CHAPTER 1 Overview of the Cisco Device Assignment Tool Cisco Device Assignment Tool Overview, page 1 System Requirements for Cisco Device Assignment Tool, page 1 Cisco Device Assignment Tool Overview Use the Cisco Device Assignment Tool (Device Assignment Tool) to assign users to devices in Cisco Unified Communications Manager Releases 6.x and later. This tool helps simplify your licensing when you upgrade your system and your existing users do not have assigned devices. In user-based licensing, devices are assigned to users to simplify self care and device management for you. From a licensing standpoint, devices that users own share a license, instead of requiring a separate license for both a device and a user. The tool connects to your system and reads the configured devices that are not assigned to users. Using rules that you select, the tool matches users to unassigned devices. You can review the user-to-device matches, make manual changes if needed, and then apply the results in the Cisco Unified Communications Manager database. For more information about licensing for Cisco Unified Communications Manager, Releases 10.x and earlier, see the the Licensing chapter in the Cisco Unified Communications Manager Features and Services Guide here. For Releases 11.x and later, see the System Configuration Guide for Cisco Unified Communications Manager here. System Requirements for Cisco Device Assignment Tool This tool is a standalone desktop application that can run on a Windows PC or an Apple Mac computer. System requirements are as follows: A Unified Communications Manager node, Release 6.x or later, that is running AXL web services (see Enable the AXL Web Service in the Related Topics section) A PC that is running Windows 7 or later, or an Apple Mac computer that runs OS X 10.8 (Mountain Lion) or later. A minimum of 1 GB memory 1

What to Do Next Prepare Licensing Information, on page 4 Prepare Licensing Information Unified Communications Manager licensing is based on the number of devices that are assigned to a user. Before you run the Device Assignment Tool, understand and prepare an overview of your system licensing requirements. Note After you run the Device Assignment Tool, device assignments that are provided to your users in Unified Communications Manager Releases 9.x and later might change your license requirements. Unified Communications Manager Releases 6.x to 8.x did not use a user-based licensing structure. For those releases, the same number of devices and users require the same number of device license units (DLUs). Unified Communications Manager Releases 9.x and later allow multiple devices per user, and the required user license types depend on the number of devices per user. Devices include soft clients, mobile clients, physical phones, and video endpoints. For users with one device, the device is licensed per device type. For users with two devices, an Enhanced Plus UCL license is required. For users with more than two devices (and up to ten), a Cisco Unified Workspace License Standard Edition or Professional Edition license is required. 4

System Preparation for the Cisco Device Assignment Tool Obtain the Tool Before You Begin Add AXL Service Privileges to Your Login Credentials, on page 4 Step 1 Understand your license requirements. Run a report of your license usage from Cisco Unified CM Administration License Usage Calculator. This report lists all devices and device license units (DLUs) that are required for each device. Step 2 Step 3 Understand the number of users and devices and devices per user in your current system. For the purposes of preparing for an upgrade or migration to Unified Communications Manager Release 9.x or later, if you are running the Device Assignment Tool on pre-9.x releases, prepare the following information: a) Identify and list the public space, common area, or shared devices. b) Manage the shared device list by setting the appropriate device descriptions. c) Consider assigning a user ID of <none> or <anon> (anonymous) so that the shared devices are not selected as unassigned devices. Step 4 Run the License Count Utility. Run a before and after report to understand the number of users, number of devices, and number of users with multiple devices. Obtain the Tool System Preparation for the Cisco Device Assignment Tool Note If you already downloaded the tool, your version may be out of date. Perform this procedure again to ensure that you are running the latest version. Step 1 Step 2 Step 3 Step 4 Step 5 Step 6 Step 7 Step 8 Step 9 Step 10 Navigate to http://www.cisco.com/go/software. Navigate to Products > Unified Communications > Call Control > Unified Communications Manager (CallManager) > Unified Communications Manager Version 11.0, and then select Unified Communications Manager / CallManager / Cisco Unity Connection Utilities. Under the DAT section, download the zip file and save it to your desktop. Open the zip file. Extract the files to a folder that you can easily find, for example, on your desktop. Close your zip program and then open the folder in which you unzipped the files. Open the application.jar file to run the tool for the first time. Enter the hostname or IP address of the Unified Communications Manager publisher node. Enter the login credentials for the AXL-enabled application user. After you sign in, follow the on-screen instructions in the tool itself to begin matching your users and devices. 6

CHAPTER 3 Using the Cisco Device Assignment Tool User Interface for the Cisco Device Assignment Tool, page 7 Select Rules and Update System Overview, page 7 User Interface for the Cisco Device Assignment Tool The interface for the tool contains integrated help content on each window. This help content will guide you through device owner assignment tasks. The tool also provides tooltips to explain the matching rules that you can run. Select Rules and Update System Overview Step 1 Select Rules On the Select Rules window, you can select the rules that you want to run to make user-device matches. The right column of the window shows a default selection of the top three recommended matching rules. The tool will run these rules in the specified order. Because the tool runs these match rules on unassigned devices, the first rule is run and owner user ID assigned with the best match resulting from the rule. The tool runs the next rule on the remaining unassigned devices from the first match rule, and so on, until the tool runs all the rules in the order that you choose. Note The order of the rules are used mainly to prioritize the matches. You can change the order of the rules to influence the matching results. 7

Step 1 Select Rules Using the Cisco Device Assignment Tool Rules Match by Control Device If only one End User Configuration window references a device as a Controlled Device, this user will be set as the owner. Match by Primary Extension and Partition If a Device Configuration window lists a number for line 1 that matches the primary extension listed on an End User Configuration window, then that user is set as the owner for this device. Match to User Associated with Line If line 1 of a device lists only one user under Users associated with line, then that user will be set as the owner. Match by Telephone Number and Partition If a Device Configuration window lists a number for line 1 that matches the telephone number listed on an End User Configuration window, then that user is set as the owner for this device. Options Last (3 10) digits Match to Alerting Name of Line If a Device Configuration window lists an alerting name for line 1 that contains the user ID, extension number, or first name and last name listed on an End User Configuration window, then that user is set as the owner for this device. Options Last (3 10) digits, First name, Last name Match to Line Display If a Device Configuration window lists a display name for line 1 that contains the user ID, extension number, or first name and last name listed on an End User Configuration window, then that user is set as the owner for this device. Options Last (3 10) digits, First name, Last name Match to Device Description If a Device Configuration window lists a device description that contains the user ID, extension number, or first name and last name listed on an End User Configuration window, then that user is set as the owner for this device. Options Last (3 10) digits, First name, Last name Match File You can save the resulting match file to your hard drive. You should review the file for quality and quantity of matches. If your system contains greater than 65,000 device entries, your match file will contain multiple sheets. You can run Step 1 as many times as you want with different rules and different priorities. You can also edit the match file for manual user ID assignments to the Owner User ID field. 8

Using the Cisco Device Assignment Tool Step Two Update System Common area, public space, and shared devices are assigned to users IDs just like any other device. The Device Assignment Tool does not differentiate between the types of devices; if a device matches a rule, then an assignment is made. As you review the match file, keep the following points in mind: Caution Do not make any changes to the first five rows of each sheet. Otherwise, the tool will flag the file as corrupt. Do not change the existing cell type in the match file. Changing the cell types could lead to system errors upon import. Manual assignments to the Owner User ID field in the match file are not imported into the Unified Communications Manager database until you run Step 2. If you run subsequent match rules through Step 1, manual assignments are not saved in the match file. Tip Before import, note the server name and time and date stamp of the match file with the final results, so that you apply the correct file to the Unified Communications Manager database in Step 2. Step Two Update System From the Update System window, you can take the match files you created and import them into your Unified Communications Manager publisher node. This action will assign the unassigned devices with user IDs that are listed in the match file. In a multiple cluster environment, you can run the tool for a specific publisher in a cluster each time to retrieve the devices that have no owner user ID. Tip We recommend that you run the tool outside of regular business hours, so that the updates do not affect your system operation. You cannot schedule automatic updates, because running the updates is a manual process that you must initiate. Please read the following points before you update the system: The Device Assignment Tool will default to the Unified Communications Manager that you used to create the matches. However, you can select a different Unified Communications Manager to upload a match file. The latest match file that was created in Step 1 will be preloaded in the tool for Step 2. If the match file does not match the current Unified Communications Manager, you will see a warning, after which you can proceed and attempt the update. After a user-device match is updated in the Unified Communications Manager database, that operation cannot be reversed. While the upload is in progress, you can stop or continue the update operation. The tool provides an error message if an update step contains invalid data. 9

Step Two Update System Using the Cisco Device Assignment Tool After the match process is completed or you stop the update operation, you can see the log file which contains unmatched device information. A device reset is not required. The tool provides an error message if you upload a match file to a Unified Communications Manager that is out of compliance. Caution If you cancel the import, the updates to the database are canceled. But you cannot reverse the updates that were made while the import ran. 10

CHAPTER 4 Troubleshooting the Cisco Device Assignment Tool Error when Running the Rules, page 11 Error when Performing a Match, page 11 Error when Running the Rules Problem You receive an exception error when you run the rules. Possible Cause You may have lost network connectivity or the AXL service went down. Solution Check the log file that the tool produces. Try to run the rules again. Error when Performing a Match Problem You receive an error while the tool is matching users to devices. Possible Cause You may have lost network connectivity or the AXL service went down. Solution Check the log file. If there are any issues with assigning devices, they are recorded in the log file and the assignment continues. At the end of the update, you will see the option to save the log file that contains the errors. You can try to run the update again. 11
