The software described in this manual and the manual itself are furnished under the terms and conditions of a license agreement. Integration of the Pocket PC with Stanpak The Stanpak System provides tools to integrate the Pocket PC hand held PDA with Stanpak. Salespeople can download item information from the company server. This download includes customer pricing information to produce an item catalog and a Customer BCBI item price listing. This feature is a chargeable add-on product. The Palm Integration suite of tools includes four main programs. These include: PALMX Server Program PALMX is a program existing on the company server. PALMX updates the Pricebook file and BCBI file on the Stanpak system. The current Pricebook and BCBI files are then available to pass on to the client PC program, and then to the Palm device. The program will post any new information to the Pricebook and/or BCBI files, reflecting any recent changes. To maintain accurate files, this program should be run on a fairly frequent basis. Users have the option to narrow down the updating operation to modify data for selected salesman or customers. This option is useful if you know that only a small portion of the files have changed. It is much faster to modify only these new sections, as opposed to updating your entire file(s). Stanpak PDA Updater - PC Client Program The PC Client Program retrieves the current Pricebook and BCBI files from the company server via an FTP session. The PC Client program will allow users to narrow the amount of information in the files to be transferred from the server in the FTP session. The Updater program can also narrow down the size of the files transferred from the PC to the PDA. This information can be narrowed down based on salesman and/or by branch. In addition, users can specify a date range in which BCBI and Pricebook information is of interest. This reduces the size of the file that is transferred, revealing only the information that is important for the salesman who is using the program, and reduces the time that the transfer takes. Price Book The Price Book Program is run on the PDA device. It allows users to view Price Book information by item or by category. Users can also search for an item name/description or category by description. PDA BCBI The PDA BCBI program allows salespeople to view the BCBI file for his or her customers. Users can view purchase history by category, and/or by item. In 3

addition, an Item Detail display will reveal a decoded cost and profit margin for the item. YTD sales and last date of sale will also display in the Item Detail Screen. 4

Administrator Responsibilities When your company purchases the PDA suite, an administrator must be selected. This individual will be responsible for setup tasks, installing the programs, and adding users, branches, and ftp information. In addition, the administrator will be the contact person for Stanpak support staff, regarding any questions or issues. Requirements: PC: The PC to which this program is installed must have a network connection to the UNIX/Stanpak server. PocketPC: The PDA programs require PocketPC 2000 or higher. Memory: We strongly recommend that any PDA that this software be installed have at least 8MB of memory and at least 4 MB available for your data. The actual amount of storage memory required will depend on the amount of BCBI and Item data transferred to the PDA. Software: This software assumes that the Microsoft ActiveSync software that comes with the PDA purchased has already been installed onto the PC. In most cases, the administrator s responsibilities will need to be completed only once. Some jobs may be completed more frequently at your corporation. Installing the Applications The Stanpak PDA Updater suite is distributed in CD format. The installation program is interactive and will guide you through the entire installation process. 1. Insert the Stanpak PDA Updater CD into your CD-Rom drive. If Autorun is enabled on your PC, then a Stanpak Copyright window will appear, read the copyright message and click OK to accept or Exit to refuse. If Autorun is not enabled, browse your CD drive and click on Autorun.exe. This will display the Copyright window. Again, click on OK to accept or Exit to refuse. When OK is selected, the Installation and Documentation window will display. Inside the new window, you will see two sections. The first listing the documentation contained in the CD. The second listing the installable applications contained in the CD. The Stanpak PDA Installation Instructions doc is a quick reference to be used when installing the software. It is recommended that this be printed and used when installing the applications. 2. Click the icon titled Install Stanpak PDA PriceBook for PocketPC. 5

The installation program will then display several onscreen prompts to guide you through the installation of the PriceBook and the Booster runtime onto your Pocket PC PDA. Choose to install both. 3. Click on the icon labeled Install Stanpak PDA BCBI for PocketPC.. The installation program will then display several onscreen prompts to guide you through the installation of the PDA BCBI and Booster runtime onto your Pocket PC PDA. Choose to install both. 4. Click on the Install Stanpak PDA Updater for PocketPC. This will install the PC side application to your PC. Follow the onscreen instructions to install the application onto your PC. Booster Note: The Stanpak Applications require the AppForge Booster Runtime to run on the PDA. AppForge has negotiated a licensed version of the Booster for the Pocket PC with the vendors that offer Pocket PC s. The Booster included with the Pocket PC offers a 30 day DEMO. After the 30 days, the application will not run. To register/license the Booster you must go to the web site: https://appforge Booster. Based on your devices OS/Vendor, there is a small charge for activating the Booster software. The charge for the standard Pocket PC is about $10.00. Higher end devices such as the Symbol Pocket PC s are around $25.00. 6

Stanpak PDA Updater - PC Client Program 1 This button is used to remove the PDA file DSN definitions from the ODBC list. 2 This button is used to restore the PDA file DSN definitions to the ODBC list. Figure 1 Updater Program Administrator Screen Explanation 7

1 Settings Edit will bring you to the Administrator login screen. 2 Select the PalmID of the salesman for which you wish to transfer BCBI and Pricebook data. 3 If more than one branch has been defined for the PalmID selected, choose the appropriate Branch. 5 Click here to Sync data between the PC and the PDA. 4 This button retrieves the BCBI and Pricebook data files from the server via an ftp transfer. 6 Displays the progress of the Pocket PC Sync. This area will display progress information for the ftp file transfer. Figure 2 PDA Updater Main Screen 7 This button will sort the data for the salesman chosen from the files pulled from the Stanpak UNIX server and inputs them into data files on the PC. The next time a Sync is done, the data will be transferred from the data files on the PC to the PDA data files. Configuration Before the PDA Updater is run on a regular basis, there are setup tasks that must be completed. These steps will include adding users, setting up FTP session connections, branch administration. These tasks require administrative privileges. In addition, the PALMX program will need to be run on a consistent basis, and the data files will need to be transferred to the PC ( get data files ) in order to be sure that all information remains current. 8

Figure 3- Administrative Settings : Configuration Menu Screen Adding Users Users must be created in the PDA Updater program in order to transfer information from the client machine to the PDA. This is a security measure, to ensure that salesmen have access only to data that pertains to their accounts. The task of adding users requires administrator s privileges. Start the Updater program:» Click START PROGRAMS Stanpak folder. Once the Updater Program has been started, login as the administrator.» Select Edit then Settings from the menu on the menu bar at the top of the screen. A new dialog box will pop up on the screen, prompting for the administrator login name and password.» Enter your valid administrator login information and click the Continue button. Figure 4 Administrative login A new screen will display which is divided into three main sections for fields. (PDA UserID, FTP Info, and Branch) See Figure 3- Administrative Settings : Configuration Menu Screen for an example. 9

The first field section is labeled PDA UserID. There is a drop down box labeled PDA ID, and a text box labeled PDA Password. To add a user to the program:» Click the button labeled Add New User in the Configure User section of the screen. The fields in the screen will be cleared in the PDA UserID section.» Enter the new user name you wish to add in the drop down combo box labeled PDA ID. THEN» Enter a password for the new user in the PDA Password textbox. Note: The system will automatically contain previously entered information in the FTP Info and Branch Sections, assuming that this is not the very first run of the program. If this user needs to have information changed in these sections, refer to the appropriate sections FTP Configuration and Branch Configuration and can be run from any terminal. Branch Configuration FTP Configuration The second field section in the Configuration Menu Screen is labeled FTP Info and has fields for FTP login, FTP Password, and Server Address. You must have administrator privileges to complete FTP configuration. There are three pieces of information that must be supplied to the Stanpak PDA Updater program in order to complete the transfer of information from the server to the client machine via FTP. Users must supply a valid login name. If you do not have an FTP login configured with permissions to read you data directories, we recommend using your qbridge login. The valid Password for the login name that was entered for this transfer (FTP) session. The IP Address of the server machine. There will be a default value supplied, which may or may not apply in your system configuration. This default value is: 128.5.4.50. In the first text box labeled FTP Login :» Enter the login name to your server. THEN» Enter the password for the login to your server in the textbox labeled FTP Password. NEXT» Enter the IP address of your company server in the textbox labeled Server Address. Be sure that the IP Address entered is in fact the address of your Stanpak server where the BCBI and Pricebook files exist. 10

Note: The Stanpak Server program SYSINFO will display your IP address and can be run from any terminal. Branch Configuration The third field section in the Configuration Menu screen is labeled Branch, and contains a drop down box for Branch name, a text box for Data Path, a trio of textboxes for Salesman Number(s), and a button labeled Add New Branch. You must have administrator privileges in order to set up Branches. If your company operates multiple branches, you may configure each salesman to pull data from a different data directory by inputting the data path for that Branch. These Branches could also help salesmen identify transactions and customers. If you choose to use branches in the PDA programs, you must first set them up. Branch set up requires three pieces of information: Branch name: will serve as the name for the branch in the system. For simplicity, it is often recommended that branch names correspond to the SignOn that is used to sign into Stanpak. Data Path : represents the directory path where the branch s BCBI and Pricebook files exist. Salesman Number : identifies the salesman/branch combination. In the drop down combo box labeled Branch :» Enter the name of the Branch to add. THEN» Enter the directory on the server where this branch s files are stored. Typically, the directory name for a branch will be the first two characters of the branch name followed by d. THEN» Enter the salesman number(s) into the three salesman number fields. For Sales Managers, a wildcard salesman number of ** can be entered into the first salesman field. This will allow this PDA ID to transfer/view data for all salesman numbers. It is recommended that this option be used sparingly, as this will in effect transfer all BCBI data for the company to this users PDA. If you choose this configuration, it is recommended that the PalmX server program be run on a limited basis (6 months, for example) as to not overwhelm the PDA with more data/records than it can effectively process. NOTE: Administrators should take note that this option can be used/abused to allow a salesman to download information that is not for that particular salesman. Note: The Stanpak Server program SYSINFO will display your data path address and can be run from any terminal.» Click the Save Button to the right side of the screen. 11

Pocket PC Configuration and Setup The PDA device must have the Pricebook and BCBI programs and files transferred from the PC to the PDA prior to the first transfer of data. The CD contains the install programs for both the PDA BCBI and PriceBook programs.. Once the programs and data files have been installed to the PDA, there are four steps to update your PDA to receive the BCBI and Pricebook information from the Updater program. In order to do the steps successfully, you must first have installed the programs and data files to the PDA. Uninstalling the Updater Program The PDA program suite allows you to fully remove all PDA suite components and files from your system. This process will leave your system with all space available and clean. There are three steps involved in removing the Updater program from your PC. Delete DSN entries The conduit entries are records of the connection between data files on your system. When the PDA programs are removed, you will no longer require the specific connections they used. To prevent the deletion of any essential data connections, administrator privileges are required to complete the deletion of conduit entries. The second button section on the Configuration Menu screen is to Configure PC, and contains buttons Remove DSN, and Add DSN. Login as Administrator to access the Configuration menu.» Select the button Remove DSN. The connection settings will then be removed from your system. Remove the PDA Programs In order to uninstall the PDA programs, users must use the Add/Remove Programs tool in the Control Panel of your Windows operating system. From your windows Desktop screen:» Select Start, Settings, Control Panel. The control panel window will appear with several icons.» Select the Add/Remove Programs icon. In many cases, this is the third icon to the right, in the top row of the window. NEXT» Find the program name Stanpak PDA Updater in the list of program names. The line containing the program name will be highlighted.» Click the button labeled Change/Remove. The system will prompt for confirmation that you wish to remove all installed components of the program.» Select the button labeled YES. 12

The program and all installed components will then be automatically removed from your system. Restoring Accidental Deletions In order to allow recovery from accidental deletions of DSN definitions, administrators can restore communication in the Configuration menu. Login as Administrator to access the Configuration menu.» Select the button Add DSN. 13

User Instructions Palm Export program PALMX The PDA Export program PALMX prepares catalog and BCBI information for export to a PC. The price catalog and BCBI information is then transferred from the PC to a hand held PDA during a synchronization operation. Stanpak provides a program named Stanpak PDA Updater to load on a PC that moves the data from the Server (generated by the PALMX program) onto the PC. These client PC programs also put the files into a PDA compatible database format. The PC must be connected to your UNIX server via a network. Running the PALMX Program PALMX does not require any extensive configuration. The program is installed on the server machine, in a typical install. The program should be run on a fairly consistent basis, (once weekly is typically recommended) to be sure that the BCBI and Pricebook files stay up to date. When the program is started, the operator will be asked for five pieces of information. The system will prompt: Effective Date for this Price Book?» Enter the date that the prices in the file take effect, in mm\dd\yy format. The Pricebook and BCBI files may be very large at your company. This means that it can take a substantial amount of time to update these files, and then to transfer them. To reduce the size of this update and transfer, you can choose to work with only the information you are interested in, or that which you know has changed. If a valid date is entered in the correct format, the system will then prompt: EXCLUDE BCBI items last sold before <EFFECTIVE DATE>» <TAB> to exclude items that have not been sold since the effective date.» Enter an effective date in the mm\dd\yy format. Items that have not been sold since this date will not be included in the price book. Next, the system will prompt: Select by (S)ales or (C)ustomer range? 14

» Enter S if you wish to update prices and BCBI information for a specific range of salesmen.» Enter C if you wish to update prices and BCBI information for a specific range of customers. If the user selected S, to work with file information for a specific range of salesmen, the system will prompt: FROM Sales ID: TO Sales ID:» Enter the start of the range of Sales ID s you wish to update (FROM), and the end of the range of Sales ID s you wish to update (TO). Similarly, if the user entered C to work a range of customers the system will prompt: FROM Customer: TO Customer:» Enter the start of the range of customer numbers you wish to update (FROM), and the end of the range of customer numbers you wish to update (TO). PALMX will then update the BCBI and Pricebook files. The information will then be available for the PDA updater program, which downloads the updated information from the server, to the client machine. 15

Stanpak PDA Updater - PC Client Program Figure 5 PDA Updater Main Screen Running the Updater Program Updating the BCBI and Pricebook files is a frequent task done to make sure that the information sent to the PDA is up to date.» Run the PALMX program on the server to generate new BCBI and PriceBook Data files. The PriceBook and BCBI files on the server will be updated with current data. The next step is to move these files from the server to the PC. Selecting Data for a Specific Salesman After the checkboxes, there will be two drop down list/choiceboxes on the screen. These choiceboxes allow users to select the salesman and branch for which to get BCBI and/or Pricebook information from the PC.» Select a PDA ID from the dropdown box. The PDA ID chosen determines what data will be added to the access data file when the Update PDA Data files button is clicked. 16

Figure 6 - Select the appropriate PDA ID Selecting Data for a Specific Branch If your company and salespeople use branches, you will need to select a branch for which you wish to get information. We recommend defining the Branch names with the Signons for which they are associated.» Select the appropriate branch name to get data for that branch. FTP Session The updated files on the server must be sent to the client machine, in order to send them to the PDA device. This process is completed with an FTP session (transfer of data using the network).» Click the Get Data Files button to retrieve the latest BCBI and PriceBook information from the server. (button 4 in Figure 2 PDA Updater Main Screen) Update PDA Data files The next step will be to sort out the data for the salesman chosen in the drop down list. This will sort data for the selected salesman from the files that have been previously transferred from the server and populate the access data files on the PC. The data contained in these access data files will then be uploaded to the PDA during the next Hotsync.» Click the Update PDA Data files button The label box under the Update PDA Data files will display the progess of the data segregation for both the Pricebook and BCBI data. The next step will be to transfer the data in these files from the PC to the PDA, in a format that the PDA can understand. This is completed with the PocketPC Sync button. PocketPC Sync button After the Update PDA Datafiles has completed, you are ready to sync data to/from you PDA. Be sure that the PDA is connected to the PC via a cable or cradle. The PDA BCBI and PriceBook applications must be terminated when attempting to sync. Typically the Pocket PC OS suspends an application when clicking on the X (End) button on the menu. Go to the START Programs Home screen on the Pocket PC to terminate applications. Click on the PocketPC Sync button to transfer the data to your PDA. 17

PriceBook Configuration Salesmen must have a password defined in the Updater PC program. The Pricebook program will prompt for this password before allowing the User to view/access data. Stanpak Pocket PC 18

Running the Pricebook Program At the screen prompt: Stanpak PDA Edition Users will see a button labeled Price Book.» Click the button with the stylus to view the Proprietary and Password screen. Proprietary and Password The next screen will display the Proprietary Statement screen on the PDA. The screen informs the user of the proprietary nature of the data contained in the program. The user is informed to read the proprietary statement and given the option to enter their password and click on Accept or to click on Refuse to exit the program. Please enter your Pricebook Password» Enter your valid password and click the button labeled Accept with the stylus to continue to the Category Listing screen.» Click on Refuse to exit the program. If a data has not been updated from the server via a Hotsync for within 14 days, then a message will be displayed reporting that a Hotsync must be done and the program will terminate. Three days prior to the 14 th day, the program will start displaying messages reporting that a Hotsync will be required. Viewing Categories» Click the enter button with the stylus to view the category listing. The Category Listing screen will be displayed. This is a listing of all of the Categories configured in Stanpak. Viewing Item Listing» Highlight the Category for which you wish to display the items. Select the Items button with the stylus to view the item listing for that category. The Item Listing screen will be displayed. This is a listing of all of the Items within that category. With the PriceBook Listing of items displayed on the PDA Screen, you will see three buttons listed on the screen. These buttons will be labeled Back, Search and View Item.» Select the Back button to return to the previous screen.» Select the Search button, to search for an item name/description or category by description. 20

» Highlight the item for which you wish to display detailed information. Select the View Item button with the stylus to view item detail for the chosen item in the list. Viewing Item Detail Users can view individual item information on the PDA screen. This information includes : Item Number Book Bracket 1 Quantity Buying Code Non-Stock Flag (if applicable) Cost (Encoded or Decoded) Item Description Book Bracket Quantity Breaks Price Pricing Unit of Measure Margin (% button toggles on or off) To view individual item information from the Item Listing screen display:» Select the line containing the Item Number for the item you wish to view. There are three buttons available on the Item Detail screen. These buttons will be labeled Calculate, Back, and %.» Select the Calculate button to display the Margin Calculator screen.» Select the % button to unencode the cost and display the margins for the Quantity Breaks.» Select the Categories button to return to the Category Listing screen.» Click the button at the bottom of the screen labeled Back to return to the item listing screen. Viewing Price and Margin Calculator This screen offers the user the ability to calculate either a price or a margin based the items current cost. To calculate a margin» Click on the Margin radio button (circular symbols), enter a price amount for which you wish a margin to be calculated, then click on the Calculate button.» Click on the Price radio button (circular symbols), enter a margin amount for which you wish a price to be calculated, then click on the Calculate button. 21

» Click on the Back button to return to the Item Detail screen. Searching for an Item or Category From the Item Listing Screen and the Category Listing Screen, users will see three buttons across the bottom of the screen. In the Item Listing Screen, the button in the middle is labeled Search, and allows you to search the PriceBook for an Item. In the Category Listing Screen, this button is at the far left of the screen, and allows the user to search for a category by name. The search is based on letters in the Item name/description or Category description. To conduct a search from a Listing Screen:» Click the button labeled Search. A new screen will display on the PDA screen labeled Enter String to Search.» Enter characters from the Item name/description or Category description to search for in the PriceBook. Users will see two radio buttons (circular symbols) at the bottom of the screen. The button on the left is labeled Category and the button on the right is labeled Item.» Select the Category if you wish to search for a Category description.» Select the Item button to search for an item by name or description. NEXT» Click the button labeled Search. 22

Palm BCBI Palm BCBI allows salesmen to access customer purchase history using their PDA device. The PalmBCBI program will prompt for this information before allowing the User to view/access data. Each Salesman gets BCBI data only for their assigned accounts. 23

The PalmBCBI will prompt for this information before running the program to authorize the user, and to retrieve only that sales person s information. Running the BCBI Program At the screen displaying Stanpak PDA Edition, users will see a button labeled Customer BCBI.» Click on the button labeled Customer BCBI with the stylus. Proprietary and Password The next screen will display the Proprietary Statement screen on the PDA. The screen informs the user of the proprietary nature of the data contained in the program. The user is informed to read the proprietary statement and given the option to enter their password and click on Accept or to click on Refuse to exit the program. 24

Please enter your PDA Password» Enter your valid password and click the button labeled Accept with the stylus to continue to the Customer Listing screen.» Click on Refuse to exit the program. Customer Listing The Customer Listing Screen displays an alphabetized list of the customers in the BCBI file. To view item categories that a customer has purchased:» Select a customer from the Customer Listing by clicking on the customer name with the stylus. The line will be highlighted. NEXT» Click the button labeled Categories at the bottom of the screen. A new screen will display, titled Previous Purch Categories. The screen listing will contain category names that the selected customer has purchased.» Click the button labeled Customer Info at the bottom of the screen. A new screen will display reporting customer contact and address information. Customer Purchases by Category At the bottom of the Previous Purch Categories screen, users will see three buttons. The button on the left will be labeled Back, the center button will be labeled All BCBI Items and the button on the right will be labeled Items. To view the items within a category that a customer has purchased or to view all of the items the customer has previously purchased:» Click on the line containing the Category name with the stylus. The line will be highlighted. NEXT» Click the button labeled Items.» Click the button labeled All BCBI Items» Click the button labeled Back to return to the customer listing Screen. Customer Information The Customer Information screen will display contact and address information entered in the Customer Master program. The screen will list address information, customer number, attention field, voice and fax number. 25

The Back button will return the user to the Customer Listing screen. Customer Purchases by Item The Item Listing Screen will display the items that a customer has purchased in item number order. The screen will also list the item description, and the quantity ordered (in the UM for the item) for each item. If a contract exists for an item, then Cont will be displayed to the right of the quantity unit of measure. At the bottom of the screen, users will see two buttons labeled Back, and Item Detail.» Click the button labeled Back to return to the previous screen.» Highlight the line containing the name of an Item to view details about. Click the button labeled Item Detail to view specific details about the individual item. See Viewing Item Details for more information about Item Details. Viewing Item Details Users can view specific details about an item that a customer has purchased. If a contract exists for an item, then Cont will be displayed to the right of the quantity unit of measure. There are three buttons available on the Item Detail screen. These buttons will be labeled Calculate, Back, and %.To view the decoded cost and margin :» Click the button labeled % on the lower right side of the screen. The PDA will display the information on the screen. To return to the encoded cost and hide the margin:» Click the button labeled % one more time.» Select the Calculate button to display the Margin Calculator screen.» Select the Categories button to return to the Category Listing screen. 26

Appendix A: Emailing data files to a remote location If you wish to email the data files to a salesman off location, there are two files that need to be emailed: ppbcbi.txt and ppi1p.txt. These files can be located at C:\Program Files\STANPAK_PDA_Updater (assuming that the default install location was used, else you can search for the files using the Windows file search utility) on the PC in the office. Attach these files to an email and send it to the appropriate recipient. That person will have to save the attached files to the same directory as they installed the application (C:\Program Files\STANPAK_PDA_Updater). For this to work correctly, the Stanpak PDA Updater program must be installed and configured on a PC in the office that has email access. Also, the Stanpak PDA Updater program will need to be installed and configured on the PC of the user receiving the email. The Administrator in the office will run the Stanpak PDA Updater program and do step 1: Run PALMX on the server and then step 2: Get Data Files. Next they will attach the above mentioned files to an email and sent it to the appropriate recipient. The recipient will copy the attached files to the appropriate directory, then run the Stanpak PDA Updater program and do step 3: Update PDA Data Files, then step 4: Pocket PC Sync. 28
