SmartArt SmartArt is a powerful tool for presenting information visually. SmartArt is available in Word 2007, Excel 2007, and PowerPoint 2007. Inserting SmartArt Click in the document where the SmartArt is to appear. On the Ribbon, click on the Insert tab. In the Illustrations group, click on the SmartArt button. In the left pane, choose the desired type of SmartArt. The available types are List, Process, Cycle, Hierarchy, Relationship, Matrix, and Pyramid. In the middle pane, choose the desired sub-type of SmartArt. In the right pane, read about the sub-type of SmartArt that was chosen. Make a different set of choices if desired. Click on OK. Entering the Text Text can be entered either in the graphic or in the Text Pane. Click on the desired [Text] location and enter the desired text. Continue adding text as desired. Adding a Shape Click on one of the shapes. In the Create Graphic group on the Design tab of the SmartArt Tools, click on the down arrow of the Add Shape button and choose Add Shape Above or Add Shape Below (or Add Shape Before or Add Shape After). The arrangement of the shapes will automatically adjust to make room for the new shape. Note Some sub-types of SmartArt limit the number of shapes. Deleting a Shape Click on the shape to be deleted. Press the Delete key. Adding a Bullet Click in the box where the bullet is to be added. To add a bullet at the end, press the Enter key at the end of the text. To add a bullet elsewhere, in the Create Graphic group, click on the Add Bullet button. Page 2

Deleting a Bullet Click on the bullet to be deleted. Press the Delete key. Adding a Picture Some of the SmartArt choices have a place for a picture, as shown by a Picture icon. Click on the Picture icon. Navigate to the location of the desired picture and click on it. Click on the Insert button. The picture is cut to the shape of the location holding it. Resize the picture by placing the cursor over the handles at the corner of the box and dragging to the desired size. Formatting a Picture Click on the picture. On the Ribbon on Picture Tools, click on the Format tab. Use the tools to make adjustments to the picture such as style, shape, and effect. Removing All Pictures Click on one of the picture. In the Reset group, click on the Reset Graphic button. Removing One of the Pictures Click on the picture. Right click on the picture and choose Reset Shape. Adjusting the Size of the SmartArt Click on a corner or the middle of one of the sides of the SmartArt box and drag to the desired size. The shapes and text change size to fit in the new dimensions SmartArt to a Specific Size Click on the Size button at the far right. To adjust the height, click in the Height box and enter the desired height or use the up and down arrows. To adjust the width, click in the Width box and enter the desired width or use the up and down arrows. Press the Enter key. Promoting an Item Promoting an item moves it to a higher level of the hierarchy. Click on the item. In the Create Graphic group, click on the Promote button. Click away from the SmartArt box. Page 3

Demoting an Item Demoting an item moves it to a lower level of the hierarchy. Click on the item. In the Create Graphic group, click on the Demote button. Click away from the SmartArt box. Editing SmartArt Double click on the SmartArt. Showing/Hiding the Text Pane The Text Pane displays the test of the SmartArt for simple editing and appears to the side of the SmartArt. In the Create Graphic group, click on the Text Pane button. The Text Pane button is a toggle switch. If the Text Pane is showing, clicking on the button hides it. If the Text Pane is not showing, clicking on the button reveals it. Changing the Layout In the Layouts group on the Design tab of the SmartArt Tools, click on the More button (bottom down arrow) and choose the desired layout. Note Holding the cursor over a layout without clicking on the layout displays the SmartArt in that layout. Changing from Right to Left The side the graphics appear on can be changed. In the Create Graphic group, click on the Right to Left button. Note To change it back, click on the Right to Left button again. Changing the Style In the SmartArt Styles group, click on the More button (bottom down arrow) of the Styles box and choose the desired style. Note Holding the cursor over a style without clicking on the style displays the SmartArt in that style. Changing the Colors In the SmartArt Styles group, click on the Change Colors button and choose the desired color. Note Holding the cursor over a color without clicking on the color displays the SmartArt in that color. Page 4

Aligning SmartArt Click in a blank area of the SmartArt. In the Arrange group, click on the Arrange button, click on the Align button, and then choose the desired alignment. Viewing the Gridlines Click in a blank area of the SmartArt. In the Arrange group, click on the Arrange button, click on the Align button, and then choose View Gridlines. Adjusting Gridlines Click in a blank area of the SmartArt. In the Arrange group, click on the Arrange button, click on the Align button, and then choose Grid Settings. In the Snap to section, make choices about snapping objects to the grid and/or to other objects. In the Grid settings section, make choices about the spacing of the grid and whether the grid will be displayed on the screen. Click on OK. Turning Off Gridlines In the Arrange group, click on the Arrange button, click on the Align button, and then choose View Gridlines. The checkmark is removed from in front of View Gridlines and the gridlines are no longer visible. Positioning SmartArt SmartArt can be positioned in line with text (the default) so that it acts like a word in the document or it can be placed with text wrapping around it, through it, under it, or over it. Changing the Position of the SmartArt In the Arrange group, click on the Position button and choose the desired position OR in the Arrange group, click on the Text Wrapping button and choose the desired text wrap. Changing the Position More Precisely In the Arrange group, click on the Position button and choose More Layout Options. Click on the Text Wrapping tab. In the Wrapping style section, click on the desired wrapping style. In the Wrap text section, choose the desired side on which the text is to wrap. In the Distance from text section, make the desired adjustments to determine the distance the SmartArt is to be from the surrounding text. Click on OK. Changing Items in SmartArt The individual items of SmartArt can be changed. Care should be taken in making changes to not destroy the symmetry and uniformity of the graphic. Changing the Shape of an Item In the Shapes group, click on the Change Shape button and choose the desired shape. Changing the Size of an Item To make the item larger, in the Shapes group, click on the Larger button. To make the item smaller, in the Shapes group, click on the Smaller button. Each click changes the size of the item one step. Rotating an Item Place the cursor over the green dot above the item. Click and drag to the desired angle. Changing the Style of an Item In the Shape Styles group, click on the More button (bottom down arrow) of the Styles box and choose the desired style. Note Holding the cursor over a style without clicking on the style displays the item in that style. Changing the Fill of an Item In the Shape Styles group, click on the Shape Fill button and choose the desired fill color. Note Holding the cursor over a color without clicking on the color displays the item in that color. Page 6

Changing the Outline of an Item In the Shape Styles group, click on the Shape Outline button and choose the desired outline color. Note Holding the cursor over a color without clicking on the color displays the item in that color. Changing the Shape Effect of an Item In the Shape Styles group, click on the Shape Effects button, move to the desired shape effect, and then click on the desired item in that group. The available groups of effects are: Preset, Shadow, Reflection, Glow, Soft Edges, Bevel, and 3-D Rotation. Note Holding the cursor over a shape effect without clicking on the shape effect displays the item with that shape effect. Flipping an Item In the Arrange group, click on the Rotate button and choose Flip Vertical or Flip Horizontal. Rotating an Item In the Arrange group, click on the Rotate button and choose to rotate the item right or left 90 degrees OR in the Arrange group, click on the Rotate button and choose More Rotate Options. Click on the up or down arrows of the Rotation box as desired. Note The rotation of the item is displayed in the document. Changing Text The text items of SmartArt can be changed. Care should be taken in making changes to not destroy the symmetry and uniformity of the graphic. Changing the Style of Text Click on the desired text. In the WordArt Styles group, click on the More button (bottom down arrow) of the Styles box and choose the desired style. Note Holding the cursor over a style without clicking on the style displays the text in that style. Page 7

Changing the Fill of Text Click on the desired text. In the WordArt Styles group, click on the Text Fill button and choose the desired fill color. Note Holding the cursor over a color without clicking on the color displays the text in that color. Changing the Outline of Text In the WordArt Styles group, click on the Text Outline button and choose the desired outline color. Note Holding the cursor over a color without clicking on the color displays the text in that color. Changing the Text Effect In the WordArt Styles group, click on the Text Effects button, move to the desired text effect, and then click on the desired item in that group. The available groups of effects are: Shadow, Reflection, Glow, Bevel, 3-D Rotation, and Transform. Note Holding the cursor over a text effect without clicking on the text effect displays the text with that text effect. Resetting the Graphics The graphics in a SmartArt graphic can be quickly reset to the original format. Double click on the SmartArt graphic. Click on the Design tab. In the Layouts group, click on the desired layout. In the Reset group, click on the Reset Graphic button. Resizing SmartArt Double click on the SmartArt graphic. In the Size group, click on the Size button. To specify the height, click in the Height box, enter the desired height, and press Enter. To specify the width, click in the Width box, enter the desired width, and press Enter. OR place the cursor over the dots on the corners or the middle of an edge of the SmartArt box. o The cursor becomes a two-headed arrow. o Note Using the corners maintains the proportions. o Click and drag to the desired size. Moving SmartArt Double click on the SmartArt graphic. Place the cursor over the edge of the SmartArt box but not over the dots on the corners or the middle of an edge. The cursor becomes a four-headed arrow. Click and drag to the desired location. Animating SmartArt in PowerPoint Insert and prepare the SmartArt graphic in PowerPoint. Click on the SmartArt graphic. On the Ribbon, click on the Animations tab. In the Animations group, click on the Custom Animation button. Click on the Add Effect button in the Custom Animation pane. Choose Entrance, Emphasis, or Exit. Choose from the available animations in the list. (Optional) Decide if the animation should happen on a mouse click or be automatic by clicking on the Start down arrow. (Optional) Decide on the direction the animation will go by clicking on the Direction down arrow. (Optional) Decide on the speed of the action by clicking on the Speed down arrow. Click on the Play button at the bottom of the Custom Animation pane. Changing the Type of Animation Click on the SmartArt graphic. In the Custom Animation pane, click on the down arrow of the SmartArt graphic s animation and choose Effect Options. Click on the SmartArt Animation tab. Click on the Group Graphic down arrow and choose the desired type of animation. The choices are different depending on the type of SmartArt being used. Page 9
