REST sends an email or a series of emails to the email address of the SMS provider being RockendSMS who then picks up the mobile number and message from the email and automatically forwards the SMS text message to the mobile phone. You must be running Microsoft Outlook (not outlook express) for email. Important Note for users of RockendSMS Please ensure that anyone wanting to use the SMS function within your office must have their current email address registered. You might like to add this item to your new staff member checklist. Your email addresses can be updated online by logging into www.rockendsms.com.au 1.1 Updating your REST Settings Once account is active the SMS provider email address needs to be updated in the Default tab of company details. Only the Administrator can access this area of REST. 1. Enter the SMS Provider Settings in REST. Access your Company Details in REST by going to: Other > Utilities > Company Details > Default tab In the space which asks for the SMS Provider Email Address, please enter: sms@sms.messageport.com.au 2. SMS Default Reply String/ SMS Sender ID (Message Headers) There are now 3 reply options for messages sent from your REST Property Management software. See page 4 to see detailed instructions on how to set these up. Page 1 of 10
1.2 Sender ID Options when sending though Rest REST users now have the full spectrum of reply options; a) Alpha Header Including Landlines (No Replies) Clients have the ability to create a mobile brand by entering a minimum 5 and maximum 10 characters in the default reply string of Company Details. Message recipients CAN NOT reply to any messages that do not contain a valid mobile number. When using a landline number as your Sender ID the number must be in international format i.e 61295185955 NOTE: no symbols or spaces b) Mobile Number (Replies come back to dedicated mobile) Clients are able to nominate a mobile number that replies can be directed to. This is generally a dedicated office phone that all senders have access to. c) Reply to Email (For single SMS replies come back to Senders email inbox. For Arrears SMS come back to nominated Email on mail server) Replies can now be sent directly back into sender s email inbox. User can enable this feature for both individual or bulk messages to be replied to. Page 2 of 10
1.3 Updating default SMS Merge Templates Rockend has supplied two default templates; a) Arrears SMS Merge b) Arrears Water SMS Merge Two minor changes will need to be made prior to sending. 1) Replace any existing numbers or content after X-From-Cellphone: and update with your Sender ID preference office name(alpha Header) max 10 characters/ mobile number /blank for replies (Reply to email). 2) Replace Rockend Realty with your office details. 1.4 Reply to Email when Sending from REST Reply to Email when sending from REST with a couple of minor settings changes within the Company Details section of REST, clients can now enable replies to come back to the senders email inbox. 1.4.1 Setting up Reply to Email Individual Messages Reply to Email when sending from REST Enabling Replies When Sending Individual Messages In Company Details > Defaults 1. Select SMS email template from the Edit text files dropdown menu 2. Click Edit 3. Remove <ReplyString> or any other content after the X- From-Cellphone: field. Ensure that no other fields are disturbed including line breaks ect 4. Click File and Save. 5. Click Exit Page 4 of 10

2.4.2 Setting up Reply to Email Bulk Merge Messages Any SMS templates will need to be updated as per following instructions. Currently Rockend has supplied two default templates; a) Arrears SMS Merge b) Arrears Water SMS Merge Open ArrearsSMSMerge template from REST Word Directory If client is unsure where to find the REST Word directory follow steps below HOW TO FIND WORD DIRECTORY IN REST (Note: These files are located locally on computer) Help (within REST) > About REST > REST Info > File Location (Left of screen) *You should see Word Merge Docs on right of screen 1. Remove all content after the X- From-Cellphone: field. Ensure that no other fields are disturbed including line breaks ect 2. Review the remainder of your template and update Rockend Realty with your business name. 3. Save and close. NOTE: 160 CHARACTER LIMIT IF CHARACTER LIMIT IS EXCEEDED IT WILL CUT OFF THE MESSAGE AFTER 160 CHARACTERS HINT: USE THE CHARACTER COUNT FEATURE IN WORD NOTE: REPLIES COME BACK TO NOMINATED EMAIL ON MAIL SERVER. THIS EMAIL CAN BE FOUND IN SYSTEM OPTIONS > SMTP SETTINGS Page 6 of 10
1.5 Sending SMS from REST SMS messaging from REST can be done in two ways:- a) Individual Messaging from the REST Contact Screen b) Bulk Merge Messaging a) Sending Individual SMS Messages from Rest Contact Screen Clients can send SMS messages from the owner, tenant, creditor and trades screens. Click on the icon to the right of the mobile phone number and a window will appear which will allow you to enter a message which will be recorded in the action & conversation diary. The text message must not be longer than 160 characters. Page 7 of 10
b) Sending Bulk Merge via Other > Print Letters or Export Data Using the mobile number filter in Letter Writing, bulk SMS messages can be sent to owners, tenants, creditors or holiday bookings. Instead of merging to a Word form letter, merge to a template supplied by Rockend. To send arrears notifications to tenants using SMS, Rockend has supplied a default template called ArrearsSMSmerge.doc. This should be stored in your \rest\word directory. If this document is not available, please call Rockend Support and they will send it to you To access the word directory, in REST go to Help > About Rest > Rest Info > File Locations. Record the path to the right of word merge documents then close and follow the path through Windows Explorer. The document ArrearsSMSmerge.doc is shown below. Be sure to update the X-From- Cellphone: field and replace Rockend Realty with your business name. The areas shaded are REST merge fields enter the Agency telephone number or NAME in place of 0299999999 after X-From-Cellphone. The entire message, including the merged fields must not exceed 160 characters Template for SMS messages from bulk merge Page 8 of 10
1.6 Merging to SMS Messages using MS WORD Select Other then Print Letters or Export Data WORD sends a series of emails to RockendSMS, who pick up the mobile number from the email and automatically forwards an SMS text message to the intended recipient. Page 9 of 10
1) Select the merge file 2) Select the type of letter 3) Select the Manager or leave as all 4) Select the Property type or leave as all 5) To select only those owners, tenants, creditors or bookings with valid mobile number, choose, valid in the mobile number dropdown list 6) Make a selection of all, a range or selected records. If you want to print tenant records in property sequence, tick the Property order checkbox before you make your selection. If you filled out details in the filter for arrears for example, then if you leave your selection at all, REST will select all tenants that fit the criteria according to the filter 7) Click on Browse Letter Name and choose the SMS Arrears template letter appropriate for RockendSMS. You should have the default template provided by Rockend in your \rest\word directory called ArrearSMSmerge.doc. 8) If you want to update the tenant history with the date and name of the letter sent, tick this checkbox. If you are practicing, make sure that this checkbox is unticked 9) Click On Preview. 10) Check the list of people then click on proceed 11) If the Header Delimiters window opens, click on OK 12) When WORD is loaded, check that the template is the one you require When you click on the red X top right hand corner to close out of the document the information will automatically merge 13) Say Yes to send the email/sms messages 14) If you have document management setup, say yes to save Page 10 of 10
