28, at 11:59 p.m. through Friday, February 4, at approximately 1 p.m. there will be a pause of DOC orders flowing into ebudde during initial order submission time. Customers can still place orders during this time, however, the orders won t be transmitted to ebudde until the pause has ended. 22

In ebudde you can look on the Girl Orders tab to see how many boxes each girl has sold. A shipped order will be labeled DOC SHIP. You do not need to provide any inventory to her for those orders. All cookies shipped through DOC are handled by an outside vendor even though the girl and troop receive the credit. You will see the varieties of boxes ordered and a credit for the full amount paid. Orders with only donated cookies will be labeled DOC DON. This will only show a total number of boxes no varieties can be selected and a credit for the full amount paid. Leaders do not need to provide any inventory for orders with only donation boxes. All cookies donated through DOC are handled by GSNI at the end of the program but the girl and troop receive the credit. 23

On your DOC troop dashboard, you can see if any of your girls have pending orders. Looking in ebudde, when the parent approves the order, a Girl Delivery order will be labeled with DOC DLVR and the amount the customer paid will show as a positive number in the Paid column and as a negative number or credit in the balance due column. The system does NOT automatically assign cookies for Girl Delivery orders to the girl, you will need to add these to her total. New this year- DOC girl delivery orders will be listed on your ebudde dashboard, just below the calendar. 24

Leaders must get the information on what cookies are needed for a girl s Girl Delivery orders by one of several methods. Go to the reports tab in ebudde and pull the DOC Orders by Girl report. Get the information from the parent. OR get the information from DOC when viewing in the leader role. Once the leader is ready to distribute cookies to a girl for a Girl delivery orders, she must enter the varieties of cookies into ebudde under the Girl Order tab. DON T PANIC! Adding these cookie quantities will not duplicate the order or amount of money due! The entry or entries will be offset by the credit, negative entry in the balance due column. It is required to enter or the girl will not get credit for the sale and the total balance due amount will be incorrect. If additional cookies are needed to fulfill orders for Girl Delivery orders, cookie chairs need to order these cookies from a cookie cupboard or a troop to troop transaction. These transactions are completed using the transaction tab in ebudde. If girls in your troop are receiving many Girl Delivery orders, don t go crazy going to the cupboard every other day! Give parents and girls a schedule of when you plan to place and pick up cupboard orders. It is typically best to place cupboard orders on Sunday to pick up that week. 25

Remind parents to check with you on availability of cookies in the troop s inventory and cupboard inventory before they approve orders in DOC. This is especially important as the end of the Cookie Program approaches. 25

Digital In Hand orders show up on the Girls Order tab just like Girl Delivery orders. It denotes the financials but will not show what boxes were given to the customer, the leader/cookie Chair still needs to enter what cookie varieties were sold. Follow the same steps as previously described for Girl Delivery, but you will not need to give the cookies to the girl. 26

Thank you for attending this informational training. Troop Cookie Chairs or Leaders are required to view the 2018 Mandatory Cookie online training, before your troop is able to participate in the Cookie Program. This online training is posted on our website now. 27
