Section.Editor s Visual Guide to Editorial Manager ***Some of the Screenshots have been taken from the Editorial Manager Trial Site, so as to prevent identity of the manuscripts or the Author names from the live journal site*** I. Manuscript has been submitted: Step 1: Log onto the Editorial Manager System. Click the Login button on the banner. Step 2: Enter Your Username and Password: Type in your Username Type in your Password Click Editor Login.

Step 3: Section Editors Main Menu: Click New Assignments.

Step 4: Revealing the Action Links: Next to the word Action, click the plus sign [+] to see the list of Action Links. Alternatively, you can hold your mouse over the Action Links button to reveal the list of Actions you can take for this manuscript. See the Action Links revealed below:

Step 5: Viewing the Manuscript, Details and History. Click View Submission to view the manuscript. Click Details to view author information, keywords, author comments, Editor information and Reviewer Information. Within Details, you can also make notes about the manuscript, change reviewer and author due dates. Click History to view status history of the manuscript as well as the correspondence that has been sent out for that manuscript. You can re-send letters through the correspondence.

II. Invite Reviewers The Invite Reviewers link becomes available once the paper has been assigned to an Editor. This link can be used throughout the peer review process until a decision has been made on the paper and the author has been informed. When an editor clicks on the Invite Reviewers link, a new window pops up containing the Reviewer Selection Summary menu as follows: Step 1: Invite Reviewers Click Invite Reviewers. Step 2: On the Reviewer Selection Summary screen, change the number of required reviews, if necessary. A default has already been set for the journal as 3, for all article type except for the Letter to Editor- it has been set as 2.

The manuscript will be moved to Submissions with Required Reviews Complete folder when clicked on change to modify this default setting. Note: For all article types 3 reviewers should be invited with 2 alternate reviewers and for Letter to Editor 2 reviewers must be invited with one alternate reviewer. Step 3: The different modes of search engine available for inviting reviewers: Search for Reviewers Search by Classification Matches Search by Personal Classifications Suggest Reviewers Select from Previous Reviewers. The default search option available in EM for searching reviewers is the Search For Reviewers. Click Go to view the reviewers in the database.

Alternatively, if your journal is using the Classifications feature, you should change Search for Reviewers to Search by Classification Matches. Then click Go. The Editor may select one or more Classifications.

Alternatively, if you are using the Search by Personal Classification, select the Classifications you wish to match. Then click Submit. The Editor is brought to a page that lists all of the Classifications that are assigned to people in the system, with a checkbox next to each term. The Editor selects the Classification Terms desired and then clicks on the Select button to move them into the Selected Classifications section. A list of Reviewers associated with the selected Classifications is returned. The list can be ordered by the number of matching Classifications (see My Reviewer Display Preferences section)

Step 4: Selecting reviewers by name In the Value box, type in the reviewer s last name. Be sure to change End to Or, otherwise the system will only search on your first reviewer. Then click Search. o Hint: To see the complete list of available reviewers in alphabetical order, go to the first Value box and tap the spacebar on your computer once. Then click Search.

Step 5: Search from Previous Reviewers: Step 5: Selecting reviewers: Scroll down through your reviewer candidates. You can select as many reviewers as you wish, but remember, there is a minimum number of required reviews as indicated in Step 2 above. To invite a reviewer, click the Inv. box and for selecting alternate reviewers click Alt.to the left of the reviewer s name. Scroll to the bottom and click Proceed.

Invited Editors with the Invite Reviewers permission will see a Select as: Inv. (Invite) checkbox next to each name in the search results. By checking this box, the Reviewer will be immediately invited and sent an invitation letter. Once invited, Reviewers will appear in the Selected Reviewers section on the Reviewer Selection Summary menu. Alternate Editors with the Select Alternate Reviewers permission will see a Select as: Alt (Alternate) checkbox next to each name in the search results. By checking this box, EM will allow an Editor to choose Alternate reviewers which can be either linked to an Invited Reviewer or automatically promoted if an invited reviewer declines the invitation (if EM is set to automatically Un-invite a reviewer who has not responded to an invitation). Note: When selecting a reviewer please make sure that the reviewer has NOT: a) completed a review in the last month; b) have any outstanding invitations; c) been listed as an alternate reviewer or declined to review the manuscript previously."

Step 6: Confirm reviewer selections, change the due date and send the letters. Confirm your reviewer selections and the letter to be sent. Please Note: There are different letters for original versions and revised versions of the manuscript. Click the blue arrow-down button to see your choices. If necessary, you can change the due date. To edit the invitation letter, click Customize. Click Confirm Selections and Proceed to send the invitation letters. For Revised manuscripts: Select the appropriate letter template as Reviewer Invitation Revised Mnauscript.

III. Adding Reviewers to Editorial Manager and Inviting them to Peer Review: Step 1: Adding Reviewers to Editorial Manager and Inviting them to Peer Review: Locate the manuscript and click Invite Reviewers. Step 2: Scroll to the bottom of the page and click Register and Invite New Reviewer.

Step 3: Type the reviewer s first name. Type the reviewer s last name. Type the reviewer s email address. Click Submit. Step 4: Proxy Registration Page Select the Reviewer Role and Country. Then click Register and Do NOT Send Letter.

Step 5: Invite the Reviewer Click Invite this person to review Manuscript <Number> <Title>. Step 6: Confirm the reviewer you are inviting. Click Customize to edit the letter. Then click Send.

IV. View Completed Reviews: Step 1: Refer to Page 2 for steps on logging onto the Editorial Manager System. Step 2: Refer to Page 4 for steps on revealing the Action Links. Step 3: Locate the appropriate manuscript. Step 4: View the reviewers comments: Click View Reviews and Comments Step 5: Click the recommendation term next to the reviewer s name:

Step 6: View the confidential comments to the Editor. View the comments to the author. To edit the review, click Edit Reviewer Comments. Step 7: Click Save and Close. Step 8: If a reviewer has attached a file, click Attachments.

Step 9: Click Download to view the file. Click Allow Author Access and/or Allow Reviewer Access to allow the author and other reviewers access to the attached file. Note: Edit Reviewer Attachments is now called Upload Attachments. Editors with this permission have the ability to download attachments uploaded by Reviewers or other Editors, to replace those files with a revised version of the file, and to upload a new attachment. Editors with the Upload Attachments permission enabled now have the option of uploading an Attachment prior to inviting Reviewers to review a submission. A new Attachments link is added to the default Editorial Details page for this purpose. Clicking the Attachments link opens the Attachments pop-up page for the Editor. Any existing attachments are displayed in the bottom area. If there are no attachments yet, the message There are currently no Attachments displays. To attach a file, the Editor clicks the Upload Attachment button.

In the Upload Attachment window, Editors may enter a Description of the file, use the Browse button to locate the file, and determine the Viewing Permissions; is this attachment for Reviewers only, for Authors only, or for both? If neither option is selected, the Attachment will only be available for other Editors with Download Attachments or Upload Attachments permission. Clicking the Attach this File button completes the file upload process.

After uploading the file, it displays at the bottom of the page. If the Editor has uploaded the wrong file, s/he can use the Remove link to remove the file on this page. Clicking the Proceed button returns the Editor to the Attachments page. The Attachments page now displays the attachment(s) available for this submission. The Editor may change viewing properties here, upload a revised version of the file, or remove it.

V. Make a Publishing Decision and Notify the Author: Step 1: Click Submit Editor s Decision and Comments : Step 2: Select the appropriate decision from the drop-down box and click Proceed.

Step 3: Double-check your decision and click Proceed Step 4: Notify the author of your decision when making Minor or Major Revisions: Letter is being sent from (see From: field). Letter is being sent to the author (see To: field). Subject line of the letter (see Letter Subject field). Click the cc box to send a copy of the letter to the Editor(s).

To edit the decision letter, scroll through the Letter Body and type your comments directly into the letter. Comments to the Author from the reviewers will automatically appear at the end of the revision and rejection letters. Click Send Now to send the letter. Note: When making the decision as Accept/Reject after you click Proceed, the paper automatically moves back to the EiC s queue for final decision and in that case you will not be able to notify the author of the decision.
