Adding Practice Users EMIS Web TQuest is set up by EMIS and the only task the practice has to do is to add the users. This is done as follows: 1 Prepared by DensCo Ltd. for R&T CCG and Kingston Hospital Foundation Trust
TQuest will open in the administrative part of the system as below: 1. Go to the Practice Users tab 2. A list of current users will be displayed 3. Go to the bottom of the screen and you will see the following: 4. Click on Add to add a new user 5. The following screen will appear 6. The fields are as follows: a. Name first name and surname (prefix with Dr if appropriate) b. Position choose from drop down list c. PMS Login name the EMIS login name (PMS is Practice Management System) d. ODS Code for Doctors their GMC code. This is used for validation purposes e. Can Request No or proposed. Only Doctors to whom results can be returned can be proposed and the lab will validate them and add them to your list of requesters. For all other users this stays as a No. f. Other Management Functions in TQuest a. There are 8 tabs on Location Report as follows b. Incomplete shows any tests that have been started and not completed (where Save has been selected rather than Finish). These should be deleted if they are out of date this is at the discretion of the practice. c. Complete all completed tests, that is those where the Finished button has been pressed. Completed tests can also be reprinted from this screen by selecting the patient s test and then selecting the Reprint button on the bottom left of the screen. d. Practice Users enables users to be added, removed and amended. When a user is added who is also a Requestor, the lab will approve this as soon as possible (please see separate sheet for instructions on adding a new user. The PMS Login name must match what is on EMIS Web The ODS Code is the GPs GMC code The Starting Tab should be set to Request i. e. Comments - enables the practice to build up a list of comments that can be used on the Request section of the system in Clinical Details (for instance Diabetic Review). f. Margins must be 6555 to start but can be adjusted if required g. Statistics shows details of numbers of tests ordered and of what type over a given period. h. Request text is used by the Lab 2. Testing Printing a. To test printing either try a test printout as shown above or input an order for a Test patient as follows: b. Go into a test patient c. Open a new consultation d. Select Test Request Online Test Request e. The TQuest software will open on the Request tab f. Input basic details and click on Order g. Input basic tests and click on Collect Sample Now h. Press Finish i. The software will go into a print routine. Ensure the margins 6555 (or others to suit if required) are input and printout on A4 paper Possible Printing Problems It may be difficult to line up the bottle labels so that they contain all the necessary information. Sometimes data such as the patient DOB can print off the edge of the label. The possible solutions are: Alter the margins until the label is aligned Print the form on plain paper and hand write the labels on the bottles Handwrite the missing data on the label (usually the patient DOB) 5 Prepared by DensCo Ltd. for R&T CCG and Kingston Hospital Foundation Trust
Ordering a Test in TQuest using Finish or Save Select a patient and open a new consultation (note that test requests can be added outside of a consultation but will not be as prominent on the record. Go to Test Request then select Online Request The TQuest screen will open for the selected patient on the Request Tab. Select a Requester from the drop down list Select Radio buttons Fasting or Pregnant as appropriate. There is no need to select Save at this point. Next click on the Order Tab: Select the tests required either by: 1. Choosing from the common orderables which are displayed by category on the left side of the screen. 2. Using the Search button under the common orderables section to find specific tests. 3. Choosing from the Groups option which is on the top right of the screen. This will offer a group of tests which normally go together such as for a diabetes review. Put the reason for the test in the Comment box. Below the Comment Box there are three choices indicated by the radio buttons on the bottom right of the screen. These work as follows: 1. Collect sample now then select Finish from the bottom left of the screen this will print out the order form with the time and date stamp added for today. The Save button on the bottom right is greyed out when you select Collect Sample Now. 2. Collect sample later unknown date, then select Finish from the bottom left of the screen this will print out the order form with no time and date stamp 3. Collect sample later unknown date, then select Save to return to EMIS Web. As a saved test there is no print out produced and the test can be sampled or edited at a later date. When you return to EMIS Web click on OK to save the order entry. 4. Collect sample later specific date will prompt for a date and then can be Saved or Finished as per steps 2 and 3. Complete and Incomplete Tests A test which has been Finished is called a Complete Test and will be listed in the Complete Tests in Location Report. A Complete Test can be re-printed. A test which has been saved only, is an incomplete test and will be listed in the Incomplete Tests in Location Report. An incomplete test can be edited or sampled. Editing a Saved Test Sampling or Editing A Saved test can be accessed for two reasons to take the sample or to Edit the test. A saved test (for completion later) can be found in the following places on EMIS Web 1. On the patients Summary Screen (top right with Diary entries) 2. In the Diary 3. In Workflow, Test Requests, Awaiting Sample Below are instructions for the Summary screen. Completing a Save Test Request From the Summary Screen Double click on the relevant entry in the Planner (top right pane) The following is displayed: 9 Prepared by DensCo Ltd. for R&T CCG and Kingston Hospital Foundation Trust
At this point you can use the buttons on the ribbon to: Sample Test Request and on pressing this TQuest will open on the Sample Screen Taking the Sample this option may be used by Phlebotomists / HCAs / Nurses etc when the test has been added but not Finished and the sample is now being taken. The sample screen gives details of the containers required their type and number, on the left hand side of the screen. Select Collect All Samples and this will time and date stamp the order. Select Finish to print the form out in the normal way. The printer dialogue will appear. Editing the test this option may be used to make changes to the test and / or print out a previously saved test. Double click on the relevant entry in the Planner (top right pane) The following is displayed: Edit Test Request and on pressing this TQuest will open on the Order Screen The original Order is displayed and this can be edited as required. You can then add or delete items from the test as you wish, change or add comments etc. Below the Comment Box there are three choices indicated by the radio buttons on the bottom right of the screen. EMIS Ribbon Delete & Print Test Request The other buttons available on the ribbon are Delete and Print. If you delete a Completed Test Request it only deletes it from EMIS, not from TQuest. If you Print Request Form it is an EMIS representation of the Request Form not the one required by Kingston Hospital. TQuest Review Function Viewing Results The review function in TQuest enables the user to view any pathology results or imaging processed by Kingston Hospital in the preceding 90 days. To access Review start an order for the patient in the normal way. Go straight to the Order tab and select the View Previous Test Results button which is towards the bottom right of the screen. If there are any results for the patients these will be listed on the Summary Screen. 1. The first page of the report lists all recent results for a patient whatever the source in terms of requestor. 2. This first view is called the LIST 3. Click on the arrow to Preview. This opens up that particular line of data and gives further demographic details and date and times for the test. 4. Click on the Summary icon to view available summaries for patient. This gives a second screen listing all the tests in that battery. You can also print from this screen. 5. Click on any of the hyperlinked words in the row to access information pertinent to what you choose. So clicking on the clinicians name will show all the tests done for that patient for that clinician requester. Choosing the date, will show all the tests done for that patient on that date. Choosing the patients name gives all the tests for that patient (you are looking at those anyway). Choosing the location gives all the tests for that patient for that requesters location. 6. Once you have drilled down to the actual result the Copy to Me function is visible. 7. When you filter from this screen you need to click on the white cross on a red background which is at the top of the screen on the filter heading to remove the filter and go back to the full list. Printing The Print button is found in two places the Summary Screen and on an individual report. From the Lists screen, select the Summary icon for the report you want to view or print. This takes you to the Summary screen.. Print icon List returns you to the List screen. Logout takes you back to the Order screen From the Lists screen, select the Summary icon for the report you want to view or print. Then click on the numbers for the individual test to view just that test. The test is displayed and at the bottom and top of the screen is the Print icon. If you click on the icons to the far left of the report you will set off the Chart function (this can be very slow). Selecting Test Name or Details will invoke the Chart function. Selecting the 3 rd column, ( ) in this example, will invoke the Report screen where you can print and copy the test. Copy to Me the test will be set for transmission back to the surgery via the links, in the name of a Requestor only. 14 Prepared by DensCo Ltd. for R&T CCG and Kingston Hospital Foundation Trust
EMIS Web Ways to use TQuest Order and print at the same time 1. Select a patient, then open a new Consultation (Test Requesting is available within or outside of a Consultation) 2. Select Test Requests, then Online Request 3. The GP Order Comms screen will open for the selected patient on the Request Tab. 4. Select the Requester for the Test from the Requesting Professional drop-down box - (this will be the person whom you want the Results to be sent back to) 5. Select the relevant Radio buttons for Fasting and / or Pregnant Question 6. Next click on the Order Tab: 7. Select the tests required either by: a) Choosing from the Common Orderables which are displayed by Department on the left side of the screen. b) Using the Search button under the Common Orderables section to find Specific Tests. c) Choosing from the Test Groups option, which is on the top right of the screen. 8. If you are taking the sample now, Select the Collect Sample Now radio button, then select Finish from the bottom left of the screen this will complete the process on TQuest and print out the order form. 9. If you want to simply print out the order form for the patient to take away or to keep for a future appointment Select the Later Unknown Date radio button, then select Finish from the bottom left of the screen this will complete the process on TQuest and print out the order form. Order and save to sample or print at a later date 1. Select a patient, then open a new Consultation (Test Requesting is available within or outside of a Consultation) 2. Select Test Requests, then Online Request 3. The GP Order Comms screen will open for the selected patient on the Request Tab. 4. Select the Requester for the Test from the Requesting Professional drop-down box - (this will be the person whom you want the Results to be sent back to) 5. EMIS Web Retrieving a Saved Test Saved tests can be located either in the Patient Diary or Workflow Manager, Test Requests. The examples below are found in Workflow Manager, Test Requests. Go to Workflow Manager Test Requests Select (double click) the patient from the list of names in the right hand pane. At this point you can use the buttons on the ribbon to: Sample Test Request and on pressing this TQuest will open on the Sample Screen Select Collect All Samples to show that all samples have been taken. Select Finish then click on Save & Print on the Printer Dialogue screen and the Lab Form will be printed out. Once printed the user will return to the EMIS record. Edit Test Request and on pressing this TQuest will open on the Order Screen The original Order is displayed and this can be edited as required. Then click either on Save or Finish as appropriate. The other buttons available on the ribbon are Delete and Print. If you delete a Completed Test Request it only deletes it from EMIS, not from TQuest.
