Introduction This manual serves as a reference guide on how to: Multi-Select different questionnaire components Copy and paste questionnaire component(s) within the same questionnaire or different questionnaire How to undo and redo most recently performed actions in the Designer. You are advised to use the full Freedom Designer Manual in conjunction with this document. This functionality is supported by version 3.1 and any version released after that; any other versions released prior to this version will not support this functionality. To find out which software version you are currently using, please click the About menu in the Designer. 1. Multi-Select Functionality The multi-select functionality saves you time by allowing you to select more than one component within the Root level. There 3 ways in which you can multi-select multiple questionnaire components: a) Ctrl+ left click b) Left click to select a questionnaire component and then use Shift + left click select a continuous set of components c) Left click to select a questionnaire component and the use Shift + arrow key / Once the components have been selected, they will be highlighted in blue as shown in the screenshot below. 3 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

The following tasks can be performed by multi-selecting: Copy Paste Drag and Drop Delete 2. Copy and Paste Functionality The copy and paste functionality allows you to replicate an entire questionnaire, a single questionnaire component or a group of questionnaire components. You can copy and paste component(s) within the same questionnaire or into new/different questionnaires. This functionality is particularly useful if you plan to work collaboratively with a colleague. You and your colleague can work on different sections of a questionnaire and merge the screens to create a whole questionnaire. For instance, you could be working on the first part of a questionnaire while your colleague could be working on the last part of the questionnaire. In this case, to create a final version, all you have to do is multi-select the screens designed by your colleague in order to copy and paste into the final version of the questionnaire.this saves you time as well as allowing you to work collaboratively with your colleagues throughout the questionnaire design phase, even if users are located remotely from one another. You can either copy and paste a single questionnaire component or a group of questionnaire components by using the multi-select functionality. Before you are able to copy and paste any questionnaire component(s), it will need to be selected. There are various ways in which you can copy and paste to suit your preference. You can use the Edit menu, keyboard shortcuts or right click on the component you want to copy and paste. Note: When copy/pasting questionnaire component(s) into the same questionnaire; you will be required to rename your variables in order to avoid any clashes. When copy/pasting into a different questionnaire, some questionnaire components will lose all linkage You will therefore be required to re-link them with the correct component(s). 2.1 How to Copy Questionnaire Component(s) You will first need to select the questionnaire component(s) before you are able to copy it. You can either use the multi-select functionality to select a group of questionnaire components or click on a single questionnaire component to select it. In the example shown the screen entitled O: Start is to be copied. Within the structure of the questionnaire the screen is highlighted (as indicated by the blue stripe), this will also automatically copy all the elements that are contained within the highlighted screen. In this case there are five questions contained on the screen (as indicated by the orange box). 4 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

Once the screen has been selected, use one of the following methods to copy it: a. Select the Edit menu Copy b. Right click on the component you want to copy and select Copy c. Shortcut: CTRL + c 5 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

2.2 How to Paste Questionnaire Component(s) To paste a copied component or group of components you must first select a destination component and use one of the following methods to paste (here shown pasting to a New Questionnaire ): a. Select the Edit menu Paste b. Right click on the item you want to copy and select Paste c. Shortcut: CTRL + v The destination component must be a suitable place for the component you are pasting. For example, you can only paste a whole questionnaire to the root or a screen of the questionnaire section or to another screen. If the selected destination is not valid Paste will not be available on the edit or right click menus and <Ctrl>+v will be ignored. The pasted component(s) will appear at the end of the list of the existing child components at that level in the questionnaire. You can then click and drag components to the desired position. The copied component can be pasted over and over again if you wish. It will remain on the surveybe clipboard until you copy another component. 3. Copying/Pasting Different Questionnaire Components The following sections explains (with the help of screenshots), how to copy and paste different questionnaire components into the same and new questionnaire. 6 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

3.1 Copying and Pasting Questions You can copy and paste a question or questions to any suitable component found on the Root structure within the same questionnaire or on a different questionnaire. Copy pasting into the same questionnaire When copy pasting questions into the same questionnaire all question types retain their linkage. For example, a Response- List question will still be linked to the Response List it was originally associated with. You will however be prompted to enter a prefix when adding these questions in order to avoid any clashes within the questionnaire. You won t be able to add the question if you try to save it without adding a prefix. Please note that the prefixes can only contain letters and underscores. There can be no spaces, numbers or other symbols. In the following example, we have shown you can add a Response-List question. 1) Select the question you want to copy from the left hand panel 2) Copy the question (see section 2.1) 3) Select the screen where you want to paste the question 4) Paste the question (see section 2.2) 7 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

5) You will be prompted to add a prefix. Please add prefix if question variable name already exist or you may wish to leave it blank if it does not. Once the Response List question has been pasted, you will notice that the Response List is still linked to the question. Copy pasting into a different questionnaire If you are pasting the questions into a new/different questionnaire (where the variable name does not already exist) you may choose not to enter a prefix. Please note that when you paste single Response List, Multi-response List or dynamic question they will lose their linkage. For example, the Response List linked to a Single Drop Down list question will not be pasted over. Similarly, when pasting a dynamic question, the reference table used in the SQL Row field will not be pasted over. You will have to add these components separately and link them to the questions. This gives you the opportunity to control the structure of your questionnaire, ensuring that questions are linked to the appropriate response list. To copy and paste a question which requires a single response dropdown list or radio button answer type in a new/separate questionnaire follow these steps: 1) Select the question you want to copy 8 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

2) Copy the question from the your questionnaire (see section 2.1) 3) Go to the target questionnaire 4) Select the screen where you want to paste the question 5) Paste the question (see section 2.2) 6) You can enter a prefix or leave it blank if you wish and click OK Once the question is pasted, you will note the link to a response list is missing and you will receive a design error in the Design Alerts tab. 9 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

7) To clear the design alert, you will need to link the pasted question to a response list. If a suitable list isn t already in the questionnaire you can copy/paste the original response list or one from elsewhere. 3.1.1 Copying and Pasting Response Lists One Response List can be used by multiple questions. They questions may have different answer types. Therefore, you will not normally copy and paste response lists into the same questionnaire. However, if you do this by accident, you will receive a design alert to warn you about the duplicate response list. In this case, you can either delete the second response list or you can undo the change (Please refer to section 5 on how to undo a change). Be careful to delete the new pasted response list as the original list may be linked to existing questions. If you delete the old response list you will have to re-link any questions that were using it to the new list. When copy pasting a question which is linked to a Response List in a different questionnaire, you will be required to copy the Response List and link it to the questionnaire. To copy and paste a response list into a new/different questionnaire: 1) Navigate to the Data tab and select Response list from the left hand menu options 2) Select the response list that you want to copy from your questionnaire 3) Copy the response list (see section 2.1) 4) Still on the Response List tab, in the Data section, select target questionnaire and paste the response list (see section 2.2) 11 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

5) To link a question to the response list, go to the question in the Properties section within the 'Questionnaire Design' tab and select the appropriate response list in the dropdown list question 6) Save the question 3.3.2 Dynamic Questions If you copy and paste Dynamic Answer or Dynamic Multi-Response questions into another questionnaire, you will need to make sure that there is a Reference Table linked to the question that is consistent with the Row Source SQL found in the question properties. If you use a different or updated reference table, 12 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

you may receive design alerts since the SQL will not match the columns of the reference table. In this case, you will have to change column IDs in the SQL to match the reference table. To copy and paste a dynamic question into a new/different questionnaire: 1) Select the dynamic question from your questionnaire 2) Copy the question (see section 2.1) 3) Select the screen or roster where you want to paste the question 4) Paste the dynamic question (see section 2.2) 5) Enter prefix if the question variable for question already exists or leave it blank if you are pasting it into a different questionnaire 6) Click OK The question will be pasted and you may receive a design alert as the question's Row Source SQL may be an invalid statement at his point (because the Reference Table is likely to be missing). 13 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

You will then have to either upload the reference table or change the SQL. If the former is appropriate, please take care to upload the correct reference table. Please note any changes made to the CSV file used as the reference table will have an effect across all the questionnaires that utilise it. It may be worth considering copying the source file under a new name for each questionnaire. 7) Navigate to the Data tab of the questionnaire and select reference tables from the left hand side menu 8) Add a new reference table 9) Name and save the reference table. Make sure the reference table and column names match the source row SQL 10) Select the CSV file to upload by clicking the Load File button. 11) The design alert will disappear 3.2 Copying and pasting Rosters, Tables & Item Lists When you copy and paste a roster into a new/different questionnaire, you will have to manually link the roster to its table and item list. The table and the item list are not pasted so as to enable you to have more control over your questionnaire design; you may chose to link your roster to a different table or item list. 3.2.1 Copying and Pasting Rosters When you copy and paste a roster, all sub-screens, labels and questions including SQL statements found within the roster will also be copied over. You may receive design alerts when copying and pasting rosters -you will therefore be required to: Link the roster to a table Add or copy/paste the item list linked to your table (if applicable) Link any radio button / dropdown list questions to the correct response list (s) if applicable 14 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

Upload reference tables referenced by SQL in the questions or on labels and correct your SQL statements where applicable To copy a roster into a new or different questionnaire: 1) Select the roster you want to copy over 2) Copy the roster (See section 2.1) 3) Go to your target questionnaire 4) Select the screen where you want to paste your roster 5) Paste the roster (see section 2.2). At this point you will receive design alerts for the missing table and for any issues with labels, sub-rosters and question 15 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

6) Link the roster your table; make sure your table is linked to your reference table or item list if applicable ( see following section on how to copy and paste item lists and tables) 7) Tick show item description column if applicable 8) Deal with any issues relating to the child components 9) Click Save 3.2.2 Copying and pasting Item Lists When you copy and paste a table in a new/ different questionnaire, the item list linked to the table will not get pasted. You will therefore be required to add or copy/paste the item list as well. To copy and paste an item list: 1) Navigate to the Data tab of your questionnaire and select Response List from the left hand menu option 16 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

2) Select the item list that you want to copy 3) Copy the item list (See section 2.1) 4) Go to the target questionnaire 5) Navigate to the Data tab and select Item Lists 6) Select your questionnaire 7) Paste the item list (see section 2.2) 8) Navigate to the Table menu option to link the item list to your table 9) Navigate to the Questionnaire Designer tab and select the roster 10) Tick show item description column under the properties tab 11) Save the change Note you can also copy and paste one or more item values. You need to take care to resolve any item values with duplicate ID numbers or names as Surveybe allows these to be pasted. If you paste the same item list twice, the Designer will flag design alerts and you will need to delete one item list. 17 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

3.2.3 Copying and Pasting Tables When you copy and paste tables the table name, description, identifier and any SQL linked to it will also be copied over: 1) Navigate to the Data tab of the questionnaire where you want to copy the table from 2) Click Table from the left hand menu options 3) Select the table you want to copy 4) Copy the table (See section 2.1) 5) Go to your target questionnaire and paste the table (See section 2.2) 6) Add a prefix to the table name if application. 7) Link your table to item list if applicable 18 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

Please note you will receive design alerts if your SQL does not match your structural components and is not valid. You will therefore need to correct your SQL if needed. 3.3. Copying and Pasting Labels Copy and pasting labels does not require you to enter a prefix. You just have to select the label copy to (see section 2.1) and paste it (see section 2.2) into the same questionnaire or to a new/different questionnaire. Any HTML tag linked to the label will also be copied over. This saves you from having to rewrite long interviewer instructions. 3.4. Copying and Pasting Screens You can also copy and paste a whole screen containing questions, labels and sub-screens into the same or a new/different questionnaire. You can work collaboratively with a colleague and merge screens that you have created separately into one single questionnaire or section thereof. If you are pasting the screen into the same questionnaire you will be invited to enter a prefix so as to avoid any name clash. The prefix will only be applied to question variable names and not to the screen itself. If you are pasting a screen into a different questionnaire you can enter a prefix or you may leave it blank if you wish. Please note you may receive design alerts if there is a difference in the structural components of the questionnaire. Please refer to the previous sections on how to address the design alerts. To copy and paste a screen, please follow the steps below: 1) Select the screen you want to copy over 19 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

2) Copy the screen (see section 2.1) 3) Navigate to the target questionnaire 4) Select the questionnaire level 5) Paste the screen (see section 2.2) 6) Enter prefix or leave blank as applicable 7) The screen will be pasted. 4. Copying and Pasting whole Questionnaire When you copy and paste a whole questionnaire, the reference tables are not pasted. You will therefore need to add and upload the reference tables. This gives you control over which reference table to use as you may upload a different reference table. In case, you choose to upload a different reference table, you will have to address the design alerts. To copy and paste a questionnaire: 1) Select the questionnaire that you want to copy 2) Copy the questionnaire (See section 2.1) 3) Select the Root level 21 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

4) Paste the questionnaire (See section 2.2) 5) A dialogue box will pop up: rename the questionnaire 6. Un-tick the clone checkbox if you only want to import a copy of the question. Tick the clone checkbox if you want to clone the questionnaire. Cloning enables you to import interview files against the original questionnaire and any cloned versions of the same questionnaire 22 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD

The new questionnaire will be pasted. 5. Undo/Redo Functionality The Designer now keeps a temporary list of actions as you are designing your questionnaire. Please note the number of actions included in the temporary list is limited by the size and scope of the actions most recently performed. It therefore allows you to undo and redo any change from the time you open your Designer until you close the application; this includes changes made before and after exporting interview files as well as changes made while switching between different questionnaires. The undo functionality restores unintentionally deleted items. To undo a change or a set of changes: a. Select the Edit menu Undo b. Shortcut: CTRL + z If you undo any change(s) and change your mind, the redo command can restore the changes you have made again or reverse unintentional "undo" actions. To redo a change or a set of changes: a. Select the Edit menu Undo b. Shortcut: CTRL + y Please note you cannot undo and redo any change or set of changes that were made before you last closed the application. 23 P a g e ECONOMIC DEVELOPMENT INITIATIVES (EDI) LTD
