Constituent Profiles Everyone in the kintera database has a profile within each event they are connected to. If they used the same login, they will all be connected to ONE main system profile. Example: If someone is registered for the 2007 walk, 2006 walk, 2007 Ride Now, 2006 Ride Now, etc, they will have an Event Profile within each of these with event specific information (fundraising, team name, etc). These all tie into the same Main Profile. If they move, instead of updating each event record, you can make a global change in their Main Profile that will carry over to all events. Event Profile: Event specific information (Fundraising, team name, etc) Main Profile: Address, phone info, T-shirt size, email, fundraising history, Do not mail, Do not Email, communications history, subscriptions (E-Speaks), segmentations, etc. To search for a constituent s main profile: Go to Contacts, Individuals Use filters to search. Summary Tab: The Summary page is a collection of data from other tabs. Under all tabs (except Summary) the first tab is merely highlights within the main tab. Page 3 of 8
Tab Descriptions Following is a description of tab contents. Within each tab (except for the Summary and Profile Highlights) you will see an EDIT option. Profile Tab The profile tab is where personal information is stored about a contact. The Profile Highlights sub-tab shows key information whereas the other tabs allow you to edit information contained within. Subtabs: Personal: Personal profile information includes information such as name, greetings, email addresses, phone numbers, education and employment information, and other personal information. Addresses: You can create an unlimited number of address types. Once the address types are created, you can then apply any of them to a contact record. Field Name Would you like to share an address from an existing relationship? Seasonal Address Effective Dates Invalid Address Mail to this Address Description Allows you to search for existing relationships based on the relationship type. You can then select an address from an existing relationship. Allows you to track when this address is primary. This is helpful if the contact has a secondary home and lives there for part of the year. Allows you to categorize addresses in the Current, Historical and Future views. Primary addresses can only be listed as current. You must change the primary address flag to another address in order to change its effective date. Historical will not be pulled in direct mail lists even if marked as an address for mailing. For future address, they will not be pulled in direct mail lists until the address becomes current. Allows you to mark an address as invalid; for example, if mail is returned, you can mark this field reminding you to get an updated address from the contact. By selecting No in this field, this address will not be pulled in any direct mail exports. Page 4 of 8
Phone Type Address Notes You can associate a phone type for the contact with the address. Allows you to track specific information about this address. This can be viewed within the address list by enabling the column. Custom Fields: Update T-shirt size Constituencies: Constituencies provide a way for you to categorize your contact records making it easier to identify their role in the organization and pull them into lists. Constituencies have start and end dates allowing you to store terms such as Leadership, Board, Committee or Volunteer terms. Segmentation: Segments are a way for you to categorize and identify contact records. You can then use segments to personalize your Website, gather interest areas from your supporters, built email and direct mail targeting, and much more. Benefits & Memberships: Not used Financial Tab - Financial The Financial tab within the contact record will display a set of sub tabs that categorizes the contact record's financial transactions. Each section allows you to drill down into specific details pertaining to the transaction. The Financial Highlights section gives you a snapshot of the giving history for the contact record. See below for how fields are calculated: Fields Total Amount Definition This is the total amount of all transactions that this contact has made with your organization. This includes donations and purchases and does include outstanding amounts. Number of Transactions This is the number of transactions made by contact record. Payments Pledges/Outstanding Soft Credits This is the total amount of received payments for the contact record. This is the total amount that is still outstanding for this contact record. This is the total amount that has been credited to this individual as a soft credit. Page 5 of 8
Interactions Tab The Interaction Highlights tab displays summary level information so you can quickly get a glimpse of the contact's giving and activity history, how many email communications have been sent to them, or if they participated in any advocacy campaigns or registered for any events. Activities will show you a list of email blasts that they were sent. Profile Tab - Relationships Sub-Tab Clicking the Relationships tab within the contact record displays a set of sub tabs that highlight the various relationships the contact record has with other contact records or units. Other ways to get info a Main Profile You can also get to a main profile from other areas of kintera. Whenever you see a contacts last name showing as a link, clicking on the name will take you to their main profile. See a few examples below of how to get into a Main Profile from an event they are registered for. Example #1: Event, Administer, Contacts search. Example #2: Event, Administer, Contacts search.
