Filtering Email - Zimbra Email filtering allows you to definite rules to manage incoming email. For instance, you may apply a filter on incoming email to route particular emails into folders or delete emails from specific senders. The following explains how to filter email in Zimbra. 1. To begin, click Preferences, located on the main Zimbra toolbar. 2. Click Filters, located under the Preferences tab. Figure 1 - Preferences 3. In the Mail Filters window, click Create Filter. 4. Enter a descriptive filter name in the Filter Name field. 5. Verify that the Active checkbox is checked. Figure 4 - Filter Name Figure 5 - Active Checkbox 6. In the Grouping Preference drop-down, indicate whether you wish to apply the filter if any of the conditions or all of the conditions are met. Figure 6 Grouping Preference dropdown 7. To select your preferred field in which the condition will be applied, use the Condition drop-down. 8. Use the Comparisons drop-down to select the comparison to use in the condition. For example, you may indicate comparisons such as if a field matches exactly, does not contain, among others. Figure 8 - The Operator 9. In the text box located next to the Comparisons drop-down, enter the text that will be used to compare against incoming messages. Figure 9 - Operator comparison 10. 13. If you wish to keep an email in the inbox, select the Keep in Inbox option. Figure 13 - Keep in Inbox 14. If you wish to Delete an email, select the Delete option. 15. If you wish to Move the email to a folder: a. Select the Move into folder option. Figure 14 - Delete b. Click Browse. c. Navigate to and select the folder you wish to route the emails to. 16. If you wish to tag an email: a. Select the Tag With option. Figure 17 - Select the folder b. Click Browse. If you wish to redirect an email to another email address: a. Select the Redirect to Address option. Figure 22 - Redirect to Address b. Enter the email address that you wish to redirect emails to.
