CANADA POST LIBRARY SHIPPING TOOL INSTRUCTIONS I. Logging in to the Shipping Tool Log onto the website: www.cla.ca On the right side of the screen, about midway down, you will see the red and blue Canada Post Logo. Beneath the logo, you will see the words Library Book Shipping Tool Page and a brown box below the words. Click on the brown box.
Look down a few lines below the words Library Materials Shipping Tool You will see the words Registered Users ->-> Ship Now. Click on these words.
A dialogue box will pop up where you must enter your username. (see below) NOTE: This dialogue box does not always show up as it remembers you for a while after the first time you log in. OR it might look like this Type in the Five Digit User Name that you received from Peace Library System. Leave the password field blank. Click on OK or press the Enter key on your keyboard. You will be taken to a new page where you will see the following screen. Click on the SHIP IN CANADA icon for English, or on EXPEDIER AU CANADA for French to open the Shipping Label Form. You will see the Shipping Label Form appear on the screen.
II. Filling in the Shipping Label Form FIRST, click on the Clear button in the bottom right corner in the Complete Order box to make sure the form is clear. Sometimes it is cleared already so this may not be necessary. THEN, type the password in the Password to Authorize Use field under Complete Order. You will find this field near the bottom right of the screen. The password is biblio. The password needs to be entered only once per session. You will not be allowed to work in the Shipping Form if the password is not entered.
NOTE: If you forget to put in your password, the following box will pop up reminding you. Close this box and put in your password in the appropriate field. (See above) ***Now you can go ahead and fill out the Shipping Label Form.***
FROM FIELD Enter the name and complete address of the shipping library, including the postal code. You can type this in manually or access it from the Address Book. Using the Address Book Double click on Retrieve from Address Book in the blue bar at the top of the FROM box. Under Select Address Book, choose CLA Master from the drop down menu OR check search all address books. Type in the name of the library you are searching for. Click on search or press the ENTER key. The name of the shipping library will appear at the bottom of the screen. Click once on the library name and the information will be transferred to the FROM box in the shipping tool label. NOTE: If you cannot find the library you are searching for, you will have to TYPE in the library information manually. If you do not have the postal code, you can search for it by clicking the SEARCH option beside the Postal Code field. PLEASE CALL PEACE LIBRARY SYSTEM HEADQUARTERS IF AN ADDRESS IS NOT FOUND. The name of the shipping library only has to be filled in once per session.
TO FIELD Fill in the name, address city, province and postal code of the library you are mailing to. The Title/Dept/Company field is optional. You can access this information from the Address Book by double clicking on Retrieve from Address Book above the To box. Follow the same procedure as you did when using the Address Book to find the shipping library.
SHIPMENT INFORMATION The postage for the library book rate is calculated based on a per kilogram basis. Weigh the parcel and record the number of kilograms in the weight field. Click your mouse in the box to the left of the word Document. A checkmark will appear in the box. This will eliminate the need to measure the document. Dimensions are not mandatory when shipping a document such as a blue bag or bubble envelope. **Only parcels less than five kilograms qualify for the book rate.*** NOTE: When you are shipping a boxed item as opposed to an item in a blue/brown bag or envelope, you will need to measure the length, width, and height in centimeters and record them in the appropriate fields. (You will not put a checkmark in the document box when recording these dimensions)
SERVICE OPTIONS (See diagram on previous page) Choose Library Book, in the drop down menu. Optional fields: Email notification: Type the email address of the library or patron the item is going to if you want to send notification that the item is on its way. Normally we don t do this. Reference Number: Use this field only if you want to track the items with a unique reference number, such as a library purchase order number. Normally we don t do this. PAYMENT INFORMATION (See diagram on previous page) Select a method of payment from the drop down menu: Choose either meter or credit card. To pay by credit card, choose Credit Card and enter the Card Number, Card type, the Name on the Card, and the expiry date. The postage will appear as paid on the shipping label To pay with metered postage at Canada Post choose meter. (If your library has a meter, you must type the meter number in) To pay with postage stamps, choose stamps. PREVIEW ORDER Click on the CALCULATE button (bottom left) to calculate the amount of postage required. The total amount of postage will automatically be recorded. COMPLETE ORDER Check the label for accuracy. Then click on PRINT LABEL. A box will pop up asking you to verify your information. Click on OK
The completed shipping label will now appear on your screen. The top half of the label is the shipping portion. The bottom half is the tracking portion. Once you have printed the label, you can fold it in half or cut the bottom half off and throw it away. PRINT THE SHIPPING LABEL Click on the printer icon below the label to print it. You may have to hover your mouse over the bottom of the label to make the printer icon appear. [Do NOT go to FilePrint]
GENERATE A RETURN LABEL Click on the Generate a Return Label Button at the top of the screen to create a return label. Click on the printer icon to print the return label. [Just like you did for the Shipping Label] Once you have printed both the shipping label and the return label, click on the Return to Shipping Page button. This will take you back to the shipping form and you can create your next label. Attach the shipping label to your parcel. Be sure to enclose the return shipping label.
