Annual Performance Assessment Process
Introduction The Reviewer can send the draft version of the online assessment out to someone else (a Third Party) in Halogen for further input - for review and additional comments. There are two roles to complete this step: Role 1: You are a Reviewer who wants to send an employee s online performance assessment to a third party person for additional comments. Click here: REVIEWER VIEW Role 2: You are a third party person who has been asked by a Reviewer to review the assessment and provide additional comments on an employee s performance assessment form. REVIEWER VIEW 1. When you have the employee s assessment form open, click on Send for additional comments. March 2017 3
2. A box will appear where you can choose who you would like to review the assessment. You must type in the person s name or surname and the system will return a list of options to choose from. If there is a typo in the person s name, the program will not find the person you are looking for. If the person that you would like to forward the assessment to for additional comments is not in the list, please contact your Divisional HR Consultant for assistance. When the person s name you want to send the assessment form to comes up, select that person and click Send. March 2017 4
3. Once you have sent an assessment to another person to review, it will show up in your list of tasks as Sent for Review: It is also shown in the status report when you click on the View Status link: March 2017 5
4 If you would like to cancel your request that you have sent to the Third party, click on the Cancel Review button within the employee s form, as indicated below. 5. Once the third party has provided their comments and submitted the form back to you, you can check on the additional comments provided and update the assessment if you wish: March 2017 6
6. Within the assessment form, comments added by the Third party will be indicated by the annotation icons that are red instead of blue. Click on the annotation icons to read the Third Party comments. If you would like to include the Third party s comments in Part B of your direct report s assessment, you need to copy and paste the content from the annotation box into the assessment form. Third party comments are designed to be private, and the content will be removed once the assessment form is approved at the Divisional Review stage of the process. This means the comments provided by the Third party will not be available for your face-to-face meeting with your employee, unless you copy and paste the content into the assessment. March 2017 7
THIRD PARTY VIEW You will see the link on your Halogen home page indicating that someone has asked you to provide additional comments to an employee s performance assessment. Please note that the comments you provide will not be shared with the employee unless the Reviewer chooses to save and share your comments. Click on the link on your Home page to provide comments: You will see the access to the assessment in My Tasks March 2017 8
When you ve opened the form, click on the Add annotation icons to add your comments to a particular section of the assessment: Type your comments in the box that appears, and then click OK. March 2017 9
You can add annotations to all the sections in Part B of the assessment form. If you would like to save your work so that you can continue to add comments another time, click Save. You can then close the form without losing your work. When you are finished adding all of your comments, click Complete to send the assessment back to the Reviewer. If you want to save your comments for your own reference, please copy and paste them into a Word document for saving. The form will show that you have completed and submitted your comments, as indicated in the screen shot below: March 2017 10
The assessment will be returned to the Reviewer. You will not see the name of the employee or have access to the assessment on your Task Status screen anymore. Thank you. You have successfully sent your additional comments back to the Reviewer. March 2017 11
