Introduction to Reporting The etrac System provides a robust reporting tool for building custom management reports and workflow queues. The etrac Report Builder provides direct access to your data within the database, to provide tailored reporting results. The etrac Report Builder includes a wide variety of data points that are captured throughout the order process: Order data Daily summary reports Vendor management Client management Payment information Order change log Order status history Turn time reporting An automated tool is available to communicate changes and requirements to your Management Team, Clients, and Vendors. Monitoring Queues There are several pre-built queues that are accessible from the Main page. View Open shows all orders that are not in the Completed status. View Due shows all orders that are due within the next 5 days. Completed Orders shows all orders that are in the Completed status. In Review shows all orders that in the In Review status. Cancelled Orders shows all orders that have been cancelled by the Client within 90 days. View On-Hold shows all orders that are currently in On Hold status. View Unassigned shows all orders that are in the Unassigned status. If desired, you can perform the following operations from the Unassigned Orders page: To view the details of any particular order, click the Update link to the right of the desired order. To assign the order click the Assign link. To delete the order, click the Delete link. When prompted to delete the order, click OK to confirm your decision. Inspections Scheduled shows all inspections that are currently scheduled. These are sorted by date and time. View Pending Updates shows all order status update requests submitted by Vendor Users that are in Review Mode. Global DMS etrac Guide to etrac Report Builder 4

Specialized and Custom Queues The View Queues tab allows you to view specialized pre-built queues, as well as customized queues that were created using etrac Report Builder. To view the specialized queues, select a queue from the Custom Queues drop-down menu, and click on View. The Accepted by Vendor with Conditions Queue will show all orders that are in the Accepted by Vendor with Conditions status. The Declined by Vendor Queue is also associated with this System Setting. This Queue is intended to help you manage orders that have been Declined by the Appraiser. The Bid Selected Queue will show any requests to which a Vendor has responded. This Queue is associated with the Commercial Bidding Process. The My Follow-Up Queue will show any existing Follow-Ups that are scheduled for the current date (for the Staff User who is logged in), and the status of the Follow-Up. NOTE: Scheduled Follow-Ups do not send an e-mail notification to advise the User of a pending follow-up. The My Group Orders Queue is intended for use with Staff User Groups. This add-on allows you to create a Group of Staff Users, and assign a Client to a default Staff User Group. Orders will be delegated to the designated Groups, based on Client selection. This Queue will show a Staff User all orders that are associated with their Staff User Group. The My Engager Queue will show any orders on which the Staff User (that is logged in) is selected as an engager. The Out for Bid Queue will show any proposals that are awaiting a Vendor response. The Pending Appraisers Queue will display any Appraisers that are in the Pending Status. This is reflected on the Vendor Profile. New appraisers will fall into this queue. The Appraiser Acceptance Timeout Queue will show any orders that fall into the number of hours a Vendor has to accept an order before it goes to the Timeout Queue. Launching etrac Report Builder The etrac Report Builder can be accessed from the Tools menu. The etrac Report Builder Home Screen will appear. Global DMS etrac Guide to etrac Report Builder 7

The Home Screen Features and Functions The etrac Report Builder Home Screen acts as the command center for the Report Builder tool. All major functionality is accessible from this screen. This section will demonstrate the main functions of this page. Creating a New Report To create a new Report, click the New Report button. This action will launch the etrac Report Builder Wizard. This tool provides a step-by-step approach to building custom reports. Global DMS etrac Guide to etrac Report Builder 8

Editing an Existing Report Existing Reports can easily be modified, by using the Edit Report button. Click on the radio button adjacent to the name of the Report, and click on Edit Report to launch the Wizard. The step-by-step tool will open to Step 2 of the Wizard for the selected Report. To save the changes, click through the Wizard, and click on the Finish button. Viewing a Report To display or analyze information from the database, you must execute the Report. Click on the radio button adjacent to the desired Report, and click on the View Report button. The Report results will be displayed in a new browser tab or window. Exporting Reports to Excel Any Report created using etrac Report Builder can be exported to Excel. Click on the radio button adjacent to the desired Report, and click on the Excel View button. You will be presented with several options for exporting the Report. Selecting the Open option will download the file, and display the data in Excel. If you choose this option, you will need to save the file to your computer for later use. Selecting the Save option download the file to the location that you have designated for downloads. The Save As option will prompt you to select a location for the file to be downloaded. The Save and Save As options will download the Report in the.xls format. The Run option will result in an export of the.asp file type. You can change the file format when saving the file in Excel. The file will open in an Excel window. Global DMS etrac Guide to etrac Report Builder 11

Cloning a Report The Save As function in etrac Report Builder, is very similar to the Save As option in other applications. Save As creates a new copy of the file. This option is most helpful in instances where you need have several similar reports with different Filters or Grouping. Any Report created using etrac Report Builder can be cloned by using the Save As function. Click on the radio button adjacent to the desired Report, and click on the Save As button. You will be prompted to enter a name for the new Report. Enter the modified Report Name, and click on Finish to create the cloned report. Global DMS etrac Guide to etrac Report Builder 12

Deleting a Report Reports can easily be deleted from etrac Report Builder.. Click on the radio button adjacent to the desired Report, and click on the Delete icon. NOTE: Deleted Reports cannot be recovered. Global DMS etrac Guide to etrac Report Builder 13

Creating Custom Reports Step 1 Selecting the Report Type To create a new Report, click the New Report button. This action will launch the etrac Report Builder Wizard. This tool provides a step-by-step approach to building custom reports. Step 1 of the Report Wizard requires you to select the type of Report that you would like to use as a foundation for your custom Report. Each report type is connected to a specific type of database within the etrac System. After selecting the desired Report Type, click on the Continue button to move onto Step 2. The Report Types Each Report Type has specific uses, and some have backend filtering that is applied to the data output. Please use this guide to help you select the most appropriate Report Type for each of your reporting needs. Report Type Description Filter General Report Open Report Client Users Report Clients Report Appraiser Report Status History Report Files Report Staff User Report Payments Report Appraiser Coverage Area Aging Report Staff User Login Appraiser User Report Sales Rep Report This report type can be used to display orders using any criteria. Criteria can include status, order date, invoice date, and Appraiser. This is the most common Report Type used for building custom reports. This report type is NOT recommended, because it is a sub-set of the General Report and does not contain the complete field list. This Report Type can be used to generate a list of Loan Officers and Processors and their contact information. This Report can also be used to obtain order counts by Client User. This Report Type can be used to generate a list of Clients, along with details from the Client Profiles. This Report Type can be used to generate a list of Appraisers and their profile data. This Report Type can be used to display a detailed history of all posted statuses and associated messages on each order. This Report Type can be used to print a detailed list of all appraisal files that have been uploaded to the etrac System, by order number. This Report Type can be used to display a list of Staff Users, contact information and Profile details. This Report Type can be used to generate a detailed list of Payables and receivables for Appraisers and Clients. This report type can be used to display the Coverage Area for an Appraiser by Zip Code. This Report Type can generate a detailed list of open Payables and Receivables. Billed orders that have not been paid in full and have not been overpaid. This Report Type measures the amount of time that a Staff User has spent in the Staff Module. This Report Type can be used to display a list of Appraiser Users, contact information, and Profile details. This Report Type displays the detailed information for a Sales Representative that is associated with your orders. Orders that have not been Deleted. Orders that have not been deleted, and are not in cancelled, completed, on hold, unassigned, or sent to collections status. Active Client Users. All Clients that have not been Deleted. All Active Appraisers. All status history entries. All files uploaded to orders. All Active Staff Users. Orders and Client Payments. Active Appraisers with Zip Code Coverage. Orders that have not been Cancelled, Deleted. Orders must have been Billed, and the Client Payments do not equal Product Fees. All login info for Staff Users. All Active Appraiser Users. Report Type Description Filter Client Notes Report Labels Report Cycle Summary Email Log (Past 90 Days) Vendor County Coverage Vendor Documents Completed Orders (Delay Time Included) Daily Order Summary Vendor E&O Expiration Vendor License Expiration Approved Appraiser by Client Vendor State Coverage This Report Type compiles a list of the Client Notes that have been added to Client profiles. This Report Type displays the File Number, Borrower information, and Client information that is associated with each. This Report Type can be used to track the status history of an order when it was in a specified status (i.e. Date in review, Date Completed, etc.). This Report Type can be used to display the Email Log for all orders within 90 days. This Report Type will display the Coverage Area for an Appraiser by County. This Report Type can be used to monitor Appraiser Profiles for any uploaded document types and date/timestamps of when the files were uploaded. This Report Type can be used to display Completed Orders using available criteria. Available criteria includes status, order date, invoice date, and Appraiser. Note: If a filter is not added to the report, only orders completed within the past 30 days are included. This Report Type can be used to display the average number of orders for the current month. This is a Summary Report. This Report Type can be used to display the E&O information and expiration dates for Appraisers. This is most popular to use as a basis to create an Auto-ERB Campaign to send automated messages to Appraisers based on their E&O expiration date. This Report Type can be used to display the License information and License expiration dates for Appraisers. This is most popular to use as a basis to create an Auto-ERB Campaign to send automated messages to Appraisers based on their License expiration date. This report type can be used to view an organized list of Clients and their Approved Appraisers. This Report Type can be used to display the Coverage Area by State for an Appraiser. Client Notes. Orders Assigned within the past 30 days that have not been Deleted. Completed Orders that have a Bid Selected. Email Log entries from the past 90 days. Top 10,000 Appraisers and Zip Codes in Appraiser Coverage, for Appraisers that have not been Deleted. All Appraiser Documents. Completed Orders that have not been Deleted. Clients with orders Assigned since the beginning of the previous month, where the Product of those orders has not been deleted. Active Appraisers whose status is not set to Inactive or Do Not Use Active Appraisers whose status is not set to Inactive or Do Not Use. Appraisers that have not been Deleted, and are on any Client Approved list. Appraisers that have not been Deleted, and have Coverage Area configured. Report Type Description Filter Vendor Coverage by State and County Enhanced User Permission Report Web Forms Report Automated Notifications Log Follow-Ups Report Appraiser Distance (past year) Approved Appraiser By Client With County Coverage Vendors with No W-9 Client Users Report 2 Appraiser Report Card This Report Type can be used to display the Coverage Area by State and County for an Appraiser. This Report Type can be used to display the Access Levels, and assignments for all Enhanced User Permissions for all Staff Users. This is associated with the Enhanced User Permissions Add-On. This report can be used to report on files that have been created in etrac Web Forms. This report type can be used to display a list of the send history for Auto-ERB Campaigns. This report type can be used to display a list of open Follow-Ups. This can listed by the dates that the Follow-Ups were completed, or by the dates they are due. Reports the average distance that an Appraiser has to travel when visiting Subject Properties, and is from orders placed during the previous year. This Report Type can be used to display a list of Clients, and the Approved Appraisers associations. This Report will also display the Coverage Are (by County) for the Approved Appraisers. This Report Type can be used to display a list of Appraisers who have not uploaded a W-9 to their profile, or do not have the Exclusion checkbox on the Vendor Profile engaged. This Report Type is similar to the Client Users Report, but this report includes some order totals. This Report is intended to focus on Client User performance. Appraiser Report Card is similar to the Appraiser Report Type, but includes 4 additional Fields. The purpose of this report is for Staff Users to be able to determine Appraiser productivity, as well as gauge the overall quality of their work. AvgEnhancedScore AvgReviewerQCRating AvgMARSReviewScore CompletedORderCount Top 10,000 Appraisers/Counties in Appraiser Coverage, for Appraisers that have not been Deleted. Enhanced User Permissions for all Staff Users. All Web Forms data files that have not been Deleted, for Orders that have not been Deleted. Automated Notification Log entries within the past 90 days. All Follow-Ups for Orders that have not been Deleted. Orders Assigned within the past year, and have not been Deleted. Top 10,000 Appraisers/Counties in Appraiser Coverage. Focuses on Appraisers that have not been deleted. Appraisers must be on a Client Approved Appraiser list. Appraisers without a W-9 document uploaded, with Inactive/Do Not Use Appraisers potentially filtered out. Includes Inactive Users. Active Appraisers that have completed orders within the past 180 days. Global DMS etrac Guide to etrac Report Builder 17

Report Type Description Filter Aging Report (Invoice Due) Staff User Groups Vendor Change Log Report RealEC Configuration Change Log This Report Type will display orders that have been billed to Clients that have not been paid in full and have not been overpaid. This Report Type will display Staff Users, and the Staff User Groups that they are associated with. This configuration requires the Staff Users Group Add-On. The Vendor Change Log report is associated with Vendor Change Log Add-On. This will report on any captured changes on any Vendor Profile within the etrac System. This Report Type is intended only for etrac Systems with a RealEC Integration. The RealEC Configuration page for the Integration includes logging for any configuration changes. This report can provide details from the Configuration Change Log. Orders that have not been in the Cancelled or Deleted statuses. Orders that have been billed, and whose Client Payments do not equal Product Fees. Staff User Groups and the members of those groups. All entries in the Vendor Change Log. All entries in RealEC Configuration Change Log. Global DMS etrac Guide to etrac Report Builder 18

Step 2 Selecting Fields There are very specific sets of Fields that are associated with each specific type of Report. The General Report houses the largest and most robust dataset, while more specialized Report Types tend to have a smaller dataset. NOTE: A list of all available Fields within each Report Type can be obtained by contacting etrac Support. The first section in Step 2 is a selection tool for designating the Fields that you require in the Report that you are Building. The Field selection box is labeled Select Fields to Add to Report. This section allows you to select any Field within the Report Type that was selected in Step 1. All selected Fields will become a column in the completed Report. You can select multiple Fields simultaneously by holding down the Ctrl key or the Shift key on your keyboard, and clicking on the additional Fields with your mouse. When Fields have been selected in the List of Available Fields on the Left, click on the right arrow button in the center of the screen to move the selected Fields to the Selection Box on the right. The Fields will then appear in the Selection Box on the right. This list of Fields will be the columns that are utilized in the completed Report. The Selection Box also includes directional buttons to change the Column Order of the Fields on the Report. The Column Order can be manipulated for one Field at a time. Sorting a Report The Select Report Sort Order section allows you to sort your report based on a specific field within the database. Select a Field, and then click the right arrow in the center of the screen to add it to the Selection Box. By default, all selections are in ascending order from A through Z. To reverse the sort order to descending, click the AZ ZA button. In this example, we have elected to sort by the ClientName Field. The orders in the Report are now sorted by ClientName in ascending order (A Z). NOTE: Selecting a sort order is an optional step. Click Next to continue. Step 3 Grouping Fields The Group section allows you to create blocks of data within the Report. This can allow you to generate Totals and Sub- Totals for smaller dataset. Select the desired Field, and then click the right arrow button to add it to the Selection Box. In this example, we have selected the AppraiserName field for our Grouping. In the screen shot below, you will notice that the orders are now grouped by AppraiserName. Each order is listed below the Appraiser that was assigned to the order. After selecting your desired field(s), click Next to continue. Global DMS etrac Guide to etrac Report Builder 21

Step 4 Totaling Fields This feature provides you with a simple method for both totaling a column and running averages on specific fields, but is an optional step. Select one or more fields, and then click the right arrow in the center of the screen to add them to the right window pane. In this example, we have selected the AppraiserFee Field. In the screen shot below, you will notice that the AppraiserFee column (far right) shows the total dollar amount for each individual order and for all the orders combined. Step 5 Averaging Fields The Select Average Fields section allows any numeric field to be averaged within a column. This provides you with a simple method for averaging a column, but is an optional step. When generating an Average function for a numeric Field, you must also Total that field in Step 4 of the Report Wizard. Select one or more Fields, and then click the right arrow in the center of the screen to add them to the Selection Box. The numeric fields that can be totaled and averaged can be a straight numeric field, such as an Appraiser Fee. Calculated Fields are another type of numeric Field within etrac Report Builder. DaysAssignedToInspected DaysEnteredToReview DaysSinceEntered HoursInspectedToInReview DaysEnteredToAssigned DaysInspectedToCompleted DaysSinceScheduled HoursReviewedToCompleted DaysEnteredToCompleted DaysInspectedToReview HoursEnteredToInReview HoursReviewedToInvoiced DaysEnteredToInvoiced DaysNeededToCompleted HoursEnteredToSheduled HoursScheduledToInReview These numeric fields will tell the amount of time that has passed between two order statuses. For example: The DaysEnteredToCompleted field is a calculation the date the order was completed minus the date the order was entered. If an order was entered on 1-1-2013 and was completed on 1-11-2013, then the DaysEnteredToCompleted would equal 10. In the screen shot below, you will notice that the DaysEnteredToCompleted column (far right) has an average for each Appraiser in the report. Global DMS etrac Guide to etrac Report Builder 23

Step 6 Report Filters The Select Filter Criteria option allows you to restrict the data that displayed in the Report. Filtering a Report has 3 main components: Field Operator Criteria In the screen shot below, you will see that the DaysEnteredToCompleted is the Field, the greater than sign (>) is the Operator, and the 30 is the Criteria. DaysEnteredToCompleted > 30 There are several Operators to choose from: = Equal to (exact match) >= Greater than or equal to > Greater than <= Less than or equal to < Less than in in <> Not equal to Operator in % like not like Description This will display any words or names that contain a portion of this word. Example: ClientName IN Green will bring back any Client names which contain Green in the name. Enclosing the Criteria with the % symbols produce wildcard results. Example: ClientName like %green% This will produce results for Client that has that word in the Client Name. Can be used to find near matches. Example: ClientName Like Citi would return CitiBank, CitiMortgage, etc. Can be used to exclude near matches Example: ClientName Not Like Mortgage would exclude all companies that have the word Mortgage in their name. All Filters applied to the Report must be true or no data will be displayed on the Report. The Data Type can also affect how Filters are applied to the Report. As different types of Fields are selected, the Data Type will automatically change to the designation associated with that Field. There are three field types: Numeric, Character, and Date. After selecting the Field, Operator, and Criteria, click the Add button to apply the Filter to the Report. The Filter will then appear in the Applied Filters section. Repeat the above process to add another filter, if desired. NOTE: If you make a mistake, you can delete a filter by selecting the Filter and clicking the Remove button. Step 7 Naming and Finishing the Report The final step of the Report Wizard is to name and save the Report. Section Description Required? Report Name Enter a descriptive name in this field so you can identify your report easily. Yes Report Header This field is designed to personalize your report, and will be displayed on the first page of your newly created report. No Header Alignment This option allows you to position the report header in a specific region at the top of the report (Left, Middle, and Right). No Page Break This function will automatically insert a page break after every grouping that you ve created to ensure that different group data is not printed on the same page. Configuring a Custom Queue etrac Report Builder can be used to create customized Queues, which can be run from the Main tab in etrac. When creating a custom Queue, Static Filters must be used. Almost any etrac Report Builder Report can be converted to the Queue Format. The Report Name must include the word Queue. This feature is spelling-sensitive, but not casesensitive. There is no limit to the number of columns (Fields) that can be added to Queue Reports. Sort functions are allowable when viewing the Queue on the etrac Queues Page, but Grouping is not. The Queue will run from within the etrac Report Builder interface, as well as from the Queues page in etrac. View from etrac Report Builder View from etrac Queues Page When viewing a Queue from within etrac, the File Number field displays active links to the associated File. Configuring Dynamic Reports Dynamic reports allow you to create a report that will prompt the user for input criteria each time the report is run. This feature is particularly useful for reports that use date ranges. Dynamic Reporting relies heavily upon using Runtime Filters. In Step 6 of this guide, we created a Turnaround Report that checked for orders that were completed between two specific dates. Although this report is very functional, it will require you to edit the Date filter in Step 6 of the wizard prior to running the report every time you want to run it with a new date range. We call this a static filter. Editing the Filters each time the Report is executed can be cumbersome. etrac Report Builder is a dynamic reporting tool, where you can select parameters (similar to placeholders) for the Criteria each time you run the Report. In the example below, we will change the DateCompleted filter into a parameter. The parameter will be entered each time the report is run. The first step is to remove the Filter by selecting it, and clicking the Remove button. Global DMS etrac Guide to etrac Report Builder 29

The next step is to select the DateEntered field from the dropdown menu and select the >= Operator. Instead of manually entering a date, we will enter the parameter by clicking the Run Time Data button. The placeholder @@RUNTIME_DATE@@ is now inserted into the Criteria field. Click the Add button to enter the new filter. Repeat this process for the second part of the date range, but select the <= Operator. After entering both filters, click Next. Click Finish on Step 7 to complete the process and to return to the Main Menu. From the Home screen, select and run the Report. The Filter Criteria page will then be displayed. Dates can be entered manually or by using the pound symbol (#), which will open the pop-up calendar. After entering the dates, click Next and the report will then be displayed. NOTE: Each time you run the report, the Filter Criteria page will be displayed and a different date range can be entered. NOTE: When using information like Client Name in Filters, the Client Name must exactly match what is entered on the Client Profile. Global DMS etrac Guide to etrac Report Builder 31

Date Range Filters The Date Range filters will allow the report to only display orders that have been completed between specific dates. To create a Date Range Filter, the Filter must be entered in two parts, because there is no between Operator. For example: The first Filter will be entered as greater than or equal to (>=), and the second Filter will be entered as less than or equal to (<=). A date can manually be entered in the Criteria where Select Date is displayed. Click on the pound symbol # to open a pop-up calendar that will assist you in locating your desired date. NOTE: If the calendar is not displayed when you click on the # symbol, change your browser settings to allow pop-ups. Click the Add button to apply the Filter to the Report. Using Operators: in For each IN statement, all similar items must be combined in ONE filter. This Operator would be helpful when building a Report that focuses on a specific set of States, but excludes the remainder of States. All of the States that are intended to be included in the Report should all be listed in a single filter, and separate each state or item with a comma. Separated in statements: State in PA State in NJ State in MI This Filter configuration is polling the database for all 3 of these filters separately. To return results, the Report must find results to meet all of the Filter criteria. In this example, an order in etrac would have to have 3 States for a single property address. The filter should be structured per the example below: State in ('PA','MI','NJ') The State list is enclosed in parentheses. Each item is enclosed in a set of single quotes, and separated by a comma. A space between commas should NOT be included. Multiple In statements can be used as Report Filters. For example, if you wanted to filter by the 3 States above AND by a list of client names, you would add the following 2 filters: Filter 1. State in ('PA','MI','NJ') Filter 2. ClientName in ('Big Bank','LenderABC','CheckSafe') NOTE: When using information like Client Name in Filters, the Client Name must exactly match what is entered on the Client Profile. Runtime Data A Runtime parameter is Report Filter in which users enter parameter values that determine how the report will run. When the Report is initiated, you will be prompted to enter the Filter Criteria to run the Report. Typically, Runtime Filters are used for Date Ranges, Appraiser Name, and Client Name. A Runtime Filter can be a single Filter, or can be a set of Filters. Single Field Runtime Filter This is an example of a Client Name Filter built using the Runtime Data option. When the Report is run with this set of Filters, you will be prompted to enter data in three fields. Notes about Runtime Filters 1. This Filter configuration is polling the database for each of the entered Filters separately. To return results, the Report must find results to meet all of the Filter criteria. In the example of a Date Range Filter built using the DateEntered Field, and the ClientName Field: The Report would have to find orders that were placed by the Client named in the Filter, that were entered during the specified date Range. If there are no orders that match this criteria, the Report will not return any data. 2. Runtime filters can use all Operators. The Criteria must be entered appropriately to yield results.
