Entry/Withdrawal Report Student Selection Entry/Withdrawal Selections Print Options The Entry/Withdrawal Report can be set up many different ways to pull Entry/Withdrawal data for the district. For example, you could generate a report to identify students who entered and withdrew within the same school year. The Entry/Withdrawal Report is found by navigating to Student Management>Students> Reports.
You will select Entry/Withdrawal Report.
Template Description - Enter a description for the template you are creating. Share this template with other users in entity XXX: This check box will allow other users in your entity to Print or Clone the template you ve created and shared. They will not be able to make modifications to your template. Print Greenbar: This will print Green bars across your report when it is printed. Lines Per Inch: This will control how condensed the text is when the report generates. 8 lines per inch will be more condensed than 6 lines per inch.
Student Selection Student Entity - This field will default with the entity values of the entity from which you are running this report. Grade/Grad Yr - You can leave these values wide open or enter a range if you only wish to run this report for a specific grade level(s). Race -This will default to wide open ranges but you can enter a Race code into the Low and High value to only pull this report for that specific race code(s). Student Key - Also referred to as Alphakey or Namekey, you can leave these wide open to include all students, you can enter a specific student Namekey in the Low and High fields or you can enter a range, if desired. Student Status - You can select the status of Active, Inactive or Both from the drop down menu. All Calendars - You can leave the box checked to include All Calendars when running this report or you can uncheck the box to select individual Calendars within the Calendars button. All Schools - You can leave the box checked to include All Schools when running this report or you can uncheck the box to select individual Schools within the Schools button.
Entry/Withdrawal Selections These ranges are specific to what Entry/Withdrawal records you want the system to look at when printing the report. E/W Entity - Enter an Entity range to only view the E/W records from that entity. You can also leave these ranges wide open to view records from all entities. Entry Date - You can leave these ranges wide open to view all Entry records or you can enter a range in the Low and High field to only view Entry records from within that date range. Withdrawal Date - You can leave these ranges wide open to view all Withdrawal records or you can enter a range in the Low and High field to only view Withdrawal records from within that date range. Note - If you enter a range for the Entry Date and Withdrawal Date, keep in mind that the student must meet both criteria to pull on the report. Advanced/Retained Options - You can select Ignore, Administratively Advanced Only, Retained Only, or Advanced or Retained Only. This will allow you to view students who have been advanced or retained. Print Only Matching Records - Selecting this option will only print the records that exactly match the options you have selected. Withdrawal Default Entity - Select Yes, No or Both to determine what students will print based on their default entity. Analyze E/W Records - Select from Both (Entry & Withdrawal), Both (Entry or Withdrawal), Entry Only, or Withdrawal Only to tell the system what records you want to analyze. All Calendars - You can leave the box checked to include All Calendars when running this report or you can uncheck the box to select individual Calendars within the Calendars button.
All Schools - You can leave the box checked to include All Schools when running this report or you can uncheck the box to select individual Schools within the Schools button. Print Options User Defined Entry/Withdrawal Report - Checking this box will enable the User Defined Fields button. You can go into this button to select the fields that you wish to print on the report. The User Defined fields are split into two columns: Student Fields and Entry/Withdrawal Fields. Checking the box(es) will print those fields on the report. You can change the Detail Lines to Print drop down to Both (Entry & Withdrawal), In Range Only (E & W), Entry Only or Withdrawal Only which will change which fields are available. Detail Lines to Print - This drop down menu will be available if you leave the User Defined Entry/Withdrawal Report unchecked. You can select from Both (Entry & Withdrawal), In Range Only (E or W), Entry Only or Withdrawal Only. Student ID - If you wish to include a Student ID on the report, you can select from the available ID s in the drop down menu. Print Empty Withdrawal Records - If a student meets the Entry record ranges but doesn t have any Withdrawal records, check this box to include them on the report.
Print Graduation Year Totals - This will include the totals for each Graduation Year at the bottom of the report. Print Student Race - This will print an additional column with the student s Federal Race. Print Grad Standard Year - This will print the student s intended grad year it will differ from their current Grad Year if they had been advanced or retained. Print Birthdate - This will print the student s birthdate on the report. Sort By - Select the Sort By button to choose how you want the Report to be sorted. Page By - If you select a Sort option in the Sort By, the Page By button will become active and allow you to select how you want to Page Break the report. Total By - If you select a Sort option in the Sort By button, the Total By button will become active and allow you to select what Sort options you also want to Total. E/W Codes - You must go into this button to select the Entry and Withdrawal codes you want the report to look at when generating the records. You must select both Entry Codes and Withdrawal Codes for the report to generate. Note: There is an Enrolled Student option in the Withdrawal Codes that you can select to allow for currently enrolled students to still pull on the report.
The students that fit within the ranges will display on the report that generates.
