SECTION 2 INSTALLING PRINTER USB Port Selection and Verification Process Please use the following procedure to select and verify that the proper USB port selection was made before you attempt to print. Before You Begin (Some General Driver Install Notes): When initially installing the printer driver, leave the port selection at default (LPT1:), even if you don't have an LPT port on your printer/computer. Don't connect the printer to the computer s USB port until you have the printer driver successfully installed. See Installing Printer Drivers section. Tip: If you have already mistakenly connected the printer to the computer and attempted to send data to the printer, but you are not getting any response from the printer, then you should: - Delete all print jobs (documents) in the computer s printer queue - Reboot your computer - Power the printer off/on - Start from Step 2 below After the printer driver has been successfully installed on your computer; connect the printer to the computer, using a USB cable, and then turn the printer on. If this type of printer has never been connected to this computer before; Windows will display the "found new hardware" and "installing new hardware" messages at this time. After Windows finishes installing new hardware, it should display the message; "The hardware has been installed successfully..". Note: If this type of printer has been connected to this computer in the past, you may not see these messages. PROCESS: NOTE: This process assumes you are using Windows 7. If not, the process is similar, but some of the Windows features/names will be different. For example if you are using Windows XP; instead of opening the Devices and Printers folder, you open the Printers and Faxes folder. In addition; to access the printer s properties in Windows XP, you click on Properties instead of Printer Properties. 1. From the Devices and Printers folder; locate and open the printer driver s properties. This can be done by right clicking on the printer driver and selecting printer properties. 2. Click on the Ports tab and locate the highest numbered USB port (Virtual printer port for USB) selection in the list. For example if you have the following choices; please select USB003. USB001, USB002, USB003 If there is only one choice (normally USB001), then make this selection. Then click on Apply. 3. While watching the status of the printer driver, in the Devices and Printers folder; power the printer off, wait 10 seconds, and power the printer back on again. If you made the correct USB port selection, in the previous step, you should observe the following: When you power the printer OFF; the status should toggle from ready to offline (printer icon should gray out ). When you power the printer ON again; the printer status should toggle from offline to ready (printer icon should look normal). IMPORTANT! You must power the printer off and on with the USB cable connected. Just disconnecting and reconnect the USB cable will not work. If you didn t see a change, please repeat this step again. In many cases, the computer system will not register the status change the first time the printer is powered off and on. 10

SECTION 2 INSTALLING PRINTER 4. Did the printer status change when you powered the printer off/on? NO: Click on the Ports tab; then locate and select the next USB port selection in the list. Click on Apply. Then go to Step # 4. YES: Please proceed to the next step. 5. If the printer status changes when you power the printer off/on; then close the printer driver s properties window by clicking on OK. You can also close the Devices and Printers folder at this time. 6. You are Finished. Your printer driver has been properly configured for the USB port you are connected to and the driver is communicating with the printer. You are ready to begin printing. 11

SECTION 3 OPERATING PRINTER SECTION 3 Operating Printer This section is divided into two parts. The first part describes the function of Printer Control Panel and MENU features. The second part describes the Printer Driver Properties and various options available when running a job. It is assumed that the feed is set up, the Driver is loaded and the Printer is connected to your computer. Printer Control Panel & MENU Features ONLINE key Pressing the ON LINE key will cause the printer to change from the on-line state, to the off-line state, or vice-versa. Off-Line Mode: The LED on this key will slowly flash when there is power present and the printer is off-line. The printer will display Printer Offline / Enter for Paper Feed. In the off-line mode, pressing ENTER starts paper feeding, but no printing takes place. On-Line Mode: The LED on this key will turn on (steady), when the printer is placed on-line. The printer will display Printer Online / Waiting for Data. In the on-line mode, the ENTER key can be used to start/stop media feed; once a print job is sent. Pressing the ONLINE key during the printing operation will take the printer off-line and stop the printer. IMPORTANT: The printer must be placed in the Off-Line mode to access the following features. TEST key When the printer is Off-Line; pressing the TEST key accesses the Test Print mode. Working appears in lower half of display. In this mode, the ENTER key can be used to stop/start media feeding and printing. To exit the Test Print mode, press the TEST key again and the Printer will return to its Off-Line state. + / - (plus / minus) keys In the various menu modes these keys are used to step through the options. RESET key The RESET key is used to clear the printer memory and return it to its initial state (off-line state). 12

SECTION 3 OPERATING PRINTER MENU key The MENU key is used to access the special features built into the printer. The basic features are accessed by taking the printer Off-Line and then momentarily pressing the MENU key. Use the + or - keys to access the features. The features available under this mode of operation are as follows: Press Enter to Purge The purging function is useful to clear the inkjet cartridge nozzles when the machine has been sitting idle. To activate the purge, press the ENTER key and feed media. Clear Batch Counter Pressing the ENTER key will clear the number in the upper right hand corner of the display. Resetting the counter is usually performed at the start of each job. Turning OFF the printer will not reset this counter. Purge First Piece Turning the feature ON will cause the printer to send one purge pattern on the first piece. After the purge is completed the next piece will print the first record of your job. Address Recovery In event of a jam or misprint; in the printer you can recover up to the last 10 records by using this feature. See Print Recovery After Jam for details on the use of this feature. Print Enhancement The print enhancement feature is used to help the nozzles on the ink cartridge stay open and decrease the loss of the descender on letters such as y or q and accent marks that do not appear in every address. Pressing the ENTER key will turn this function ON or OFF. The function will remain as changed until the operator changes it again. NOTE: The Print Enhancement feature will time out after 100 seconds if no media is going through the printer. Once media is being printed it will restart. Automatic Feed Turning the feature ON will cause the printer to automatically start the transport and feed systems, if the printer is placed on-line before it starts receiving data. Pause Type: Allows Printer to respond to a break mark set in the database used in a given job. Break mark marks the end of a series within the database. For example, addresses with the same postal code or after a set number of entries. There are two Pause Type: selections: Feed Stop Used for standalone desktop units not used in-line with other mailing equipment. Printer stops feeding media for a set amount of time after it sees a break mark. This allows time for operator to pack or separate that set of printed pieces before next set starts. Use + or - key to access this feature. Press ENTER to turn this function ON or OFF. Conveyor Speed Up Do NOT use. Not applicable to this product; since it doesn t provide a conveyor speed-up output port. Enter when head (n) filled The printer is capable of telling you when an ink cartridge is running low of ink. To use this feature press the MENU key momentarily. Then use the + or - key to highlight Enter when head (n) is filled. Press the ENTER key and install a new cartridge. Repeat for each cartridge you install. When the ENTER key is pressed the display will change to Head (n) has a new cartridge. To check the level of ink in the cartridges, Press and hold the TEST key until the Service Menu appears. Use the + or - key to scroll to the Service Menu: Ink Levels, 100%100%100%. This will show the estimated amount of ink that the printer has calculated to be present within each cartridge. IMPORTANT: The Ink Level feature is only accurate if the cartridges remain in the original positions where they were first installed. If you swap the cartridges from one pen stall position to another, the levels will not be accurate. 13

SECTION 3 OPERATING PRINTER Setup Menu: To access the Setup Menu; take the printer Off-Line then press and hold the MENU key until the Setup Menu appears. Step through the Setup Menu items, using the + or - key. Total Count The total count displayed is the total number of prints that have passed through the printer. It is non-resettable. BIOS Version The version of the BIOS is displayed in this menu when the + key is pressed once. From time to time it may be necessary for a technician to upgrade the BIOS in the printer. When this is done, the new BIOS version can be checked in this manner. Purge While Printing To activate Purge in the middle of a job: Press ONLINE key to pause current job. Press MENU, to access Press Enter to Purge. Press ENTER to start purge and press ENTER again to stop purge. Press ONLINE, then ENTER to get back to normal printing. NOTE: If a paper jam occurs during Purge; once Purge is finished, use Address Recovery to get back to normal printing. Otherwise you will lose records. Print Recovery After Jam If the media should jam in the printer during the run it is possible to recover up to 10 pieces (records) that might be lost. If a jam occurs, the printer control panel will display Jam: Reprint Lost Pieces and MENU To Continue.. To recover the lost pieces do the following: 1. Press the MENU key and the Address Recovery option will appear. 2. Press the ENTER key and the following display will appear Enter: Recover 1 piece. 3. Positive (+) value = Head prints later; moving the print position away from the leading edge of the media. Tip: If your application program is already open, you will not see any affect in the printout until you close and reopen the application. NOTE: Once an image is sent, with changes to the Head Alignment values, these changes will also temporarily affect the printer s internal images (Purge and Test). Internal image alignments will revert to default once printer power is cycled. 17

SECTION 4 MAINTENANCE SECTION 4 Maintenance This section covers how to care for Ink Cartridges, clear paper jams, replace Sheet Separators, and perform routine maintenance on Printer. Inkjet Cartridge Replace Printer Inkjet Cartridges when out of ink, when print quality is poor, or when purging and cleaning have not helped image quality. Approximate life of the HP 45 Inkjet cartridges, (based on three lines of 20 characters at 10-point size): 600 DPI 50,000 addresses 300 DPI 100,000 addresses 200 DPI 150,000 addresses 150 DPI 200,000 addresses NOTE: The above figures are based on printing an address containing three lines of 20 characters, at 10 point size, and 6 lines per inch. Individual results will vary greatly based on your application. Replace Inkjet Cartridge: 1. Open Latch Lever to remove used Cartridge from Cartridge Holder. Pull Cartridge up and out of Holder. 2. Remove new Inkjet Cartridge from packaging. Take care not to touch copper contacts, metal plate, or gold printhead. Remove protective tape from Printhead. 3. With Cartridge s Printhead pointing down, slide Cartridge into Holder. Push down and toward contacts in Holder. 4. Make sure Cartridge is seated in Holder. Close Latch Lever to secure Cartridge. DO NOT force Latch Lever into place. 5. Repeat Steps 1-4 for remaining Cartridges. CAUTION NEVER SHAKE, DROP, OR HIT CARTRIDGE AGAINST PALM OF YOUR HAND OR ANY OTHER HARD SURFACE. SHAKING PRINT CARTRIDGE DOES NOT MIX INK AND HITTING CARTRIDGE AGAINST A HARD SURFACE DOES NOT CLEAR NOZZLES. THESE ACTIONS HURT PRINT QUALITY BECAUSE THEY ALLOW BUBBLES TO FORM NEAR INK FIRING CHAMBERS. THESE BUBBLES PREVENT NOZZLES FROM FIRING, CAUSING WHITE STREAKS IN PRINT IMAGE. 18

SECTION 4 MAINTENANCE Storage Short-term Cartridge Storage (Less than 8 hours or less than 2 hours in hot/dry environments.) The cartridge can be left in the Printer, for short periods of time. The next time that the Printer is used, the cartridge nozzles may have to be cleaned and purged Long-term Cartridge Storage (More than 8 hours or more than 2 hours in hot/dry environments.) Clean the cartridge and place the cartridges in a re-sealable container (i.e. Tupperware) with a damp sponge or towel to maintain humidity and prevent the cartridge from drying out. Note: Do not allow the nozzle plate to make contact with the sponge/towel, or the ink will be wicked from the cartridge. When the cartridges are ready to be used again, the cartridge body and contact area will need to be dried and the nozzles will need to be cleaned and purged. CAUTION! Be sure the contact area of the cartridge is dry, before installing it into the printer or damage to printer s electronics will result. Note: Decap Time (time it takes for unsealed cartridge nozzles to become clogged) will vary greatly. Ink type, environment, prior cartridge maintenance, and cartridge condition can affect Decap Time. Disposal Cartridges may be disposed of in a normal manner. In case of an ink spill, use soap and water to clean up any problem areas. Abrasive soap usually removes ink off of hands. Ink in Cartridge may be harmful if swallowed. Keep new and used Cartridges out of reach of children. Discard empty Cartridges immediately. Cleaning Printhead Maintain good print quality by keeping Printheads clean. During printing, ink spray, paper fibers, and dust build up on Printheads. This build-up eventually degrades print quality. If you notice problems with print quality, or to prevent a build-up from occurring, wipe Printhead with a wet fiberless cloth. Cloth should be: Soft Fiberless Moistened with water (Distilled is best) Cloth should not be: Abrasive Made of small fibers Dry or contain chemical additives Wipe slowly across long-axis with Printhead facing down (as shown). DO NOT apply excessive force, as this could scratch Nozzle area. 19

SECTION 4 MAINTENANCE Purging Nozzles If Printhead sits inactive for a period of time, ink may dry in the Nozzles. Printing may not remove these ink plugs from the Nozzles. White streaks appear in printed text or graphic. To improve print quality, these ink plugs need to be forced out or purged. A Purge routine is built into Printer. It can be accessed from Printer Control Panel using MENU key. If this does not solve the problem, proceed as follows: 1. Wipe Printhead with a wet cloth as described in Cleaning Printhead above. 2. Perform Purge from Printer by pressing MENU, then + key. Load media and press ENTER to purge. Repeat if necessary. 3. Wipe Printhead again with a moist cloth. NOTE: For more information, see Section 5 Troubleshooting Guide, HP Inkjet Print Cartridges. Jams in Printer If a jam occurs, STOP the Printer. Up to 10 missed addresses can be recovered at using the Printer Control Panel. See Section 3 Operating Printer, Print Recovery After Jam for instructions. Some possible reasons for jamming are: 1. Feeding more than one piece of media. 2. Damaged media, such as dog-eared (turned down corners). 3. Media that is not stiff enough may not be usable. Media that meets Postal stiffness requirements for automated feeding is acceptable in Printer. 4. Envelopes caught under flap of another envelope or stuck to one another may cause jamming. Removing Jammed Media 1. It may be necessary to move one or more Printheads to gain access to jammed media. Take care in removing jammed media to prevent damage to Printheads. All pieces of jammed media must be removed from feed path. 2. Follow instructions, Print Recovery After Jam. Replacing Sheet Separators Sheet Separators ensure separation of pieces as they are fed. They wear and must be replaced periodically. If you experience double sheet feeding and cannot adjust Separators to prevent it, replace them. Replacing Sheet Separators is not difficult: 1. Turn OFF and unplug Printer. 2. Release Separator by loosening knob [A] and move Media Side Guides to maximum opened position. 3. Lower Separators so they touch Feed Roller. 4. Remove screw [B] and Separator Support [C]. Then remove Separator [D] by prying it out of Holder. 5. Install a new Separator and reinstall Separator Support and screw. 20

SECTION 4 MAINTENANCE Cleaning the Printer WARNING! PRINTER IS A PRECISION MACHINE THAT SHOULD BE CLEANED REGULARLY TO INSURE MANY YEARS OF SERVICE. BEFORE PERFORMING ANY MAINTENANCE DISCONNECT PRINTER FROM ITS POWER SOURCE! Printer must be cleaned regularly of accumulated paper dust and ink. Depending on types of media run, paper dust may accumulate within Printer and on Transport. Before cleaning Printer, unplug it from power receptacle and remove covers. Internal Areas: Should only be accessed by a qualified Service Person. Best cleaned using a vacuum with a soft brush attachment to help loosen dust particles. Take care not to damage PC Boards or electrical wiring. External Areas: May be cleaned with any non-abrasive standard household cleaner that does not contain plastic harming solvents. CAUTION NEVER SPRAY OR POUR CLEANERS DIRECTLY ON OR INTO PRINTER. EXCESS LIQUID COULD HARM ELECTRONIC PARTS. ALWAYS DAMPEN A RAG WITH THE CLEANER AND APPLY IT TO PARTS TO BE CLEANED. Feed Rollers, Feed Belt and Forwarding Rollers The Feed Rollers, Feed Belt and Forwarding Rollers can become glazed with paper lint and ink. Clean regularly with a damp cloth. Avoid using solvents or alcohol on Rubber Rollers and Belt. Cleaning Media Sensor CAUTION DO NOT ATTEMPT THIS UNLESS YOU HAVE BEEN TRAINED ON HOW TO PERFORM THIS PROCESS BY A QUALIFIED SERVICE PERSON. The Media Sensor is located within the Inkjet Cartridge Holder. It should be checked and cleaned periodically, by a trained operator or qualified service person. 1. Remove two screws attaching Holder to Side Frame [A] (one on each side of Holder). Tip: You may only need to loosen the screw at right side. 2. Carefully lift up and turn Holder over. DO NOT damage or strain Ribbon Cables or Media Sensor wiring. Use a vacuum with a soft brush attachment or dry compressed air to remove any dust or debris from the Sensor [B]. 21

SECTION 5 TROUBLESHOOTING SECTION 5 Troubleshooting Guide Troubleshooting Guides are provided to assist in solving any problems that might occur with Printer or its software. We tried to make them as complete as possible. The best advice we can offer is to make sure that system is set up properly, plugged in, and has an adequate supply of ink before attempting to troubleshoot any problem. HP Inkjet Print Cartridges CONDITION PROBLEM SOLUTION Black streaks in text Lint or paper dust on Printhead. Clean Cartridge Nozzles with clean lint-free cloth moistened with distilled water. Cartridge will not print White streaks in text or graphics Sheet is blank even after it has gone under Cartridge(s). Lint or dust blocking Printhead holes. Poor contact between Printhead and Printhead Holder. Check to make sure protective tape is removed from Printhead. Remove and reinsert Cartridge into Carriage Holder. Install a new Print Cartridge. Clean Cartridge Nozzles with clean lint-free cloth moistened with distilled water. Clean Interconnects. Remove and reinsert Cartridge into Holder. Insert new Print Cartridge. WARNING! DO NOT REMOVE PRINTER SIDE COVERS! HIGH VOLTAGES PRESENT BEHIND COVERS! 22

SECTION 5 TROUBLESHOOTING Printer CONDITION PROBLEM SOLUTION Not operating at all. No power. Check power, on/off switch, power cord connections, and printers line fuses. No communication Improper cabling/connector Improper port selection Check USB cable connections. See USB Port Selection & Verification Process Not printing or counting. Counts pieces, but doesn t printing on media. Print too light or missing character dots Media jams Can t increase belt speed (No belt speed control) Improper output (address information out of order, extra lines, loosing data, strange characters, etc.) Blurry address Uneven split line of type Ghosting and or skewed line of type. Paper not passing under media sensor. Media sensor is dirty/damaged. Data out of print range. Missing/Clogged Inkjet Cartridges Clogged or dirty Printheads Running out of ink Double feeding Media is curled or bent Media is too thin or too thick This is Normal. Database problem Communication problem Static electricity Image is not sharp. Partially clogged/damaged nozzles. Line of type is being positioned across two printheads (cartridges). Media is slipping, hesitating or skewing as it is transported. All or part of image is printed with a ghost image (ghosting) or is skewing. Readjust media side guide positions. Clean media sensor. Adjust margin setting in layout software. Clean/Replace Inkjet Cartridges Purge or clean Cartridges. Replace Inkjet Cartridges. Adjust Sheet Separators on Feeder. Uncurl media. Media thickness: 0.008" min to 0.020 max. The AS-150 printer only feeds at one speed (22 ips). Check data in database program. Check cable and connections. Turn Printer OFF and ON. Verify quality of image used in software program. Clean/replace Ink Cartridge. Reposition the text in the layout so that it does not print across two printheads. Check the sheet separator adjustment. If separators are set too tight they can hold back on media. If offset is identical on every piece and you must split print across two printheads, see Head Alignment feature. Check the sheet separator adjustment. If separators are set too tight they can hold back on media; causing media to hesitate, slip, or skew. 23
