IP Office Technical Bulletin Bulletin no: 004 Date: General Availability (GA) of IP Office 1.2 and IPOffice 401 Avaya is delighted to announce the launch and availability of IP Office 1.2 software and IP Office 401 server in selected countries. IP Office 401 is AVAYA s latest addition to the IP Office family and designed as a global solution for customers with up to 8 extensions and 2 BRI circuits. Further details can be found in the following document: IP Office Product Description Document: https://emea-businesspartner.avaya.com/ 1.0 Product Overview The Avaya IP Office 1.2 software is the latest advancement in converged voice and data technology from Avaya. IP Office 1.2 is the entry-level software to support the new IP Office 401 server. The IP Office 401 server combines high-end voice and data applications allowing the smallest of businesses to deliver cutting edge customer service. 1.1 IP401 Compact Office 1.2 Voice Communication Solution IP Office 401 server offers full voice functionality with a comprehensive list of features and benefits for the small business, including: Full PBX features Caller ID, Call Forwarding, Conference Calling, Voice Messaging, and more. Full Key System features Busy Lamp Fields (BLF) that notify attendants and fellow workers of each employee s phone status; Flexible Paging that allows attendants and employees to intercom the entire office or select groups; and Soft Interfaces that reflect the particular features of the incoming caller s system. Support for up to 2 BRI circuits. Support for a range of extensions, from 2 to 8. A variety of telephones including analogue, digital, DECT, IP hard and soft phones. Alternate Call Routing ensures reliable handling of calls by selecting from digital or VoIP trunks. 1.3 Converged Voice Communications Solution For converged communications, the IP Office 401 acts as an IP telephony server: Integrated H.323 Gatekeeper and Gateway. For other QoS capability, please refer to the documentation associated with the Avaya Cajun LAN switch or equivalent layer 3 switch. 1.4 Data Communication Solution For offices with basic data networking needs, IP Office 401 can provide a complete data communications and networking solution: Internet Access Firewall-protected, lease line or ISDN dial-up. Routing Internet or Branch-to-Branch based routing. Security Built in Firewall and NAT (Network Address Translation). DHCP for IP address sharing for locally attached PCs. LAN Hubswitch IP Office either offers a hub to connect up to 8 PC s to each other and/or other services to a LAN switch. LDAP client support for standards-based directory support. Converged Networks Complimentary to the Avaya Cajun family of network switches, and VPNet portfolio for powerful converged networks. 1.5 Applications Platform IP Office 401 provides big business benefits and enhanced productivity for small businesses with a full compliment of sophisticated applications, including: 1.5.1 VoiceMail Incoming callers never reach an empty office. With Call Forwarding, Dial-by-Directory, the ability to retrieve phone messages via the PC Soft Phone, and more. 1.5.2 e-console Graphical User Interface (GUI) for attendants via a PC-based console; an easy way to learn and use sophisticated tools in a comfortable environment. 1.5.3 Phone Manager A powerful desktop application for the IP Office, available in Lite, Professional, and IP Softphone versions to allow you to control and manage phone calls from your Windows desktop. 1.5.4 Open CTI interfaces TAPI-compliant out of the box. IP Office integrates easily with popular contact management applications such as Outlook. Sophisticated custom applications can be rapidly developed and deployed with our full software development kit (DevLink). 1.6 Endpoint Solution Options IP Office 401 supports multiple endpoint solutions: IP Office 401 with the Integral H323 Server supports Avaya 1.1 4606/4612/4624 telephones, Wireless VoIP sets, PhoneManager, which can operate in CTI or IP Soft phone modes. IP Office 401 supports the Avaya 20 Series telephones (not available in certain territories, check for local availability). IP Office 401 supports standard analogue phones/faxes/ modems with support for calling line identification.

2.0 IP Office 1.2 Software 2.0.1 IP Office 1.2 Admin Software As well as being the entry-level build to support the IP Office 401, IP Office 1.2 software is also the latest software build for the IP Office 403 and IP Office 406 servers. AVAYA advises that this is used on all new installations as it addresses a number of issues raised in the field. IP Office 1.2 software also supports a number of new features including: 2.0.2 Support of IP Office to Definity VoIP interworking IP Office 1.2 is the first build to support IP Office to Definity (IP600) VoIP interworking. This will provide LAN or WAN VoIP networking. The configuration of the IP Office, IP600 and an example 3 rd party router (Cisco) if required is detailed in application notes, which can be downloaded from the IP Office Website: https://emea-businesspartner.avaya.com/. 2.0.3 Queuing Logic Currently in IP Office 1.0 if a user is a member of multiple groups calls presentation is pseudo random. IP Office 1.2 will service the longest waiting call from the multiple groups first. This only applies to groups that are configured as ldle. 2.0.4 Firewall Defaults Currently when configuring an Internet service it is necessary to set-up a firewall entry to block NetBios to DNS messages from making calls to the Internet without user intervention. Failure to configure this entry could result in the user receiving unexpected telephone bills. An additional default Firewall Service called Internet01 will now automatically be allocated against a new Internet Service. The Detail is: - IP protocol = 6 Match offset = 20 Match length = 4 Notes = Drop NetBios to DNS Direction = drop match data = 00890035 match mask = FFFFFFFF 2.0.5 VCM Blocking Behaviour Busy indication (Audio/visual) is now given to the initiating party if there are insufficient VCM channels available to complete a call. 2.0.6 IP 4606 Hardphone The 4606 IP Hardphone is now supported in 1.2 software. 2.0.7 Adjustable Hook- Flash Timer The 1.2 manager will now allow each Alog extension to have it s own unique Hook-Flash timer between 10-1000Msecs, this is programmable in the Extension config Tab. This will allow a wider number of Alog handsets to work with IP Office. 2.0.8 Q-Sig Names are now supported over Q-SIG Page 3 of 7

2.0.9 Small Community Networking enhancements These networks can now support up to a maximum of 500 users across 16 sites. Also if a link goes unavailable and there is redundancy in the network the IP Office will use the alternate route until the link repairs. 2.1 IP Office 1.2 VMPro Software A new VMPro 1.2 CD is now available, this provides no extra functionality, but AVAYA advises that this is used on all new installations as it addresses a number of issues raised in the field. 2.2 IP Office 1.2 Compact Contact Center Software A new CCC 1.2 CD is now available, this provides no extra functionality, but AVAYA advises that this is used on all new installations as it addresses a number of issues raised in the field 2.3 IP Office 1.2 User CD A new User 1.2 CD is now available, this provides no extra functionality, but AVAYA advises that this is used on all new installations as it addresses a number of issues raised in the field 3.0 Resolved Issues The following issues have been resolved in this release: No ring tone when dialling outbound from a phone manager controlling a POT phone. Picking up a call via User BLF Button caused the phone display character string to be displayed incorrectly. Locale of a remote user was ignored when playing voicemail prompts. An outbound CTI call that was answered then parked/held and then retrieved, now has the correct output to the call log. An auto created VoIP extension was not propagated correctly until the system on which the extension was created has been rebooted. No Speech when the VPN link was configured without "Faststart" enabled No Speech Intermittently on a Directed Call Pickup from either a 4612 or 4606 One way transmission on calls from a Phone Manager controlling a pot phone over PRI lines. Phone display is now refreshed when showing "NOT SUPPORTED, after handset is picked up. TAPI reason code for parked calls now generated Using LINECALLREASON_PARKED Accepts user names longer than 16 characters and displays them correctly. PRI layer 2 now discards invalid frames correctly. The busy tone has been corrected (France) The correct Spanish strings are now shown on 44/64xx terminals (SPAIN). Page 4 of 7

Voicemail, Recording is not available on an outgoing call from a group. IP Office Technical Bulletin No: 004 3.1 Known Issues IMS - From MS Outlook opening a voicemail message and then copying it to a folder generates an error message, the file however is copied despite this message. IP4606 Message Waiting from, indication on display - disappears after 10-15 seconds Manager Application - doesn't allow for voice recording on incoming ANALOG trunks (Mexico) Default CRC Value - In 1.2 software the default CRC setting has been changed to the ON state in the trunk configuration screen this will under certain circumstances overwrite an OFF state from an earlier configuration. CBC & Windows 2000 - Starting CBC for first time after install does not show Groups in First Group Icon List, it produces a blank list. To overcome this select the Second Group Icon and the Groups will appear, then reselect the First Group Icon, the Groups will now be present. PPP WAN and 4600 IP Phones running G729 A PPP link will fail to recover if the system is rebooted with a call between two IP4600 phones (running G729) across it. Voice Mail - An invalid option **6 is present in the Help prompt for the Record menu. Voicemail - An Incoming call route to voicemail doesn t work in Spanish translation. (SPAIN) Voicemail - If you select option 4 from the greeting menu, you get this is an invalid option. Voice Mail LITE - System Registry entries for email on voicemail (Lite) are not correct. Tapi - Language strings for telephony devices and configuration options not applied on Windows NT4 running the regional setting Argentinean Spanish. 3.2 Technical Notes 3.2.1 Upgrade Installation Notes for IP Office 403/406 When upgrading the IP Office software in the working directory please use the following guidelines: - On the PC running your IP Office Manager application, Open Explorer and go to the file C:\Program Files\Avaya\IP Office\Manager Rename the following files to a relevant name: - E.g. avpots16old.bin. avpots16.bin, ip403.bin, ip406.bin, naatm16.bin, nadcp-16.bin, nadt-16.bin, napots16.bin, nas0-16.bin, nawan3.bin. Create a backup copy of the IP Office configuration file by renaming systemname.cfg to xxx.cfg. Page 5 of 7

Copy the new IP Office.bin files from source and Paste into C:\Program Files\Avaya\IP Office\Manager. If you now run the Upgrade Wiz the Available software will now be the new.bin files. 3.2.2 Upgrade Installation Notes for VoIP networks If you install or upgrade an IP Office 1.2, which is an end point or member of an IP Office VoIP network, then all other nodes on that network must be upgraded to 1.2. This is due to differences in the VoIP implementation. Failure to do this will result in loss of voice connections between IP Office nodes. 3.2.3 Upgrade Installation Notes for Data only network If you are running a Data only network (No VoIP). Then you can have nodes at 1.0(X) and 1.2.14, but you must have IP Header Compression and Multilink disabled on the link to ensure correct operation. 3.2.4 Upgrade from 1.0 to 1.2 Firewall settings If Upgrading from 1.0(X) to 1.2 and you want to set up a new service then you must first configure a new Firewall called Internet01. This is because a 1.2 Manager tries to allocate a default firewall to all new services as described in 2.0.4 which was not present in a 1.0 config. Failure to do this will cause an Access Violation. 3.3 DHCP Client The System/LAN/DHCP/Client function has been disabled in V1.2 s/w. because the unit would reboot on receipt of a reply to its DHCP request packet when set to be a DHCP Client. This problem has been fixed in later software, with the proviso that the DHCP Server must be configured to allocate the same IP address to the IP Office (i.e. a permanent DHCP allocated address). If you have two IP Offices on the same Network then neither should be used as the DHCP Server, as you cannot permanently allocate a DHCP address to a Mac address on the IP Office. A good work around is to have one IP Office set to a DHCP Server and the other set to a Static IP address outside the range of addresses allocated by the other IP Office (DHCP Server), with its DHCP option set to Disabled. 3.4 WAN 3 Module Following the release of 1.2.14 software the WAN 3 module will now be shipped with 3.2(14) loaded as default. This means that if you are installing a WAN 3 module on an existing 1.0 (X) site then you must first upgrade the CPU to 1.2 to ensure correct operation. 3.5 IP Office I/C Call Routing In IP Office I/C Call Routing you must not use a Short Code that starts with a # in the Destination Field of an Incoming call Route. You can create a User or System shortcode to start with a # or a *, e.g. *17 -?U - VoicemailCollect -> to pickup Voicemails, also Page 6 of 7

#96 - #Short Codes.Main - VoicemailCollect -> (this goes to a VoiceMail Pro Short Code Start Point called Main). The problem now arises if you enter #96 as the Destination of an Incoming Call Route, the call will NOT go to the VMPro Main Short Code Start Point, but will be translated as 96, which will under normal circumstances initiate a call-back out to the PSTN. If you replace the #96 in the [Short Code field] with the appropriate short code, *96, there will be no problem. 4.0 Manuals & CD s The IP Office manuals (which incorporate IP Office 401) can be downloaded from the IP Office Website: https://emea-businesspartner.avaya.com/. 5.0 IP Office Technical Training IP Office Core Platform (5 Days) N11 covers IP Office (now also including the IP Office 401) installation and programming, basic voicemail, Auto-attendant, IP Hardphones and Internet access to provide engineers with the foundation knowledge and skills to install and support the IP Office as a PABX. Required Prerequisites: o Telecommunications Essentials. o Working Knowledge of Microsoft Windows. o Understanding Data Networking. IP Office Data Components (2 Days) N12 provides engineers with the foundation knowledge and skills to install and support the IP Office as a Data platform including IP routing, firewall, WAN connectivity and IP Softphones.
