OPERATING INSTRUCTIONS 16 BUTTON PHONE Terms PRIME LINE - The PRIME LINE refers t yur telephne's number. Yur PRIME LINE is the upper left hand buttn n yur telephne. OFF HOOK - OFF HOOK means yu lift the handset and get a dial tne. A green light will appear indicating a line is in use. FLASH - FLASH is a prgrammed buttn that signals the telephne switch that yu are using a feature, such as CALL BACK, MESSAGE, r VOICE. * AND # - The * (star) and # (pund) buttns n the keypad are used with certain numbers fr accessing features. ACCESS CODE - An ACCESS CODE is a tw-buttn cde that lets yu use certain features n the telephne, such as CALL FORWARD (*+7). HUNT GROUP - A HUNT GROUP allws a call t be directed t an idle statin in a prearranged grup when the called statin is busy. PICK-UP GROUP - This feature allws yu t answer calls directed t ther telephnes in a prgrammed grup by simply dialing an access cde r pressing a PICK buttn. TIE LINES - A telephne line which cnnects yu t the V.A. Hspital, University Hspital, r University Health Center - Dwntwn by dialing a tie line access cde and a fur- r five- digit extensin number (94+XXXX r 98+XXXXX). Rings SELECTING RING SOUNDS - With a cde yu can select the sund f the ring. While yur telephne is ringing: Press FNC+3. Yur Display shws, "RINGER TONE and the number f that tne (1,2,3,4)." Cntinue pressing FNC+3 t hear all fur tnes. SELECTING THE TELEPHONE RING VOLUME - The ringer vlume is cntrlled by the UP r DOWN arrw buttns lcated belw the dedicated functin buttns and keypad n the telephne. While yur telephne is ringing, press either the UP r DOWN arrw buttn. The vlume will change accrdingly. NORMAL RING - The nrmal ringing sund indicates an incming call frm anther telephne within the Health Science Center. FAST RING - The fast ringing sund indicates an incming call frm an ff-campus telephne. Tnes Each telephne has five different tnes. Yu can hear the tnes thrugh the handset r speaker if yu press the SPKR buttn n. DIAL TONE - DIAL TONE is the cmmn, steady tne indicating yu may make a call r use a feature. BUSY SIGNAL - The BUSY SIGNAL indicates yu dialed a number that is being used. REORDER TONE - The REORDER TONE sunds like a fast busy signal. It means an unassigned number was dialed, a service feature was denied, r yur handset was ff hk t lng. SPECIAL DIAL TONE - The SPECIAL DIAL TONE sunds like a pulsating busy signal. This means yu may prceed t use a feature. SERVICE SET TONE - The SERVICE SET TONE is a high steady tne that tells yu a feature was set r cancelled. Display At the tp f the 16 buttn telephne there is a liquid crystal display (LCD) which assists yu in using yur telephne. If yur telephne is idle, yu will see the time, day f the week, and date. When yur telephne is sending r receiving calls r features, the display will shw what is happening. When yu dial an extensin number, fr example, the display will shw the extensin number yu called until yu end the call. The display's cntrast is adjusted by pressing either the UP r DOWN arrw buttn when the telephne is idle. 1

Dedicated Keys There are eight dedicated keys lcated n the bttm and right side f the keypad. They are explained in the fllwing subparagraphs. HOLD (HOLD) - The red HOLD buttn allws yu t put a call n hld. Press HOLD nce and the ther persn hears music. The light under the line yu are using will begin blinking green. Yur display shws, "HLD and the extensin number." T return t the call, lift yur handset and press the buttn under the blinking green light n yur telephne. Yur display will shw, "the extensin number with which yu are cnnected." If yu press the HOLD buttn twice, yur telephne is the nly ne that can retrieve the call, even if that line appears n ther telephnes. The call n hld will ring back in 2 minutes and 30 secnds. Yur display will shw, "EHD and the extensin number." TRANSFERS (TRF) - There are three types f TRANSFERS: TRANSFER, CONSULTATION HOLD, and CALL PARK. TRANSFER The TRF buttn allws yu t transfer a call t anther telephne. Press TRF. Yu will hear the special dial tne. Dial the number where yu want the call t g. Yur display shws, "XFR and the extensin number." Yu will hear a ring r busy signal. Annunce the call. The caller is still n "hld" and cannt hear yur cnversatin. After yu annunce the call, press RECALL and hang up. The callers are autmatically cnnected. If the number yu call is busy r there is n answer, press TRF t g back t the caller. CONSULTATION HOLD Allws yu t place a call n hld, call smene else and g back t the first caller. Press TRF. Yu will hear the special dial tne. Dial the number yu need. Yur display shws, "XFR and the extensin number." Yu may talk with the ther persn yu called. Wait fr the ther persn t hang up r press TRF again. Yu are autmatically cnnected back t the first caller. CALL PARK Allws yu t "park" a call until yu retrieve it frm yur wn r anther telephne. Example: I receive a call and must g t a file rm t lk up infrmatin. I "park" the call, get the infrmatin in the file rm, and retrieve the "parked" call n the telephne in the file rm. I can als retrieve the call n my telephne. Press TRF+*+0. Yur display shws, "PRK SET and the number." Yu will hear the service set tne. Hang up. T retrieve the call at the riginal telephne, lift the handset and press *+ 0. Yu are autmatically recnnected with yur caller. Yur display shws, "PRK and the number." T retrieve the call frm anther telephne, lift the handset and press #+0 and the extensin number f the telephne where yu "parked" the call. Yu are autmatically recnnected with yur caller. Yur display shws, "PRK and the number." A "parked" call must be retrieved. If the call is nt retrieved, it will ring back t the riginal extensin in 2 minutes and 20 secnds. ANSWER (ANS) - If smene calls the main Health Science Center telephne number (567-7000) fr yu, the peratr can "camp" the call n yur line, (like call waiting n yur hme telephne). A shrt tne will tell yu the call is "camped" n yur busy line. Yur display shws, "CMP." The ANS buttn light will flash. Yu must use the ANS buttn t retrieve this call. When yu have a call in prgress and yu hear the "camped" n tne, press ANS. Yur first caller is put n "hld." Yu may nw talk t yur secnd caller. Yu may als put the secnd caller n "hld" and return t the first caller by pressing ANS. After cmpleting the secnd call, press ANS and yu are cnnected back t yur first caller. SPEAKER (SPKR) - Allws yu t dial r mnitr a call withut lifting yur handset. The SPKR light will be lit red. This telephne is a speakerphne. T use yur telephne as a speakerphne: Press FNC+5. Yur display shws, "HANDS FREE ON." Press FNC+1. Yur MIC light must be lit red. T make a call, press SPKR (the red light shws the speaker is n). Yu may dial a number, talk, r mnitr a call withut lifting yur handset. T hang up, press the SPKR buttn ff. This shuts ff the speaker capability and the red speaker light ges ut. If yu leave yur SPKR buttn n and dn't d anything, yu will sn hear a rerder tne t alert yu. If enugh time passes, a lud sund will alert yu. 2

LAST NUMBER REDIAL/SPEED DIAL (LNR/SPD) - Allws yur telephne t "remember" the last number yu dialed. Leave yur handset in its cradle and the SPKR buttn ff. T call the last number dialed, press LNR/SPD. Yu will hear dial tne. Yur display shws, "LNR[*]/SPD[ ]." Press * and the number is autmatically redialed. Use yur speakerphne r lift the handset t talk. CONFERENCE (CNF) - The CNF buttn allws yu t set up a three-party cnversatin. The three peple may be either n r ff campus. First, make r receive a call. Press TRF. Yu will hear the special dial tne. Yur display shws, "XFR and the extensin number." Then call the third party. When the third party answers, press CNF. Yur display shws, "CONF." All three parties are autmatically cnnected. The red CNF light will stay n until ne persn hangs up. NOTE: If the cnference call includes a lng distance number, yu must dial it first. FUNCTION (FNC) - The FNC buttn allws yu t activate telephne setup functins and t prgram ne-tuch speed dial buttns. FNC+1 - Turns the built-in micrphne n r ff. The MIC light is red when it is n. FNC+2 - Adjusts the handset receiver vlume. Cntinue t press FNC+2 until the vlume meets yur needs. Yur display shws, "RCV VOL.SMALL" r "RCV VOL.LARGE." FNC+3 - Selects the tne f the ring. This telephne has fur ring tnes. While the telephne is ringing, press FNC+3 t change the ring tne. Cntinue t press FNC+3 fr the ther ring tnes. Stp at the tne f yur chice. Yur display shws, "RINGER TONE and the number f the tne (1,2,3,4)." FNC+4 - Adjusts bth the transmissin and the receiver vlume f the handset. Cntinue t press FNC+4 until the vlume meets yur r yur caller's needs. Yur display shws, "T/R VOL.SMALL" r "T/R VOL.LARGE." FNC+5 - Activates the speakerphne. Press FNC+5 and FNC+1 t use yur telephne as a speakerphne. Yur display shws, "HANDS FREE ON", and the MIC light must be lit red. FNC+6 - Deactivates the speakerphne. Press FNC+6 t deactivate the speakerphne. Yur display shws, "HANDS FREE OFF." FNC+7 - Tggles n and ff the red light lcated n the upper right crner f the telephne. This light indicates yur telephne is ringing r a vice mail message is waiting. Yur display shws, "INDICATOR ON" r "INDICATOR OFF." RECALL (RECALL) - The RECALL buttn is used t end a call and get a new dial tne. Press RECALL while yur handset is ut f its cradle r yur SPKR is n. RECALL des nt mean that yu "re-call" anther number. It is simply a quick way f getting a new dial tne. Example: I want t call ext. 7-2061 and realize I dialed ext. 7-2161. By pressing RECALL, I autmatically get a quick, new dial tne. SPEAKER/RECEIVER VOLUME - Allws yu t cntrl the speaker and receiver vlume while using yur telephne. T activate: While using the speakerphne r the handset t cnverse, press either the UP r DOWN arrw buttn t adjust the speaker and the receiver vlume. Prgrammed Keys and Features On the 16 buttn telephne there are sixteen buttns (fur rws f fur). The upper left hand buttn is the "prime line" f yur telephne. The ther buttns are a cmbinatin f telephne numbers and prgrammed features. CALL FORWARD (FWD) - CALL FORWARD allws yu t frward all calls t anther telephne number. With prgrammed buttn (FWD) Lift yur handset r press SPKR and press the FWD buttn. Yu will hear the special dial tne. Yur display shws, "FWD." Dial the extensin number where yu want yur calls sent. Yu will hear the service set tne. Yur display shws, "FWD SET and the extensin number." Hang up r press SPKR buttn ff. Yur 3

display returns t time/day. The FWD buttn light reminds yu that yur calls are being frwarded. All calls will cntinue t be frwarded until yu cancel this feature. T cancel, lift yur handset r press SPKR and press the FWD buttn. Yu will hear the service set tne. Yur display shws, "FWD CNCL." Hang up r press SPKR buttn ff. Yur display returns t time/day. With access cde (*+7 and #+7) Lift yur handset r press SPKR and press *+7. Yu will hear the special dial tne. Yur display will shw, "FWD." Dial the extensin number where yu want yur calls sent. Yu will hear the service set tne. Yur display shws, "FWD SET and the extensin number." Hang up r press SPKR buttn ff. Yur display returns t time/day. All calls will cntinue t be frwarded until yu cancel this feature. T cancel, lift yur handset r press SPKR and press #+7. Yu will hear the service set tne. Yur display shws, "FWD CNCL." Hang up r press SPKR buttn ff. Yur display returns t time/day. CALL FORWARD/BUSY/NO ANSWER (FWBNA) - CALL FORWARD/BUSY/NO ANSWER allws yu t frward yur calls t anther telephne number when yu are nt there r if yur line is busy. With prgrammed buttn (FWBNA) Lift yur handset r press SPKR and press the FWBNA buttn. Yu will hear the special dial tne. Yur display shws, "FWD." Dial the extensin number where yu want yur calls sent. Yu will hear the service set tne. Yur display shws, "FWD SET and the extensin number." Hang up r press SPKR buttn ff. Yur display returns t time/day. The FWBNA buttn light reminds yu that yur calls are being frwarded. Yur calls will cntinue t be frwarded until yu cancel this feature. T cancel, lift yur handset r press SPKR and press the FWBNA buttn. Yu will hear the service set tne. Yur display shws, "FWD CNCL." Hang up r press SPKR buttn ff. Yur display returns t time/day. With access cde (*+8 and #+8) Lift yur handset r press SPKR and press *+8. Yu will hear the special dial tne. Yur display shws, "FWD." Dial the extensin number where yu want yur calls sent. Yu will hear the service set tne. Yur display shws, "FWD SET and the extensin number." Hang up r press SPKR buttn ff. Yur display returns t time/day. Yur calls will cntinue t be frwarded until yu cancel this feature. T cancel, lift yur handset r press SPKR and press #+8. Yu will hear the service set tne. Yur display shws, "FWD CNCL." Hang up r press SPKR buttn ff. Yur display returns t time/day. CALL PICK-UP (PICK) - PICK allws yu t answer up t twenty numbers that are physically clse tgether. Yu can answer a telephne that is in yur Pick-Up Grup and des nt shw as a line n yur telephne. Yu must be able t hear the telephne ring. With prgrammed buttn (PICK) Lift yur handset r press SPKR and press the PICK buttn t answer anther ringing telephne within yur Pick-Up Grup. Yur display shws, "PCK and the extensin number." Yu are autmatically cnnected t the caller. With access cde (*+6) Lift yur handset r press SPKR and press *+6 t answer anther ringing telephne within yur Pick-Up Grup. Yur display shws, "PCK and the extensin number." Yu are autmatically cnnected with the caller. DIRECTED CALL PICK-UP - This feature allws yu t answer anther ringing telephne that is nt in yur Pick- Up Grup. Example: Yu are in the ffice next dr and yu hear yur telephne ring. T answer yur call use DIRECTED CALL PICK-UP: Lift yur handset r press SPKR and press #+6. Yu will hear the regular dial tne. Yur display shws, "PCK." Then dial the extensin number f the ringing telephne. Yur display shws, "PCK and the extensin number." Yu are autmatically cnnected t the caller. VOICE CALL (VOICE) - This feature allws yu t speak directly thrugh the handset f yur 16 buttn telephne t anther 8 r 16 buttn telephne. It is a ne-way intercm. With prgrammed buttn (VOICE) Lift yur handset and dial the extensin. Yur display shws the extensin number. Then press the VOICE buttn. Yur display nw als shws, "VCL." Fur t five "pings" will be heard n the telephne being called. 4

The persn yu are calling must have the MIC buttn n t speak t yu withut lifting the handset. The handset may be used at anytime. With access cde (FLASH+*+3) Lift yur handset and dial the extensin. Yur display shws the extensin number. Then press FLASH+*+3. Yur display nw als shws, "VCL." Fur t five "pings" will be heard n the telephne being called. The persn yu are calling must have the MIC buttn n t speak t yu withut lifting the handset. The handset may be used at anytime. BOSS/SECRETARY - This feature allws a secretary t screen calls. Press the bss's ringing line and answer the incming call. This is the bss's prime line which is prgrammed t ring n yur phne. Press the bss's line again t put the caller n hld and t send a vice call t yur bss's prime line number. Fur t five "pings" will alert the bss f the vice call. Annunce the call thrugh yur handset. Yur bss may respnd by speakerphne if the MIC buttn is n, r by lifting the handset t tell yu what t d with the call. Yur display shws, "MIC and yur bss' extensin number" when the handset is lifted. If yur bss wants t take the call, yu hang up. The bss then presses his r her wn prime line buttn, lifts the handset, and speaks with the caller. Yu may return t the caller by pressing the bss's line again t take a message. SAVE AND REPEAT (S&R) - This feature allws yu t save a number and redial it even if intervening calls have taken place n yur telephne. Press S&R while yu are listening t a telephne ring, get a busy signal, r talking t smene yu need t call back. Yur display shws, "S&R and the number yu are calling." The light serves as a reminder that yu have a number stred in S&R. When yu are ready t call them again, lift yur handset r press SPKR and press S&R. The call is autmatically dialed. Yur display will shw the number yu are calling. SPEED DIAL (SPD) - This feature allws yu t call a number yu have preprgrammed in a SPD buttn. This SPD buttn may be prgrammed as ne f the 16 prgrammable buttns n the tp f the telephne. Each SPD buttn will hld up t 8 digits. T prgram a SPD buttn Leave the handset in its cradle and the SPKR buttn ff. Press the FNC buttn, then press the desired SPD buttn. Enter the desired telephne number. The number shws in yur display. Press the FNC buttn again t stre the number in the desired SPD buttn. Yur display shws, "SPD SET." T use a SPD buttn Leave yur handset in its cradle and the SPKR buttn ff. Press the desired SPD buttn yu prgrammed. The telephne number is autmatically dialed. Yu will hear ringing r a busy signal. Yur display shws the time, date, and the number yu are calling. Use yur speakerphne r lift the handset t talk. SPEED CALLING - The 16 buttn telephne has twenty SPEED CALLING buttns yu can prgram fr ne-tuch calling. These buttns are lcated n the right side f the telephne. Each buttn will hld up t a 24 digit number. D nt cnfuse this with the SPD buttns which nly hld 8 digits. T prgram SPEED CALLING buttns Leave yur handset in its cradle and the SPKR buttn ff. Press the FNC buttn, then press the desired SPEED CALLING buttn. Enter the desired telephne number. Yur display shws, "the digits yu entered int a SPEED CALLING buttn." Press the FNC buttn again t stre the number in the desired SPEED CALLING buttn. Yur display shws, "SPD SET." T use SPEED CALLING Buttns Leave yur handset in its cradle and the SPKR buttn ff. Press the SPEED CALLING buttn yu prgrammed. The telephne number is autmatically dialed. Yu will hear ringing r a busy signal. Yur display shws, "the time, date, and the number yu are calling." Use yur speakerphne r lift the handset t talk. PAGE - The PAGE buttn allws yu t establish twenty additinal SPEED CALLING buttns fr a ttal f frty. By pressing the PAGE buttn yu are turning the page t 20 extra unused SPEED CALLING buttns. Each SPEED CALLING buttn will hld up t a 24-digit number. T prgram PAGE SPEED CALLING buttns 5

Leave yur handset in its cradle and the SPKR buttn ff. Press the PAGE buttn. The PAGE light will be lit red. Press FNC+SPEED CALLING buttn and enter the desired telephne number. Yur display shws, "the digits yu entered int a SPEED CALLING buttn." Press the FNC buttn again t stre the number in the desired secndary SPEED CALLING buttn. Yur display shws, "SPD SET." CALL BACK (CB) - The CALL BACK feature allws yu t have a busy extensin call yu back when bth extensins are idle. If yu call and receive a busy signal, yu can set a CALL BACK. When the busy extensin hangs up, yur telephne will ring. When yu lift yur handset, their telephne will ring. If yu are nt in when the busy extensin hangs up, the ringing will stp after three t five rings and the ther extensin will nt ring at all. Yu can place nly ne extensin number in CALL BACK at a time. With prgrammed buttn (CB) When calling an extensin number and yu hear a busy signal, press CB. Yu will hear the service set tne. Yur display shws, "CB SET" and the CB light is n. Hang up. When the "busy" extensin hangs up, the CALL BACK prcess begins. Yur display will shw, "CB and the extensin number that is calling yu." T deactivate, leave yur handset in its cradle and the SPKR buttn ff. Press the DND buttn ff. Yur display shws, "DND CNCL" and the light will g ut. MESSAGE (MSG) - The MESSAGE feature allws yu t receive r leave a message n an 8 buttn telephne r n the display f anther 16 buttn telephne. NOTE: Up t fur messages may be left n ne 8 r 16 buttn telephne. If a fifth message is attempted, the telephne line will cntinue t ring and yur display shws, "MSG BSY." If a telephne cannt receive messages, the telephne line will cntinue t ring and yur display shws, "MSG RST." With prgrammed buttn (MSG) Lift the handset r press the SPKR buttn n. Dial the extensin number. If yu receive a busy r n answer, press the MSG buttn. Yu will hear the service set tne. Yur display shws, "MSG SET and the extensin number." If yu cntinue t hear ringing, and yur display shws either "MSG BSY" r "MSG RST" it means yu can't leave a message n the telephne yu are calling.
