SDM - System Device Maintenance Use System Device Maintenance program SDM on the SPDP menu to set up your DOM output devices and standard forms. All systems that fax documents (FaxFX and Faximum) require setting up the basic system devices. The Document Output Management system, in addition to requiring setup of the basic system devices, requires the company document profile to be set up or maintained using the System Device Maintenance program (SDM). Figure 1 System Devices and Paths Screen The System Devices and Paths screen displays the settings for such controls as the Email Device, Fax Device, Faximum User ID when the Fax Device is EF1, PDF Display Device, PDF Text Device (required for email and faxing via Faximum), and PDF Printer. Type Y and press <TAB> if the device and path information is correct. Type N and press <TAB> to maintain device and path information. Customers that do not have a DOM password will be prompted: Print options or exit? (P/X): X Type P and press <TAB> to print the device and path settings. Press <TAB> to exit the device and path set up program. For customers with a DOM password, the system will next display the following prompt: Maintain Email Addresses, Documents, Options, Headers, Print, or exit? (E/D/O/H/P/X): System Device Maintenance Program SDM page 3 of 18

Type the following values to maintain: E Email Addresses D Documents O Options H Headers P Print X exit the program System Device Maintenance Program SDM page 4 of 18

Email Addresses The Return Email Addresses for Faximum and DOM Email screen, accessed by entering E at the above prompt is a new screen in SDM in version 8.01. Figure 2 SDM Return Email Address Screen The return email addresses entered on this screen changes the Email Domain Name defined on the first screen in SDM to one that is an active email address at your company. Distributors who were using email for invoices (RP) and customer statements (RS) were reporting that their customers were not receiving the emailed invoices or statements. In these cases, the customers Internet Service Providers were considering the Email Domain Name ( in the format server.company.com ) as spam. Specifying a return email address that is an active address: 1. Corrects the spam problem 2. Sends Undeliverable:Delivery failure email to the return email address when emails fail You must enter an active email address as Default Return Email Address. The remaining program specific return email addresses on this screen can be left blank if you want them to be the same as the Default Return Email Address. Or you can enter different return email addresses for the specific programs. System Device Maintenance Program SDM page 5 of 18

After a default and/or program specific return email addresses have been entered the user sees the following prompt. Figure 3 Return Email Addresses for Specific Documents System Device Maintenance Program SDM page 6 of 18

DOM Documents The Document Maintenance Page, displayed below, lists the documents currently available for Document Output Management, along with a list of customizing options available. This screen maintains the company profile of each document. Note: The Order Entry Delivery Ticket documents (DOM Form #1 and #2) and the Delivery Ticket documents (DOM Form #3 and #4) should be set up with the same settings. Figure 4 The Document Maintenance Page First, select the document to customize by entering it s corresponding line number at the prompt Enter <Field #> to change form or (A)ccept: The cursor will appear on the row selected in the Form Type column: Valid values for this column are: 1 Plain Paper 2 Pre-Printed Forms System Device Maintenance Program SDM page 7 of 18

Select the appropriate value by entering the number and <TAB>. Note: The programs associated with the above documents test to see if your system is a DOM system and the form type is a 4 or higher before the DOM print programs are run. In the instance that the Print Connector PC or Print Connector printer fail, you can revert to printing on Generic Printed Forms by changing the form type to 3. The cursor will appear in the Orient D/P/S column. Enter one of the following responses and <TAB>. D P S Double (available for OE and OP documents only) Portrait (8 ½ x 11 paper and requires a special envelope) Portrait (8 ½ x 11 paper and uses a standard #9 window envelope) Select the appropriate value by typing it into the field and press <TAB> to move to the next column. The cursor will appear in the Style O/S column. Enter one of the following responses and <TAB>. O S Ordered/Shipped/Back Ordered columns (not used on RS documents) Shipped Only (not used on RS documents) The cursor will appear in the Delivery Method E/F/B/N column. Enter one of the following responses and <TAB>. E F B N Email (system will search for an email address first, will use standard print if an email address can not be found in the CSCM/WC program) Fax (system will search for a fax number first, will use standard print if an email address can not be found in the CSCM/WC program) Both (system will search for an email address first, a fax number second and will use standard print if neither can be found in the CSCM/WC program) The system will print the document using the standard print. Note: Order Entry (OE) and Delivery Ticket Print (OP) are PRINT ONLY programs. Email and fax delivery methods are not valid for these documents and SDM will default to N and not stop at this field. The cursor will appear in the DEF LPx column. System Device Maintenance Program SDM page 8 of 18

The valid value for this column is the specific print connector printer that you will be using to print this particular form. Enter the appropriate value (LDD, LDL, LDP, etc) and <TAB> to move to the next column. Note: DOM documents will only print on Print Connector printers. The DOM print programs will not accept a non-print Connector as a valid printer selection. The cursor will appear in the FAX C/A column. Enter C or A and <TAB>. If C is entered, the DOM document is faxed to the customer contact. If A is entered, Stanpak checks first for a fax number in customer contacts, if none is found, the document is sent to the fax number set up in Customer Maintenance. The cursor will appear in the Tax ID Y/N column. This allows you to decide if you want to print the Tax ID number on these forms. Having the customer s Tax ID print on Line Draw DOM documents makes it easier to show that you have indeed collected/not collected tax appropriately on a sale and could even reduce the time sales tax auditors spent at the distributor s office searching for untaxed sales. Enter Y or N and <TAB>. By default, documents without pricing and customer statements will be set to No. Documents with pricing have the option default to Yes. The cursor will appear in the Copy2 P/M/N column. Enter one of the following responses and <TAB>. P M N Print a second copy of the document Print a second copy and mark it. The following screen is displayed: Figure 5 DOM Document Option Screen Note: With Stanpak v 8.01, you now have more control over the logos that print on individual DOM forms. You can print a logo different that the company wide logo or not print a logo. For example, if you have purchased paper with a pre-printed multiple color logo for invoicing, RP can be maintained to NOT print a logo but OP will print the company wide logo. The documents that can be maintained are: OEA Order Entry Acknowledgements OEP Order Entry Print for both un-priced and priced documents OP Delivery Ticket Print for both un-priced and priced documents OIP Invoice with Order print RP Invoice Print RIX Invoice Reprint RS Customer Statement Print When you answer Y to the Are the above options correct prompt, Maintain Individual Documents is displayed (see next page). Logo Location Upper Left Corner Column: 0 Row: 1 (should always be 0 x 1) Logo Location Lower Right Corner Column: 18 Row: 8 Your logo image is anchored at the point defined by the lower-right corner coordinates. These positioning coordinates identify the anchor point from which the Logo image lays out on the printed page. A second set of coordinates defines the point at the upper left limit of the print area. The two points taken together define a target frame. The units for the Horizontal axis of the coordinate are expressed in columns or characters. The unit width for each character, based on 10 characters per inch, is.1 inches. The units of the Vertical axis are expressed in rows or lines. Based on 6 lines per inch, the unit height of each line equals.167 inches Column width 0.1 Row height 0.167 The upper left coordinates of the target frame should be set at 0 x 0. Enter the coordinates of the lower right limits of your logo to position it on your document. This will determine the space available for your logo to fit. STANPAK and the Print Connector will automatically adjust the size of your logo image to fit within the space defined by the target frame. It is important to note that it is advisable to have the dimensions of the target frame be proportional to the dimensions of your logo image. This will allow you to position the logo image to make it fit more easily on the document. Otherwise, the system will resize your logo image to fit the space available. This will require a little math to determine the size of the space your have defined for your logo image. Based on the above example: The width of 18 columns is calculated as: 19 x.1= 1.9 The height of 8 rows is calculated as: 9 x.167 = 1.503 9 rows = 1.336 (Remember that we start counting from 0) 19 columns = The implication is that a square 1x1 logo should be defined for the lower right corner as Column 10, Row 6. The double delivery slip is a special case that will present a special challenge. In this document, the logo image appears twice and the positioning is partially pre-determined. Both logos have their upper and lower row number assigned by the program. System Device Maintenance Program SDM page 13 of 18

Top Logo Bottom Logo Upper Left Column = set value Upper Left Row = 1 Lower Left Column = set value Lower Left Row = 7 Upper Left Column = set value Upper Left Row = 43 Lower Left Column = set value Lower Left Row = 52 Special positioning of Logo Image for Double Delivery Slip Determining the correct target frame values, defined as Columns and Rows, will require testing to determine the best fit and appearance. Where the dimensions of the Logo image and Target Frame do not coincide, the logo image will be resized by the printing process to fit the target frame along one dimension while preserving the aspect ratio. The aspect ration will increase the x and y coordinates of the Logo image up to the point where one of them is maxed out and then the other is set to the max value that maintains the aspect ratio. In other words, if the height of the image is maxed out, than the width is adjusted if the width is maxed out, than the height is adjusted. If the ratio of width to height in the image does not match the ratio in the target frame, the printing process will resize the image and leave the rest of the available space unfilled. Creating Your Logo DOM allows the user to insert a graphic logo image into your print document. Customers should size images to print clearly at approximately the size desired. Maximum printable size of the image is approximately 2 inches x 1.25 inches. If you have a color laser printer and wish to have color in your document, you can use a colored logo. DVCM will automatically resize images to fit in the space allowed on printouts, so having exact image sizes is not necessary. However, best results will occur when sizing an image for 2 inches x 1.25 inches at 300 dpi. Lower dots per inch (dpi) may result in a more 'grainy' or pixellated output. Approximate optimal resolutions of the file are 600 x 375. Acceptable file types are JPEG, GIF, BMP, and TIFF. These files will have extensions such as.jpg,.gif,.bmp, or.tif. The image must be black and white or grayscale. Use of a Transparent.gif can allow you to fit the logo into areas with type, expanding the area available for inserting your logo. Your company telephone and fax numbers must be imbedded in your logo image to print. Your company name and address can be printed independently of the logo or imbedded within the logo image. Stretch to Fit (Y/N): Enter Y to allow logo image to be stretched to fit the area defines or Enter N to retain the proportions of the logo image. Print Order or Invoice on Priced Delivery Tickets (O/I): Enter O to print the word Order on priced delivery tickets or Enter I to print the word Invoice on priced delivery tickets. Customer Copy Heading: Enter the Heading that will appear on the documents, Example: Customer Copy. Print Remit-To Address (Y/N): Enter Y to include the address you have entered as your Generic Remit-To address in Receipt/Generic Print Header program RGPHM on the SPDP menu. Print STANPAK Legal Notice (Y/N): Enter Y to use the default legal notice or Enter N if you wish to enter your own Legal Notice. If you elect to enter your own Legal notice by entering N, the following screen will appear. System Device Maintenance Program SDM page 15 of 18
