Steps for Inserting and Editing a Document in Kurzweil A. Insert document in Kurzweil 1. open your document 2. select, File, Print 3. Select the KESI Virtual printer 4. Select printer properties and make sure that color is selected and hit OK 5. Select print and your document will then open in the Kurzweil software program 6. Go to File, Save to Library, and select your name, private, then name the document and save. B. Edit the Document 1. Load the Test Prep toolbar by right clicking on a tab, select Load a Toolbar Set, go to Test Preparation then select OK 2. In the Text Prep toolbar, select the Zone Editor button

3. Now as you go through the document you can remove any zones that you do not want read, adjust zones as needed, and add or delete zones all through the right click and select on your mouse. 4. After Zone Edit, then you will Spell Check the entire document: Select the ABC Check button located below the Zone Edit button. Listen to each word and if needed, correct the pronunciation by changing the spelling and select change or change all. 5. After Spell Check, if your document has multiple choice questions, you will want to go to page 1 of your document, Select Edit (from the top menu bar), Find, Replace Text in order to prepare the multiple choice letters.

6. Be sure that case sensitive and match whole word are selected, then click replace all. This will create the needed pauses after the letter choices. 7. Next you will need to select the Edit Underlying Text button in the toolbar. This will open a window at the bottom where you can edit pronunciations of the text.

C. Additions: 1. Bubble notes can be added where you would like to have a pop-up. Place your cursor where you want to add the pop-up. Click on Bubble Note from your Test Prep toolbar and type what you want the pop-up to say. Check the selections to customize the options for your pop-up and then select OK. 2. Select Add a Text Note to add a text note on pages where you would like the student to be able to type on the document. D. Save a copy to your private folder: 1. Select File, Save to Library, name file and save it to your private folder E. Proof the Document 1. Listen to text to speech and proof for any errors. If corrections are needed, go back to Edit Underlying Text button to correct. If zone changes are needed, you can go back to the Zone Edit button to correct. F. Customizing and Saving Tabs and Toolbars: 1. The Tabs and Toolbars work together. When you select a Tab, the related Toolbar is displayed. You can build your own Tab and Toolbar using the Customize Tab and Customize Toolbar features. 2. Working with Custom Tabs Kurzweil 3000 has 4 default tabs: Kuzweil 3000, Read, Write, and Scan. You can choose to hide or display Tabs, except for the Kurzweil 3000 Tab which cannot be hidden. Each Tab has an associated Toolbar with tools relevant to the tasks involved. In addition to these four Tabs, there is a Custom tab which is hidden by default. You can display the Custom tab and rename it. To display the Custom Tab:

1. Right click on a Tab to display the Tabs menu. 2. Click Hide Custom Tab to uncheck it. The Custom Tab is displayed. Notice that the Toolbar is empty.

3. Right click on the Custom Tab again and choose Rename. Give the Tab a meaningful name relating to the tools you will add to the Toolbar. 4. After you have built the custom Toolbar, right click on the Custom Tab again and choose Save Toolbar Set. Customizing Toolbars You can add and remove tools on an existing Toolbar. Another option is to load one of the sample Toolbars included with Kurzweil 3000. Those Toolbars can also be edited. Load a sample toolbar 1. Right click in the Toolbar area. A menu of choices is displayed. 2. Choose Load a Toolbar Set to display the menu of Toolbar Sets.

3. Choose a set from the list. The appropriate toolbar(s) will be displayed Adding a Tool to a Toolbar There are two ways to add a tool to a Toolbar set. You can add a tool before or after a specific tool or you can add a tool at the beginning or end of the Toolbar. To add a tool to the set before or after a specific tool 1. Place the cursor on a specific tool and right click to display a menu of choices. 2. Select Insert Before or Insert After to display a list of tools available. 3. Select the tool. It will be inserted into the toolbar.

4. Be sure to click Save Toolbar Set when you are finished customizing. Otherwise your changes will be discarded. To add a tool at the beginning or end of the toolbar 1. Place the cursor in the toolbar, but not on a specific tool and right click to display a menu of choices. 2. Select Insert at Beginning or Insert at End to display a list of tools available. 3. Select the tool. It will be inserted. 4. To save your changes, be sure to right click again to display the menu and choose Save Toolbar Set. Removing a Tool from a Toolbar 1. To remove a tool from the set, right click on the tool you want to remove to display the menu. 2. Select Delete from the menu. 3. To save your changes, be sure to right click again to display the menu and choose Save Toolbar Set.

Returning to the Default Toolbar 1. To return to the Default Toolbar, right click in the Toolbar area or on a specific tool to display the menu. 2. Choose Default. The Tabs and their Toolbars will return to the default settings. Here is an example of a custom tab that was saved as the STAAR A toolbar:

You must remember to go to Tools on the top menu, then select Lock Features where you will choose the features you will not want student to access during testing. H. Lock the toolbar in the document: 1. Go to File (from the top menu bar), Properties, click OK, then the Document Properties, General Options box appears: 2. Select Save Toolbars in Document and Save Feature Locks in Document 3. Enter a password if you want it password protected

4. Select OK 7. SAVE FILE Tips: 1. Once you are finished editing, save your file to your private folder by going to File, Save. 2. When you are ready for your students on your team to access your file, go to File, Open From Library then copy/paste it from your private folder to your public folder by right clicking on the file name. 1. Pausing: insert a period after the word or letter you want it to pause on 2. Avoid - (dashes) and & (ampersand) when possible 3. If you do not want a selection of text read, but still want the student to be able to access supporting features, such as highlighters, answer eliminators, etc., you can keep the zone highlighted, but erase the text in the Edit Underlying text section. This way, the text will not be read, but the student can still work in that area. 4. Follow the same order of editing to avoid more work: 1. Zone Edit 2. Spell Check 3. Find and Replace 4. Edit Underlying Text 5. Proof
