User Guide for the New Kofax Partner Portal The purpose of this document is to better acquaint you with the basic features of the new Kofax Partner Portal being released in August 2012. Please note that depending on your level of access and incremental improvements made to the portal, the screenshots provided may not exactly match your particular view within the portal. 1. Basic Navigation Login and Kofax Partner Portal Dashboard Once you ve received a notification that you have been granted access to the Kofax Partner Portal, follow the link provided to access the portal login page. Use the credentials provided in the notification for your Username and Password. Once you ve successfully logged in, you will be brought to the dashboard of the Kofax Partner Portal. The dashboard is comprised of tabs and links in the header, which you can use to access the various functions of the portal. The main portion of the dashboard will present you with the latest Kofax updates as well as alerts and activities for which you should be most aware. Please note that based on your access and permissions, the functions and content available to you may vary.
Managing Your User Profile and Account Details Click on the User Profile link at the top of the Kofax Partner Portal page to update your portal user record as well as change your password.
Click on the Manage Account link at the top of the Kofax Partner Portal page to update your company s profile information as well as create and/or associate contact records to your company profile. Creating New Portal Users As a Kofax Partner Portal administrator, you also have additional functionality available to create portal user accounts for your organization. At the bottom of the Manage Account page, click on the button marked Create New. Enter in the appropriate details for this user and click the Create and Invite to Portal button and the notification and approval process for this user will begin. Alternatively, if you simply want to add an employee contact record for your company, you can click the Submit button rather than the Create and Invite to Portal button.
2. Lead Management Viewing and Accepting Leads As a trusted partner, there are times when we will distribute lead information to your organization. To access leads which have been assigned to you, click on the tab marked Leads. To accept or reject leads, click on the appropriate checkboxes to the right of each record and then click the Save button. Accepted leads will be displayed in the tab marked Accepted and rejected leads will be sent back to Kofax. To view records in either view, simply click on the hyperlink under Company Name for each lead record.
3. Opportunity Management (Opportunity Distribution and Deal Registration) Opportunity Distribution As a trusted partner, there are times when we will distribute qualified sales opportunities to you and your organization. To access these opportunities, click on the tab marked New Opportunities. You can select and accept/decline an opportunity individually or you can accept/decline all distributed opportunities as a group using the Accept All and Decline All features. Deal Registration In instances when you would like to alert us about a potential opportunity that you are pursuing, you may register a deal through the portal. To begin the deal registration process, click on the tab marked Manage Opportunities and click the Create New button. You will be prompted to enter details specific to the opportunity that you are pursuing, such as the name of the customer, customer contact information, deal amount and products involved. Once you have completed this information, click the Submit button. The opportunity details will be submitted to
the appropriate Kofax teams for review and acceptance. Once a decision has been made, you will receive a notification of acceptance and you will then be able to manage the opportunity within the portal. Managing Opportunities To manage opportunities (both Opportunity Distribution and Deal Registrations), click on the tab marked Manage Opportunities. In the main opportunity management dashboard, you will be presented with all opportunities for which you are responsible. Using the Search and View features, you can filter down to the specific opportunity you would like to work on. Note that you can also export these opportunity details to Excel by clicking on the Export to Excel link. To work with a specific opportunity record, click on the hyperlink specific to the opportunity you would like to select. Within each opportunity record, you will be presented with a number of tabs and opportunity detail. Depending on the type of opportunity and your level of access and permissions, these tabs and detail may vary. Opportunity Details contains all the information regarding that opportunity, such as the customer, customer contact information, the size of the deal, products involved and other information that you will be able to update and manage as you bring the opportunity to closure. Opportunity History contains a detailed history of the sales stage changes and timestamps as you work your particular opportunity.
Opportunity Notes can be used to interact with Kofax resources as you manage a deal to completion. These would be primarily used to communicate with your Kofax Account Executive and/or Channel Account Manager, but these notes can also be used to keep tabs on different activities or tasks related to the opportunity. Opportunity Contacts can be used to create and associate contacts at the company related to the opportunity. Opportunity Status is the area where you will manage the progression of the opportunity through the full sales cycle. You can update the sales stage and close the opportunity as won or lost.
4. Discretionary Marketing Funds (DMFs) Submitting a DMF Request As a trusted Kofax partner, there are instances where you may qualify to be reimbursed for sales and marketing activities. To begin the process to gain approval for reimbursement, please submit a DMF request by clicking on the tab marked DMF. Once there, click on the link marked Create a New DMF to submit a new DMF Request. Fill out all the DMF form details and click the Save button to submit the request.
Attaching Receipts to Receive Reimbursement Once you ve received approval for reimbursement and you have executed your event or activity, you are expected to attach financial proof of the event or activity. To do this, navigate back to the relevant DMF record and at the bottom of the screen click on the Browse button to select the attachment and then click Update. Viewing Existing DMF Records You can review the status of any active or closed DMF records at any time by clicking on the tab marked DMF and clicking on the ID under the DMF ID column.
5. Training Vouchers Viewing Training Vouchers Depending on your Kofax partner level, you may qualify to receive complimentary training vouchers to obtain knowledge and certifications for Kofax products. To view these training vouchers, click on the tab marked Training Vouchers. You can use the pull-down menu next to View to select different status filters based on the status of the Training Voucher. You can use this information to register and participate in Kofax training and educational programs. To open the Training Voucher record, simply click on the ID linked under Voucher ID.
6. Certifications Viewing Certifications To help you keep your awareness of the depth and breadth of knowledge and experience of your organization as it relates to Kofax products, you can view the certifications that your organization and employees have achieved. To access these certification records, click on the tab marked Certifications. You can use the drop-down menu next to View to toggle between Certifications assigned to your particular user record or those belonging to your company overall. To open the Certification record, simply click on the ID linked under Certification ID.
7. Content Accessing Kofax Partner Content As a trusted Kofax partner, you will have access to Kofax content, which will provide you with the latest Kofax sales and product information. To access the different content libraries, click on the tab marked Documents. Depending on your geography, partner level and other attributes, you will be granted access to different content to help you succeed as you engage customers. You ll notice that documents will be segmented into different sections depending on your access level. To help you search through documents, you ll also have a Product drop-down list, which you can use to filter documents. Additional search features are expected to be released shortly.
