Introduction The St Stithians College secure Portal is used by the College to collect parents electronic signature upon their individual completion of the annual Parent Declaration. Parents are also given the opportunity to inspect and amend their personal information reflected on the College database. Parents are encouraged to log into the secure Portal on a regular basis to view school calendars, to view / download school reports, to gain access to real-time school fee statements, to view school photographs of their children, and many other offerings. The Portal can also be used to send messages directly to respective subject teachers involved with each student. 2. Finding the Portal The Portal can be found on the Saints Website http://www.stithian.com (click on the "Portal" button under the Quick Links heading) or by entering the URL - https://portal.stithian.com Click on Secure Portal.
3. Logging into the Secure Portal Logging into the secure Portal is a two-stage process and is similar to the security imposed by banking sites. The College is security conscious and needs to ensure the integrity of your personal information, because you are using the secure Portal to commit to legal documents. You will also supply your banking details for direct debits. 3.1. Stage One Firstly, you must log in using one of three identifiers (i.e. your unique Parent Code as it appears in our database, OR your ID number, OR your email address). Your ID number or email address must be reflected correctly in the database to enable you to use either of these identifiers. Secondly, you must input your password. If you have never used the Portal before, or you have forgotten your password, click on either the Request password link or the Forgot your password? link. A password will automatically be generated by the Portal for first time users. You are encouraged to change the password once you have completed the student enrolment process. On the password request screen, select the parent to whom the password must be sent and click on SMS password. 2 P a g e Portal Instructions 2018
If your cell phone number has changed, you will need to contact us at portal@stithian.com or on +27 11 577 6270 to update your number. If you have used the Portal previously, and remember your password, log in by providing either your Parent Code, ID number or email address together with your password. Only one of the three possible identifiers is required. 3.2. Stage Two This requires an OTP (one-time pin) that will be sent via SMS to your cell phone number (as recorded on our database). This OTP is valid for the active login attempt only, and can be deleted as soon as you have used it. Select which parent you are and click on the Login button. You will receive an OTP from the Portal to the registered cell phone number linked to the parent selected. You will be required to input the last five digits of the OTP. For example, if the OTP sent to you was 58301-62765, only 62765 is required. This concludes the two stages to log into the Portal. 3 P a g e Portal Instructions 2018
4. To Do List When you have successfully logged into the Portal, you will receive a personalised Welcome Screen and a To Do List. You will need to click on the red underlined links to access the documents to complete each step. Once you have completed all the required items a green tick will appear next to the completed step. You will not be able to proceed to the following step until the preceding step has been completed. From time to time there may be additional items added under Step Three - additional forms, which you may be required to complete / acknowledge upon your next login. 4.1. The Parent Declaration The annual Parent Declaration is a prerequisite to a student s annual enrolment at St Stithians College. The Parent Declaration must be completed and submitted individually by all Parents / Guardians by the 10 th school day of each year. 4 P a g e Portal Instructions 2018
Scroll to the bottom of the screen and click "Submit" to complete this step. 4.2. Undertaking to Pay This form must be completed by the Parent / Third Party responsible for Fee payment. Once you have selected your payment option, click on Continue. The next screen will summarise your payment selection and banking details. If you would like to amend you payment option click on the Amend button. If the information on the screen is correct tick the I confirm boxes and click on Submit to complete this step. 5 P a g e Portal Instructions 2018
4.3. Personal Profile Details (Student Enrolment Form) In this step you will be required to verify your personal details as reflected in our database. If you need to amend your information, please type the information in the text box on the far right-hand side of the screen. It is very important to the College to have current email addresses and cell phone numbers for yourself and your children, together with medical and emergency contact information. Please take the time to ensure that the information that we have on record is correct. Amendments to your personal details are not real-time updates to our database. Amendments undergo a review process and depending on our workload, they may take a number of days to reflect on the Portal. You can amend your information at any stage during the year by accessing the screen by clicking on the My Profile tab at the top of the screen and selecting Update personal profile details. 4.4. eforms You will be required to either print and return, complete, acknowledge or accept a variety of forms applicable to your child / children. Click on the red link of each form to view / print / submit / acknowledge / accept. All documents must be opened to complete this step. 6 P a g e Portal Instructions 2018
4.5. Vehicle Registration You will be required either register your vehicle/s, amend your current vehicle details or if the listed details are correct click on red block to confirm the vehicle details. 5. Portal Home Screen After completing all the steps above, the screen below will become your home screen. From here you can access school diaries, school reports, school fee statements, school photographs and communicate with teachers associated with the students in your family. We recommend you change your password from the one generated by the Portal to a personalised password.
