Creating a Project with Invited Access Assessments Quick Guide
creating a Project with invited Access Assessments This quick guide explains how to create projects using invited access assessments. An invited access assessment is an unsupervised assessment that can be completed remotely (e.g. at home). For information on administering supervised assessments, see Quick Guide Managing Supervised Projects. creating a New Project There are five steps to creating a project: 1. Name and description 2. Add instruments 3. Select email templates 4. Add candidates 5. Configure reporting 1. Name and description Login to the platform and open the Projects tab Click on the Create New Project link on the left side of the screen Enter the project name and description, plus a PO number, if required Please note: the project name will appear in emails sent to candidates Click the Next button 2
2. Add instruments Add the instruments you require from the Instruments Available for this Project: list by clicking on the green add button under Actions column If you need to remove instruments from your selection, click on the red remove button under actions column Please note: it is not possible to add or remove instruments from a saved project; it is crucial to select the correct instruments at this stage Once you have selected the relevant instruments, click Next 3. Select email templates At this point you will need to configure the candidate invitation and reminder emails, and the report notification which alerts the Administrator when new reports generate. There are standard email templates for each instrument, plus templates for combinations of instruments. As these inform the candidate how long to allow for completion of the assessment and provide preparation guide links, it is important to pick the template which matches the instruments on the project. You may also need to delete information referring to extra instruments from the templates; for more details, see the Additional Information page at the end of this document. There are three templates which require configuration: Assessee Invite Report Assessee Reminder Invitation email for the candidate ( assessee ) Notifies the administrator when reports generate Reminder email for the candidate ( assessee ) Assessee Invite select the email template which matches the instruments in the project from the drop down menu and click the add button ; review the email text, click Save Changes 3 Report select the template from the drop down menu and click the add button ; review the email text, click Save Changes
Assessee Reminder select the email template which matches the instruments in the project from the drop down menu and click the add button ; review the email text, click Save Changes Click on Create Project 4. Add candidates Having created and saved the project, you will now be presented with the Project Details page and be invited to add candidates. You may wish to assess a completely new candidate, or to reassess a candidate who has already been created as a user on the platform. To add an existing candidate: Select Add Assessees from the list of options on the left side of the screen Find the candidate by searching for their first name, last name or email address Add them to your list of added assessees by clicking the green add button Repeat for additional candidates Once you have selected all the existing candidates you require, click the Finish button at the foot of the screen. At the point which the candidate is added to the project, the invitation email will be triggered automatically. However, as existing candidates, they will have previously received a username and password so they won t be sent a new one. The candidate may not remember their username and password. For information on how to resend login details, see Quick Guide to Resetting Passwords 4
To create a new candidate: The following steps will create a new candidate and add them directly to your project. Select Create Assessee in Project from the list of options on the left side of the screen Enter a unique username for the candidate. We recommend first name and last name no spaces before, after or inbetween. Select the candidate s language Pick the default User Created email template (this contains the candidate s login details; for information on configuring project specific User Created emails, see Quick Guide to editing Master email Templates ) Enter the candidate s email address, first name and last name Click the Add button Repeat for additional candidates At the point at which the candidate is added to the project, the invitation email and username and password email will be triggered automatically. 5. configure reporting Having added assessees to the project, you will be presented with the Project Details page. If you would like to manually generate reports after candidates have completed assessments, you can do so by selecting the Generate Reports button on the Project Details page. For more information on manual reporting, see Quick Guide to Manual Report Generation. If you would like reports to be generated automatically as soon as candidates have completed assessments, follow these steps: 5 Click on the Configure Automatic Reporting link under Options: Click the Add Reports button Pick the report(s) from the list and click Select
Pick the relevant instrument(s) from the list and click Select Pick the norm group(s) you require from the list and click Select Additional information Some of the standard email templates contain references to more than one assessment, for example, both Styles questionnaires and/or aptitude assessments. When configuring the email templates during the project creation process, you should delete the information for assessments that do not apply. The extra information includes estimated completion times and the links to preparation guides. The following table shows the subtests within each aptitude assessment and their corresponding preparation guides. Assessment Level Sections/Preparation Guides Analysis Aptitude comprehension Aptitude Technical Aptitude Verbal Analysis, Numerical Analysis, Diagrammatic Analysis, Abstract Series Verbal Comprehension, Numerical Comprehension, Error Checking Spatial Reasoning, Mechanical Reasoning, Diagrammatic Reasoning Please note: it is important you do not remove or amend the $$$ signs as they are runtime fields and will be automatically populated by the platform. 6
