In the event that we have a serious failure on our email system, we have an emergency backup web based email system available, provided by Dell MessageOne. The backup system uses your regular Enfatico email address, just like your normal email does. It is not setup to support Outlook, Entourage, regular email or Blackberries. It provides a basic level of email service via a web browser, similar to a service such as HotMail or Gmail. Enfatico : Backup Web Email System Page 1 of 5
How to login to your backup email We ve placed a big red backup email button on our http://toolbox.enfatico.com web page, you may need to refresh your browser to see it. The direct link to the Dell MessageOne email site is https://ems.messageone.com. On the site, you ll be prompted with a login box like this Enter your regular Enfatico email address. Your password is your regular network password. This is the password you use to start your computer in the morning (PC users), or use to open Entourage (Mac users), or use for normal WebMail or Enfatico Express (everyone). Once you ve logged in, you ll see an intro screen, click Next, then you ll be taken through a couple of screens where you ll be asked to update your emergency contact information. Please complete these and move on. You ll then be brought to a screen like this (right). Click on the Check Email link to be taken to your backup mailbox. How to use backup web email Once logged in, you ll see a fairly standard looking webmail Inbox, like this (below). The first thing you ll likely notice is that not all your email is in this Inbox, just very recent messages. The mailbox contains only the mail you ve recently sent or received. All your old email is in your regular Outlook or Entourage. To check for new messages, click the button. There is an archive mail feature under Search Older Mail, where you can see older messages, but it is not very intuitive to use, so we d suggest using the web mail system for new mails only. Your calendar and contacts are also available, see the links on the left of the screen (as pictured below). Enfatico : Backup Web Email System Page 3 of 5
To send an email, click on the button. IMPORTANT: You must address emails to the full email address of the person you re sending to, for instance joe.smith@yr.com, jane.doe@enfatico.com. You cannot just type the name. To attach files click the browse button at the bottom of the New Message area. You can attach up to 6mb of files. For larger files, use Enfatico Express, which you can also fine at http://toolbox.enfatico.com. When you ve finished your mail, you can click to Check Spelling, then Send Message. Frequently asked questions Q: Why is this system being used? A: There s a problem with our email system. This is a backup online system designed to be used when the mail system is down for an extended period of time. Q: Where is all my old email? Why do I just have new stuff? A: Your old mails are still in your regular Outlook or Entourage (in most cases). There is a copy in the online system as well, you can click on Search Older Mail. However, the interface is not very intuitive. We have a backup of your email on tape, which will be recovered when we get the regular mail system is up and running again. Q: What about email that arrives in this backup web mail system, what happens to that when we switch back to the regular mail system? A: All the mail that arrives in the web mail system will be copied across to your regular mailbox, when it is back up and running. Q: What about mail sent between the regular mail system going down and this new system coming up? Where is that? A: That mail may not be delivered to you. The sender should have received an error message saying the mail is either delayed or failed. Q: Is the system any slower in sending messages? A: No, there is no significant difference in the way your mail is transmitted. Just remember to hit the Refresh button now and then to check for new mail. Q: Why doesn t my Outlook or Blackberry work with this backup web mail system? A: There is no way to make that synchronization work centrally, it has to be done on a machine by machine basis we think this is too complicated, and likely to cause confusion at a time when we have a problem with email already. So we ve taken the decision to stick to the web based mail system only, as it makes things simpler and more reliable. Q: Who owns the site I m logging on to for this web mail system?
