1 HOW TO OPERATE GMAIL 1. HOW TO OPEN GMAIL Write www.gmail.com into your browser In the box that says email write yourname@gmail.com Password is whatever you ve decided on You will then get to your inbox 2. HOW TO LOG OUT OF GMAIL You must do this at the end of every session. In the top right of the screen is a little circle with a beach scene. Click on this and a drop down menu appears. Click on sign out 3. HOW TO READ AN EMAIL You will note that there are 3 tabs Primary, Social and Promotions. You need concern yourself with only the Primary tab, which is where most email will be found. Click on either the sender or the subject of the email to open it. I m going to click on the top email.

2 You can now read the content of the email. Look at the row of icons immediately below the white box next to the word Google. The first icon is a backwards arrow. You click this to get back to your inbox. The second icon is Archive don t worry about this. The third icon is to report a spam email don t worry about this. The fourth icon is a dustbin. You click on this if you want to delete an email. The fifth icon allows you to move the email into a file. If you click on the little black arrow next to the icon then a drop down list appears of files that you can use. Click on the relevant file to move the email into it. The sixth icon allows you to labe an email don t worry about this. The seventh icon more allows you to assign various things to the email you won t need to use this either. 4. HOW TO REPLY TO AN EMAIL Using the same screen shot #2 as before. If you want to reply then you can either click on the backward facing arrow at the top right of the email next to the time received (eg 5 days ago or 15 minutes ago) or look below the email to a blank box and click on reply If you want to forward the email to others then either click on the small downwards arrow to the right of the reply arrow or click on forward in the blank box below the email. 5. HOW TO COMPOSE AN EMAIL Look at screen shot #1. On the left hand side under the word Gmail you will see a white box with the word compose written in it. Click on this.

3 A new box opens up at the bottom right of the screen. Either write the address in the box or click on To and your list of contacts will appear. You can either click in the box next to select all to send to everyone or click in the box next to certain people s names. You can see that Judy and John have been selected. You can also click on the little arrow next to MyContacts at the top left and a drop down menu opens up showing groups of people. You can click on a group eg Committee 2014 and then those people in that group will appear and you can again either select all or tick individuals. As well as To you can also use CC which sends a copy of the email or BCC which doesn t show the email addresses of those you are sending to. If sending to more than one person use the BCC function and select people as above.

4 When you have finished your email you click on the blue box labelled send in the bottom left corner. If you want to attach something to the email then click on the paperclip next to the blue send box and then add files from your computer. 6. FILING EMAILS When you have opened an email, you can file it away in a folder so it no longer appears in the Inbox. Click on the 4 th icon at the top after the backwards arrow. A drop down list of folders will appear. Click on the folder you want to file the email in. {NB email in these folders is only kept by gmail for a few months and then it disappears. If you want to keep the email for longer then forward it to yourself and store it on your home computer} You can access all the folders from the list in blue running down the left-hand side. 7. ACCESSING YOUR CONTACTS All the members of the club whether they have an email or not are listed in the Contacts. On the left hand side under Google you will find the word Gmail. Click on the small black arrow next to the word Gmail. A white drop down box will appear. Click on contacts.

5 Your list of contacts will appear. Click on a name to access the details about that contact. You can alter details by highlighting and then retyping the updated info. 8. ADDING AND REMOVING PEOPLE FROM GROUPS Under the name of the person you will see the groups that they have been placed in. You can remove them from a group by clicking on the small black arrow next to the group and then clicking on remove from group or by clicking on the crown-like icon next to the backwards arrow at the top. A drop down menu will appear showing the groups and you uncheck the box next to the group you wish to remove them from. You can also check the box and put them in to a group.

6 The contact list does and will increasingly also contain people who are members of other clubs and other useful contacts. If you want to send an email to our club members then you need to access the group called Scarborough To get back to the Contacts list click on the backward arrow (as you did to get back to your email list) 9. ADDING A CONTACT TO THE LIST Click on the small arrow next to the outline of a person icon at the top. A white box will appear and you type the person s name in and click on Add. The person s name will be added to the list. You then find their name in the list, click on it and add their details. When you want to return to Gmail click on the little black arrow beside the word Contacts under the word Google and a drop down menu will appear and you click on Gmail. Don t forget to Sign Out when you have finished using Gmail.
