For this session we will focus on the individual user and where they go to make changes, as well as what changes they can make. The section of OASIS we will look at is Administration>Manage Account and view only those features the individual user can control and how it affects their OASIS experience. ******************************************
Slide 3 Administration>Management Administration/Manage Account Every user should be aware of who their Administrator is. This information is visible in the middle portion of the top screen when you are in most tabs in the Administration>Manage Account folder. For libraries who have a generic name for their Administrator the email address can usually identify who it actually is. If you still cannot decipher who the Administrator is please contact your Coutts Customer Service Representative.
Slide 4 Security Tab Security The next tab I want to take you to is the Security tab. Accept Forwarding is a default setting which allows your colleagues to be able to forward titles to your Inbox within OASIS. Removing this check removes your name from the List/Forward dropdown throughout OASIS. An X next to Ratifier means someone else is named as your Ratifier and your check-out method or action when you select a title will automatically be Send to Acquisitions. If you feel the Ratifier is not listed correctly please check with your Administrator. The next section within the Security tab has four boxes and this is where you can manage your default settings for firm ordering. You can set your own defaults either by free text or from a list if a dropdown has been customized for you. Setting defaults can work well if you tend to use a specific fund the majority of the time. But instead of setting your default order information here you can now use TEMPLATES and we will cover that shortly. It s important to note that this information does not override your Slip Notifications order information - which is setup during the profiling process. Grayed out boxes means that your defaults have been preset by your Administrator and cannot be changed by you. All remaining options within the Security tab are access levels and are managed by the Administrator. The two most important access levels are: Authorization Required - provides full access on a Selector level the Action Arrow will have Select or Selection as the application to be taken. Automatic Authorization provides full access and the Action Arrow will have Order or Ordering as the application to be taken.
Slide 5 Personal Tab Personal What settings are important within the Personal tab? The Personal tab contains information about you as it relates to your account and most of the important fields are filled in by default when the account is setup. Whenever the Signature box is already populated you we recommend you check with your Administrator before changing. This box is often used in EDI setups and changing this could be problematic. If this field is not filled in you again may want to check with your Administrator to see if there is a prescribed format for your library. The signature also appears in OASIS in Order Information, History, Check Status and within the browse rows for some list information. Your email address is very important here. It is used a the default for any management reports you request and is also used to send out promotional and marketing materials such as invitations to webinars. Remember to Save.
Slide 6 Password Tab Password Many users do not realize you can change your password. In Administration>Manage Account you have a Password tab. Click on that and fill in the information as requested. Remember to SAVE.
Slide 7 Preferences Tab Preferences The Preferences tab allows each user to personalize some features are displayed within OASIS. Items in this tab default to fit most basic workflows. Based on our experience in setting up accounts though we do recommend that you consider a couple of changes to these default settings: First set the Start Node (which would be your landing page) to suit your workflow in other words if you are a selector receiving slip notifications you may want to go here when you log in. The other change that we recommend is a change to the Book Display Mode from brief display to detailed display. The Book Display Mode determines how titles are displayed in a browse list. Although the brief display affords you more real estate in the browse row for displaying titles there is some information which is not displayed which you may find useful such as series information, titles notes, illustrations, etc. One of the newer settings you will see if you are setup for Multi-line ordering is the box to check and display the grid-view in your order information. This preference will only display if you are setup to use Multi-Ordering.
Slide 8 List Maintenance Lists Maintenance is where users can manage their lists, slip notifications and forwarding targets. There are several List Types: system generated lists, save lists and other users which appear in the top half of your screen. The System Generated lists are your Slip Notifications, Recycling Box, Authorized Orders, etc Saved Lists refer to any list you create from any Search Results screen. Other Users refers to anyone within your Library Group account who has ticked the Accept Forwarding box in Security tab, which I showed you earlier. In the lower portion of the screen you have different options which you can manage for different lists, including creating new lists, deleting existing saved lists and renaming saved lists. Here are some other examples of how you can manage lists for your Slip Notifications you are able to change the 1) Life-Cycle up to 730 days; 2) You can also set how often you receive email notifications letting you know you have titles in your Slip Notifications to be reviewed; 3) Review Approval Books doesn t have any options to manage here because it is completely managed by the profile; 4) For your saved lists you can manage the frequency of your notifications or email alerts or targets. Saved Lists can be setup as email notification which actually send a brief description of the title or titles you have selected and offers the option for the recipient to recommend the title or reject the title which is then send back to your OASIS Inbox.
Slide 9 List Maintenance List Maintenance There are two different types of notifications that you can setup. The option you see here is for an internal notification that sends you an alert when there are items in a particular folder such as your slip notifications. The other type of notification actually sends a brief description of the title or titles you have selected and offer the option for the recipient to recommend the title or reject the title which is then send back to your OASIS Inbox.
Slide 10 Templates The Templates tab is where you can create, remove, edit as many templates as needed for you ordering workflow and setup a default order information form. Your Administrator can work with Coutts to customize many fields within the Order Information form. Labels can be changed and fields can be added or removed. In this example you see several fields which have either been added or renamed for this specific libraries needs. Dropdown fields also allow for further customization. It is also your Administrator who would request that Multi-line ordering be activated for your library. Templates can be setup for Single-line (traditional) ordering or for Multi-line ordering. Multi-line ordering is used when multiple copies of a single ISBN are ordered and there is the need to either send to multiple locations, assign multiple funds, etc
