1. How to Log in to Webmail a. URL: https://ocean.syscomusa.com Username: Your email address (ex. john.smith@syscomusa.com) Password: Your email password Version: Advanced (Ajax) Important: If Standard (HTML) is selected, some features will not work. b. Click Log In Make sure Advanced (Ajax) is selected here. 3
2. How to Change Default Password a. Log in to webmail (refer to Section 1: How to Log in to Webmail) b. Select Preferences tab from the top, and then General from the left. Under Login Options, click Change Password button. c. Change password window will open. Type in requested information and click Change password. Note: After you change password on webmail, the password setting on Email clients (such as Outlook) needs to be changed as well. 4
3. How to Setup Email Forwarding a. Log in to webmail (refer to Section 1: How to Log in to Webmail) b. Select Preferences tab from the top, and then Mail from the left. c. Scroll down until Receiving Messages appears on the screen. d. Enter the destination email address into the box under Forward a copy to: If you want to forward email to multiple email addresses, separate the addresses with semicolon (;). e. Click Save 5
4. How to Setup Auto-Reply Message a. Log in to webmail (refer to Section 1: How to Log in to Webmail) b. Select Preferences tab from the top, and then Mail from the left. c. Scroll down until Receiving Messages appears on the screen. d. Within that section, locate Send auto-reply message: Check the box to activate the auto-reply and enter text in the text box below. 6
e. Set start and end date if necessary. Note: The setting will become effective at 0:00 am on the set date. Ex) Start On: 8/8/2013 Auto-reply will start at 8/8/2013 at 0:00 am. End On: 8/9/2013 Auto-reply will end at 8/9/2013 at 0:00 am. (On above example, the auto-reply will not be sent on 8/9/2013) f. Click Save 7
5. How to Check Email Quota a. Log in to webmail (refer to Section 1: How to Log in to Webmail) b. Place the pointer over your name displayed at the upper right corner of the screen. Tooltip will appear with the quota information. In below example, john.smith@syscomusa.com uses 5.5MB of space out of 1GB (or 1% of the available space). 8
6. How to Share Calendar I. To grant access to another user: a. Log in to webmail (refer to Section 1: How to Log in to Webmail) b. Select Calendar tab from the top. c. Right Click on Calendar under Calendars on the left. c b d. Once you Right Click, select Share Calendar. Share Properties window will pop up. 9
e. Enter the email address of the person you wish to share your calendar with. (This person will be called the Grantee of the share in the subsequent sections.) f. Make sure Viewer is selected under the Role. ( Manager can be selected if preferred. Please see below for the explanations of each role.) Viewer : The Grantee can see the activities that are posted on your calendar but cannot make any changes. Manager : The Grantee has permission to create, edit, and delete activities on your calendar. g. (Optional) If necessary, choose Allow user(s) to see my private appointments. This allows Grantee to see your appointments that are marked private. 10
h. Make sure Send standard message is selected under Message section. i. Click OK. An invitation email will be sent to the address you have entered. 11
II. To accept the share: a. Log in to webmail using the email account of the person who was granted the access to the shared calendar in section I (refer to Section 1: How to Log in to Webmail). (In this example, Mary Smith is sharing her Calendar with John Smith / john.smith@syscomusa.com.) b. Locate the invitation email in the Inbox and double-click to open it. 12
c. Click Accept Share button located on the top portion of the email. Important: This step can ONLY be processed from the Web Mail. (This button will not show up on Outlook.) d. Click Yes to accept the share. (The Color drop box will allow you to configure the color of the shared calendar s activities that will appear on your calendar.) 13
e. Select the Calendar Tab. The newly-shared calendar should be listed on the left column, and the activities of the shared calendar should be displayed in the calendar area on the right. (In below example, red-colored item is the shared calendar activity.) f. If the shared calendar does not show up automatically in the previous step, click Refresh button. This will update the calendar information. 14
