The Employer Portal is a powerful, easy-to-use self-service solution that gives you the tools to understand and manage the activity for your company s HSA program. FIRST-TIME LOGIN You should have received your Employer Portal login information in an email from PNC BeneFit Plus Employer Implementation or Employer Services. If you did not receive your login information, or cannot recall your username or password, feel free to contact PNC BeneFit Plus Employer Services at 1-844-356-9994. The first time you login, complete the following steps: 1. Visit our website at employer.pncbenefitplus.com 2. Enter the username and temporary password provided to you in the email referenced above. Select Login. 3. You will be required to create a new password. Your password must have a minimum of 8 characters, contain upper and lowercase letters, at least one number and a special character. Select Update Password. 2

If you wish to change your username, please contact PNC BeneFit Plus Employer Services at 1-844-356-9994. 4. You have successfully created your new password and logged in the Employer Portal for the first time! You now have access to: Reports provides a list of the reports with a history of all reporting for each category Employees provides you the capability to review your employees account details (Example: Contribution history or employee-related information) Plans details the HSA Program that your company offers Resources provides a list of forms and educational materials that are pertinent to your HSA Program Imports designed for you to submit demographic, enrollment, and contribution files used to add new employees, process contributions to employees accounts and monitor results Links quick links to important information 3

ADD AND ENROLL YOUR EMPLOYEES After successfully logging in to the Employer Portal for the first time, you will be able to enroll all of your eligible employees for your HSA Program. This section of the Employer Guide will walk you through your enrollment options. ADDING NEW EMPLOYEES Please Note: Once enrollment has successfully processed, a welcome email will be generated with instructions to your employee on how to log in to their account. Debit cards will also be mailed to your employees within 7 to 10 business days. Option 1: Manual Entry This option allows you to manually enter enrollment information directly into the PNC BeneFit Plus Employer Portal website. Option 2: File Import - If choosing to Import Files (Excel or CSV), this section of the guide will provide the required file process to successfully enroll and/or deposit funds into your employees accounts through the PNC BeneFit Plus Employer Portal website. This is a multi-step process: You will need to submit each of the following files: Demographic file contains employee demographic details as well as payroll information. This file needs to be submitted and successfully processed before the enrollment file is uploaded. Enrollment file enrolls your employees in your HSA program. Manual Entry (Option 1) To enroll employees into your HSA program, you will enter the employee s demographic data then add an enrollment through the Employees tab. 1. Under the Employees tab, click Add Employee. 4

2. Enter the employee s profile information. The * symbol will indicate that the field is required. The Username and Password will be auto generated. The employee will have the option to change that information upon initial login. Once complete, click Add Employee. Note: Although the fields are not required, we highly recommend adding the employee s phone number and email address. Providing email addresses allows your employees to receive important notifications and alerts about their account enhancing the employee experience. 5

3. Once you receive a confirmation that the employee has been successfully added, click Add New Enrollment. 4. From the drop down, select the plan in which you wish to enroll your employee. 5. Complete the required information and click Submit. 6

6. Once all enrollments have been added, this process is complete and contributions can be submitted for your employees. To submit your Contribution File, please refer to the steps on page 15. File Import (Option 2) Demographic File *Denotes a required field Step 1 - Complete and upload your Demographic File for all employees that are eligible to enroll in your company s PNC BeneFit Plus Health Savings (HSA) Program. Note: The Demographic File needs to be submitted and successfully processed before the enrollment file is submitted. Please make sure any demographic errors are corrected before submitting an Enrollment File. For help in correcting errors please refer to pages 17-22. To Import Your Demographic File: 1. Log in to the PNC BeneFit Plus Employer Portal website (employer.pncbenefitplus.com) 2. From the home screen, choose the Import Data From File link. 3. Select the Demograhic option from the Data To Import drop down list. Then, follow the appropriate steps to successfully complete and upload your file. 7

4. Click the blue Open Template link and open the file to your computer in Microsoft Excel. Fill out the file template. An information box will appear if you click in a cell to remind you what data is needed. You can also click the View Setup Data link in Step 3 for additional help. Please refer to the File Fields and Formats sections shown below for specific required fields for the PNC BeneFit Plus HSA Program. Click the Browse button and locate the file that you saved on your computer. Once you have selected your file choose the option to Open and your file name will display in the Upload File field. Next, click Import Data. This will import your file directly into the Import Queue and you will need to monitor to ensure that your file successfully completes without error. This may take a few minutes. If the import is submitted successfully, a confirmation message displays. 9

Once the file has completed uploading, it is placed either in the Failed/On Hold section or the Completed section of the Import Queue. **Important It is your responsibility as the file originator to ensure that all errors and exceptions are reviewed and corrected. PNC BeneFit Plus Employer Services does not monitor individual file imports. For help in troubleshooting errors please see pages 17-22. EMPLOYEE UPDATES AND TERMINATIONS Employers can manage employee enrollment and demographic information by manually making changes in the Employer Portal or they may make changes by uploading new files. Demographic and Enrollment Changes: You may make the following changes within the Employer Portal: Demographic Changes can be made under the Employees tab by locating the appropriate employee using the search features. Enrollment Changes can be made to change coverage levels between individual/family. If you have multiple employees that need updates, you may make the following changes using the File Import feature: Upload employee demographic updates via a new Demographic File Upload coverage level changes (individual or family) by uploading a new Enrollment File Terminations: When an employee leaves your company you may enter the termination date manually as the date they leave the company. As of that date payroll deductions and employer contributions can no longer be processed. However, they will still be able to use the debit card for their Health Savings Account, request distributions and make their own HSA contributions. NOTE: Once a termination is processed, any employer paid monthly administrative fees will be charged directly to your terminated employee. 1. To enter a termination, search for the employee under the Employees Tab and click Status. 13

2. Click the Add New Status link. 3. Select Terminated and enter the employee s termination date. Click Add Status. To update an employee termination using File Import the following rules apply: If an employee leaves your company, submit a new Demographic File changing the employee s status to terminated and adding the status effective date. If an employee is no longer participating in your company s HSA Program, but is still employed: You will want to stop sending contributions for that employee on the contribution file. If you are paying the monthly HSA administrative fee, you will continue to be billed for these employees since they have an Active employment status. 14

MAKING CONTRIBUTIONS TO YOUR EMPLOYEES HSAs You will need to complete and upload a Contribution File to process employer contributions or employee payroll deductions. Contribution File Denotes a required field. Once you have successfully enrolled your employees in the PNC BeneFit Plus Health Savings Account (HSA) Program, you can now submit payroll deductions and employer contributions. To Import Your Enrollment File: 1. From the home screen, choose the Import Data From File link OR Click the Imports Tab and select Import Data. 2. Select the Contribution option from the Data To Import drop down list. Then, follow the appropriate steps to successful complete and upload your file. 15

The file should be loaded no later than the date entered here to ensure funds are made available. Labels the contribution as an Employer Contribution or Payroll Deduction (to discern funds deducted from employee payroll from those contributed by the employer group) The amount of the contribution The plan name for which the record is being loaded. Used when entering contributions for a prior tax year. Will default to Current if not supplied. Once you have completed your file, you will need to save the file in the CSV or Excel format to your local hard drive to then process through the system. Click the Browse button and locate the file that you saved on your computer. Once you have selected your file choose the option to Open and your file name will display in the Upload File field. Next, click Import Data. This will import your file directly into the Import queue and you will need to monitor to ensure that your file successfully completes without error. This may take a few minutes. If the import is submitted successfully, a confirmation message displays. 16

Once the file has completed uploading, it is placed either in the Failed/On Hold section or the Completed section of the Import Queue. **Important It is your responsibility as the file originator to ensure that all errors and exceptions are reviewed and corrected. PNC BeneFit Plus Employer Services does not monitor individual file imports. For help in troubleshooting errors please see below. TROUBLESHOOTING ERRORS After submitting your files, you can track the status of the file import via the Employer Portal s Imports Tab by selecting Import Queue. Exceptions occur when the file data you have provided does not fit within the criteria required for successful criteria. This capability allows you to quickly review and correct errors for prompt correction and resubmission. When an error has occurred, the number of failed records will display under the Completed/Cancelled section of the Import Queue. To view the errors, click the View Errors button. An Exception Report is also available to explain why the record(s) have erred. The report can be found by clicking on the file name and then click to view the Exception Report. When an error has occurred, it will need to be corrected on the file and resubmitted to be processed successfully. This would be noted as Error under the Severity column on the Exception Report. Demographic Record errors are on Sheet 1 Enrollment Record errors are on Sheet 2 Contribution Record errors are on Sheet 3 17

When an error occurs, click on the View Errors button to correct the file errors. The sign indicates a file error, and a correction is needed before importing into the system. Click on the record number and follow the instructions for correcting. A sign indicates the file correction has been accepted. For any error records, click on the record number and follow the instructions for correcting. 18

Once all the corrections have been made, click the Resubmit File button to have the file processed. Warning Signs Alert/Error: The record needs to be corrected before being uploaded into the system. Alert/Error Correction: The record was corrected successfully. Warning: The record was uploaded into the system, but attention is needed on a specific record condition. The following provides examples of error messages from all three file types (demographic, enrollment and contribution) and how to correct them: Field Name Error Message(s) Action ParticipantFile ImportID ParticipantFileImportID cannot be greater than 20 characters. The Participant File Import ID specified already exists and is assigned to {last_name) (first_name). ParticipantFileImportID does not match key field {Participant Identifier}. ParticipantFileImportID is a required field. LastName Last Name cannot be greater than 30 characters. Last Name cannot contain special characters except a single quote (') or a dash (-). Last Name is a required field. FirstName First Name cannot be greater than 30 characters. First Name cannot contain special characters except a single quote (') or a dash (-). First Name is a required field. MiddleInitial DateofBirth MiddleInitial cannot be greater than 1 character. MiddleInitial cannot contain special characters. DateofBirth cannot be in the future. DateOfBirth must precede HireDate. DateOfBirth must precede PayrollFrequencyEffectiveDate. DateOfBirth is not a valid date. DateOfBirth must be formatted as MMDDYYYY. DateOfBirth cannot be earlier than 1/1/1900. DateOfBirth cannot be later than Please make sure it is the employee s SSN (without dashes) and that identifier is not assigned to another employee currently enrolled. Please make sure if including special characters, the only acceptable ones are single quote or dash. VERIFYING EMPLOYEE IDENTITY In accordance with the USA PATRIOT Act, Federal law requires all financial institutions to obtain, verify, and record information that identifies each individual or entity opening an account. If we cannot verify the name, address, SSN, or date of birth for one of your employees: We will block the HSA. With this block, we will suspend all distributions (including use of the debit card) until we receive the necessary documents to verify the employee s identity. However, contributions will still be posted. We will reach out to the employee via email or phone and ask him/her to complete a form and provide the required documentation to confirm identity. Note: If we do not have contact information for the employee, we will reach out to your company s primary contact and ask to have the employee contact us. After we receive, verify, and validate the documentation, we will remove the block from the HSA. Important Note: If the employee does not provide information needed to verify their identity within 90 days, we will close the HSA and all funds will be sent directly to the employee as a normal distribution. Important Note: It is extremely important to provide a street address with your employee demographic data rather than a PO Box since a street address is required by the US Patriot Act to confirm identity and open an HSA. Employees can then update their address to a PO Box after opening their account if they wish to receive any letters or notifications to that location instead. NOTIFICATIONS You will receive the following notifications. An email will be sent notifying you when a report is available to view. All reports are available for you to access on the Employer Portal at any time. We have provided samples of common reports below. Click the Reports Tab within the Employer Portal to view your available reports. Most recently generated reports will also appear on the home screen. 23

Fee Funding Notification On the 2 nd business day of the month you will receive a notification that the Fee Funding invoice is available. This invoiced amount will be automatically charged to the bank account you have provided to PNC BeneFit Plus on your Benefit Design Guide for any employer paid fees. You do not need to send a separate payment. HSA Funding Collection Notification This report is triggered when funding is required to collect employee payroll deductions and employer contributions you submitted through the Employer Portal. Dollars will be moved from the employer funding account on the employer transaction effective date. Funding will still occur for employees with a Blocked HSA account. 24

REPORTING The following reports will be generated on a monthly basis. You will receive an email notification once the reports have been generated and all of the reports are available for you to access on the Employer Portal at any time. HSA Account Detail Report This report provides data regarding an employee s HSA activity. This report includes account status, contribution details and tax year contribution summaries. HSA Summary Report This report provides aggregate monthly HSA statistics and balances. Includes average account balance, distributions and contributions. 25

The most recent reports are available on the home page. Select the report name under the Recently Created Reports section. 3. The report will launch in a new browser window. History of Reports You can view the previous versions of a report. From the home page, select View All under Recently Created Reports for the report you would like to view, or select on the Reports Tab followed by selecting the name of the report you would like to view. You will see a list of all of the reports available for you to view. Click the name of a report to view all historical reports for that report type. The report will launch in a new browser window. You can also generate a new report by clicking Run New Report if the option is available. You have the option to select the date range for any new report you are creating. You may need to wait a few minutes for the report to be available to view. If you would like an email when the report is available, check the box before you click the Request button. 26

ANSWER EMPLOYEE QUESTIONS Employee Data You have access to view real-time data at an employee level to facilitate your ability to support your employees questions. You can search for employees using first name, last name, or can select an employee from a list of all employees. Once you have accessed an employee s account, you can view the following: Profile The employee s demographic information such as name, address, phone number, email address, date of birth, and dependents will position you to verify information such as checks being sent to the correct mailing address, an email address exists to facilitate electronic communications, and dependents are correctly added. Dependents View dependents employees have added to their HSA. 27

Enrollments Similarly to your employees, you can review the summary of an employee s HSA enrollment and update the HDHP Coverage Level. Contributions You can view all posted and projected employer contributions for your employees HSAs. This enables you to verify the monthly contribution amounts. Status You can update an employee s status using this tab. You will terminate an employee from the HSA program here. 28
