1. Introduction The purpose of this document is to outline the new features of CELCAT Timetabler 7.5. This document is not a user guide; it is intended only to describe the new or changed features. Copyright 2013, CELCAT Page 1
2. Room Booker in CELCAT Timetabler Live Room Booker Web has been in CELCAT Timetabler for a number of years. For CELCAT Timetabler 7.5, Room Booker Web has been discontinued, the functionality has now been incorporated within CELCAT Timetabler Live. Room Booker Live is divided into three areas: Room Booking Wizard Room Booker Usage Room Bookings 2.1 Room Booking Wizard CELCAT Timetabler Live Room Booker Riband The Room Booking wizard helps you to request a room booking, guiding you through the information needed. The Room Booking wizard has three different modes of operation: I know both the time and room I want. I need to find a room. I know the room I want, but need to find a time. I know both the time and room I want - This operation allows you to process a room booking request for a specified time and room. I need to find a room This operation allows you to process a room booking request for a specified time and find an available room. I know the room I want, but need to find a time This operation allows you to process a booking request for a specified room and find an available time. 2.2 Room Usage A special room usage chart has been added for use with Room Booker. This works the same way as the existing usage chart for rooms, but with added functionality for room bookings. The Room Usage chart is accessed from the Room Booker menu As with the existing usage chart, you can select a list of resources to display. There are a number of search and filter options available to narrow the results. Copyright 2013, CELCAT Page 3
The Select Room window Click to filter rooms by Site Click to filter rooms by Layout Click to filter rooms by Department Use the search field to search rooms by Name, Unique Name or Department Use Intensive Search to search within any part of a term, not just the beginning Show selected only hides the search and filter options and lists only the rooms currently selected Use the column headers to sort the list of rooms in alphabetical order by Name, Unique Name or Department. Combine Weeks When on, all selected weeks are combined into a one-week view. When off, all weeks are displayed side-by-side. C. Days Header The list of days or period times (depending on view). Click to expand event view. D. The Usage Grid Room usage is indicated by red blocks. The view can be expanded to show events. E. The Rooms List The rooms with their default capacities and range of available layouts in brackets. F. Week View Specify whether to show one day at a time or the entire week. G. The Weeks Bar This determines the week(s) to show in the usage chart. Select weeks by clicking and dragging on the weeks bar, by selecting a date or by using a week span. 2.3 Room Bookings All room bookings are shown in a list accessed from the Room Booker riband. Booking Requests Display Settings The list of room bookings can be filtered to show booking requests based on the booking request owner. By default, only current booking requests are shown. However, by selecting Past requests you can also show previous requests. In addition to filtering the shown requests by request owner, the display can be filtered by the four booking request states: requested, completed, rejected and cancelled. You can also save the display options or revert back to the defaults. Booking Requests on the Usage Chart Room Booking Actions Room bookings can also be created and managed directly in the usage chart. Room bookings are differentiated from events by a dotted border and different font. When a room booking is selected the booking editor is displayed rather than the event window. A booking title or the requester s name can be shown 2.4 Options User Preferences A number of default Room Booking preferences can be configured for the current user. These can also be set globally and enforced. If enforced, they cannot be changed. Copyright 2013, CELCAT Page 7
Room Booker - User Preferences Select Generate event names to automatically generate and insert an event name using predefined event naming policies when an event is created via a Room Booking request. Global Room Booker Default settings Global Room Booker Mandatory Field settings User Roles The following updates to User Roles are now available for use in Room Booker. These include policies to provide default values saving users from having to re-enter their details for each booking request. There is also a set of default booking values that can be established for each booking request. If enforced, they cannot be overridden. Copyright 2013, CELCAT Page 9
Role Based Room Booker Requester Policy 2.5 Clustered Teaching Overview Role Based Room Booker Default Options Clustered teaching was added to the Windows client applications as part of CELCAT 7.4. The Clustered teaching functions have now been made available in CELCAT Live 7.5. Below is a reminder of what the functionality is used for: Clustered teaching is a way of teaching several different (but usually related) subjects to one or more groups of students at the same time and usually in the same location. It may be implemented to improve room utilisation, reduce staff costs, etc. You can optionally record achievements (attainments) of a student against a set of competencies (typically modules or groups, but any resource except student can be used) taught in a delivery package (module). Achievements are stored against the students and the competency, so all Copyright 2013, CELCAT Page 10
registers teaching the competency are able to access/update the attainment data for students on the register. Clustered Teaching Options and Setup Auxiliary Marking is configured from within CELCAT Timetabler Administrator. The timetable administrator may also configure the expected input of the primary (attainment) field as follows (similar to the custom fields feature): Required Disabled Allow free form Pre-assigned values Clustered Teaching Options Once Auxiliary marking has been configured within CELCAT Timetabler Administrator, the clusters tab in the module record window is visible. A user with appropriate access can then configure the competencies. 2.6 Interface Module Cluster Tab It is possible to view and update the eligible competencies for each student on the current register using the Auxiliary Marking page (available from the Competencies tab on a register marking page). Auxiliary Marking Page 3. CELCAT Timetabler Server Enhancement CELCAT Timetabler Server has been enhanced to improve communication with client applications. It now makes full use of a multi-core architecture to process client requests in a more efficient way. 4. Room Booker Support in Web Publisher The link to Room Booker within Web Publisher has now been updated to link to the new Room Booker Wizard within CELCAT Timetabler Live. 5. Exam Wizard The new Exam Wizard allows you to make modifications to one or more exams in a single operation. In addition to exam detail modifications, it can also be used to assign exam candidates to one or more exams. Exams can be deleted using the wizard. Exam Wizard Copyright 2013, CELCAT Page 12
6. Template Wizard The new Template wizard allows you to modify one or more templates in a single operation. 7. CELCAT Timetabler Auto Calendar Exchange CELCAT Timetabler Auto Calendar has been replaced by CELCAT Timetabler Auto Calendar Exchange. The new software provides an efficient way of publishing events from CELCAT Timetabler to Microsoft Exchange Server calendar, including those managed by cloud-based Exchange servers. 7.1 Database Settings In CELCAT Timetabler Auto Calendar the settings were stored locally on the machine, however CELCAT Timetabler Auto Calendar Exchange now stores the settings in a separate database. 7.2 Timetables Multiple timetables can be processed simultaneously. 7.3 Times Timetables Tab The Times section contains settings that determine the scope of resources being published from the CELCAT Timetabler databases. There are two options supported: Fixed dates and Sliding day range. The first option sets the start and end date for the resources to be published. 7.4 Email This section provides the email settings for calendar notifications. 7.5 Exchange Email Tab The Exchange tab contains the settings for connection to the Microsoft Exchange Server. 7.6 Appointments The Appointments tab contains options to customise the visual representation of published events. You can customise subject and body composition as well as resource display. 7.7 Options Appointments Tab On this tab you can select the events to publish (Staff/Student events, Parent/Child events, etc). 7.8 Interactive The Interactive section is designed to test functionality of Auto Calendar Exchange and to provide a reliable way to diagnose potential issues. This is to be used for testing purposes only. Interactive Tab 8. Bug Fixes Live Buttons are now visible on the riband when using Microsoft Internet Explorer 11. Live Selected items are displayed correctly when Show Selected Only is checked. Live Invalid colour codes stored in the database and assigned to a record such as department colour, then the timetable grid can still be loaded Live Licences with limited user counts are supported. Administrator - The Database upgrade estimation message has been tweaked to give a more accurate representation. Client Attendance Occasional database deadlocks when marking registers have been fixed. Client Attendance When marking a register by extended absence sometime changes were not saved. Now fixed. Client Attendance Register printout with barcodes and annotations with lengthy names now prints legibly. Client Attendance Reports Student Attendance Report calculation is now fixed. Notification Service The Notification Service no longer produces assertion errors when an overdue register contains only exception marks. Client Clash Checking Wizard The limit of clashes displayed by the Clash Check Wizard is extended to 25,000 clashes. Client Clash Checking Wizard When a clash has been accepted it is no longer displayed as a clash following a refresh. Client When Show Parent Events is checked, if an event is added to a parent resource timetable, then the event is displayed immediately in child grids. Automation (Course Scheduler) Some scheduling errors when scheduling templates using the option Align events at 15 minute intervals have been fixed. Automation (Course Scheduler) When filtering with templates on Course scheduler Constraint editor, the correct templates are now shown. Automation (Course Scheduler) An Index out of bounds error when importing certain constraints has been fixed. Automation (Course Scheduler) Failure warnings are now included in the engine report. Automation (Course Scheduler) Non-clashing events are now co-located when they have a room entry. Automation (Course Scheduler) Multiple constraint details can now selected in the Constraint Details Panel. Client Usage Chart The usage chart grid makes better use of available space.
