Item Regulatory Restriction Processing In this document This document provides system procedures for processing item Regulatory Restrictions (also referred to as restrictions in this document). The Restrictions form allows you to add, maintain and remove regulatory restrictions for an item at a Country, State, County and/or City level. It is the Supplier s responsibility to keep up to date on the laws and regulations relating to the products they manufacture and sell to True Value and/or its Retailers. Thus only vendors can add, maintain and remove regulatory restrictions within VMD. Effective dates, alternate items and expiration dates are maintained in this section. SAVE BUTTON: The Save button saves any changes and creates the workflow record for the changes. ROLLBACK CHANGES BUTTON: When using the Rollback Changes button, all changes for the item (product, cost, etc.) will be removed and all workflow records deleted. The Rollback Change button should be used to clear a workflow record and its associated changes from the un-submitted tab. Copying restrictions allows the vendor to copy any existing, un-expired restrictions from a True Value item number or from an item s model number. The following system rules apply to the Restrictions form for copying restrictions: TRUE VALUE ITEM# LIST: Only the vendor s approved True Value item numbers that have restrictions associated to them will be listed. ITEM MODEL# LIST: Only the vendor s existing or saved model numbers that have restrictions associated to them will be listed. COPIED VALUES: When copying restrictions, alternate items and expirations dates are not copied and the effective date is automatically set to the current date + 1 day. Copy To Copy Regulatory Restrictions, within the Restrictions tab from the Copy Restrictions from an Existing Item section follow these steps: 1 Select a TV Item# from the drop down Select an Item Model# from the drop-down. RESULT: Selected Item# or Model# displays in drop-down box and description of Item# or Model# displays to the right of the drop-down box. 2 Click the Copy button (located to the right of drop-down, after description). RESULT: Restrictions from selected Item# or Model# appear in the Maintain Restrictions section with an effective date of current date + 1 day. OOPS If you have copied the incorrect restrictions you may remove the restrictions by clicking on the delete all check box and THEN clicking the delete button. NOTE: If more than one page of restrictions exists, delete only applies to current the page. Continue performing the above until all restrictions are deleted. 3 Does Effective Date(s) Alternate Item(s) need to be updated? Yes Go to Maintain/Remove Restrictions section or click here. Click the Save button (located on the top and bottom right-side of the form). The Save button saves any changes and creates the workflow record for the changes. The Save button can be pressed from any tab (product, price, consumer description or restrictions) within the item. Exiting the item without saving will result in changes being lost. Adding New The following system rules apply to the Restrictions form for adding restrictions: EFFECTIVE DATE: An effective date is required when adding restrictions and must be greater than current date but less than 1 year (current date + 365 days). COUNTRY RESTRICTIONS: The entire country of United States may not be restricted. A country should only be restricted for regulatory reasons. Last Updated: 4/21/2010 Page 2 of 11
Adding New Restrictions (cont.) STATE RESTRICTIONS: If the country of United States is selected a U.S. state or territory must be selected. COUNTY RESTRICTIONS: Individual or multiple counties within a U.S. state or territory may be selected for restriction. If all counties for a U.S. state or territory are restricted the entire state must be restricted. CITY RESTRICTIONS: Individual or multiple cities within a county may be selected for restriction. If all cities for a county are restricted the entire county must be restricted. If a city shares a city code with another city the below dialogue box will appear. If is selected the cities will not be added to the selected listing. OVERLAPPING RESTRICTIONS: Restrictions cannot overlap. For example, if an entire state is restricted, an individual county within the state cannot be restricted at the same time. Add To Add New Regulatory Restrictions, within the Restrictions tab from the Add New Restrictions section follow these steps: 1 Select an Effective Date from the calendar widget Type a new date within the Effective Date text box. RESULT: Date will display in Effective Date text box. ENTRY REQUIREMENTS: Effective date must be greater than current date and less than current date + 365 days. Last Updated: 4/21/2010 Page 3 of 11
Add Restrictions (cont.) 2 Select a Country from the add country drop-down Leave the Country as United States. RESULT: Country will display in Country drop-down. 3 Was a country other than United States selected? Yes Go to 6. Select a State or U.S. Territory from the state dropdown. RESULT: State or U.S. Territory will display in State drop-down. ENTRY REQUIREMENTS: If United States is selected, a U.S. State or Territory must be selected. 4 Is the entire state or territory being restricted? Yes Go to 6. a. Click the Add County button (located below the State drop-down). RESULT: Counties associated with U.S. state or territory will display in county available list. b. In the available list, highlight the county being restricted. RESULT: County is highlighted. ENTRY SHT-CUT: To select multiple counties hold down the CTRL key and click on counties. 2. Click the single right arrow button to move county to selected list. RESULT: Highlighted county is moved to selected list. ENTRY TIP: Use the double arrow buttons to move all counties from one list to the other. This may be helpful when the majority of counties are being restricted and it is easier to select all and then remove the counties not restricted. 3. Repeat until all restricted counties are in the selected list. 4. Go to 6. 5 a. In the available list, highlight the county of the city to be restricted. RESULT: County is highlighted. b. Click the single right arrow button to move county to selected list. RESULT: Highlighted county is moved to selected list and Add City button displays. c. Click the Add City button (located below the County available list). RESULT: Cities associated with the county will display in city available list. d. In the available list, highlight the city to be restricted. RESULT: City is highlighted. ENTRY SHT-CUT: To select multiple cities hold down the CTRL key and click on cities. Repeat until all restricted cities are in the selected list. g. Go to 6. 6 Click the Add Restrictions to the List button. RESULT: Restrictions added to Maintain Restrictions section. 7 Do you have another Restriction to add? Yes Return to 1. Does Alternate Item(s) need to be added? Yes Go to Maintain/Remove Restrictions section or click here. Click the Save button (located on the top and bottom right-side of the form). The Save button saves any changes and creates the workflow record for the changes. The Save button can be pressed from any tab (product, price, consumer description or restrictions) within the item. Exiting the item without saving will result in changes being lost. Maintaining The following system rules apply to the Restrictions form for maintaining restrictions: EFFECTIVE DATE: An effective date is a required field and must be greater than current date but less than 1 year (current date + 365 days). Only future effective date can be maintained. ALTERNATE ITEMS: Alternate items can only be added to stock items. Alternate items must approved, stock, non-discontinued items. EXPIRATION DATES: An expiration date can only be applied to active restrictions. RESTRICTION DELETIONS: Restrictions that are not yet effective may be deleted. Last Updated: 4/21/2010 Page 6 of 11
Maintain To Maintain or Remove Regulatory Restrictions, within the Restrictions tab from the Maintain Restrictions section follow these steps: 1 What type of maintenance would you like to perform? Maintain Effective Date Go to 2. Maintain Alternate Item Go to 5. Remove a Restriction Go to 7. 2 Click within the Effective Date text box you wish to change. RESULT: Calendar widget will display. ENTRY REQUIREMENTS: On future Effective Dates can be maintained. 3 Select an Effective Date from the calendar widget Type a new date within the Effective Date text box. RESULT: Date will display in Effective Date text box. ENTRY REQUIREMENTS: Effective date must be greater than current date and less than current date + 365 days. 4 Do you have another Effective Date to update? Yes Return to 2. ENTRY SHT-CUT: You can also copy & paste the effective date from one text box to another. Highlight the date you wish to copy and press Ctrl + c to copy. Select the date you wish to replace and press Ctrl + v to paste the copied date. Do you have more changes to make? Yes Return to 1. Maintain Restrictions (cont) 5 Do you want to add, update or remove an Alternate Item from multiple restrictions? Yes a. To add or update, enter the six-digit True Value item number, no dashes, into the Alternate Item text box at the top of the Restrictions listing. To remove, leave the Alternate Item text box blank. RESULT: If entered, item number displays in Alternate Item text box. ENTRY REQUIREMENTS: Alternate items must approved, stock, non-discontinued items. b. Select the restrictions you want to apply/remove the Alternate Item to/from by clicking the check boxes to the left of the Alternate Item row. RESULT: Check box to the left of the Alternate Item column is checked for the selected items. Click the Apply To All On This Page to apply/remove the Alternate Item to/from all restrictions listed on the page. RESULT: All check boxes to the left of the Alternate Item column are checked. ENTRY REQUIREMENTS: If more than one page of restrictions exists, changes only apply to current page. c. Click the Copy button to the left of the Alternate Item text box. RESULT: If adding or updating, item number displays in Alternate Item text box. If removing, Alternate Item text box is blank. To add or update, enter the six-digit True Value item number, no dashes, into the Alternate Item text box of the Restrictions row. To remove, highlight the Item in the Alternate Item text box and press the delete key. RESULT: If entered, item number displays in Alternate Item text box. Maintain Restrictions (cont) 6 Do you have another Alternate Item to add, update or remove? Yes Return to 5. Do you have more changes to make? Yes Return to 1. Go to 9. 7 Is the restriction you want to remove effective yet? a. Select the restrictions you want to remove by clicking the check boxes to the left of the Effective Date row. RESULT: Check box to the left of the Effective Date column is checked for the selected items. Click the Delete All to apply the Delete to all noneffective restrictions listed on the page. RESULT: All check boxes to the left of the Effective Date column are checked. ENTRY REQUIREMENTS: If more than one page of restrictions exists, changes only apply to current page. b. Click the Delete button above the Delete All check box. RESULT: Restrictions are deleted from Maintain Restrictions section. Maintain Restrictions (cont) 7 Is the restriction you want to remove effective yet? (Cont.) Yes a. Select an Expiration Date from the calendar widget Type a new date within the Expiration Date text box. RESULT: Date displays in Expiration Date text box. ENTRY REQUIREMENTS: Expiration date must be greater than today s date. b. Select the restrictions you wish to apply the Expiration Date to by clicking the check boxes to the left of the Expiration Date row. RESULT: Check box to the left of the Expiration Date column is checked for the selected items. Click the Apply To All On This Page to apply the Alternate to all restrictions listed on the page. RESULT: All check boxes to the left of the Expiration Date column are checked. ENTRY REQUIREMENTS: If more than one page of restrictions exists, changes only apply to current page. Continue performing the above until all restrictions are deleted. c. Click the Copy button to the left of the Expiration Date text box.
