1. Introduction This document will provide Trademark Holders with an overview of the steps necessary to edit a Trademark Record in the Clearinghouse. Further in this document, the ICANN matching rules will be mentioned. 2. How to edit a Trademark Record when signed in as a Trademark Holder A Trademark Record is only editable in two specific situations: - After a Trademark Record has been submitted, but not yet ordered ; - After the status of a Trademark Record has been set to Incorrect by the Trademark Clearinghouse.!! In addition, the name or address of the Trademark Holder cannot be modified and is copied from the information submitted when signing up a contract with the Trademark Clearinghouse. If you wish to change this information, we refer to the How to change your contract data -howto. 2.1. Edit a Trademark Record before ordering To edit a Trademark Record before ordering the record, the Trademark Holder can click the Trademark Record directly in the Order overview as shown in the image below: 1.1 25/02/2016 How to edit a Trademark Record Trademark Holder p 4
After clicking on the Trademark Record the Trademark Holder can select the EDIT button and all fields of the Trademark Record, except the holder information as mentioned above, will become editable. This is shown in the images below. A After editing fields, the Trademark Holder must mark the box next to the declaration (A) and click on UPDATE (), to save the change. After accepting the conditions and after clicking on UPDATE, the Trademark Record can be ordered. 1.1 25/02/2016 How to edit a Trademark Record Trademark Holder p 5
2.1.1. Exception: Editing a Trademark Name: PLEASE READ THIS CAREFULLY Please note that when you change the name of the trademark, the following steps must be followed to add the newly generated labels manually: - Step 1: If you change the name of the trademark during editing, a message will pop up and also a message will appear in the labels section, as shown in the images below: If you wish to undo the namechange, click on Revert namechange. 1.1 25/02/2016 How to edit a Trademark Record Trademark Holder p 6
A - Step 2: Mark the checkbox (A) and click on UPDATE () to update the name of the trademark and remove the old labels, as shown in the image below: - Step 3: Click on EDIT again, in order for you to add the new labels, as shown in the images below: The labels must be added based on the ICANN matching rules, adding other labels is currently not possible. After adding the labels manually, the Trademark Holder must mark the check box (A) and click UPDATE () to save the changes. A The Trademark Record can now be ordered. 2.2. Edit a Trademark Record with status INCORRECT To edit a Trademark Record after the status of a Trademark Record has been set to INCORRECT by the Trademark Clearinghouse, the Trademark Holder must click on the Trademark Record in the Mark overview as shown in the image below: After clicking on the Trademark Record name, the Trademark Holder can select the EDIT button and all fields of the Trademark Record, except holder information, will become editable, as shown in the images below: 1.1 25/02/2016 How to edit a Trademark Record Trademark Holder p 8
After editing the fields (that were incorrect according to the Trademark ClearingHouse), the Trademark Holder must mark the checkbox (A) and click on UPDATE (). Afterwards, the Trademark Record should be submitted for re-verification by clicking the button Submit for reverification (C), as shown in the images below. After clicking the Submit for re-verification button, a message (D) will pop up asking to confirm the submission. Click on OK to confirm the submission.
